PROFILE

To get started, log in to Starfish through Blackboard (blackboard.utdl.edu) using

your UTAD credentials.

After clicking “Starfish Home,” you will see the below screen.

Please DO NOT set up any office hours through

Starfish. That is part of an appointment-scheduling

feature we are not currently using. We are only using

the appointment scheduling feature for Success

Coaches to document and track meeting outcomes.

2. CLICK on “Starfish Home” in Blue Bar.

Create your Institutional Profile:

2. UPLOAD a photo for other users to see.

3. CLICK “Submit” to save changes.

Set summary email (also called a “Daily Digest) to daily at 5:00 am.

o You have the option of opting for weekly emails instead.

You may choose to receive immediate emails when an item is

raised or cleared rather than waiting for one daily summary email.

Clicking on the Home Tab shows any recent Early Alert activity for your students.

The appointments feature is not enabled.

The features with an “X” are not enabled.

MAIN PAGES: SERVICES

Clicking on the Services Tab shows an alphabetical listing of key student service

departments/offices on campus including a brief description of the office, their

phone number, website, and e-mail address.

All Starfish users including students, staff, and instructors have access to the

Services Tab.

MAIN PAGES: STUDENTS

The Student Tab has many features, which are highlighted below.

“All My Students”: In this connection you

will see all of the students in all of the

course sections you are teaching (all of

your relationships in Starfish).

“Course Name/Section” (for example,

“Math for Liberal Arts, MATH-1180-001”):

In this connection type you will see the

students in that specific course section

where you are the instructor of record.

CONNECTION: Starfish is built

on relationships that users

have with one another.

TERM: The relationships in Starfish

are based on terms. Always

toggle down to the current

term such as “Spring 2017.”

SEARCH: You can

search for students by

their name, username,

or Rocket number.

STUDENTS: MY STUDENTS TAB

How to Search for a Student (Name or Rocket Number)

Using the “All My Students” or “Instructor” role will run the

search within all students who have an assigned Success Coach

and who are in a course where you are the instructor of record.

Using the course name/section search will show all students

alphabetically by last name who are in a specific course section in

which you are the instructor of record (such as MATH1320-007).

3. TYPE student’s name (last, first) or

Rocket Number. You can use parts of

names or Rocket Number, if you do not

have the full information.

4. CLICK “Go” to run the search!

STUDENTS: TRACKING TAB

The Tracking Tab shows all flags or kudos raised by an instructor through an early alert progress

survey. Individual flags, referrals, or kudos raised for a given student are visible. This view

includes any comments about the flag, when the flag was created, and the status of the flag

(active or resolved).

ATTENDANCE TAB

We are NOT using the Attendance feature in Starfish to officially record course attendance for

the University. You are welcome to use the attendance feature for your own records, but this

data will not be sent to BlackBoard or Banner.

STUDENT FOLDER

STUDENT FOLDER: NETWORK TAB

This tab includes the users that have a connection (relationship) to the student including their

Success Coach and other instructors. E-mails can be sent to any and all individuals in this list by

clicking directly on the e-mail address of the person.

Note: some users may only appear in your view of the student’s folder and not in the Success Network

on the student side. This is due to the configuration of the individual’s role.

STUDENT FOLDER: TRACKING TAB

This tab includes the tracking items such as Kudos or Flags assigned to the student. You can

click on the + sign next to the item name to show information or updates tied to the tracking

item.

EARLY ALERT PROGRESS SURVEY

A notification e-mail (from the [email protected] e-mail address via Starfish) will be

sent to instructors 1-2 days prior to the opening of an early alert progress survey.

One of the best ways to ensure the success of our students is to track their progress. To do this,

we need your help!

We are utilizing Starfish to help us make the process of reporting on the academic progress of

our students as easy and efficient as possible.

On 9/19/2014, you will be asked to respond to a Starfish Progress Survey for the following

course sections:

Here's how it will work:

1. You will receive an email message that will include instructions and a list of your outstanding progress surveys, organized by course section.

2. Once you follow the instructions and reach the survey grid, simply check the box next to the particular student's name where you have a concern. You will have options to add comments. Please be careful of what you state in comments as they are visible to the student.

3. Click Submit. If you don't have any concerns, just click Submit. You will receive a confirmation email.

4. Items you raise will be addressed by the appropriate individuals from our institution.

Your responses will help us determine which students to reach out to and offer help. The survey

will be available until 9/26/2014.

An e-mail will be sent to the instructors the day the early alert progress survey

opens asking instructors to complete the survey for all of the sections of the

course to which they have been assigned as the instructor of record.

You can save survey responses and return back to them to complete the survey.

Dear Katherine,

As you know, we are utilizing Starfish to help us make the process of reporting on the academic

progress of our students as easy and efficient as possible. Through a Progress Survey you will

have a quick way to inform us of your students’ progress in class.

To access the Progress Survey for your course(s):

1. Login to Starfish through BlackBoard. 2. A link to your Outstanding Surveys will be displayed at the top of your Starfish homepage. 3. Once you reach the survey grid, simply check the box next to the particular student’s name for

whom you would like to report progress. You will have options to add comments. Please be careful of what you state in comments as they are visible to the student.

4. You do not have to complete a survey(s) in one sitting. You can save survey entries and return back to them to complete a given survey(s).

5. Click Submit. If you don’t have any progress to report, it is important that you click Submit, so we know you reviewed the survey. You will receive a confirmation email.

6. Items you raise will be addressed by the appropriate individuals from our institution.

Upon completion of a progress survey in Starfish, the instructor will receive a

confirmation e-mail of the students/flags raised. There is typically a slight delay

between completion of the survey and the sending of the notification e-mail

from Starfish.

An e-mail reminder(s) will be sent to instructors reminding them of any

outstanding surveys to complete prior to the survey closing in Starfish.

Submitting the Progress Survey

Once you click SUBMIT for a survey you CANNOT return to the survey

and it CANNOT be re-opened.

3. SUBMIT for completion.

Emails will be sent to

students, and alerts will be

added to their Starfish files. Survey can be saved and you

can return to it at a later time.

You are not required to document on

every student, but it is encouraged.

After submission, you will receive this

notification for verification of completion.

FLAGS

*Kudos and Flags raised manually on individual students should be used sparingly outside of

the flags raised within Early Alert Progress Surveys. For example, if raising a “missing/late

assignment” flag on a given student in early alert progress surveys completed during weeks 2,

4, and 6 of the semester, it is not recommended to raise the individual flag for that same

student during other weeks within the same timeframe such as week three.

The email message templates a student receives when an alert is raised in a progress survey

are visible at the end of this document.

student, and marked the flag as cleared in Starfish.

Flags you can raise as an instructor in Starfish

Flag Name Description

Academic Course Concern (INSTRUCTOR) Raise this flag when a student is not performing well on assignments, is missing assignments, low scores, etc. Please provide detailed comments. Students can see the comments.

Attendance Concern (INSTRUCTOR) Raise this flag when a student is not regularly attending class. Please provide specific comments. Students can see the comments.

Behavioral Concern (INSTRUCTOR) Raise this flag when you have a concern with a student's behavior in class. Student will see comments.

Below average class participation (INSTRUCTOR) Raise this flag when a student's participation in a course is below the class average. Student will see comments.

In Danger of Not Passing (INSTRUCTOR) Raise this flag when a student cannot mathematically pass the course at this point in time. Student will see comments.

Low Quiz/ In Class Activity/Test Scores

(INSTRUCTOR) Raise this flag when a student receives a low grade on a quiz, test, or an in-class activity. Please provide details in the comments. Student will see comments.

Missing Clicker/Course Materials/Access Codes

(INSTRUCTOR) Raise this flag when a student does not have their clicker, course materials including textbook(s) and/or access code. Please provide details in the comments. Student will see comments.

Missing/Late Assignments (INSTRUCTOR) Raise this flag when a student has missing or late assignments. Please provide details in the comments. Student will see comments.

Missing/Late Online Assignments (INSTRUCTOR) Raise this flag when a student has missing or late online assignments. Please provide details in the comments. Student will see comments.

Missing/Late Written Assignments (INSTRUCTOR) Raise this flag when a student has missing or late written assignments. Please provide details in the comments. Student will see comments.

(INSTRUCTOR-PROGRESS SURVEY ONLY) Raise this flag when concerned about a student's competency or skill level in a subject/course/area. The student does not receive notification, but the Success Coach is notified. Please provide details in the comments.

Creating a Note (shared between instructors and Success Coaches)

Editing a Note: You can only edit notes that you have created.

The subject of the Note will appear here.

The contents of the Note

will be displayed in this

space when you expand the

Emails Received by Students from Raising Tracking Items

FLAGS: An email notification (templates below) will be sent out to the students as soon as the flag is

raised. THE MESSAGE WILL INCLUDE INSTRUCTOR COMMENTS.

o The only flag that does NOT have a message template is the “Skill Level Concern” flag. The

student will NOT receive an email notification because only the instructor and the permitted

UT personnel will be able to see this particular Skill Level Concern flag.

REFERRAL: The Referral email sent to students is the same message template for ALL Referrals. Only

the Referral Name and the Referral Comment will populate a portion of the message template.

KUDOS: There is a different message template for each of the “Keep up the good work” Kudos,

based on the progress survey. This allows for students to receive a different message each progress

survey, to avoid repeated wording.

E-mails are sent to the student’s Rockets e-mail address with the name of the instructor and/or flag

raiser inserted into the e-mail.

The raised items are stored on the student’s Starfish folder for the Success Coach to view, and a

“daily digest” email is sent to all Success Coaches each morning notifying them of the student(s) and

issue(s) raised for follow-up to occur.

Tutoring Referral Tutoring is free and available to all UT students in a variety of subjects like math, chemistry, and biology. Visit the Learning Enhancement Center (LEC) in the lower level of Carlson Library. No appointment is required.

Writing Center Referral

The Writing Center works with current UT undergraduate and graduate students, faculty and staff on a variety of writing projects in any subject. Writers meet with Writing Center tutors in order to generate ideas, organize notes and thoughts, and receive feedback on drafts or completed papers. The Center's goal is to provide writers with transferable skills that will help them not only on one paper, but also on future assignments. Thus, Writing Center tutors do not proofread or evaluate papers. Rather, tutors work collaboratively with writers, reading student texts and offering questions and suggestions to help guide revision and proofreading. The Writing Center assists with: essays, papers, cover letters, research papers, and more!
