Introduction The following is a working collection of guides, resources and instructions to help in preparing for, and performing the various lay liturgical ministry duties during mass at St. Mary Magdalen & St. John Mission. Major changes were made after the Liturgical Training sessions, and continue to be refined as we evolve our Liturgical Celebration. Some items are not finished, but placeholders have been set for them. As details change they will be periodically brought up to date, including pictures and graphics, and released in “Revisions” with the date noted on the front page and a revision log at the end so readers can see if that change applies to their ministry. Some pictures may already look “old” as we have moved things around slightly or changed tables, but they are still useful. This is all coming together, just as we do at every mass. While this is intended to be a Parish Resource Guide, the focus has been on Sunday Mass at SMM, and we want to expand that with specific notes for St John’s as well. Liturgical ministers are encouraged to review and understand the duties of the other ministries that participate in the mass. Of interest are the Altar Server Ministries Chapter 2, Section II on Vocabulary. The basic hope is to bring all the ministries into line with one another so that they can flow seamlessly and support the Priest Celebrant and Deacon before, during, and after mass. All these chapters will be reviewed and refined under the guidance of the Liturgy Commission and the Ministry Directors, and approved by the Pastor. Seattle Archdiocese Pastoral & Sacramental Policies These Parish procedures have been compared to, and every attempt has been made to comply with our Archdiocesan Policies. They are available on-line (either click on the title above or see Appendix A for Link). The local policies are also derived from the General Instruction of the Roman Missal (GIRM) with portions referenced throughout this document. A link to the GIRM provided by the US Conference of Catholic Bishops is also found in Appendix A. Please take time to study this important information for a greater understanding of the directions that guide the faithful, the Clergy and you as a Liturgical Minister through the celebration of the Eucharist. I. Sacristan Preparation Steps Prior to Sunday Mass This is an attempt to capture the various duties of the Sacristan, and lay them out in an orderly timeline that coincides with other lay minister duties. It is meant to be “all inclusive, and covers every possible item you may deal with. It follows closely with the 5:30 Vigil Mass which requires set up from Weekday to Sunday, and some items may not apply to other masses (see Section III – Mass Matrix). The prep items have an estimated time to accomplish before mass – they have been tested for a few months now and should prove adequate once you are familiar with the routine. Adding 15-20 minutes during your first few masses as Sacristan might be beneficial. You will notice how fast things happen at 15 minutes prior to mass start time. 1. (M-45min) Unlock doors (for a possible sequence see Section VI - Door Map):

1) Exterior doors to church (North (or South) Vestibule) 2) Exterior doors to church (South (or North) Vestibule) 3) Exterior side door near Choir area (Southeast corner) 4) Interior door to sanctuary from Priest sacristy 5) Back hall way door from Priest sacristy 6) Interior door to sanctuary from A/S sacristy 7) Altar Server (A/S) sacristy door from ORE hallway 8) Exterior door leading to ORE hallway (North side) 9) Interior swing doors to church from ORE hallway (front of church, North) (You could start at the South Vestibule door (2) and work clockwise toward the Sacristy)

Notes: Open the sacristy closet when you need to access it, and close afterwards. It has both a deadbolt lock and a cipher keypad lock – for the keypad lock, enter your personal code, listen for the beep and green light, then pass your card key over the sensor. It will beep twice (and you should hear the unlock mechanism) signaling that you can turn the handle and open the door. Your key does not work on the cipher lock handle. Also, when you unlock interior doors from sacristy to sanctuary make sure to close them afterward to discourage entry by those not assigned to be in there before mass (see note at end about Priest sacristy and Altar Server sacristy). Remember to greet and welcome any one arriving while you are opening up the church (“Gather them in to the celebration”). Head to A/S sacristy when finished.

2. (M-38min) Set up items in A/S Sacristy:

a. Check sign up sheet on bulletin board (correct date’s sheet, scan for names). b. Lay out medallions for Extraordinary Ministers (EM’s) on far edge of countertop

nearest door (they will be stored in wooden box in right-hand cupboard over sink). If Deacon is serving there is one less medallion. Consult Weekly Planner Sheet in Priest’s Sacristy to find Presider for that mass and if Deacon is scheduled.

3. (M-35min) Return to Priest sacristy – prepare vessels and deliver gifts.

a. You may want to turn on lights in the Church at this point, or at least those over the altar and sanctuary along with the center aisle (similar to the Chapter 1 cover picture on page 5). Some people may be sitting in the pews in silent prayer.

b. Prepare a tray with water cruet, hand-water pitcher, lavabo basin and towel and take to the credence table, and then leave tray in A/S sacristy for cups after communion.

c. Remove correct priest chalice from closet and assemble with purificator, paten, communion host, pal, corporal and tabernacle key. Deliver to credence table.

d. Open tabernacle and check number of consecrated hosts (the ciborium = about 350 when full). Close tabernacle door, but leave the key in the lock.

e. Check condition of large altar corporal – exchange if necessary. Clean corporals are in the linen drawer, and soiled ones go in a special bag under the preparation counter. If you use the last clean one then the linen team must be notified.

f. Retrieve three ciboria from the closet (two if there are two in the tabernacle - rare). Estimate the number of additional hosts needed for that mass (in addition to what is in the tabernacle) and distribute evenly between these ciboria.

g. Fill decanter with wine for that mass (different masses have 4 or 6 cups; see decanter picture in Sec IV). Note: Empty wine containers are placed in the A/S sacristy on the floor near the candle closet.

h. Take ciboria (two, with covers) and decanter to the back table. You can use the tray which will later go on credence table with chalices. Cover wine with appropriate covering, and make sure two purificators are on back table. Also check that Parish Intention Book is on the stand in the back (it may have been moved to sacristy and should be returned to the stand).

i. Prepare communion chalices (also called cups), purificators, and third ciborium on a tray and take all to credence table. One purificator should remain on the tray and the others placed near the tray on the credence table. Third ciborium should be uncovered so hosts are visible and it’s not mistaken as an “extra”.

j. (See pictures of all these items for set-up and placement on table in Section IV). 4. (M-25min) Check Ordo, and make sure liturgical books are marked correctly:

a. Prep Sacramentary – place ribbons in correct places (green ribbon for the proper, purple for daily proper prayers, wwhhiittee for preface, red for feasts and commons).

b. Prep Lectionary, placing ribbon at correct date. c. Prep Gospel Book, place ribbon at correct date/cycle (confirm preferred reading

with Presider if there are options). Ask if Presider has a homily folder for ambo. d. Check binder with Prayers of the Faithful and lay out with Sacramentary. Make

sure that Presider checks them BEFORE they are taken out to the sanctuary. e. Get out wireless microphones from top left drawer of sacristy table and check

batteries (battery tester and instructions are in same drawer). Some fresh AA batteries are in the drawer, or can be found in sacristy closet on top left shelf.

5. (M-20min) Set up items in sanctuary.

a. Place Gospel Book stand on front center portion of altar, facing congregation. Make sure any flowers in front of altar are moved to sides.

b. Place children’s collection basket under auxiliary table near Altar Server chairs. c. Power up Sound System with toggle switch next to “Nave Side Rows Down”

switch in Sacristy. There is no need to access the Sound System cabinet anymore; it is up in Choir loft, fully set and locked. The power switch in Sacristy

or alternate switch in Choir Loft will turn it on. If the need arises to get into the cabinet (rare, and probably at request of the priest), the key to it is on a hook just inside the top of the door jam of the Sacristy closet.

d. Position wireless microphones at the ambo (Reader) and lectern (Cantor). e. Take Lectionary to A/S sacristy, and check that Reader’s binder with

announcement sheet and Prayers of the Faithful are ready. f. Gospel Book remains in sacristy for Deacon (or Reader 2) to carry in procession. g. If Cantor or Choir is present assist with other items if asked. The hymn number

board should be checked by cantor (take down if not being used).

6. (M-15min) With the preparation done, do a check of all the other Ministry positions. a. Make sure Altar Servers are present and ready and have done their duties. b. In the unlikely event that one of the Readers is not present, you may need to get

a substitute, OR be prepared to act in one of those roles yourself as a substitute (you should always prepare for your mass by being familiar with all the readings – you need to be in order to set up the books). It is much more difficult to step in to that role, or ask someone else too, without adequate preparation time.

c. Lead Chalice EM will check that all EM medallions have been picked up. Work with Lead Chalice and check sign in sheet and see if any of those scheduled are present but not checked in. Otherwise begin to look for substitutes. At M-10min, either walk down aisle holding out medallions and scanning for extra EM’s, or if no takers, make a polite announcement from the ambo that we are in need of (##) additional Extraordinary Ministers for Holy Communion and would they please come forward to the Altar Server Sacristy.

d. All lights in Church should be on. 7. (M-10min) If possible, make sure that the ushers are recruiting a family to bring up

gifts. Get their names and put them on the opening announcement sheet along with Presider’s name and any other special items. Check back in with Presider to see if there is any thing else to be done, or if he or the Deacon need assistance. Offer to help with vestments if asked.

8. At this point it is best to take a moment, a deep breath, and relax. Maybe a little

prayer would be nice at this point to thank God for all that is unfolding before you (and for getting you this far).

9. (M-9min) Scan the sanctuary to see that everything is in place:

a. Correct number, and placement of chairs, including presidential chair and table. b. Credence table is correct (chalice, cruet, lavabo pitcher, bowl and towel; correct

number of cups and purificators; tabernacle key is in tabernacle). c. All liturgical books and folders are in place (on Presider’s table and at the ambo).

Gospel book stand is on altar. d. All candles are lit for that mass, including sacristy candle (help light if needed). e. Basket for children’s collection is near Altar Server station. f. Sound system is un-muted and levels are good. g. Any special items are in place (special books for the elect, etc).

10. (M-8min) If the church is filling up and people are standing in the back, either you or

Reader 1 may make an announcement asking people in the pews to move in toward the center aisle in order to accommodate others in the congregation that need to be seated. If the church is getting hot, make sure Ushers are opening windows. Choir may be assembling at about this time, and cantor should be getting in place.

11. (M-7min – as Presider, Altar Servers and Reader 2 leave for back of Church) Make

sure all lights in church are now on and turn off sacristy light (light in back hallway between sacristies can be left on). Check that sacristy closet and door out to sanctuary is closed.

12. (M-5min – this is cutting it close, isn’t it!) Be seated as Reader 1 will read the

opening notes and then head to back of church to join procession. The goal is for the congregation to stand and sing, and the procession to begin at the stated mass start time (e.g., 10:00am, not 10:04am). Be attune to any problems or needs, but do not be preoccupied with everything going on up in the sanctuary, the Altar Servers are there to directly assist the Presider – join in prayer with the congregation and fully engage in the liturgy.

Note: We are trying to limit the items in the Priest’s sacristy to those that directly help the Presider before mass, as well as the vessels and items that need to be in that sacristy – other items and chores are being moved to the Altar Server sacristy. In that light, scheduled lay ministers and others should refrain from using the Priest’s sacristy except for particular duties. Before mass it should be limited to the Presider, Deacon, Sacristan and Altar Servers, with the Music Coordinator checking in if necessary. Reader 2 will need to get the Gospel Book (if the Deacon is not present), and join the procession. You may wish to keep the doors closed but unlocked, and if someone comes into the Priest’s sacristy with a question or issue, just “gently” ask them to step into the back hall or the Altar Server sacristy to discuss it. After mass, the Extraordinary Ministers who are cleaning vessels will need access to the Sacrarium, and the Ushers will need access to the safe. Entering through the back hall door is preferred, and the door to the sanctuary should be kept closed but unlocked.

II. Sacristan Duties at Conclusion of Sunday Mass 1. As soon as possible, head toward the sacristy, stopping to turn off the power to the

sound system (to cut sound from microphones), then go in and reopen sacristy closet so Lead Usher will have access to safe to deposit collection. Close door to sanctuary to allow privacy in the Priest sacristy while closet is open.

2. If the collection baskets are still at the low step to the Altar, bring them into the

Sacristy and place on the counter. Ushers should be in shortly to bag and secure the collection.

3. If there are Outreach Minister’s who need hosts they should contact Sacristan who

will come to the credence table and assist them (this will not be done in the Priest sacristy). Unlock the tabernacle to get the number of hosts that they need. You may wish to check how many consecrated hosts remain after mass, compared to before mass (can help for future estimates).

4. After the 10am mass, check to see if the Presider from St John’s returned during

mass with extra consecrated hosts – he will transport them in a large gold pyx and leave them locked in the sacristy closet. They should be carefully added to those residing in the tabernacle. Tabernacle should be secured afterward and key returned to sacristy.

5. See that medallions are laid back out (or stored back in box inside the A/S sacristy

cupboard). 6. Make sure all sacred vessels are being properly cleaned (after purified), and ready

for next mass or returned to proper place. If the Priest/Deacon is delayed the Sacristan may need to do the purification (see Chap 5 Sec VI for how to purify).

7. Make sure all liturgical books are brought back to the sacristy, that the ribbons are

reset and ready for next mass or returned to bookshelf if required. 8. If required, power off sound system and return microphones to the drawer. 9. In general, all books, vessels and other items are either prepared and set out for

next mass or returned to proper storage. This includes reassembling the Priest’s chalice for the next mass and returning to the closet.

10. Check that collection has been bagged and secured in the safe (this is a Lead Usher

duty, but it should never be left out on the table). Lock sacristy closet dead-bolt. 11. Take time to thank everyone you see who helped with the mass – especially Altar

Servers, any other lay ministers, and the gift bearers if you see them.

12. Once again, take a deep breath, relax, and look around to assure yourself that the sanctuary is cleared and clean, or ready to be prepared for next Mass.

13. Check with Presider for any additional needs or instructions. 14. Walk through church to check that it is in order. Lock and secure doors and turn off

lights (as necessary). 15. Go in peace to love and serve the Lord ☺

VII. Miscellaneous Items: 1. Know the size of the gathering. The stated Church Capacity is 750 (this is a fire and

safety regulation). If there is a “big” mass, exits can not be totally blocked (overflow issue). a. To get an estimate, note that there are 38 long pews that can hold 12-16 each

(456-608), plus 6 short pews that can hold 9-12 (54-72). This can mean that a “mostly full –to- packed full” church is around 510-680 total (average 595). Add in the choir (~20), those standing in the back (~25-50).

2. Closing / locking church when people are still present (some are waiting for transit bus, some are in prayer). If possible, it’s best to wait till all are gone or heading out. Otherwise, if known parishioners are staying to pray, you can lock all doors and leave certain lights on when necessary (rear statue lights and center aisle). Those waiting for transit bus may need to wait in south vestibule (can lock door and leave vestibule light on).

3. How to handle medical emergencies – be familiar with First Aid kit (Ushers Closet), AED (Defibrillator, in school hallway near water fountain), calling 911, clean-ups, etc. When and how should Mass be interrupted (generally try to continue and not draw attention to incident as long as it is being handled)?

4. Spillage of the consecrated Holy Blood: should be covered with a purificator or towel, then cleaned after mass. Bring it to the attention of the deacon or priest and assist them by bringing water and towels to the area of spillage. A large spill would be soaked with water, then towel dried. A scattered spill that is not as obvious would have water sprinkled over it and then towel dried. The priest or deacon may wish to say a short prayer after cleaning.

5. Consider Sacristan turnover between 8-10-12 masses (sharing prep duties – i.e., who sets up chalice for next mass, are books checked and left in sacristy or put back on ambo, altar, etc). This is an area where it does not make sense to go to the effort to put things away when it would be just as easy to set them back up. Can be a way to share the workload, and could be a way of providing an “Assistant Sacristan” for a short period without having to schedule and call in a second person.

6. Check for votive candle replacement (as time permits). Extra candles are in the last closet (closest to steps) in A/S sacristy, bag on floor for spent holders.

7. Heating and cooling; people may state that it’s too cold or too hot, but the system is set at 69 degrees and is automatic. Usually it will warm up as people are present – may need to open windows and doors if really hot, and to get fresh air. There is a vent system for the Sacristies, the switch by the hall door in the Priest Sacristy.

8. Know how to accommodate people that show up at end of mass looking for food, money, shelter, etc (St Vincent De Paul Everett Council 425-513-6052). People who show up that want to make arrangements for a funeral, wedding, baptism, etc, should be informed that they need to contact the Parish office. If a priest is available let him know and ask if wishes to talk with them, otherwise make sure they have the information needed to contact the office (and get them a bulletin).

9. Know how to approach people that show up to distribute or sell items on sidewalk, or put things into the vestibule (should have Pastor’s approval).

10. What to do when car alarms that go off during Mass? Should usher go and check if there is a problem or break-in, but not engage person(s) if there is a break-in.

11. Alarm System in Priest sacristy (auto-activates from 10PM-5AM) 12. Changing Altar Corporal Cloth. It goes in a specially marked zip-lock bag. If you

use the last one in the drawer, you need to call Rosario Sagnis (425-347-5347). 14. Special attention items when there are visiting Priests:

15. If a circuit breaker trips for power in the sacristies or sanctuary, check the circuit boxes in the closet that is right next to the hallway entrance to the A/S Sacristy. Look for the breaker which has tripped (for instance #20 handles outlets in the sanctuary near the credence table and ambo).

16. If there is a special speaker at the end of mass, they should proceed up with the Readers following the clearing of the altar so they are ready to go when introduced. You may need to describe this procedure to them, and make sure that the Presider and Reader 2 have their names handy (depending on who will introduce them). These speakers do not process out, but return to their seat after their speech.

17. There is a metal supply locker in the small storage room next to the new Handicap Rest Room, that has extra boxes of hosts and communion wine in case you run out of them in the Priest Sacristy. You have to go into the Script Office (the old ORE office), then through the door on the left side at the back (your key will open that door). Go straight ahead through the banner storage area and to the left into the small storage room. Locker is on the left. If you have to use these back-up supplies make sure to notify the Priest so they can be replenished.

I. Introduction 1. Thank you for your service in the Ministries around the Altar of God. It is important

to realize that you are a very special minister in the celebration of the Eucharist. The entire congregation is depending on you to perform your duties at the Altar with dignity and reverence. May God bless you for your time and service to the Lord, to our Pastor, Vicar, Deacon, other visiting Clergy, and to all the members of our Parish. This chapter includes information needed to fulfill your role as an Altar Minister and is broken down into several sections:

2. The various ministries that support the Priest and Deacon are (by age group):

a. Candle Bearer (3rd-4th Grade) – Always accompanies the Cross Bearer when the processional cross is being processed, including the entrance at the beginning of mass (Processional), the presentation of gifts, and the departure after the dismissal (Recessional). Remains on the north end (left side) of the sanctuary (near the credence table).

b. Altar Server (5th-7th Grade) – Follows behind the candle bearers in the

Processional parties, and remains on the south end (right side) of the sanctuary (near the presidential chair) through the Liturgy of the Word until the presentation of the gifts. One server handles the books (Sacramentary and intercession book), and the other takes care of the basket for the children’s collection. Both assist with reception of the gifts, and then with moving items to and from the altar for the celebrant (this requires relocating to the north end of the sanctuary, but returning to the south end via the back hallway at the conclusion of communion).

c. Minister of the Crucifer (8th-12th Grade) – Handles the Crucifer (Cross). Leads

the Processional party, Presentation of Gifts, and the Recessional party carrying the processional cross. Remains on the north end (left side) of the sanctuary (near the credence table), and directs movement of the sacred vessels to the Altar during preparation of the gifts. Rings the bells during the Eucharistic Prayer. Helps direct Candle Bearers.

d. Acolyte (8th-12th Grade) – Handles the thurible for incensing. May assist in

preparing the chalice, paten, pall and corporal on the altar in the absence of the Deacon. Handles the Sacramentary during the Liturgy of the Eucharist, turning to the correct places for the Presider. Helps direct Altar Servers.

II. Vocabulary There are special names for many of the items used during the Mass. You should know and use their proper names. Pronunciation help is provided within parentheses. Ablution Bowl – a bowl of water found near the tabernacle or in the sacristy. This bowl allows the priest and Extraordinary Ministers of Holy Communion to wash their fingers or hands after communion is distributed during the Mass. Alb – the long, white garment used to cover street clothes and worn by the Priest, Deacon, and Altar Servers Altar – the table on which the Mass is celebrated Ambo – the elevated platform within the sanctuary where the Word of God and sermon are proclaimed. Amice – a square white cloth tied around the neck to cover collar, used if alb does not cover collar completely Aspergillum – the small perforated container with handle used for sprinkling holy water Auxiliary Table - The table between the altar server and acolyte chairs and is used to place the Sacramentary — derived from the Sacristy Manual Bobeche – a disk of metal glass, paper, etc, placed at base of candle to catch drippings Book of the Gospels – the book used by the Deacon to proclaim the Gospel Cassock – a long garment, usually black, with buttons or snaps down the front, worn with a surplus Chalice (CHAL liss) – the cup that ultimately contains the Blood of Christ. This refers to the Priest’s Chalice, and those cups used by Extraordinary Ministers at Communion Ciborium / Ciboria (sih BORE e um / sih BORE e uh) – the small, round, container/s holding the host to be consecrated during the Mass and carried to the altar for the preparation of the gifts Cincture (SINK chir) – the white (or colored) rope used to tie the alb in place. The Sash is a decorated cloth belt worn by Ministers of the Crucifer that also serves that purpose Cope – a cape-like vestment worn by a priest or deacon for liturgies outside of mass, and for special processions

Corporal (CORE pore uhl) – each of the square cloths placed at the middle and right side on top of the altar. The Altar Corporal is larger and remains on the right side of the altar. The Chalice Corporal is on top of the Paten and Pall which are situated on the chalice Corpus – the figure of Christ (on the front of the processional cross) Credence Table – the small table off to the side of the sanctuary where the chalice, cruet, lavabo bowl, and towel are kept during the Mass when they’re not being used. Sometimes referred to as the Lavabo Table, but it is more than just that. Crosier – the staff carried by a Bishop in procession Cruet (CREW it) – the small glass container holding the water that is added to the wine Dalmatic – vestment that may be worn by the deacon Decanter (dee CAN tur) – the large pitcher holding the wine to be consecrated during the Mass and carried to the altar for the preparation of the gifts Extraordinary Ministers of Holy Communion – the lay ministers that assist the Presider with the distribution of communion Followers – metal (brass) or glass fittings placed on the top of candles to help them burn evenly and prevent wax from flowing down the side. Humeral Veil - cloth placed around the shoulders of the priest or deacon when carting the Blessed Sacrament in procession or benediction Lavabo (luh VAH bo) Bowl and Towel – the basin over which the priest’s hands are washed, and the towel he uses to dry his hands with after washing. Lavabo means “I wash” (Ps. 26:6), and refers to the action itself and the equipment used. Lavabo Table – see Credence Table Lectern - the podium on opposite side of the Sanctuary from the ambo. Used by the cantor and for other announcements, not for the Liturgy of the Word. Lectionary (LEK shun air ee) – the book from which the Readers proclaim the Word of God Miter – the pointed hat worn by a Bishop during the celebration of the Liturgy Monstrance – (in Latin, Ostensorium) a vessel in which a consecrated host is placed so as to be seen by the faithful for adoration. The host is encased in a Luna (a round

container made of glass and gilded metal) that is visible through a small glass window in the center of the monstrance Nave – the main body of the church Offertory Table – a small table usually at the back of the nave, where the gifts of bread and wine are placed before the procession of gifts Ordo – the small book giving detailed directions and information for each day of the liturgical year Pall (PAUL) – the stiff, embroidered square that sits on top of the chalice, purificator, and paten. Pall also refers a large cloth used in funerals to cover the casket Paten (PAT in) – the round, flat, gold dish that fits on top of the chalice and has the large host on it Petition Book - book kept at the back near the Gifts Table, which people right petitions. Also called the Parish Intention Book Pitcher – large metal container that holds the water for the Lavabo. Presider – the officiating Priest at the celebration of the Eucharist. Sometimes referred to as "celebrant" or "Priest celebrant". The Presider’s chair is known as the Presidential Chair. Processional Cross – the cross carried into the church at the head of the procession. A processional cross is simply a crucifix mounted upon a long staff so that it may be more easily seen. Purificator (PURE if ah kate er) – the cloth used to wipe the chalice after receiving the Precious Blood of Christ Pyx – a small container, usually of metal, for securely transporting consecrated hosts Readers - the readers of the first and second readings, and perhaps the Responsorial Psalm and Prayers of the Faithful Sacramentary (sac ruh MEANT er ee) – the book containing all of the prayers used for the Mass Sacristy (SA crist ee)– the room where the vestments and sacred vessels are kept. We have a Priest’s sacristy and an Altar Server Sacristy. Sanctuary (SANK chew air ee) – the raised platform where the altar and ambo are located and the clergy sit

Tabernacle – the ornamental, locked box behind the altar where the consecrated Body of Christ is kept Thurible (THUR ah bull) – a covered incense burner, carried in procession by the thurifer, and swung on chains Thurifer – an acolyte assigned to handle the thurible who will then lead the procession Vestments – the clothing worn during the mass by the Priest and Deacon Zucchetto – the skullcap worn by bishops (and others); purple for bishops

III. Standards of Appearance Be neatly groomed and dressed: Hair: Neatly combed and a natural color. It should not hang or fall in the face. Face: No make-up on face, eyes, or lips. Ears: Earrings (ladies only), if worn, must be no larger than a nickel and be a neutral color. No dangling earrings, hoops, or bright colors. Neck: Necklaces or chains, if worn, must be completely covered by the alb, so as to be unnoticeable. No chokers. Hands and fingernails: Clean and no rings or dangling bracelets. Nail polish (ladies only) if worn, must be clear. Clothing:

• Ladies: Plain blouse or shirt with a dark skirt or full-length slacks (no denim or jeans; no capri pants or shorts), or a plain dress. Skirt or dress must be no shorter than to the middle of the knee.

• Gentlemen: Plain shirt with slacks (no denim or jeans; no shorts).

Shoes: • Dark or light but no bright colors. • Dress shoes: polished or oiled leather or suede (not canvas) and enclose the

entire foot. • Leather sandals are acceptable only if they have a heel strap. • No nail polish on toenails. • No heels higher than 1 inch or platforms. • No clogs or open heels. • No sneakers or athletic shoes. • No thongs or flip-flops. • No shoes that make noise when you walk.

Please wear appropriate clothing and shoes to every Mass you attend (even when not scheduled to serve) and be ready to offer to serve in case a substitute is needed.

IV. Standards of Behavior Always

• Move slowly with reverence and dignity. • Genuflect at the altar during the entry procession, when then tabernacle is closed

at the end of communion, and upon leaving the sanctuary during the closing procession.

• Bow to the altar when you pass by (during mass), or bow or genuflect to the

tabernacle (outside of mass). Bow to the Presider or Deacon at the completion of any duties, such as holding the book or bringing up items for communion.

• Handle objects solemnly with reverence and great care. • Focus your attention on the Priest and Deacon. • Pay very close attention to what is going on at the altar. • Keep your hands folded at the waist or chest, unless holding something. • Keep the corpus of the processional cross facing in the same direction you are. • Participate in the prayers, responses, and songs as the Priest, Deacon, and

Congregation do.

Never • Talk to each other (unless it is instructions related to the mass). • Goof off or joke around. • Look around or out into the congregation. • Fiddle with your clothing, hair, or vestments. • Fidget while seated or standing (fiddling and fidgeting draws attention to you). • Chew gum. • Leave the sanctuary during the sign of peace or communion unless directed.

When standing, stand up straight and still, with your hands folded at the chest, unless holding something. Do not rock or sway. To stand or kneel in a “holy and reverent” position means to place your hands together with palms touching near chest level with the body straight—i.e. not slouched. While in this position, you should attempt not to fidget or make motions that might be distracting. Remember—the congregation is watching you. When seated, sit up straight and still, with your hands folded in your lap, your knees bent, and your feet flat on the floor. Do not slouch or fidget. Do not sit with your legs crossed or outstretched. Do not play with the alb or cinctures or remove the knots. Bowing & Genuflecting There are 2 types of bows: the simple bow (of the head) and the profound bow (from the waist). Genuflecting is kneeling down on one knee, usually the right knee. These are specific motions required at certain times before and during the Mass:

• Genuflect toward tabernacle when entering the sanctuary before mass begins, unless carrying items then you should pause and bow (profound if possible)

• Bow (profound) when passing in front of the altar empty-handed during mass. • Genuflect with the priest in front of the altar after the procession, unless carrying

the processional cross. • Bow (simple) to the priest when presenting a book, or leaving with a book. • Bow (profound) during the Profession of Faith, for this part: “By the power of the

Holy Spirit, He was born of the Virgin Mary and became man.” • Bow (simple) your head to the priest after he hands you the ciboria or decanter. • Bow (simple) to the priest after he dries his hands with the towel. • Bow (profound) when the priest genuflects after consecrating the host and wine. • Genuflect when the priest genuflects after closing the tabernacle. • Genuflect with the priest in front of the altar before the recession, unless carrying

the cross.

Altar Server Sacristy via the door leading in from the ORE Hallway. 2. Go to the schedule on bulletin board and sign in next to your name.

a. Schedules are posted on the bulletin board in the Altar Server Sacristy, as well as on-line at the St Mary Magdalen Website.

b. If you are not able to serve your scheduled Mass, it is your responsibility to find a replacement ahead of time.

c. Contact the Scheduler at least 3 weeks prior to the release of next months schedule if: i You are unable to serve on a specific date. ii You are scheduled for service in another ministry on the same date. iii Mass preferences change. iv Your phone number, address, email address change. v You want to serve a particular mass. vi You no longer can, or want to serve.

d. Even if you not scheduled to serve at a mass which you are attending, it is important to wear appropriate clothing and shoes and be ready to offer to fill in if a replacement is needed.

3. Put on your vestments in this order:

a. Alb – the long, white garment i Length: The bottom hem should hang no lower than the top of the shoe.

Check the length in the mirror while standing up straight. Find one that’s the correct length and remember its size (even numbers, 8 to 18) to save time.

ii Note: If one cannot be found that is the proper length, put one on that is a

little longer and use a cincture to hold it up at the appropriate length.

b. Cincture (the rope) or sash – check calendar for correct color, or ask Sacristan.

4. The vestments an Acolyte wears are called a cassock (the long black garment) and a surplice (the white over-garment). The cassock should touch the top of the shoes (same as for Altar Server albs).

5. Know your role. You have an assigned role and should be aware of what you will be

doing during the mass (see the next Section for specific roles). If you have any questions, are there may be special activities during this mass that you don’t remember very well, make sure to ask the Presider, deacon or sacristan before mass begins.

6. When working in pairs (two Candle Bearers, two Altar Servers), it is important that

you watch what the other one is doing so you can move and work together.

7. Quietly wait in the sacristy until Presider is ready to head to back of the church for the procession. He may want to run through special items to make sure that everyone knows their roles, and may offer a short prayer.

VI. Specific Responsibilities 1. Minister of the Crucifer (Cross Bearer)

a. Before Mass: i. Report to A/S (Altar Server) Sacristy at least 20 minutes prior to Mass, cross

name off sign-in sheet and then get correct alb, (bottom of alb needs to touch the top of your shoes) and cincture/sash. Cincture/sash is to be tied on the right side.

ii. Assist Acolyte, Altar Servers, Candle Bearers, Sacristan, Deacon and

Presider as needed. Make sure the bells are placed correctly on the north side (Mary’s side) of the altar. With Altar Servers, light candles in sanctuary. 1. On regular Sunday Masses it will be the four candles in front of the altar,

plus the two near the ambo. Use the candle lighter by lighting the waxed wick and then going slowly from candle to candle, perhaps cupping your hand near the flame to keep it from going out. Use matches or a lighter only as an emergency bask-up.

2. On feast days and solemnities (when directed by the Priest) the candles

on either side of the tabernacle and the two in the back of the church should also be lit.

3. The sanctuary lamp (sacristy candle) should be lit all the time that the

Blessed Sacrament is in the church (every day except Good Friday). Inform Sacristan if Sanctuary candle is not lit.

iii. Get the Processional Cross, a book of matches, and be in the Priest Sacristy

at approximately 10 minutes before mass begins for any last minute instructions from the Presider and Deacon. Move to the back of the church with the Presider, Deacon, Acolyte, Altar Servers, Candle Bearers and Readers.

iv. Light the candles for the Candle Bearers in the back of the church.

b. During Mass:

i. After the opening song begins, lead the opening procession toward the altar carrying the cross. Once you arrive at the low step to the altar, proceed up to the base of the altar on the north side (Mary’s side). Face the altar with the Candle Bearers on your right and left sides. As the rest of the processional party genuflects, bow slightly (keeping the cross straight and firm). Then turn around and move to the A/S Sacristy. Place the cross in its stand and help the Candle Bearers extinguish the candles. Return with the Candle Bearers to the sanctuary with hands folded. Remain standing in front of your chair near the credence table until the Presider sits for the readings. Follow along with the order of the mass.

ii. At the END of the Responsorial Psalm, go to the A/S Sacristy with the Candle Bearers. Light the candles. After the readings are finished, when the Readers are descending the steps, direct the Candle Bearers to proceed forward.

iii. Wait for the Candle Bearers to return. Help them extinguish the candles.

Return to the Sanctuary with the Candle bearers, with hands folded and sit in your chair near the credence table. After the homily, stand for The Profession of Faith.

iv. During the last part of the Profession of Faith (“We believe in the Holy Spirit,

the Lord the Giver of life...") go to A/S Sacristy with the Candle Bearers and get the Cross. With the Candle Bearers exit through ORE hallway and reenter the Church. Proceed down the left side aisle to the back of church near the gift table. Light the candles for the Candle Bearers.

v. When ready to present the gifts, the Crucifer will lead the procession. When

arriving at the low step of the altar move to the left, up the steps and directly into the A/S Sacristy. Place the cross in its stand.

vi. Wait for the Candle Bearers to return to the A/S Sacristy and help them

extinguish the candles. Return with the Candle Bearers to the sanctuary with hands folded. Remain standing in front of your chair near the credence table.

vii. Assist Altar Server 1 and 2 during preparation of the gifts, handling or

directing the movement of the chalice tray, purificators and ciboria from the Credence table to the altar.

viii. During the Holy Holy Holy, at the “Blessed is he…” move to the steps of the

Altar on the north side and kneel at the base of the steps in front of the bells. Candle Bearers should kneel to your left. Ring bells during the Eucharistic Prayer: 1. At the Epiclesis (when the Presider holds hands over gifts and calls down

the Holy Spirit – one ring).

2. When Presider raises the Body of Christ (three rings).

3. When Presider raises the Blood of Christ (three rings). Stand after the Great Amen. Remain at the base of the steps on the north side of the Altar during the Lords Prayer, Sign of Peace.

4. As the Presider drinks from Chalice (one ring). Return bells to original

location. Step back from the base of the steps to receive communion.

ix. After receiving communion, move to your chair and remain standing. Genuflect when the tabernacle is closed. Assist other Altar Servers with vessels after communion. Remain standing until the Presider sits.

x. After the ciboria are purified, ascend the steps of the altar, pick up the tray and place it on the credence table. 1. Return to the altar to receive the Presider’s Chalice from the Acolyte and

place it on the credence table.

2. Return to the A/s Sacristy with the Candle Bearers. Light the candles and get the cross. Stand in the doorway facing the Sanctuary.

xi. After the Presider kisses the altar move to the north side at the base of the

Altar with the Candle Bearers on your right and left sides. The rest of the Liturgical party assembles at the front of the altar. They will genuflect, but you bow slightly, (keeping the cross straight and firm), Lead the closing recessional party to the back of the church. ( Unless incense is used).

xii. Currently, the group continues to the south vestibule where the Priest may

give a short blessing and then dismiss you.

c. After Mass: i. Return to the A/S Sacristy, and place the Cross in its holder.

ii. Ensure that Candle Bearers have returned and the sanctuary candles are

extinguished (Altar Servers may help them).

iii. Assist Sacristan, Altar Servers, Acolyte and Candle Bearers, as needed, to return items from credence table to Priest Sacristy. The Sacristan and EM clean-up people may be working on this, but offer to help get all the vessels and items back to the Priest Sacristy in a timely manner (some of them may not yet be purified and still contain the consecrated body and blood). Place items on the counter next to the sink.

iv. Return alb and cincture/sash in PROPER ORDER.

2. Candle Bearers

a. Before Mass: i. Report to A/S (Altar Server) Sacristy at least 20 minutes prior to Mass, cross

name off sign-in sheet and then get correct alb, (bottom of alb needs to touch the top of your shoes) and cincture/sash, Cincture/sash is to be tied on the right side.

ii. Assist Acolyte, Crucifer, Altar Servers, Sacristan, Deacon and Presider

needed.

iii. Get the candles and be in Priest Sacristy at approximately 10 minutes before mass begins for any last minute instructions from the Presider and Deacon. Move to the back of the church with the Presider, Deacon, Crucifer, Acolyte Altar Servers and Readers.

b. During Mass:

i. Process in together, behind and to the sides of the Crucifer. Maintain at least one pew separation behind the Crucifer.

ii. Once you arrive at the low step to the altar, proceed up to the base of the

altar on the north side (Mary’s side). Face the altar one Candle Bearer on either side of the Crucifer. As the rest of the processional party genuflects, bow slightly (keeping the candles straight and firm), Then turn around and move to the A/S Sacristy. Place the candles on the table. The Crucifer will help you extinguish the candles. Return with the Crucifer to the sanctuary with hands folded. Remain standing in front of your chairs near the credence table until the Presider sits for the readings. Follow along with the order of the Mass.

iii. At the END of the Responsorial Psalm, go to the A/S Sacristy with the

Crucifer, who will light the candles. Get the candles and stand in the door way facing the Sanctuary.

iv. After the readings are finished, when the Readers are descending the steps,

move to the front of the altar. One Candle Bearer stands on the far left side of the altar and the other stands on the far right side of the altar. Face the altar. Turn to face the congregation when the Presider/Deacon turns to face the congregation.

v. After the Presider or Deacon has descended the steps with the Gospel Book,

lead, (as instructed), the Presider or Deacon in the procession toward the ambo. One Candle Bearer stands on the right side of the ambo and the other stands on the left side. Face the congregation.

vi. At the conclusion of the gospel, after the Presider or Deacon kisses the

Gospel Book, return together to the A/Sacristy. Place the candles on the table. The Crucifer will help you extinguish the candles. Return to the Sanctuary with the Crucifer with your hands folded and sit in your chairs near the credence table. After the homily, stand for The Profession of Faith.

vii. During the last part of the Profession of Faith (“We believe in the Holy Spirit,

the Lord the Giver of life...") go to A/S Sacristy with the Crucifer and get the Candles. With the Crucifer exit through ORE hallway and reenter the Church. Proceed down the left side aisle to the back of church near the gift table. The candles will be lit by the Crucifer, Sacristan or Usher.

viii. When ready to present the gifts, the Crucifer will lead the procession and you

will follow in the same manner as the procession at the beginning of the Mass ix. Arriving at the low step of the altar the Crucifer will move to the left and go

directly into the A/S Sacristy. Candle Bearers stand to the far right and far left of the Presider and the Altar Servers, who will receive the gifts.

x. Candle Bearers follow the Altar Servers up to the north side of the altar and

then return to the A/S Sanctuary. The Crucifer will help you extinguish the

xii. Remain with Crucifer at the base of the steps on the north side of the Altar

during the Lords Prayer, Sign of Peace. Step back from the base of the steps to receive communion.

xiii. After receiving communion, move to your chair and remain standing.

Genuflect when the tabernacle is closed. Remain standing until the Presider sits.

xiv.After the Chalice is removed from the altar and placed on the credence table,

return to A/S Sacristy with the Crucifer, who will light the candles. Get the candles and stand in the doorway facing the Sanctuary.

xv. After the Presider kisses the altar move to the north side at the base of the

altar. Face the altar with one Candle Bearer on either side of the Crucifer. The rest of the liturgical party assembles at the front of the altar. They will genuflect, but you bow slightly, (keeping the candles straight and firm), Follow the Crucifer in the same manner as you did in the opening procession to the back of the church. Currently, the processional group continues to the south vestibule where the Priest may give a short blessing and then dismiss you.

c. After Mass:

i. Return to the A/S Sacristy and place the candles on the table.

ii. Working with Altar Servers, extinguish all candles (except sacristy candle). Use the snuffer part of the candle lighter (the bell) to extinguish the flame –DO NOT blow them out because this will scatter small droplets of wax on the carpet.

iii. Assist Sacristan, Altar Servers, Crucifer and Acolyte, as needed, to return

items from credence table to Priest Sacristy. The Sacristan and EM clean-up people may be working on this, but offer to help get all the vessels and items back to the Priest Sacristy in a timely manner (some of them may not yet be purified and still contain the consecrated body and blood). Place items on the counter next to the sink

iv. Return alb and cincture/sash in PROPER ORDER.

3. Altar Servers (Book)

a. Before Mass: i. Report to A/S Sacristy, cross name off sign-in sheet and then get correct alb

Throughout mass, the two of you will do many duties together (such as assisting in the washing of the hands) and you should always be attentive to where the other Altar Server is and what they are doing. Always move together, bow together, and turn together when possible. Watch for direction from the Acolyte when he is present.

ii. Hold the Sacramentary for the opening prayer. The Acolyte will open the book, hand it to you and then you hold the book for the Presider. Remember to let the Priest close the Sacramentary, and to bow slightly when finished.

iii. The Acolyte will hold the binder during the Prayers of the Faithful

(Intercessory Prayers), but if the Acolyte is not present you will take the binder to the Presider for the beginning of Intercessory Prayers, and for Deacon during the Prayers (if Deacon is present – if there is no Deacon then the Reader will read the prayers). If the Deacon reads the intercessions, he may take the book after the Presider does the opening; if this happens just move off to the side slightly then get the book back from the Deacon when he is done so you can hold it for the Presider for the conclusion.

iv. If you are the only Altar Server, then place basket for children’s offering at low step to the altar, and retrieve it after all children have come forward.

v. If Acolyte is not present, place the Sacramentary on the altar just prior to presentation of the gifts (normally Acolyte would do this), then join Presider and other Altar Servers(s) at low step of the altar.

vi. Assist with collection of gifts (you will probably get the decanter with wine). Wait and follow Presider and Deacon to left side of altar. Wait at the north altar step until Priest or Deacon takes the decanter from you and places it on the altar. Remain there while Altar Server 2 hands the two ciboria to the Priest or Deacon, and then they hand the covers back (to one or the other, or maybe one each). Bow, and return the covers to the credence table. Cross Bearer will bring remaining sacred vessels (chalice, cups and extra ciborium) to Deacon or Presider, or place them on Altar if directed – Cross Bearer may ask for assistance.

vii. Bring Cruet to Deacon or Presider for mixing of water with wine.

viii. Return cruet to credence table and get the lavabo pitcher. When Priest turns

from altar for washing of the hands, move up with Altar Server 2. Working with Altar Server 2, pour water over the Priest’s hands and into lavabo bowl. Priest will tap the edge of the pitcher to indicate when to stop. Remain with other Altar Servers at base of steps leading to Altar. Remain here during the Lords Prayer and Sign of Peace.

ix. Remain attentive to needs of the Presider and/or Deacon during Communion. After communion, when the Presider returns the consecrated hosts to the tabernacle, genuflect when you see the Presider genuflect.

x. Return to your seat on south end of sanctuary, next to auxiliary table, via A/S sacristy and back hall (do not cross behind, or in front of Altar). Remove the Sacramentary from the altar and return it to table.

xi. Hold the Sacramentary for the closing prayer.

c. After Mass: i. Assist Crucifer to extinguish all candles (except sacristy candle). Use the

snuffer part of the candle lighter (the bell) to extinguish the flame – DO NOT blow them out because this will scatter small droplets of wax on the carpet.

ii. Return alb and cincture.

4. Altar Server (Basket)

a. Before Mass: i. Report to A/S Sacristy, cross name off sign-in sheet and then get correct Alb

and cincture.

iv. As Altar Server 1 takes Cruet to Deacon or Presider for mixing of water with wine, unfold lavabo towel and place over left forearm and then get the lavabo basin.

v. Move up when Priest turns away from altar to wash hands. Hold the basin and towel for the washing and drying of the priest’s hands. Bow and return items to credence table.

vi. Remain with other Altar Servers at base of steps leading to Altar. Remain

here during the Lords Prayer and Sign of Peace.

vii. Receive vessels from Deacon or Presider after communion and return them to credence table. After communion, when the Presider returns the consecrated hosts to the tabernacle, genuflect when you see the Presider genuflect.

viii. Returns to seat near credence table.

ix. Processes out side by side with other Altar Server, behind Candle Bearers.

c. After Mass:

ii. Go to Priest Sacristy to assist Presider and Sacristan setting up for Mass. You may want to review ribbon settings in Sacramentary. Green is for the Sunday proper prayers Purple for daily proper prayers WWhhiittee is for the prefaces to Eucharistic prayer Red may be used for feasts and commons

iii. Guide and assist Altar Servers as they perform pre-mass duties. iv. Make sure altar servers have their albs on properly and correct color

cinctures that are tied correctly. Note: The knot should be on the server’s right side.

v. Inspect the Priest’s chalice assembly (see the Sacristan section).

vi. Make sure the Sacramentary is placed on the auxiliary table (the table

between altar server and acolyte chairs).

vii. Make sure the Intercessory Prayer notebook is on the table.

viii. Confirm Fr. Olson’s red homily folder is placed in the Ambo, if he is preaching (this may have been done by Sacristan).

ix. Confirm the children’s collection basket has been placed under the table (this

may have been done by Sacristan).

x. Coordinate duties with Deacon, if he is present.

b. During Mass: i. Procession:

1. Join the liturgical party at the back of the church, and process in behind the Readers but in front of Gospel Book (Reader 2 or Deacon if he is present - See Section VII).

2. Move up to front of altar on right side of Priest and Deacon, next to Altar Server.

3. Genuflect with group then move to chair on right side (south end) of

sanctuary after celebrants move to kiss the altar.

ii. Penitential Rite: 1. Be prepared at end of gathering song to retrieve Presider’s missal at his

chair then immediately prepare for opening prayer by readying Sacramentary to proper prayers ribbon (typically green). When opening the Sacramentary, be careful to use the ribbons only to find the correct page then use the pages to open the book. This will avoid unnecessary stress to the ribbons. The server presenting the book should be ready to move with the book when the Presider says, “Let us pray.”

2. The penitential rite typically includes the Kyrie, however you should be

prepared to quickly hand off the Sacramentary to the server if the transition happens quickly.

3. The altar server closest to the auxiliary table should come up to the

acolyte for the Sacramentary. Place the Sacramentary into the server’s hands so that it can be read when the Presider stands in front of the server. Direct the server to walk around the side of Presider without a priest in order to avoid walking in front of a priest.

4. Take the Sacramentary from the server when they are finished after the

prayer and return it to the auxiliary table.

iii. Liturgy of the Word: 1. Sit when the Presider sits for the first two readings of the Liturgy of the

Word. The acolyte should monitor altar server’s demeanor and actions during the entire course of the mass—think holy and reverent. Servers, including the Acolyte, should always remember to appear and act holy. The acolyte should also pay attention to the Presider and be prepared to handle last minute changes or needs (glass of water, tissue, microphone batteries, etc.)

2. Stand and remain standing for the Gospel in a holy and reverent position.

3. During the Profession of Faith, when the “We believe in the Holy Spirit…”

phrase is reached, the acolyte should prepare the Intercessory Prayers notebook for the Presider. You should reach the Presider at the moment the Profession ends and have the notebook open and ready for the Presider to read. If a deacon is present, he may hold the notebook himself during the prayers, but take it again for the Presider’s closing remarks.

4. This marks the end of the Liturgy of the Word. Sit when the Presider and congregation sit for the presentation of gifts.

iv. Presentation of Gifts:

1. When congregation sits for the collection, ensure the children’s collection is taken care of by the appropriate altar server. [See the altar server section: the server furthest from the table takes the children’s collection basket from under the table and places on the bottom step in front of the altar and then returns to their chair. The same server should wait for all children to come up and then should retrieve the children’s collection basket and place it on the first step behind the Joseph side altar candles.]

2. When priest stands up to retrieve gifts, take the Sacramentary and move

to the Altar. Place the closed Sacramentary on the altar to the left of center, allowing enough space for the Priest’s chalice to be properly prepared.

3. Bow to the altar then take the Gospel book holder from the front of the

altar (the Gospel book should now be in the ambo) and take it to the credence table. Place the holder on the lower shelf of the table so it will not interfere with the items that will be used preparing for and during the Liturgy of the Eucharist.

v. Preparing items on the altar (GIRM 190). When the Deacon is present the Acolyte will retrieve and deliver the Priest’s chalice to the altar for the Deacon to prepare. In the absence of the Deacon, the Acolyte will do the preparation as follows: 1. Take the Priest’s chalice from the credence and carry it with one hand

under the cup and one hand holding the corporal down so that individual pieces of the assembly do not accidentally slide and fall off.

2. Place the chalice to the right of the center of the altar allowing enough

space to unfold the corporal.

3. Take the corporal and place it on the altar then unfold it. The edge of the corporal closest to you should be approximately 1” from the edge of the altar. Now imagine the folds of the corporal create a 3 x 3 grid of squares.

4. Remove the pall and place it in the top right square.

5. Carefully remove the paten with the large host and place it in the bottom-

center square.

6. Next, remove the purificator and fold it—placing it in the middle-right square.

7. Place the chalice in the center square.

8. Finish the setup by moving the Sacramentary so that the bottom-right corner of the cover is touching the bottom fold of the corporal and then open it to the green ribbon for the proper prayers.

9. It is important to finish this setup before the priest returns to the altar after

receiving the gifts.

10. While waiting for the priest to return to the sanctuary, take a position to the Joseph side of the tabernacle on the top step next to the wall.

vi. Liturgy of the Eucharist: 1. When the priest asks the congregation “Pray my brothers and sisters…”

move in to a position left of the celebrant but about a half-step back—the acolyte should not appear to be concelebrating.

2. Be prepared for the “We ask this in the name…” phrase to turn to the

white ribbon marking the Eucharistic preface page of the Sacramentary.

3. At the end of the preface, after the celebrant introduces the Holy, Holy, Holy with a phrase such as, “May our voices…” or “as we proclaim” the celebrant will indicate with a number of his fingers which Eucharistic prayer to use in the Sacramentary. Turn to the bottom tab of the requested number. If the celebrant does not indicate which number prayer to use or if you miss the signal use Eucharistic prayer number II.

4. After turning the page move to the Joseph end of the altar standing at the

bottom of the altar steps. The proper position should be with your nose lined up with the backside of the altar and toes against the low step.

5. During the Holy, Holy, Holy, at the “Blessed is he who comes…” phrase, the altar servers should join the acolyte at the foot of the altar stairs in a position between the acolyte and the wall. Kneel on the first altar step at the completion of the Holy, Holy, Holy then stand at the completion of the Eucharistic prayer with the Great Amen. Don’t forget to be holy and reverent.

6. The Presider will most likely include you in the sign of peace. It is okay to

offer the sign of peace to the altar servers.

7. After the sign of peace, while the Extraordinary Ministers of Holy Communion are approaching the bottom of the sanctuary steps, be prepared for the priest to open the tabernacle. Genuflect when the priest does, showing reverence to the Body of Christ present there.

8. Remain at edge of altar steps after receiving communion. As soon as the

celebrant moves to distribute communion to the congregation (leaves the altar), approach the altar and bow. Close the Sacramentary and take it back to the alter server table. Remain standing during the distribution in a holy and reverent position.

9. After communion, be prepared to genuflect when the remaining host is

placed into the tabernacle.

10. Take up a position on the Joseph end of the altar near the wall during after the tabernacle is closed. Then wait for the celebrant, or deacon if present, to purify the vessels on the altar and then begin to fold the purificator and place it on the chalice.

11. Bow to the center of the altar. If the vessels remain on the altar, take the

tray and give to the crucifer to place on the credence. Then return to the altar. If the chalice is still on the corporal move it off to the right side. Confirm the purificator has been placed on the chalice and then place the paten on top of the purificator. Note: never put the paten on top of the chalice without the purificator for protection of the metal finishes on both the priest’s chalice and the paten. Put the pall on top of the paten on the chalice and then neatly fold and replace the corporal on top of the chalice assembly. Carefully pick up the chalice assembly and hand it to the crucifer, if present. Bow to each other after handing it off. If a crucifer is not present, take the chalice directly to the credence.

12. Return to your chair.

1. Sit when you reach your chair and ready the Sacramentary to the Green ribbon again. Stand and hand off the Sacramentary to the server when the Presider stands up for the after communion prayer.

2. Take the Sacramentary from the server when they are finished after the

prayer and return it to the table. Pick up the priest’s missal and be prepared to hand it to them on their way to kiss the altar. Wait until the priest has rounded the altar after kissing it to approach the altar for the closing procession.

3. Like the entrance procession, take a position in front of the altar to the left

of the Joseph side altar server. Enter the procession behind the Readers.

4. When the procession reaches the back of the church, all servers should meet in the south vestibule for a blessing.

c. After Mass Duties: Return to the Sacristy and help clear the vessels from the

credence table. 6. Thurifer:

a. When incense is used, the acolyte will be appointed as thurifer and will lead the processional and gift presentation parties. The thurifer presents the thurible to the priest and assists him while he incenses the gifts, the cross, and the altar. Then the thurifer incenses the priest and the people (GIRM 190). Here are some notes on performing the thurifer role: i. Incense is in fire closet in Altar Server Sacristy (we have 3 types of incense.) ii. During processions (see Section VII), swing the thurible slightly while walking.

iii. Use the left index finger for the ring of the thurible chain. Place the incense

boat in the palm of left hand.

iv. Grasp the chain using your “pincher/grabbers” (thumb and right index finger) as low to the thurible as possible placing the chain at the back of remaining fingers (“shovers”). Father Olson says, “Pinch low to control”

v. Shove 1, 2, 3 then elbow down. Repeat three times.

vi. Hold the priest’s chasuble (outmost liturgical garment) and let priest lead.

vii. Hand the priest the incense chain and carefully bring up the thurible lid

latching the chain at the top. Raise thurible for priest to insert incense. When priest places boat back in your left hand, unlatch the chain and lower the lid.

viii. During the gospel move between Presider and Joseph side bearer. Open up

for priest and hand boat.

ix. During the offertory: Incense the priest 3 sets of 3, then concelebrants (have them stand), then priests in the congregation (any priest present always get 3 sets of 3.) Then congregation (3 sets of 2) in the following manner: 1. Move to the center of Sanctuary before moving down stairs to approach

congregation. 2. Move to the Joseph side of seating first. Motion congregation to stand

then incense 3 sets of 2.

3. Finish with the left side of the seating.

4. When finished move directly to Altar server Sacristy instead of moving to center of sanctuary first.

x. NOTE: Always empty the thurible into the sand bucket when mass is finished.

We may need a bigger sand bucket and more sand to accommodate this.

xi. Here is a short portion of the thurifer training (Windows Media Format):

b. Christmas and Easter duties. These will be special masses, with special instructions detailed in advance. As with Holy Days, the thurifer will handle the thurible and lead the processional party.

c. Master of Ceremony role. In general the Master of Ceremonies is the person who directs the proceedings of any observance where specific procedure is required. For special masses, or special occasions such as those where a bishop is present, the Master of Ceremonies organizes and rehearses the proceedings and rituals for that mass. At this point, designated adults function in this role, and work closely with the acolytes and altar serving team. Much of what the Acolyte will be doing in directing altar servers is similar to the MC role and is valuable experience.

I. The Hospitality Ministry at St Mary Magdalen Parish: 1. The chairperson for the Ministry of Hospitality will be a member of the Parish

Liturgy Committee. 2. The minimum number should be four (4) at every Sunday and Holy Day Mass. 3. One of the group at each Mass will be designated as Captain or Lead Usher.

The Captain or Lead Usher makes sure that all of the various tasks of the ushers are taken care of – before, during, and after Mass.

4. While commonly referred to as Ushers, all should consider themselves as

Greeters in addition to being ushers. This is truly the Ministry of Hospitality. Thus, they represent the hospitality of St. Mary Magdalen by making people feel welcome and helping the elderly or those who have need of getting into Church.

II. Responsibilities before Mass:

1. All ushers should arrive at least 20 to 30 minutes before their assigned Mass start time and shall be neatly dressed.

2. Check the environment of the Church: Open windows and/or side doors if the

Church becomes too warm and stuffy. Placing the hook to the door catch in an “upward” manner makes it easier to unlatch them later.

3. Make sure the “Special Needs” signs are in place on the front left pew, and assist

any people to the pew if needed. .

4. The lead usher will ensure that a family is recruited to bring up gifts – or at least two adults, since two can handle the ciboria and decanter. Explain the procedure and timing to them (they go to the back following the Creed, and bring gifts forward at the end of the collection). They do not bring up the Parish Petition Book. Get their names and pass along to the Sacristan so they can be added to the opening announcements.

III. Procedures during Mass:

1. Handling Late Arrivals. a. Persons who arrive late are to be seated by the side aisles. A notice has

been placed at the entrance of the north and south sides of the church in the back and at the door that connects to the school. A rope will be used to discourage central aisle travel after the procession and during readings, and one may be in place on the stairs to the choir loft to prevent people from climbing and sitting on those steps. If people are standing in the back they should be asked to be seated, but if they refuse they should not be allowed to stand and block the fire exits. Ask them to move to the side of the church away from the doors, explaining that it is a fire regulation to keep the back area cleared.

b. No one is to be seated during the reading of the Scriptures or the Homily. They need to be asked to wait in the back of the Church until the reading of the Scriptures is complete before being seated. They may be seated quickly and quietly before the homily begins by using a side aisle to get to their pew. If they arrive after the homily has begun, they are to wait in the back until Father is finished and then again, be seated by using a side aisle. As you need to pass along instructions, remember at all times to convey respect to the people you ministering to through your body language, words and demeanor.

2. Collection.

a. During the recitation of the Creed, the ushers shall quietly get the collection baskets out of the closet. As the Prayers of the Faithful begin, the ushers need to move into place at back of the aisles and as soon as the people sit down, they should reverently and quickly move up the aisles to take up the collection. There is to be no genuflection when the ushers reach the front since it is not liturgically correct. You have already reverenced the Blessed Sacrament before mass and it is not to be done again during the liturgy. You may bow, but you are not to genuflect. As people file from the pews it is permissible to shake hands if offered.

b. Those presenting the bread and the wine are to present these to the Presider

and/or Deacon immediately after the creed and as soon as the main collection is taken up (this is a change – they will come to the back of the church at the end of the Creed not after the collection passes their row). When the collection is finished, quickly put the money in the large basket. Wait until Candle or Cross Bearers (if they are present) begin up the steps before beginning to process with offering basket so that there is time for presenting the bread and wine to the Presider. Proceed directly up and place the basket on the step at the right side of the altar (where the children’s basket is), unless the Priest or Deacon has waited to receive it from you.

c. If there is a second, special collection the ushers should be notified prior to

mass via a note in the closet. This should happen following Communion and ushers should start down aisle when Presider sits down.

3. Liturgy of the Eucharist (Communion).

a. Following the Agnus Dei (Lamb of God), two ushers will follow the choir members who come up the center aisle to form the head of the communion line, and when they reach the first pew begin to invite people forward and work to the back (see Chap 5 Section V; EM Station Diagram). Don’t actively shake hands with people as they leave their places to receive, since the focus is on receiving Christ – if someone coming out of the pew offers you the sign of peace, gently accept . Also there is to be no genuflecting when coming to the front (mentioned earlier).

b. Once this set of ushers make it to the back of the church, they should move to any people with special needs that need to have communion brought back to them. If none are needed, just wait at the last pew in the back

c. When about 75% of the congregation has received communion, the Presider

may direct the minister of the precious body in front of him to head to the back (via the side aisle) and see if where the ushers are standing (the cup will not come back). The usher will direct the EM toward people, if needed. If the usher wishes to receive communion they can ask to receive from the EM at that time, or follow them up the center aisle the front of the church and receive at the regular stations

4. Conclusion of Mass.

a. Wait for Priest to kiss the altar before picking up bulletins, and as soon as the liturgical party genuflect and the recession begins, ushers should move to the four doors of the Church with bulletins and other hand-outs if they are to be distributed. No bulletins are to be given out before this time and definitely not during the communion rite, if people leave directly following communion. Care should be taken that each family receives one bulletin, at least, per family.

IV. Procedures after Mass:

1. As soon as the Presider has processed to the back of the Church after Mass, the Lead Usher and one other adult usher (two adults are required) need to be ready to enter the sanctuary and take the collection baskets to the sacristy. The money is to be emptied into the appropriately marked tamper-proof bags and placed into the repository safe after Mass. The removable label (which has info about that mass) should go in the bag or in the safe. The Sacristan will be heading to the Sacristy as soon as possible to open the Sacristy closet and can fill in as the second person to handle the money.

2. Extinguish both candles in the back of the Church (if they were lit for feast day).

3. Go through the pews to collect what people and have and put the items in the

lost and found box in the Usher’s Closet.

a. Garbage should be collected and thrown into the wastebasket in the Usher’s Closet.

b. Missals should be straightened and if left on the seat of the pews, returned to the pockets (we will periodically as people to replace missals and clean up so maybe that will help).

c. Special collection envelopes should be stacked at the ends of the pews. d. Make sure all kneelers are in an “upright position” for the beginning of the next

Mass. e. Any “lost and found” items should go in the Usher’s Closet.

4. Always check that windows are closed after Mass and the doors are unhooked.

The Sacristan will lock doors if required. V. Miscellaneous items: (see pictures in Section VI)

1. Be aware of where the first aid kit is on the top shelf of the Ushers Closet, the Automated External Defibrillator (AED) in the school hallway near the water fountain, and various locations of fire extinguishers.

2. Know where the “Big D” (a granule deodorant for covering vomit) quart container

is kept (top shelf of closet). Be generous in covering the throw-up. Keep the container when empty so it can be refilled.

3. Know where the drinking water is in case a person needs this during Mass.

4. If a car alarm goes off near the church during Mass, an usher may go out to see

if there has been a break-in, or more likely that some motion set it off. If you know who the car belongs to you may notify them. If it is a break-in, do not attempt to intervene.

General Reader Notes Your willingness to respond to your Baptismal call to serve the people of God, in the capacity of a Minister of the Word, more commonly known as Reader, reflects your commitment to Christ. When you pray, prepare, and proclaim the Word of God well, you not only enhance the beauty of the Liturgy but you become the instrument through whom God speaks to all members of the Assembly. "God speaks to His people, revealing the mystery of their redemption and salvation and offering them spiritual nourishment; and Christ himself is present in the midst of the faithful through his word.” (GIRM, 55) 1. In General, Readers shall

A. Have reverence and respect for the Word and the Eucharist B. Wear proper attire, especially when serving at Mass

LEARN AND USE EFFECTIVE SPEAKING SKILLS WELL • Pronunciation, articulation, pacing • Hear is a tricky reading from Pentecost Sunday (Acts 2:6-11). Every one hearing

these words can be “astounded” as you proclaim them precisely and confidently. At this sound, they gathered in a large crowd, but they were confused because each one heard them speaking in his own language. They were astounded, and in amazement they asked, "Are not all these people who are speaking Galileans? Then how does each of us hear them in his own native language? III. Reader #1 Procedures

1. Preparation A. Arrive 20 to 30 minutes early. This will allow time for preparation, reading the

lectionary, and reflection. Remember, the procession will leave the Sacristy 5-7 minutes before the scheduled mass start time and Reader 1 opening announcements are at 5 minutes prior to the start.

B. Enter Altar Server Sacristy by door from the ORE hallway marked Sacristy, and check off your name on list on Altar Server Sacristy Bulletin Board. Note: Please do not go into the Priest Sacristy, or cross Sanctuary

C. Verify that the Sacristan has prepared for the Liturgy of the Word: 1) Microphone -

a) Installed at ambo b) Power is switched to on (position it correctly for you)

2) Lectionary - a) Review Lectionary in A/S sacristy, then place at ambo

3) Announcement sheet in Altar Server Sacristy a) Review Announcement Sheet, and make sure it has names of Presider

and those presenting the gifts

2. At approximately five minutes prior to scheduled Mass start time: A. As Presider and procession prepare to leave Priest Sacristy, move to the

sanctuary door that leads to the Altar Server sacristy B. Approach the ambo and start reading the opening announcements. If the

church is very full, and it looks necessary, you may start with a request for all to move in toward the center aisle in order to make room for those arriving.

C. If there were no names given by ushers for the presentation of gifts then skip that portion.

D. After reading opening announcements proceed to right of ambo and along side aisle to the back of the church and join procession (side by side with Reader 2, or in front if they are carrying the Gospel Book). (See Chap 2 Section VII for diagram of Processional group and placement in Sanctuary). Walk straight up the steps to the front of the altar then turn left and go to your position (don’t walk diagonally to your spot).

E. Wait with Liturgical Party at the base of the sanctuary to the left of the Presider, and genuflect (or bow) with the Presider.

F. Return to your pew.

3. Reading A. After the Opening Prayer, as everyone else sits down, move to area in front of

ambo and meet Reader 2, then move up together to a position between ambo and chairs, and bow together toward the altar.

B. Step up to ambo and conduct first reading. C. Slight pause, then conduct Responsorial Psalm (if Cantor is not present; see

Section V). D. Sit in chair behind ambo.

4. Recession at end of Mass. A. After Acolyte, Deacon, or Priest completes reassembling the Priest’s Chalice

and hands it to the Altar Server, meet Reader 2 below ambo and proceed up to your chairs (slight bow to the altar similar to when you came up for readings). You will be moving as the Acolytes and Altar Servers are moving to their places after communion. Be seated if the Priest is observing a few moments of silence.

B. Stand for Prayer after Communion and remain standing as Reader 2 does closing announcements.

C. After the Concluding Rite, follow Reader 2 to front of altar, genuflect (or bow) with the Presider and recess to back of church behind the Altar Servers.

Make sure Priest has already checked Gospel Book. B. Either join the Presider and the procession as they leave the Priest Sacristy,

or meet them in the back of the church. C. Process in behind Reader 1, carrying the Gospel Book comfortably at chest

height (again if Deacon is not present). If not carrying book, walk side-by-side with Reader 1 behind the Altar Servers. (See Chap 2 Section VII for diagram of Processional group and placement in Sanctuary)

D. If carrying the Gospel Book, proceed directly up to the front of altar (do not stop) and place Gospel book in the stand. Do not bow at this point.

E. Rejoin Liturgical Party to the left of the Presider and genuflect (or bow) with the Presider.

F. Return to your pew.

3. Readings A. After the Opening Prayer, as everyone else sits down, move to area in front of

ambo and meet Reader 1, then move together up to a position between ambo and chairs, and bow together toward the altar.

B. Sit down while Reader 1 conducts the First Reading (and Responsorial Psalm if no Cantor is present).

C. As Reader 1 sits, stand up and move to ambo and conduct second reading. D. Place the lectionary in the rack inside the ambo. E. Step down, wait for Reader 1, and bow together toward altar then walk down

alongside the ambo and return to your pew.

4. Intercessory prayers (if Deacon is not present) A. After the homily, during the last part Profession of Faith (where we say:

“…We believe in the Holy Spirit, the Lord the Giver of life...") move forward stopping briefly near the front of the ambo, and then continue on up to just behind the Ambo (bow to altar). If an alternate method of the Creed is used (a Baptism Call) move up at the beginning and wait at the base of the ambo until near the conclusion.

B. Proceed directly up to the Ambo and get the binder ready as Presider prepares for the prayer. If Gospel Book is still on the ambo, close and move

to one side or place in Ambo book racks. On queue for the Readers Part, say the prayers.

C. After the Presider states final intercessory prayer, turn page to final announcements and leave book on ambo ready for closing announcements. Step back from the ambo but wait there if the Prayer for Vocations is recited. When completed, bow to altar then return to your pew (Reader 2 does not announce gift bearers or song for the presentation of the gifts).

5. Closing announcements A. After Acolyte, Deacon, or Priest completes reassembling the Priest’s Chalice

and hands it to the Altar Server, meet Reader 1 below ambo and proceed up together to your chairs (slight bow to the altar similar to when you came up for readings). Be seated if the Priest is observing a few moments of silence.

B. At the Prayer after Communion, step up to the ambo and be prepared to make any closing announcements.

6. Recession at end of Mass:

A. Step back from ambo as Presider does Concluding Rite, and after he reverences the Altar and begins to move around to the front, follow Reader 1 to front of altar, genuflect (or bow) with the Presider and move to back of church behind the Altar Servers (do NOT recess out with Gospel book).

7. Note the following change:

A. After mass the Sacristan or Acolyte (not the Readers) will: 1) Return microphone in Priest Sacristy (not Sunday 8am or 10 am Mass). 2) Return all books at the Ambo (Lectionary, Gospel Book, Binder, Homily

notes) to their respective places as necessary.

V. Working with the Cantor 1. Whenever the Cantor is present (now applies to all masses) they will sing the

Responsorial Psalm, instead of Reader 1. A. Arrive at least 20 to 30 minutes early, or as coordinated with the accompanist. B. Be in place in the Church at approximately 5 minutes before the beginning of

mass, entering from the side door and proceeding in front of the Altar to the Cantor’s position at the lectern on the right side of the sanctuary.

C. After Gloria and opening prayer as everyone else sits down, Readers approach for the Liturgy of the Word

D. While Reader 1 is conducting the First Reading, the Cantor should move to the Altar Server Sacristy via the back hallway and wait near doorway (being as inconspicuous as possible).

I. Extraordinary Minister of Holy Communion General Notes

“The Eucharistic celebration is an action of Christ and the Church, which is the ‘sacrament of unity,’ that is, a holy people gathered together and ordered under the Bishop. For this reason, the Eucharistic celebration belongs to the whole Body of the Church. Such a celebration manifests this same Body and affects it. As to the individual members of the Body, the Eucharistic celebration touches them in different ways, according to their rank, office, and degree of participation in the Eucharist. In this way, the Christian people, ‘a chosen race, a royal priesthood, a holy nation, a people of his own,’ demonstrates it cohesion and its hierarchical ordering.” (GIRM, 91)

1. An Extraordinary Minister (EM) of Holy Communion should: A. Have reverence and respect for the Word and the Eucharist

B. Wear proper attire, especially when serving at Mass

C. Approach and walk in the Sanctuary with reverence and respect

2. Some revisions are being made to put us in alignment with the GIRM

A. Note change in procedure for outreach ministers 1) Should not ask for an extra host to fill the pyx while taking communion

2) They should approach the Sanctuary after Mass, and come to the

credence table and the Sacristan will help them get the hosts that they need.

3. Following are detailed instructions intended for new Extraordinary Ministers, but experienced Extraordinary Ministers should also read them for the recent revisions and to suggest and additions or improvements.

4. Of note, Extraordinary Ministers of Holy Communion were sometimes referred to

as “Eucharistic Ministers” here in the past. That title is more appropriate for the ordained ministers, priests and deacons, taking part in the Eucharistic celebration, so we now refer to the lay position as Extraordinary Ministers, but still use “EM” for short.

II. Preparation

1. Arrive at least 20 minutes before their scheduled mass start time (Lead EM should arrive at 25 minutes early). All lay liturgical ministers should be checked in and ready to go (for EM’s, in their pew with medallion) when Reader 1 makes the opening announcement at 5 minutes before mass start.

2. Enter Altar Server Sacristy by the door from the ORE hallway marked ‘Sacristy’

and check your name off the list on the Altar Server Sacristy Bulletin Board. If you were scheduled and can not make it, you should find a substitute ahead of time and have them cross off your name on the schedule and add their own. If you can not find a substitute, contact the Sacristan or Lead Chalice EM scheduled for that mass so they will know to expect to find a replacement. Schedules can be found on-line at the St Mary Magdalen Website.

a. Note: EM’s should not enter the Priest Sacristy before Mass, or transit through

the Sanctuary. They will enter the Sanctuary to perform EM duties after the Priest has taken communion, and those designated for clean-up will need to clean the vessels in the Priest’s Sacristy after Mass.

3. Pick up a medallion—found on the end of the counter (medallions are stored in a

wooden box in the cupboard above).

4. The designated Lead Chalice EM (LC) should check in with the Sacristan to see what assistance is needed. EM’s do not “prep” anymore (this duty belongs to the Sacristan) and will probably be completed by the time scheduled ministers begin showing up.

a. The LC will monitor if the other EM’s have arrived and picked up their medallions. Work with sacristan to find replacements for those who have provided prior notification that they can not attend.

b. Check sign in sheet and see if any of those scheduled are present but not checked in. Otherwise consider looking for replacements.

c. At 10 min prior to Mass start time assume those not checked in are “no-shows” and consult the sacristan about looking for replacements. Either walk down aisle holding out medallions and scanning for extra EM’s, or if no takers, make a polite announcement from the ambo that we are in need of (##) additional Extraordinary Ministers for Holy Communion and would they please come forward to the Altar Server Sacristy. Thank those who come forward and make sure they are aware of any special instructions for that mass.

5. Seat down in pew. Participate fully in the Mass through the Sign of Peace.

III. Serving

1. After exchanging the sign of peace, walk up to the front and line up near the ambo along the front left pew (at the same level as the congregation, before the steps leading up to the Sanctuary; see Sec V, EM Approach to Sanctuary). The Lead Chalice (LC) should be on the far right, and be the first to ascend up into the sanctuary.

2. Wait until the Presider drinks from the cup (the Altar Server should ring the bell),

then all bow and come forward following the LC, past the ambo and proceed up the Sanctuary steps. Line up on the far edge of the banner.

3. If the Deacon is not present, the LC will move directly up to the Altar to receive

communion, and the next chalice minister in line (#4) will pick up the purificators from the Credence table and pass them down to the other chalice ministers.

4. The Presider will offer communion to the LC, then give the cup, and ask the LC

to follow behind to offer the cup to the Altar Servers and EM’s. If the Deacon is present, he will be the minister of the cup.

5. Take communion from the Presider, and then the sacred vessel that is handed to

you – for chalice ministers, you should not offer that chalice to other chalice ministers. The first chalice minister in line (#4), may turn to their left and offer the cup to ministers of the precious body if the LC has not reached them yet.

6. Wait for the Presider to pass by and head towards his communion station and

then follow in line with the LC (or Deacon) at the end. The first two chalice ministers (three at 10AM) will pass behind the Presider and take up station at the south end of the sanctuary, and the last chalice minister (last two at 10AM) will go to the north end. The last chalice minister on the left side will join the precious body minister closest to the front left pew (special needs pew) and offer communion to the special needs members (and those with them), then go on to their station near the door. The first precious body ministers to come down will head to the special needs pew, the next to the station near the front right pew, and the last next to the Presider (always be careful to pass behind the Presider who may be on the left side or right side. As mentioned, the precious body minister near the special needs pew will first offer communion to those in that pew then come back to distribute to the rest of the congregation. (For a better picture of this, see Sec V, EM Station Diagram below).

7. If the choir is present they will come forward first, followed by two ushers who will

begin to invite people forward from the front pews and work to the back. Once this set of ushers make it to the back, they should move to any people with special needs that need to have communion brought back to them (see below). Otherwise they can follow the last of the congregation forward to receive communion.

8. When about 75% of the congregation has received communion, the Presider will

direct the precious body minister in front of him to go to the back and look for the usher next to anyone else that needs communion (only the precious body will go back, not the chalice). That usher will stand next to that pew and raise their hand signaling where the EM is needed. If no distribution is required, the ushers will be waiting at the last pew in the back to let the EM know that. The EM should return to the sanctuary via the center aisle following the last of the congregation.

9. Precious body ministers; when finished, wait and follow the Presider back to the

Altar and hand your ciborium back to him (remember you do not need to genuflect or bow to the altar when carrying the precious body or blood). Place your medallion on the counter in the A/S Sacristy. Use ablution bowl to wash fingers after handling the precious body.

10. Precious blood ministers; when finished return to the Sanctuary by walking

toward the ambo, then directly up the steps (don’t make a beeline in front of the altar). Head to the A/S Sacristy and place the empty cup (with purificator on top) and medallion on the counter top. If necessary, drink what remains in your cup inside the A/S Sacristy, or leave on the tray for the Deacon or Presider.

11. When you are finished, depart the A/S Sacristy and return to the main floor and

line up in front of the ambo as you did at the beginning. If the Deacon is not present, the LC should remain in the A/S Sacristy until the last of the Extraordinary Ministers has returned. As the Presider returns the consecrated hosts to the tabernacle, he will genuflect and all EM’s still in the Sanctuary should do so also. Of course, if you are en route carrying the precious body or blood you would not genuflect, but be aware of what is going on at the tabernacle, and pause and bow as the Presider genuflects (any EM’s in line on the ground floor should respond likewise). After all the EM’s have lined up, bow together on cue from the last person down and proceed back to your pew.

IV. Miscellaneous Procedures

1. It is not necessary, nor is it desirable to rush through any of the duties, there is always enough time. Remember – Dignity, Reverence, Respect.

2. Precious Body Ministers: For those who can not receive communion (e.g. small

children, candidates, etc) reach your hand out over their head (do not touch their forehead or make the sign of the cross) and simply say “May God bless you”.

3. Precious Blood Ministers: You should clean the rim of the chalice with the

purificator then turn the cup ¼ turn before offering to the next person. Make sure to keep moving to a clean portion of the purificator, and open it up or use the back side if needed.

4. If you receive a chalice that is very full and there is a possibility of spillage, drink

some of the precious blood to bring the level down before walking off (the priest or deacon will be careful not to overfill any of the cups, but it could happen). You may want to cover the cup with the purificator while walking if concerned about splashing and possible spillage.

5. If there is some spillage of the precious blood, cover the area with the purificator

and get a spare purificator to use for the remainder of communion (if near the sanctuary you may ask an Altar Server for assistance). Notify the Sacristan and/or Priest or Deacon so they can properly clean the area after mass.

6. If you drop a host, pick it up and hold off to the side (or in your hand under the

ciborium) to either consume later, or give to the priest to dispose of properly after mass.

7. If you run out of the precious blood cover the chalice with the purificator but

remain at your station until the communion procession has completed and then return to the sanctuary with the other ministers. If you are running out of consecrated hosts, and there are not many communicants left in line, you may begin to break them in half. If you do run out you may have to direct them to another EM, the priest or deacon.

8. If someone walks away with the precious body without consuming it, you may

politely stop them and ask that they consume the host, or return it if they do not plan to right away (those designated outreach ministers should get additional hosts after mass from the sacristan.) If they take the host and do not say “Amen”, you may say it to them as a reminder.

9. If someone attempts “self-intinction”, dipping the host in the precious blood, you

should attempt to stop them and tell them that it is not allowed in the Archdiocese but they can discuss this with the pastor later if they like (see Section VII, Seattle Archdiocese Sacramental Policies, for a link to the Archdiocesan references).

10. Any attempt at catechesis should be done politely and with respect to the

individual. It is never your place to refuse communion to a communicant, but if you have concerns you should bring those to the attention of the Presider or Pastor after mass.

V. Extraordinary Minister’s Approach to Sanctuary and Stations

This is the set-up for all masses with seven Extraordinary Ministers. At the 10AM mass, and on most special occasions there will be two extra chalice ministers at the front. They would be at the end of the line. If the line becomes long, it should curve inward at the end near the ambo but remain in the Sanctuary (do not stand on steps). Some special occasions (Easter and Christmas Masses for instance) may require even more Extraordinary Ministers, but those will be scheduled and handled on a case-by-case basis. This diagram shows the Lead Chalice (LC) leading the group up, but then continuing to the altar to receive communion and then distribute the cup. If the Deacon is present and one less EM is required, the LC still leads the group up but remains in place and takes the first ciborium for the Precious Body station.

Ministers of Holy Communion line up in the front of the church, on the same level as the congregation, and close to the broad step at the base of the Sanctuary. The outer Precious Body ministers will move forward to the privacy rail of the first pew. Chalice ministers are spaced along the step outward toward the doors with the Deacon or Lead Chalice stationed in front of the ambo. Additional Chalice Ministers at the 10AM or special masses position along the privacy rail between and opposite the other Chalice Ministers. Two ushers work from the front pews backward to direct people forward. (Drawing is for reference only and is not completely to scale.)

As the communion procession is wrapping up, the Precious Body minister closest to the Presider will leave station as directed by the Presider to deliver communion to others with special needs (signaled by the Usher, usually in the back of the church). Go down the side aisle and return via the center aisle (preferred routes) and return to your station to resume distribution of communion if needed. Do to chance of spillage while moving through the lines, the Chalice Minister does not go to the back also.

VI. Clean Up 1. Medallions now go back in the wooden box in cupboard in Altar Server Sacristy

(either wrap the leather cord around each medallion, or lay them out so they do not get tangled). Sacristan or Altar Servers may help with this.

2. If there had been too much wine for the number of people at mass, the priest or

deacon may have not filled the cups all the way and left some in the decanter. This can be discarded after mass since it was not consecrated.

3. Insure that you clean only vessels that have been purified. The priest’s chalice will

always be purified and cleaned at the altar and does not need additional cleaning but should be reassembled for next mass with clean linens. The ciboria are also purified at the altar. If the Deacon is present, he will purify the remaining chalices in the A/S Sacristy at the conclusion of communion and leave them uncovered with the purificators off to the side (see pictures below). Otherwise the Presider (or Deacon) will purify any remaining chalices when he returns to the Sacristy, using the following procedure (the Sacristan can also do this if the others are detained, and if a visiting Priest asks you to perform the purification, say yes and then notify the Sacristan who will assist);

a. If there is a significant amount of the consecrated species left, then those cups

should first have a small amount of water added, swished and drank. b. Working over the Sacrarium, pour water from the pitcher into one vessel until it

is full (swish around if needed to ensure water rinses the interior of the chalice). c. Pour this into the next vessel and continue to do this until all of the vessels have

been fully rinsed. The purpose is to dilute the body and blood left in them. d. This water can then be poured down the Sacrarium drain.

4. Wash all of the purified vessels with soap and water. Hand dry with towel. 5. Store the vessels (cups, decanter and cruet) in the cupboard over the cleaning

area. Wash Basin, Pitcher and the Tray go in cabinet below. Ciboria and Chalice still go in the Sacristy closet (if closet is closed leave them on the Sacristy table and Sacristan will put away before locking up).

6. Used purificators, linens and towels go in the baskets in the lower cupboard. Pall

and Corporal (if still clean) can go back on the Chalice. 7. Note: Do not use the linens or white lavabo towel to wipe dry the sink area – the

metal will discolor them. Use the “plain” dish towels hanging on the towel rack on the inside of the cabinet door below the sink/sacrarium.

8. Below are some pictures of the Priest Sacristy counter top and cupboards where

the cleaning and storage of the vessels takes place. The linen basket and any other items are put below in cabinet – the counter top should be clear and dry after cleaning is completed.

VII. Seattle Archdiocese Sacramental Policies (Eucharist) As mentioned in the Introduction, our local procedures are tied back to Archdiocesan Pastoral and Sacramental Policies. For the Celebration of the Eucharist, there is a very informative policy document that can be found at the Seattle Archdiocese website. The Policy on the Eucharist covers many items, but there are several that would be of specific interest to the Extraordinary Minister of Holy Communion, such as Section IV (Reception of Holy Communion) and Section V (Care of the Holy Eucharist). Here are a couple of examples:

EU 12. In cases of doubt whether a person is properly disposed to receive communion, the case should be referred to the pastor or to the Archbishop; this referral should not happen during the celebration of the Eucharist but at a more appropriate time.

I. About SMM Music Ministries Each Sunday we are called to active participation with each other and God through the Liturgy of the Mass. Liturgy means the "work of the people of God". Music Ministry presents the unique opportunity to grow in community by leading our fellow parishioners in Song. As we lift our voices together, we not only come to a fuller understanding of the written notes and words of the songs we sing, but also the Liturgy of the Mass and knowledge of our fait. By singing we bring a precious gift to our fellow believers no matter our perceived vocal ability or talent. By our commitment to sing, we give back to God by serving Him with gifts we have been given. Though learning music requires work and effort, given time everyone can learn to sing and together grow in our knowledge of God and of music. With this in mind, please consider joining us.

II. Cantor Notes “It is preferable that the Responsorial Psalm be sung, at least as far as the people’s response is concerned. Hence, the psalmist, or the cantor of the Psalm, sings the verses of the Psalm from the ambo or another suitable place. The entire congregation remains seated and listens but, as a rule, takes part by singing the response. If the Psalm cannot be sung, then it should be recited in such a way that it is particularly suited to fostering meditation on the word of God.” (GIRM, 61)

1. Whenever the Cantor is present (now applies to all masses) they will sing the Responsorial Psalm, instead of Reader 1. A. Arrive at least 15 to 20 minutes early, or as coordinated with the accompanist. B. Be in place in the Church at approximately 5 minutes before the beginning of

mass, entering from the side door and proceeding in front of the Altar to the Cantor’s position at the lectern on the right side of the sanctuary.

C. After Gloria and opening prayer as everyone else sits down, Readers approach for the Liturgy of the Word

D. While Reader 1 is conducting the First Reading, the Cantor should move to the Altar Server Sacristy via the back hallway and wait near doorway (being as inconspicuous as possible).

E. Reader 1 will sit down and the Cantor should move up to the ambo and conduct Responsorial Psalm, queuing the congregation to respond at their part by raising an open hand.

F. When finished, return to the A/S Sacristy and then to the lectern seat or the choir loft as required.

I. Weekday Mass Special Functions 1. Many of the functions for weekday mass are similar to those for Sunday mass,

although there are some differences:

A. There are no assigned lay ministers, and it will be necessary to find one reader and three EM’s to assist. These can come from regulars who attend and are qualified in those roles. You will also need Altar Servers, either youth or adult.

B. The preparation timeline is a bit condensed. It can probably all be done in 30

minutes, but you may want to start just a little earlier so you can open the church earlier and take your time.

C. The gift table is brought forward in the center aisle to about pew #4-5. You do not

use the gospel book stand on the altar.

D. The order of the mass is different from Sunday. For example; there is no opening announcement and no procession (sacristy bell is used to indicate mass is starting), there is only one reading, there is no creed, there is no collection, there are songs but generally no music, etc.

E. There may be more outreach ministers to attend to after mass.

F. Wednesday mass begins at 8:30am to allow school children to attend, and you

need include that group in your preparation for the Eucharist.

G. The following checklist captures the items that need to be addressed for the Weekday Mass, followed by pictures of the credence and gift tables.

Revision Notes: (Return to Table of Contents) I’ll group changes and then add these notes so it’s easier to know what has changed. This starts on Nov 1st, after the last major installments from the Ministry Training were added; large portions of the Hospitality, Altar Server, EM and Reader chapters had already been added. I’ll also insert hyperlinks to the approximate area of the change – but since these are based on file headings they might not land exactly on the specific point or picture (they tend to go one space before that heading, which might be the end of the paragraph or page before- just scroll down a couple of ticks and you should be there). 11/01/08: Completed Chapter 2 by adding significant content to the Altar Server Ministry Section (Ch2 Sec VI, Specific Responsibilities). Of note, added link to short video on thurible usage under Acolyte responsibilities (from Acolyte Training DVD). Also added diagrams for Processions (Ch2 Sec VII), which includes Readers. 11/08/08: Changed procedures for Reader 2’s approach and prepare for Prayers of the Faithful (now during last paragraph of Creed), and for when both Readers to return to sanctuary at the end of communion as Priest’s Chalice is being taken from altar. (Ch4, Sec III and IV ) 11/23/08: New notes for EM chalice ministers to return their cups to the A/S sacristy instead of leaving them on the credence table. All EM’s return medallions to A/S sacristy also. Ch5, Sec III - Para 7&8. Also added notes for Sacristan to place a second tray in A/S sacristy for the cups (use that tray to deliver cruet, pitcher and basin to credence table then leave in A/S sacristy), and to place medallions along far end of counter top instead of along the front where the cords were blocking the drawers (Ch1,Sec1,P2&3). New pictures replaced old ones to match these changes. Reminder; Other than the Lead EM (in absence of Deacon), no other chalice ministers should offer their chalice to other EM’s (they’ll receive from the Presider/Deacon). Additional note for Sacristan is that there is a Tupperware container (kept in lower cabinet on far right side) marked with correct measurements for 4, 6 or 8 cups of wine (7 oz per cup) – made note of that (Ch1,Sec1,P3) and on decanter picture in Extra Visual’s section. A note on sound system Master Volume knobs was added (under picture on pg 20). 12/01/08: Added Sacristan note on securing extra consecrated hosts brought back from St John’s 9AM Mass. If there are some they will be left in a large pyx in the sacristy closet, and need to be moved to the tabernacle. This will probably be done by the sacristan after the 10am mass, by 12 noon sacristan should be aware of it also. Also expanded the Vocabulary Section (good for everyone to read), and revamped the Introduction page.

02/01/09: Added changes to Sacristan, Reader and Extraordinary Minister of Holy Communion (based on Reader and EM Refresher Sessions, 1/31/09). Also added info on Music Ministries and copied Cantor information to that chapter. Readers: In the Procedures for Reader’s 1 and 2, added these notes -

In the procession head straight up to the Altar then turn left and move to your spot (don’t walk diagonally to it)

Noted that Reader 2 carries the Gospel book “comfortably” at chest height Added reminder to close and place Gospel Book in Ambo book rack if needed

before doing Intercessory Prayers Changed references to cues at conclusion of communion to correct terminology

(“Prayer after Communion” instead of “Closing Prayer”, and “Concluding Rite” instead of “Sending Forth”)

Extraordinary Ministers of Holy Communion:

(Ch5, Sec II) If you can’t attend a scheduled mass and can’t get a substitute, let Sacristan know so they will be ready to look for a replacement

Lead Chalice (LC) roles more defined: o Check on medallions and look for replacements o Lead the group up to sanctuary after Presider finishes communion o Take chalice to Altar Servers and EM ministers of the precious body o If Deacon is present, LC still leads group, but is Front Precious Body

(Ch5, Sec III) EM’s should only receive communion from Presider, Deacon or Lead Chalice – do not administer to each other

EM group going to back should be two ciboria, followed by two chalices (should return in similar procession)

Chalice ministers may wish to walk with purificator over top of chalice to prevent slashing or spillage

Ministers of the cup should return to AS Sacristy to consume any remaining precious blood. If you run out while at your station, cover the chalice but remain there until communion is complete

(Ch5, Sec IV) Revised diagram of EM’s in line and where they should go (Reminder – not new) After returning to sanctuary line up and wait for others to

return/finish their duties. When Presider returns consecrated hosts to tabernacle, all in sanctuary should genuflect (if not holding consecrated vessels). After all have returned to line, the EM closest to congregation starts down steps and turns right to position in front of Ambo (reverse line-up)

Updates to Sacristan Chapter:

Restructured (Ch1, Sec I, P3) “Return to Priest sacristy – prepare vessels and deliver gifts” (Combined (Ch1, Sec I, P3 and P4 into one paragraph).

Noted that AA batteries are found in sacristy closet top left shelf (Ch1, Sec I, P4) Swapped order of “Check on other Ministry Positions” (now at M -15min) and

“Get Gift Bearers names and add to sheet” (now at M -10min)

Restructured checklist to reflect these changes, and set timeline to begin at (M-45min) so that 5 more minutes could be added for preparing and delivering the lavabo items, sacred vessels and gifts.

Made note of the Weekly Planner Sheet in Priest’s Sacristy (kept on top shelf) which will have a scheduled of who is presiding at which mass, and if Deacon is assisting (staying through mass) or doing homily (leaving after homily).

Updates to Music Ministries Chapter:

This chapter was previously blank, so began with Part I, “about SMM Music Ministries” which has info on the various choirs and a link to the Music Ministry page on the Parish Website: http://www.smmparish.org/music/index.php

Copied over the Cantor notes from Reader Section (Ch4, Sec V), but left similar

reference for Readers. 04/12/09: Added in a major expansion of the Acolyte specific duties, taken from the March training session (see Ch2, Sec VI, Para 5). The Acolyte will be helping to check more of the entire set up of the sanctuary and the liturgical books, and good communication with the Sacristan will be important. Of note for Sacristans is the colors of ribbons placed in the Sacramentary; green ribbon for the Sunday proper prayers, purple for daily proper prayers, wwhhiittee for preface to the Eucharistic Prayer, and red for feasts and commons. The small table between the Altar Server and Acolyte chairs will be referred to as the “Auxiliary Table”. Also added info and minor clarifications to the Ushers roles from their training session, notably about using the rope to block off the center aisle during readings, the timing of bringing up the collection basket, when to take up a special collection, and putting the tamper-proof bag label (with info written on it about that bag) back in the bag or safe. And finally, added reference to new procedure where the Deacon will purify remaining chalices in the A/S Sacristy following communion. Chalice EM’s should return their vessel to the A/S Sacristy and place the purificator over the top of it (as they would at their station if the chalice was empty). After the Deacon purifies them he will place all the purificators to the side, signaling that they are now ready to be cleaned (Ch 5, Sec V – see pictures also). 05/09/09: Rework and expansion of the Minister of the Crucifer and Candle Bearer specific responsibilities in the Altar Ministries Chapter (Ch2, Sec VI, Para 1 and 2). 06/20/09: Changed Sacristan instructions for sound system, now that cabinet is located in choir loft and new power switches are in Priest Sacristy (with the light switches) and also in the choir loft. Amplifier sound levels have been set, and the cabinet remains

locked – all that is necessary is to switch on the power (switch has a small green LED light when on), and test the microphones. 12/05/09: Rework flow of Acolyte duties (Ch2, Sec VI, Para 5). Separated the Thurifer duties into its own specific paragraph. 01/31/10: Updated some photos in Sacristan section (trying to get all photos and maps up to date and in keeping with changes that have happened – including Chapter 7 - Environment). Replaced photos of holy vessels, and removed photos of old sound system, along with revisions to Sacristan duties regarding new sound system.

02/14/10: Fairly extensive modifications to Chapter 5 (Extraordinary Ministers of Holy Communion) based on new procedures for all stations to be at the front of the Church (having the congregation move toward the altar to receive communion). For sacristan set-up, only one purificator will be left on the tray with the cups (to be used with the cup for the Deacon or LC) with the others are now placed on the credence table. The first chalice minister (#4 in line) will get these and pass along to the other chalice ministers. Clarified the procedure for purification of vessels, and that the Sacristan can do this if the Priest or Deacon is delayed. Also made some changes to Chapter 4 (Readers), changing all references from “Lector” to “Reader”, but also adding that Cantor will be in attendance at the 5:30PM masses and handle the Responsorial Psalm (not Reader 1). Also, Reader 2 should now move directly to the ambo for the Prayers of the Faithful (when Deacon is not present), and for the announcements. This is so they can be ready to go following the introduction by the priest for the intercessions, or after the final prayer. If there is a special speaker, then that person will go up with the Readers after the altar is cleared (Sacristan will need to brief them on this procedure, where they should sit or stand). They should return to their pew after their announcement (not process out). For all liturgical ministers - changed the arrival time to at least 20 minutes prior to scheduled mass start time (Readers may wish to aim for 30 minutes prior). This mainly takes into account that everyone should be ready and in place when Reader 1 makes the opening announcement at 5 minutes prior to mass start time. If you have not checked by at least 10 minutes prior to mass start time the Sacristan and Lead EM are looking for replacements.

03/20/10: Revised station positions for all Communion Ministers to be on the level with the congregation (not on the first step), and for the outer Precious Body Ministers to move to stations in front of first pew – Ch 5, Sec V EM Station Diagram. Made note for Sacristan about metal locker in small storage room (Ch1, Sec VII).

10/10/10: Entered changes from the Sep 2010 Ministry Training Session. Most changes were in the handling of Communion with revised procedures for the Extraordinary Ministers of Holy Communion (Ch5, Sec IV) and for the Ushers (Chapter 3). Part of this deals with reserving the first pew on the side by the Ambo for Special Needs, and seating them and distributing communion to them. Readers should now walk up together to their chairs (side by side, not in line), with Reader 2 reminded to go straight up to the Ambo for the Prayers of the Faithful and closing announcements to get the binder ready and make sure they are set to go on time. 12/23/10: For the sacristans, added note about new cipher keypad lock on sacristy closet door. All sacristans should have received their key card and personal codes from the office. Also changed procedure to note that you should open the sacristy closet when you need to access it, and close afterwards. (Ch1, Sec I)
