Use this menu to quickly access training materials for the MyReports UCSF Health Monthly Variance Reports. The job aids listed provide step-by-step
instructions for filtering and working with each report. You can jump to the job aid you need by clicking the desired Title. Use the Home icon ( ) at the end of

Title Description
Monthly Variance Summary Report
Displays a summarized dashboard overview of financial performance as of a selected month and fiscal year to
date (YTD). The report displays actuals, fixed budget and flex budget, and corresponding variances for
Statistics, Revenue, Expense, Non-Operating Income/Expense, and Other Changes in Net Position.
Monthly Variance by Alt Account Report
Provides an overview of financial performance and variance by Alt Account as of a selected month and fiscal year to date (YTD). The report displays fixed budget, actuals, flex budget, and variances for Statistics, Revenues, Expenses, and Other Changes in Net Position. The report can be displayed at summary and detail Alt Account Levels.
Monthly Variance Trend Report
Displays monthly actuals on a fiscal year basis and calculates monthly and year to date (YTD) variances to flex
budget. The report displays Statistics, Revenues, Expenses, and Other Changes in Net Position. Amounts can
be displayed at summary and detail Alt Account Levels.
Monthly Variance by Dept ID Report
Compares actuals to fixed and flex budget and calculates variances for a selected month and fiscal year to date
(YTD). The report uses the Dept ID tree, displaying results for selected Dept IDs in a hierarchy. Results can be
viewed at an aggregated Dept ID level or expanded down to the posting level Dept ID. The report data includes
Statistics, Revenues, Expenses, and Other Changes in Net Position.
Alt Account Detail Report (ADR) Displays detailed transaction information by Alt Account, including Payroll, Accounts Payable (AP), BearBuy Purchase Orders, and Financial Journals. Facilitates research and reconciliation.
McKesson AP (Accounts Payable) Detail Report
Displays detailed information for vouchers created in McKesson and posted to PeopleSoft, including vendor, purchase order (PO), Invoice, Voucher, and Item detail. The report can also be used for basic inquiry by Voucher or Vendor details.

The Monthly Variance Summary Report displays a summarized dashboard
overview of financial performance as of a selected month and fiscal year to date
(YTD). The report displays actuals, fixed budget and flex budget, and
corresponding variances for Statistics, Revenue, Expense, Non-Operating
Income/Expense, and Other Changes in Net Position.
What can I learn from the Monthly Variance Summary Report?
• Graphical summaries of information about financial performance for a
Dept ID or set of Dept IDs allow operational and clinical managers to
quickly evaluate monthly financial health as the fiscal year progresses
• VAT Alerts identify Dept IDs with variances below financial performance
thresholds in the Variance Analysis Tool (VAT)
• Use hyperlinks to drill to additional monthly variance reports for further
details in tabular format
Report Date Filter
The default date for the Monthly Variance Summary Report
is the last closed month. Use the Report Date as of
drop-down menu to select a previous closed month or future
month.
• West Bay users can view budget, flex, and actuals data for any month
beginning with July 2014. Statistics data are available for any month
beginning with July 2016.
• East Bay users can view actuals data for any month beginning with July
2016. Budget, flex, and statistics data are available for any month beginning
with July 2017.
• All users can view budget data for any month through the end of the current
fiscal year
Report Specific Filters
Business Unit (BU) is the only required (*) chartstring filter. The filter page
defaults to select all UCSF Health BUs. You may override the default and
select an individual BU or multiple BUs.
At least one of the conditionally required fields denoted by an orange
triangle ( ) must be selected. You must enter either a Functional Owner,
or one or more Dept IDs.
Begin typing the Functional Owner name or Dept ID and select the
desired value from the drop-down list that appears
The Functional Owner filter allows you to run the report for all Dept IDs
where the selected Functional Owner is assigned one of the following
roles in PeopleSoft: Senior Executive, Executive Director, Business
Officer, or Head of Unit
• You can only select a single Functional Owner
• The Functional Owner filter should not be used with the Dept ID filter

Working in the Report View
The Financial Performance tab (default) displays summary financial
performance and variance data for the selected month and YTD.
Red text in Financial Performance indicates unfavorable results
Click the FY Actuals & Fixed Budget tab to review planned full-
year totals with breakout of actuals (completed months) and
budgets (future months) by month
By default, Variance by DeptID displays unfavorable variances for all
Expenses, Non-Operating Income, and Other Changes for the selected
month (default). Use the drop-down menus to:
Select a different category of revenue, expense, UOS, or FTEs
Show Variance # or Variance %
Show Unfavorable or Show Favorable variances
Click the tab to view Variance by DeptID for the Year-to-Date
Variance Analysis Tool (VAT) Alerts identify Dept IDs with variance
tolerances that are out of range. Click on the tabs ( ) to review:
• VAT Volume Alerts = UOS < 95% of monthly budget
• VAT Monthly Expense Alerts = Monthly Variance > $50,000 and 7.5% of flex
• VAT YTD Expense Alerts = YTD Variance > $100,000 and 15% of flex
• VAT FTE Alerts = Identifies Dept IDs having a variance of more than 2 productive FTEs with monthly worked productivity below 95%
The Rolling 12 Month Trend graph displays data for your selected month
and the 11 prior months:
• Blue bars show Actuals within Flex
• Red bars show Actuals over Flex
• Solid blue lines show the Flex Budget trend
• Dotted blue lines show the Fixed Budget trend

Tips & Tricks
• Monthly FTE statistics are calculated as the total hours recorded for the
month divided by the total work hours as established for the month in EPSi.
The total work hours for each month will vary according to the total number
of days in the month.
• YTD FTE statistics are calculated as the total hours recorded for all
completed months in the fiscal year (through the selected month) divided by
the total work hours established for the same period.
• The MyFavorites functionality allows you to save and retrieve frequently
used filter criteria. See the Managing and Scheduling MyFavorites in
MyReports job aid for instructions on saving report parameters to
MyFavorites, selecting a saved MyFavorite, and running a report from a
saved MyFavorite.
• For the easiest navigation when using MyReports, close extra browser
tabs/windows (usually the result of drilling through to another report) when
you have completed reviewing and/or exporting the information

Report Output
• In addition to the report output selections of On Screen HTML (default),
PDF, and Excel ( ), you can choose Unformatted Data ( )
• Run the report to On Screen HTML to take advantage of the features and
functionality available only in the HTML report view described below.
• Selection of the Unformatted Data output returns an Excel file that has no
special formatting, a single row for column headings, and contains all report
data, making it the best source for pivot tables and other advanced
spreadsheet analysis
• Select your desired report output and click the Run Report button ( )
In both Excel outputs (standard Excel and Unformatted Data), the workbook
will contain at least two tabs. The first tab/sheet always displays the entered
filter criteria. The second tab/sheet displays the data and differs depending on
whether you selected standard Excel or Unformatted Data.
Working in the Report View
Refine or display additional report
data using any of the drop-down
menus in the HTML report header.
These filter options also appear in
the Report Specific Filters section
of the filter page. Make your
selections then click the Update
button to re-run the report.
Alt Account Level – Select from Alt Account Levels B, C, D, E, or F (posting accounts)

If you have run the report for a Functional Owner, the Refine Dept ID Selection filter is available to narrow the scope of Dept IDs displayed in the report. (This filter is only available when you run the report using the Functional Owner filter.)
Click on Refine Dept ID Selection to open the filter
Click the and symbols to expand or collapse each level of the Dept ID tree
Select the Dept IDs that you wish to include in the report by checking their box(es)
Click Update to re-run the report – the revised report will display only the selected Dept IDs
To revert the report back to the full set of Dept IDs belonging to the specified Functional Owner, click Deselect All, then click Update

Report Output

Report Output
• In addition to the report output selections of On Screen HTML (default),
PDF, and Excel ( ), you can choose Unformatted Data ( )
• Run the report to On Screen HTML to take advantage of the features and
functionality available only in the HTML report view described below.
• Selection of the Unformatted Data output returns an Excel file that has no
special formatting, a single row for column headings, and contains all report
data, making it the best source for pivot tables and other advanced
spreadsheet analysis
• Select your desired report output and click the Run Report button ( )
In both Excel outputs (standard Excel and Unformatted Data), the workbook
will contain at least two tabs. The first tab/sheet always displays the entered
filter criteria. The second tab/sheet displays the data and differs depending on
whether you selected standard Excel or Unformatted Data.
Working in the Report View
The Monthly Variance by Dept ID Report contains two tabs with different
report views. The selected report is indicated by a white tab background:
• The first tab displays a report for the selected month
• The second tab displays a report for the fiscal year to date
• Report variances are shown in black if they are favorable and in red if they
are unfavorable.
• Refine or display additional report
data using any of the drop-down
menus in the HTML report header.
These filter options also appear in the
Report Specific Filters section of the
filter page. Make your selections then click the Update button ( ) to re-
run the report.
• Black underlined Dept ID rows can be expanded. Click on an underlined
Dept ID name to expand that row to the next lower level of the Dept ID tree.
• To expand all Dept ID rows on the report, select the Expand Dept ID Tree
checkbox ( ) in the upper right-hand corner of the HTML report header
and click Update to re-run the report
• A report in the expanded Dept ID format (or an expanded row) displays
Dept IDs at the posting level, and allows drill-through to additional reports.
Click on a blue hyperlinked Dept ID name to display a Monthly Variance
by Alt Account Report for the Dept ID selected:
Right click in the white space to the right of the underlined row label and select Drill Up to return to the original Dept ID level

Unit of Service Detail Report for the Dept ID selected:

Tips & Tricks
• When you export Excel output from the HTML report, only the data
displayed on screen is exported. Expand the Dept ID tree to the desired
level before generating Excel output.
• Monthly FTE statistics are calculated as the total hours recorded for the
month divided by the total work hours as established for the month in EPSi.
The total work hours for each month will vary according to the total number
of days in the month.
• YTD FTE statistics are calculated as the total hours recorded for all
completed months in the fiscal year (through the selected month) divided by
the total work hours established for the same period.
• The MyFavorites functionality allows you to save and retrieve frequently
used filter criteria. See the Managing and Scheduling MyFavorites in
MyReports job aid for instructions on saving report parameters to
MyFavorites, selecting a saved MyFavorite, and running a report from a
saved MyFavorite.
• For the easiest navigation when using MyReports, close extra browser
tabs/windows (usually the result of drilling through to another report) when
you have completed reviewing and/or exporting the information

The Alt Account Detail Report (ADR) displays detail transaction information
for all financial transactions and journal entries posted to the PeopleSoft
general ledger.
What can I learn from the Alt Account Detail Report?
• Provides accurate and timely information for researching transactions
• Facilitates reconciliation to source documents and/or source systems
• Displays when drilling through for more detail from other reports
Report Date Filter
Choose the date range using the From and
To dropdown menus. The default date range
is set to the current open accounting period.
Chartstring Filters
Select Business Unit (BU), or multiple BUs – this is a required (*) field
Enter the Alt Account and/or any other chartfield parameters desired. At least one of the conditionally required fields denoted by an orange triangle ( ) must be selected.

Report Specific Filters
You can further refine your search by Transaction Type ( ); Source Code ( ); Columns Displayed ( ); and/or Vendor, Journal Preparer, or specific Journal ID ( ). You may also choose to display detailed columns in the report by checking the Show Detail Columns in Report checkbox ( ). All of these filters are optional.

• You can choose to display more detailed information about each
transaction by clicking the Show Detail Columns checkbox. Columns will
be added to the report including Journal ID and Journal Preparer for
journals, PO ID, Vouch ID, Vouch Date, and Invoice Date for BearBuy
purchases, and Title Code, DOS, and Pay Pd End Date for West Bay
payroll.
• To display additional detail columns ( ):
Click the Show Detail Columns checkbox
Click the Update button
• All columns in the ADR are sortable, either ascending or descending.
Simply click the up or down arrow ( ) in the column you would like to
sort.
• In the report view, select a blue
hyperlink in the Amount column ( )
to display details for a McKesson
voucher in the McKesson AP Detail
Report, the PO ID column ( ) to view
more detail for a BearBuy PO, or a
hyperlink in the Voucher ID column ( )
to view more detail in the Accounts
Payable/Purchase Order Inquiry Report. In most UCSF Health use
cases, when a PO ID or Voucher ID is linked, it is related to a MyExpense
or BearBuy PO or Voucher.
• You can also choose to
display more detailed
benefits information by
clicking the Show
Benefit Detail Rows
checkbox and then the
Update button. The
report will display more
detailed information on
benefits such as FICA
and Workers’ Comp.
• Since the ADR returns data in list form without subtotals or groupings, you
can further refine your report using the Sort 1 and Sort 2 options:

Tips & Tricks
• Run an ADR for the narrowest criteria applicable:
o In most cases, running a Monthly Variance report first, then drilling on
items needing further research will be more efficient
o If you require detailed transaction information, filter your ADR report for
the shortest date range and lowest Dept ID. Consider limiting the report
by Transaction Type when possible.
• The ADR only displays transactions for the time period selected

The McKesson AP (Accounts Payable) Detail Report displays detailed
transaction information for vouchers created in McKesson and posted to
PeopleSoft, including vendor, PO, invoice, voucher, and item detail.
What can I learn from the McKesson AP Detail Report?

The Functional Owner filter allows you to run the report for all Dept IDs where the selected Functional Owner is assigned one of the following roles in PeopleSoft: Senior Executive, Executive Director, Business Officer, or Head of Unit
• You can only select a single
Functional Owner
• Excel and Unformatted
report outputs will include a list
of all Dept IDs assigned to that Functional Owner
• The Functional Owner filter should not be used with the Dept ID filter

Working in the Report View
• The McKesson AP Detail Report allows you to further refine your report
using the Sort 1 and Sort 2 options:

If desired, select a second
grouping from the Sort 2 drop-

Your report is refreshed and now displays data in your chosen groups
with subtotals:
• You can choose to display the full chartstring for
each item in the report by selecting the Show

to refresh the report and display the chartstring
detail.
• All columns in the McKesson AP Detail Report can be sorted. Click the up
or down arrow ( ) in the column to sort in ascending or descending order.
Tips & Tricks
• The McKesson AP Detail Report only displays voucher transactions after
they have been posted to PeopleSoft. McKesson payment information is
not available in the McKesson AP Detail Report.
• Each SpeedType recorded in McKesson is translated into the full
PeopleSoft chartstring at the time of posting. This facilitates drill through
from transactions in the Alt Account Detail Report (ADR) to the voucher
details in the McKesson AP Detail Report.
• A McKesson AP Detail Report displays when you drill through from the
ADR. Drill detail is available only for journals posted on or after
February 2018.
• The MyFavorites functionality allows you to save and retrieve frequently
used filter criteria. See the Managing and Scheduling MyFavorites in
MyReports job aid for instructions on saving report parameters to
MyFavorites, and how to select and run a saved Favorite.
