Th e folks at KaTom Restaurant Supply are overjoyed to announce the location of the new KaTom home in Sevier County, Tennessee. At 100,000 square feet, the future KaTom location is well over three times the size of the old building, allowing ample space for continuous growth. Th e new KaTom home will also feature an impressive state-of-the-art test kitchen for product demonstrations as well as a massive showroom, a rooms-to-go space, and a very large warehouse that will enable the company to off er an even wider selection of products. Andy Gump, Inc., a Microsoft Dynamics NAV User since 2010, is in the portable restroom rental business in southern California and recently launched smartphone apps that collect data from drivers. An exciting and challenging venture earlier this summer for the company was setting up more than 30 upscale restroom trailers for the USGA U.S. Open at the Olympic Club in San Francisco the week of June 13.    Dispatching, documenting, and job costing this prestigious event is part of the expansion of Microsoft Dynamics NAV as the IT team at Andy Gump builds the bridge between smartphone data and Microsoft Dynamics NAV, driving effi ciency, productivity, and profi tability. 

Bradshaw recognizes the value of giving its employees the opportunity to make a diff erence in the Dallas-Ft. Worth community: the company provides paid community service hours for all employees so that they can be a part of something bigger than themselves. In May, seven Bradshaw employees volunteered with the North Texas Food Bank to distribute food to those in need in the area.  Th e group worked hard unloading pallets of bread, sweets, grapefruit, cucumbers, cabbage, potatoes, carrots, and pizza and placing equal amounts into individual boxes. It was already a hot day that morning with the bright Texas sun blaring down, but everyone worked with a

smile and a pleasant spirit of giving back.  By the end of the morning, the team had distributed food to nearly 100 families. Congratulations to Mike Haney, director of operations at Bradshaw, for passing the CSCP exam and earning the CSCP title through the Association for Operations Management (APICS) program. Th e APICS program covers a broad view of the fi eld of supply chain management, extending beyond internal operations to include all the steps throughout the supply chain: supplier, dealer, company, and consumer.  Th e participant gains the knowledge to eff ectively manage these activities to maximize a company’s value chain. Putting Your Data to Work

Business intelligence (BI) is a wonderful concept: take the data you have

accumulated over the years in Microsoft Dynamics NAV and put it to

work for you. But in order to grow a strong BI practice, you need to start

with a good plan. Th e Microsoft Dynamics NAV and NAVUG™ communities are

fortunate to have a wealth of reporting experts within User and Partner organizations.

We reached out to Cristian Nicola of NCA Dynamics, Noah Kluge of PrecisionPoint

Software, and Klemen Logar of BI4Dynamics to talk about business intelligence, the

business case for having a reporting strategy, and how you can enhance your own BI

knowledge in order to draw more visibility from your existing data. Cristian has been a Microsoft Dynamics NAV consultant for more than 10 years. He

created http://dynamicsbiguide.com to share tips and tricks with the community, and

his love of BI goes back to his formative years. “I’ve been programming since I was 12 years old,” says Cristian. “I’ve always been

attracted to classifying, organizing, and sorting information, and then taking that data

and trying to put it all together into an organized environment, like a library.”

BI allows Cristian to make that library available to his clients, giving them the

opportunity to make decisions they wouldn’t otherwise make had it not been for

seeing data in a new way. In the last few years he has a gained a lot of knowledge of BI

solutions through interviewing multiple vendors in order to pick the best solutions for

his Customers. Noah’s experience comes from his position as a data analyst and US general manager

for PrecisionPoint Software, an ISV that off ers the hypercube, a solution that allows

a User to view and analyze data from multiple sub-ledger sources in a single, unifi ed

environment. His experience came from watching Microsoft Dynamics NAV in action,

studying how the data fl ows through the product.Klemen built his reporting knowledge over the years from listening to his clients’

business needs and seeing the challenges they experienced. “Working on a BI project with a client is very benefi cial for both the client and

vendor,” says Klemen. “I get to know the Customer’s business process – their business

routine, key business requirements, and current state on reporting. Understanding the

client’s business is crucial for the successful implementation of a BI project.”

A common thread in the reporting world is that Users want to be able to pull their

own reports rather than rely on a vendor to help them out. But in order to pull those

reports, you need to have the right plan and the right data or you’ll fall into the depths

of “garbage in, garbage out,” according to Klemen.“Th e point of BI is to give Users the power of creating reports,” says Cristian. “Th ere’s

a lot of work up front to make sure your reporting solution will enable you to build those reports, and I like that once you put that in place, Customers can do this on their own without going to a developer all the time.”

Th at upfront work consists of building a strong data foundation so you’re able to pull the most important information from Microsoft Dynamics NAV. Th is task is accomplished by gathering requirements from your team on what they’d like to see and how they’d like to see it. Th ough there are numerous considerations, one example is to think about how your item and Customer groups will result as hierarchies in BI.

“Having good item and Customer grouping gives you more fl exibility when working in analytics,” says Klemen. “It’s the same with chart of accounts in GL and account schedules. Many Customers don’t use account schedules because they are not very fl exible in Microsoft Dynamics NAV. Yet they are very powerful when you bring them into BI as it extends the functionality to turn account schedules into very powerful fi nancial reporting.”Creating that positive reporting experience is something that makes all that upfront work worth the eff ort. “I love the ability to help people make sound decisions,” says Noah. “We have a new Customer who has shared that he’s transitioned from working with 10 reports he’d written in a diff erent environment to using one of ours to pull data together in one spot.” In addition to having all that data in one spot, Users can also use BI for functional analysis, including trend analysis over multiple years, sales and profi t analysis, key performance indicators, and consolidation over multiple companies. Having this variety of information at your fi ngertips can help your organization in so many ways, from knowing where to look for cost savings to being able to forecast and plan future activities. Although BI has been a hot topic the last couple of years, Cristian believes we’ve just scratched the surface. “We’re in the early stages of what we know about BI,” says Cristian. “It was built for trend and data analysis, but I believe we’re going to move into data mining, which will then be commoditized and in the cloud. It used to be that companies with an ERP system had a leg up

on their competition as they were able to run their business more effi ciently. Now that more and more companies are using ERP, it’s no longer a competitive advantage. Users always need to look at what they can do to set themselves apart.” As with any software or plan, BI is only of value if you actually use it, rather than “letting it gather dust on the shelf,” according to Cristian. Once you have your plan in place, you just need to jump in and start letting BI work for you. “Th ere’s defi nitely a learning curve,” says Cristian. “I’ve spent my last three to four years living and breathing this, helping Users and Partners understand what BI is and what it can be used for. It’s so rewarding to have it click for a Customer. Th e reason I love being in the Microsoft Dynamics NAV business is that I’ve had Customers say that they’re successful because of NAV.” Adding to that, “BI makes a User’s life easier,” says Noah. “It helps people and helps their business.” If you’re in the market for an actual BI solution, be sure to look around to see what’s available. Th ere are numerous vendors in this space right now and just as your business is unique in the things you do with Microsoft Dynamics NAV, each of them has something slightly diff erent to off er.

“You wouldn’t go out and buy an ERP system without comparing pricing and vendors, and this is the same thing,” says Cristian. “Check out at least two or three products, see what they have to off er, and make the decision that’s best for your organization.” One other thing to consider concerns the creation of your data warehouse.

“Building a data warehouse takes a lot of time,” says Noah. “Look at products in the marketplace that solve that problem and automate the task for you.”

Implementing a BI practice isn’t something you’ll cross off your to-do list in a day, but it’s worth it when you think about the business insight you’ll experience. Even when you have your practice up and running, there’s still an element of responsibility for you and your team as BI is an ongoing project. Much like a seed planted in the ground, a good BI plan will flourish under your care.

I think one of the toughest challenges our Microsoft Dynamics NAV Users face is reporting

and business intelligence (BI). First, it’s important to remember that those are two different

things. Reporting is getting data out of your system. You can create a report of POs or a report

of how many widgets you sold last month.

But BI is more than that. It is taking those reports and slicing and dicing them to glean the

information you need to run your business more effectively. Business intelligence is being able

to interact with your data and create meaningful reports that help you drive your business in

the right direction.

In this issue, we demystify reporting and BI. We have helpful and insightful articles with

Users, Partners, and even the test lead for the Microsoft Dynamics NAV tools and reporting

team. The magazine is jam-packed with great information.

Speaking of jam-packed with great information, have you heard about NAVUG™ Forum, our

annual User group conference? Forum will be held October 16 – 18 in Seattle, Washington, with

optional training on October 15. We have more than 100 educational sessions scheduled – and

NAVUG: Your May meeting brought in 85 Users. That’s a great turnout! How have

you been able to grow the attendance over the years?

Scott Rose (SR): When we first started the chapter, we held all the meetings in Madison.

To increase participation we started to move the meetings around Wisconsin and northern

Illinois. At the time it was still a three-hour meeting, so people weren’t willing to drive a long

distance to attend. We’ve changed our format to a full day of content, and now people are

driving that distance, spending the night in a hotel, and attending the meeting the next day.

NAVUG: What’s the most rewarding aspect of being in a Regional Chapter?

SR: It’s good advice that’s free. Nobody’s on the clock at a chapter meeting. You don’t want

to start a service ticket every time you have a question, and it’s nice to ask people how

they do things and then go back to the office and try it. Sometimes you don’t know what

to ask, but a conversation with another User can help you understand what needs to be

done, and perhaps mushroom into a project that your Partner can help with.

NAVUG: You’ve been a chapter leader for more than three years. What do you like

about that leadership role?

SR: Funny story how I got involved with that…I originally volunteered to help as some

Members were leaving, so I ended up taking the notes, leading the meeting, and keeping

an eye on the checkbook. Now that we’re part of NAVUG, I have a lot more resources and

have eliminated the work I was going through to get the content figured out.

NAVUG: What advice do you have for Users who do not have a Regional Chapter

nearby?

SR: Talk to a Partner and get the names of local Users. You don’t have to have a local

chapter to get together, and it could be as easy as setting up a lunch meeting. If you

can form a group that wants to get together and sit at lunch and talk about Microsoft

Dynamics NAV, do it. When we started, it was a base group that met in a conference

room. We didn’t have an agenda; we just sat and talked. It was then – and is now – a nice

thing that has mutual benefits for everyone involved.

NAVUG held its first day long Regional Chapter meeting in Waupaca,

Wisconsin on May 9. The event was a great education opportunity and

networking success with more than 85 Users, hailing from Wisconsin,

Minnesota, and Chicago, Illinois, in attendance.

The event kicked off with a welcome party on May 8, sponsored by

Serenic Software and ABC Computers, Inc. The next morning, sessions

were split into two tracks, one for business Users and one for technical

Users. The lunch break featured networking huddles, which gave Users

the opportunity to dine and visit with people in similar job roles or

industries. The afternoon gave way to a preview of Microsoft Dynamics

When asked what life at

Talking Rain was like

prior to deploying

Microsoft Dynamics

NAV in late 2010, the

reply requires only one word: Archaic. “We had

a system that was very archaic,” says Michael

Lowes, the company’s director of finance. “It

was difficult to get data out of it, it was difficult

to edit, and we had no support for it. We’d

had it for 13 years, and we’d outgrown it.”

Talking Rain is a manufacturer of water-

based beverages such as Sparkling ICE,

Sparkling Spring Water, and Mountain

Spring Water. While he won’t reveal sales

figures, Lowes does say that Talking Rain is

a national company with some international

sales. It maintains one manufacturing

site in Preston, Washington and uses co-

manufacturers throughout the country.

Not surprisingly, Talking Rain relies heavily

on Microsoft Dynamics NAV’s manufacturing

functionality and capabilities. At the same time,

the solution is used to manage pretty much

everything from procurement to shipment to

the entire financial module. “We use it as a full

ERP system,” says Lowes, who adds that the

most challenging part of the deployment was

the learning curve. “Over a period of three to

four months, we had to learn new processes.

We were doing what we already knew how to

do but with different software.”

While there are many, the majority of the

benefits delivered by Microsoft Dynamics

NAV fall under the category of better access

to better data. “Reports are big,” says Lowes.

Drill downs are performed with navigation

tools, offering access to the needed data in

varying streams and formats. He says there is

a lot of activity on the general ledger side as

well. Further along in the reporting process,

he says that being able to easily download

into Microsoft Excel is a big plus. “It’s much

simpler,” he says.

In terms of customizations, Lowes takes a

hybrid approach. “Part of the beauty of the

role-tailored client is that the screen can be

edited fairly easily,” he says. “So we do our own

customizations for Users, but we hire out for

customizations that need to be performed

on the server side.” To accommodate the

company’s new approach to costing – FIFO

(first in, first out), which Lowes says will

increase efficiencies – changes are being

mapped out in the system, including the

elimination of a “painful” workaround

associated with standard costing. “It’s a reset

of the solution,” Lowes says.

In addition to the customizations, the

company takes advantage of NAVUG,

participating in webinars as well as

attending a gathering hosted by the local

chapter. Brittany Bartman, accounting

supervisor, says both in-person and online

User group events are valuable to her. “You

get to hear a lot of questions and answers

and learn about how other companies are

using it,” she says. It was through the User

group, in fact, that she learned about Jet

Reports, an Excel-based add-on known

for its robust reporting capabilities. “It

improves month end closing processes,

giving us real-time visibility into all the

information,” she says.

Lowes plans to increase Talking Rain’s

participation in the User group. Jeff Apel,

controller, initially heard about the group at

Convergence, which is what prompted him

to sign the company up as a Member. He’s

been very impressed with the group and the

resources it has opened up. “Our business

has been growing rapidly, so we haven’t

been able to make more use of it so far. But

the upcoming Forum is in Seattle, so we’re

sending a cross-functional team representing

IT, accounting, purchasing, and others so that

we can learn how to leverage the technology

even more,” says Apel. NAVUG

People struggle

with reporting in

Microsoft Dynamics

NAV. When you dig

deeper, you realize

that it’s not just reporting in Microsoft Dynamics NAV

(although there is some room for improvement there; come

on Microsoft Dynamics NAV 2013!), but business reporting

in general.

I had minimal reporting experience before joining Seventh

Generation in 2009. I went to a sort-of-helpful week-long

Microsoft Dynamics NAV solution developers’ class as

a new employee, but the rest has been learning as I go, a

combination of trial and error, and Google searches.

I say this to give you hope, because now I’m to a point

in my reporting knowledge where somebody thought I was

qualified enough to teach classes on reporting. My hope is

that they’re more than sort-of-helpful.

My company manufactures and distributes

environmentally-friendly household and personal care

products throughout the United States and Canada. Business

intelligence is crucial to what we do, and we’ve built a pretty

robust data warehouse to support that need.

Your company might not need the same type of setup as

us, but I hope I’m able to provide you with some reporting

information that you can apply to your own organization.

You Don’t Have to Build Rome in

a Day

The first step towards a business intelligence practice

is figuring out what end Users want to see as an end

result. It’s often best to start with the business questions

they’re trying to answer or the problems they’re trying

to solve. This affects the data you pull and might take a

while for you to do. Remember that you don’t have to go

huge from the start. For example, you could start with

your GL and some dimension tables to get some simple

financial reporting right away. You can do that quickly and

easily without a whole lot of time or money. Then take

another step and add inventory, then manufacturing and

production planning.

Take it in bit-size chunks and phases. At Seventh

Generation, we didn’t start with what we have now, and we’re

always adding datasets and tools to our current practice.

And How Do I Get That Data?

I mentioned choosing an area of your business to use as

the kick-off point for your plan. Let your team – your end

Users – drive which part you do first. If your operations team

is pushing for a business intelligence plan, maybe you start

with the inventory piece.

When you sit down with your team to find out what they

want to do with the plan, they’ll likely jump into the details

first, such as how they want the report laid out. Take a step

back and ask them the following questions:

» Which questions can you answer now?

» Which questions are hard to answer?

» If you had to guess, which questions will you need to

answer next year?

If your team isn’t able to answer one or more of those

questions or just can’t articulate a need, you will never

actually know if you met that need or if you completed the

task you set out to complete.

talk to a Member of NAVUG™. It can help to see what other folks do

and what problems they’re solving with their reporting.

If you’re really stuck, oftentimes a demo from a business intelligence

vendor can help Users see things they didn’t think about. Temper

the excitement from the shiny demo (see “Speaking of Vendors”

below) and think about how the demo’s content could work for you,

what’s missing from the demo’s scenario, and what would make your

reporting fantastic.

If You Build It, Where Will It Sit?

Another early consideration is whether you want to bring all your

data into Microsoft Dynamics NAV, including data that doesn’t really

belong there, or pull data out of Microsoft Dynamics NAV and other

places and put it into a data warehouse.

This is where conversations with other Users can offer valuable

perspective. We chose a separate data warehouse as we had the

business need of pulling sources together for reporting and

couldn’t compromise there. Having a data warehouse also gives

us tremendous flexibility. If our business or clients change, the

history is locked in Microsoft Dynamics NAV. We can’t change

dimensions in history if a dimension changes on a Customer (when

a salesperson changes for a Customer). With a data warehouse, I

can look at a Customer’s salesperson when the data warehouse is

loaded, so our history isn’t stuck; it can change as our business

changes.

Tools at the Ready

This next part assumes you’ve gathered the data and are pulling

reports like nobody’s business. There are tools available that make

your job so much easier when it comes to business intelligence.

We created a data warehouse in SQL Server that feeds SQL

Server Analysis Services cubes. Our cubes allow our end Users to

quickly create flexible reports that are customizable and usually

run pretty fast. This is a huge advantage for end Users as it gives

you the environment to build your own reports, right in Excel. It

also means that you rarely have to visit with your IT team to get a

report built.

When we started our business intelligence practice there weren’t

very many third-party tools that could do everything we wanted to

do, and we created everything manually. That is not the case today,

and there are many that provide very robust solutions, getting you 80

percent to goal straight out of the box. If we were to start today, we

wouldn’t build our own tool; we’d most likely go with a vendor and

customize their solution to fit our needs.

Speaking of Vendors

Vendors are never short of flashy demos that will knock your

socks off. Don’t start your business intelligence plan with the vendor.

Instead, talk with Users and find out what they’re doing and what

their own organization’s requirements are. After those conversations,

go to the vendor and tell them what you need – sales to budgets year

over year, pull in marketing data from CRM, etc.

It’s also a good practice to ask a vendor for references and then talk

to two or three of their Customers. They’re the ones who are going

to tell you how fantastic it is, what the limitations are, and what the

implementation was like.

There you have it: some tips for building your own reporting story.

It may take a little time and energy, but when you start to see what

couldn’t be seen before, it’s completely worth it. NAVUG

When Barbara Thompson moved across the United

States in 2003 to join Medifast, a diet food

manufacturer and retailer, she became controller

of a company with $25 million in annual sales.

Today, sales exceed $298 million per year, and

at the helm of it all, as it has been since 2001, is Microsoft Dynamics

NAV. The solution is supplemented by the company’s participation in

both national and local activities sponsored by NAVUG™, including

classes and webinars taught by Thompson.

One thing that has changed over the years is Thompson’s position

with Medifast. In 2010 she stepped out of the controller role and

became the director of financial systems. “I’m a big believer in asking

yourself regularly if you’re becoming the person you want to become,

if you’re doing what you’re passionate about,” she says. “We split

my old job in two because I was getting much more involved and

interested in the financial systems.”

Figuring out what she wants to do and then doing it isn’t new

for Thompson, who grew up surfing, swimming, and sailing in the

coastal town of Gisborne, New Zealand. Thompson’s two brothers are

championship sailors, and she and her oldest brother are breaststroke

swimming champions. Thompson herself learned to sail with a

seven-foot boat in a 20-foot-deep sea and winds of up to 30 knots.

“That’s how I grew up,” she says. In her 20s she moved to Seattle, got

married, had a couple of children and, in her 30s, got an accounting

degree. Her 30s and 40s found her running marathons, competing in

triathlons and bike racing, “and things like that.” One day, something

surprising happened: “I had a friend who let me borrow his single

rowing shell. I had never been in a shell, and I couldn’t keep it upright.

It beat me, and so I became determined to learn it.”

These days, Thompson lives on the other side of the continent, in

Annapolis, Maryland, where she rises several times each week at 4:30

in the morning in order to have her hands on her rowing shell at 5 a.m.

sharp so that she, along with the three other women in her group, can

carry the 400-pound craft to the water and begin the day’s practice.

Thompson describes rowing as both an art and a science.

First, the science. “Rowing is finite and precise,” she says. “It

attracts engineers and accountants but also people who are really into

teams. A lot of the training and teamwork from rowing applies to the

management of my finance team. Just as we all have to work together

to pick up the boat, it’s the same thing when you close month end.

My teams on the water and in the office are best because we work

hard with and for each other. We cover for each other, and we work

together to accomplish something specific.”

But there’s a less quantifiable though equally compelling side to

rowing as well. “We leave in the dark, and there is nothing like sitting

in a boat, rowing and watching the sunrise with your girlfriends,” she

says. “My rowing mates and I have gone through a lot together. We’ve

lost children and parents together. It’s the most soul-stirring sport I’ve

ever done. We’re not talking when the sun rises. We just row as a team.”

There are similarities, Thompson says, between rowing and

managing the financials. “Both are about challenging yourself and

becoming the best you can be,” she says. “Even though you’re doing it

with other people, you’re still working on your own growth. My job is

interesting to me because I like to think a lot and solve problems on

my own, but I also have high group needs. Who knew?”

Learning about yourself, Thompson says, is essential to fulfillment.

(She recommends “What Color is Your Parachute?” by Richard

Bolles as a starting point). “Put some time into understanding what

will make you happy and whole as a person, and then create your

own life,” she says, and then offers her approach to the weekend as an

example. “I go to bed early on Friday nights because I’m so excited for

the weekend to begin. I have big plans! And then on Sunday I go to

bed early again because I’m looking forward to coming back to work,

and that’s because I love my job.” NAVUG

Analysis reports and analysis by dimensions are the native reporting

options that extend Microsoft Dynamics NAV reporting to

the item ledger entries generated from the sales, purchasing, and

inventory areas of the application. I find that many Users don’t

know that this reporting option exists; I think it is one of the more

underutilized areas by Microsoft Dynamics NAV financial Users.

These reporting options can be found on the general ledger, sales

and marketing, purchasing, and inventory menus.

The main advantage this reporting tool has over account schedules

is that it reaches a further level of detail that just isn’t recorded on the

general ledger. Being able to get to quantity information at the item

or location level in addition to the dollar values posted makes these

tools very helpful as a way to get operational reporting.

What is the difference between the

two?

Analysis by dimensions is a query tool. The key to using this tool

effectively is to use aggressive filtering, especially if you have a large

number of items. It can be a very quick way to get information about

what may be going on with a single or small group of items. You can

also export to Microsoft Excel, and it shows up in a pivot table.

Analysis reports allows you to configure and save row setups and

column layouts for later use, which makes it a reporting tool. These

reports work a lot like account schedules, with some added features

to accommodate the additional data you can reach because you’re

reporting against the item ledger entry tables instead of the general

ledger.

A few hints on analysis reports and

analysis by dimensions:

» Skip the analysis report on the general ledger menu and use

accounts schedules; you’re not going to get any added value here.

» When posting sales or purchase orders, you must be fully

utilizing the sub module, i.e. do not allow any posting of lines

to general ledger accounts on the sales or purchase order

documents. Any posting that goes “around” these modules will

cause your analysis report to show a lower number than what

is on your general ledger. Avoid the argument of reporting

credibility by understanding this and either being able to explain

the variance or prevent it from happening altogether.

» Know that analysis reports will not automatically update if you

add new items. You’ll need to go in and do this manually to each

report every time you add new items.

Who knew that keyboard shortcuts could be so darn controversial?

I recently got the chance to present a Microsoft Dynamics

NAV tips and tricks session at the NAVUG™ Midwest Regional

Chapter meeting, and one topic that came up again and again was

what keyboard shortcuts were changing in the transition from the

classic client to the role-tailored client (RTC).

The first discussion started as a rumor during the social hour the

night prior. “Did you hear they’re getting rid of F8?” “No, they can’t get

rid of F8!” “What’ll we do without F8?” “Oh, my inventory accountant

is going to hate that!” “Well, I heard they’re changing everything.”

Lucky for us, we had quite a few folks there who have already been

using the RTC who were able to quite handily put that vicious rumor

to rest. F8 is firmly available to copy the field above in the new client,

just as it has been in the classic client.

There are quite a few other things that are just simply changing,

and I think the changes make a whole lot of sense.

Take F3. F3 has been the constant companion of the Microsoft

Dynamics NAV User, utilized whenever we needed to designate a

new record, a new line, a new document, or a new card. Anything

new has been F3. This has been replaced with four new commands

in the RTC. Complicated? No; I think that Microsoft has made a

concerted effort to simplify by making keyboard shortcuts more

consistent with other Microsoft Office products. Even though four

new commands are replacing one, I think that Ctrl+N will come

quite naturally to someone wanting to create a new record. Likewise,

Ctrl+Insert makes sense for inserting a new line. Ctrl+Shift+C for

opening a new card and Ctrl+F2 for creating a new document may

be a little taxing, but I’m betting we’ll all get used to it. Frankly, I’m

glad to see Microsoft making it easier and more consistent for new

Users to adopt.

I’m sure I may utter an oath or two when I hit F3 in the RTC and

instead of getting a new record, get bumped into a field filter. But

I sure will appreciate many of the brand new keyboard shortcuts

that support RTC features that we’ve never had before like Alt+Tab

to switch among open windows and F5 which now acts as a refresh

command, just like it does in other programs.

the first document I give to my end Users when we start working on

our transition to the RTC. There will always be fear of change, even

with small things like keyboard shortcuts.

Encourage folks to look for the consistencies and efficiencies

gained with the new ones and remind them: at least they didn’t get

David Worthington has been with Microsoft for more

than five years. He started on the Microsoft Dynamics

Mobile team and then moved to a role as a test lead

for the Microsoft Dynamics NAV tools and reporting

team, which is made up of 15 people that concentrate

on the development environment and creation of reports. NAVUG™

spent some time with David to learn about what his team is up to

as development on Microsoft Dynamics NAV 2013 wraps up, what

they’ll focus on next, and why he’s excited for Users to experience

the reporting tools in the next product release.

NAVUG: Are you still busy with Microsoft Dynamics NAV 2013 or

is your work there complete?

David Worthington (DW): We’re putting the final touches on the

product now, working through the feedback and issues that came

in from the TAP (technology adoption program). Our development

work has finished, but we want to make sure the release meets the

expectations of Partners and Customers.

We’ve been focusing a lot on the upgrade story and trying to make

that process as easy as possible for our Customers.

NAVUG: Do you also have one eye on a future release? How does

that planning calendar work?

DW: We’re definitely looking forward to the next version and how

things that were not included in Microsoft Dynamics NAV 2013

might be worked into a new version or an enhancement to this

product. We could also get feedback that changes what we do in the

next version.

NAVUG: What can you tell us about reporting in Microsoft

Dynamics NAV 2013?

DW: Microsoft Dynamics NAV 2013 moves to a new reporting

story, using Microsoft Visual Studio® to design reports and standard

Microsoft reporting tools to display reports. That’s something we

started with Microsoft Dynamics NAV 2009. In that version, Users

had the option to keep the classic reporting functionality or try the

new reporting tools through Visual Studio.

Allowing people to run in both environments forced a lot of

compromises in the product, so we’re focused on making this change to

Visual Studio a good one for Customers who had been with the classic

reporting. Customers who are already using Visual Studio will likely

notice and hopefully enjoy the new features we’ve built into the product.

NAVUG: What are TAP members most excited about when it

comes to reporting tools in Microsoft Dynamics NAV 2013?

DW: I would say the improved Role-Tailored Client report design

experience with the new report dataset designer and the optimized

dataset with labels and parameters.

NAVUG: How will the new reporting tool make a User’s (work)

life easier?

DW: I think they’ll feel more productive, especially when it comes to

designing reports with the new report dataset designer, as the focus

is on RDLC (client report definition) reports with no hybrid reports

available.

NAVUG: Do you interact with a lot of Users in your role?

DW: Most of my interaction with Users is via their submissions in

Connect (the Microsoft feedback tool available at https://connect.

microsoft.com/dynamicssuggestions/feedback). I do attend some

conferences and was at Convergence this past year, but most of my

time is spent in the office.

Our office in Vedbaek, Denmark, has a Customer Day each year

when we go onsite to a Customer’s office and see how they work with

the product. It was amazing to see how much of the company we

visited this year is running on Microsoft Dynamics NAV. Everyone

who worked there worked in Microsoft Dynamics NAV.

NAVUG: You mentioned Connect. How do you decide which

features to include in your next set of reporting tools? Do you

use information strictly from Connect, ideas that weren’t

implemented in the past release, or a combination of both?

DW: Realistically both. But if we just looked at Connect and our

backlog, we wouldn’t make any really big changes. For example, I

don’t think Microsoft Dynamics NAV running on Azure was ever

logged. It’s a combination of long-term vision and planning and what

comes in through the tool, especially with reporting as we hear about

things that people need to do to address regulatory practices. We

have to balance all of these different things and decide what is going

to be the best bet.

We also get a lot of feedback from our Community team as they’re

talking to Customers all the time and come back to us with what they

hear via the Community website and events such as Convergence.

NAVUG: What did you think of Convergence?

DW: It was a great experience. I got heaps of feedback. Normally

the people from the Microsoft Dynamics NAV team who go are in

product marketing or management, so I was pretty nervous when

I had the opportunity to go. I’ve been to things like Dev Days and

Directions (a Microsoft Dynamics NAV Partner Conference), but I

was positively surprised by Convergence. Every time I sat down to

lunch and talked with others, I learned their opinions about reporting

in Microsoft Dynamics NAV. It was really interesting to hear their

story as well as how long they’ve been using the solution, especially

those businesses that have grown with it.

NAVUG: We’re excited to see this new product come out soon. If

you were to peg just one, what do you think is going to be the

greatest User benefit with Microsoft Dynamics NAV 2013?

DW: Users will be able to use the new report capabilities with Report

Viewer 2010 and RDLC 2008. Many standard Microsoft Dynamics

NAV reports will also look better than they did with Microsoft

Dynamics NAV 2009, as we have applied the new User experience

guidelines to make use of more RDLC features such as charts, color,

and interactivity. The reports will also have better performance due

to dataset optimizations. NAVUG

Putting Your Data to Work

Business intelligence (BI) is a wonderful concept: take the data you have

accumulated over the years in Microsoft Dynamics NAV and put it to

work for you. But in order to grow a strong BI practice, you need to start

with a good plan.

The Microsoft Dynamics NAV and NAVUG™ communities are

fortunate to have a wealth of reporting experts within User and Partner organizations.

We reached out to Cristian Nicola of NCA Dynamics, Noah Kluge of PrecisionPoint

Software, and Klemen Logar of BI4Dynamics to talk about business intelligence, the

business case for having a reporting strategy, and how you can enhance your own BI

knowledge in order to draw more visibility from your existing data.

Cristian has been a Microsoft Dynamics NAV consultant for more than 10 years. He

created http://dynamicsbiguide.com to share tips and tricks with the community, and

his love of BI goes back to his formative years.

“I’ve been programming since I was 12 years old,” says Cristian. “I’ve always been

attracted to classifying, organizing, and sorting information, and then taking that data

and trying to put it all together into an organized environment, like a library.”

BI allows Cristian to make that library available to his clients, giving them the

opportunity to make decisions they wouldn’t otherwise make had it not been for

seeing data in a new way. In the last few years he has a gained a lot of knowledge of BI

solutions through interviewing multiple vendors in order to pick the best solutions for

his Customers.

Noah’s experience comes from his position as a data analyst and US general manager

for PrecisionPoint Software, an ISV that offers the hypercube, a solution that allows

a User to view and analyze data from multiple sub-ledger sources in a single, unified

environment. His experience came from watching Microsoft Dynamics NAV in action,

studying how the data flows through the product.

Klemen built his reporting knowledge over the years from listening to his clients’

business needs and seeing the challenges they experienced.

“Working on a BI project with a client is very beneficial for both the client and

vendor,” says Klemen. “I get to know the Customer’s business process – their business

routine, key business requirements, and current state on reporting. Understanding the

client’s business is crucial for the successful implementation of a BI project.”

A common thread in the reporting world is that Users want to be able to pull their

own reports rather than rely on a vendor to help them out. But in order to pull those

reports, you need to have the right plan and the right data or you’ll fall into the depths

of “garbage in, garbage out,” according to Klemen.

“The point of BI is to give Users the power of creating reports,” says Cristian. “There’s

a lot of work up front to make sure your reporting solution will enable

you to build those reports, and I like that once you put that in place,

Customers can do this on their own without going to a developer all

the time.”

That upfront work consists of building a strong data foundation so

you’re able to pull the most important information from Microsoft

Dynamics NAV. This task is accomplished by gathering requirements

from your team on what they’d like to see and how they’d like to see it.

Though there are numerous considerations, one example is to think

about how your item and Customer groups will result as hierarchies

in BI.

“Having good item and Customer grouping gives you more

flexibility when working in analytics,” says Klemen. “It’s the same with

chart of accounts in GL and account schedules. Many Customers

don’t use account schedules because they are not very flexible in

Microsoft Dynamics NAV. Yet they are very powerful when you bring

them into BI as it extends the functionality to turn account schedules

into very powerful financial reporting.”

Creating that positive reporting experience is something that

makes all that upfront work worth the effort.

“I love the ability to help people make sound decisions,” says Noah.

“We have a new Customer who has shared that he’s transitioned from

working with 10 reports he’d written in a different environment to

using one of ours to pull data together in one spot.”

In addition to having all that data in one spot, Users can also use

BI for functional analysis, including trend analysis over multiple

years, sales and profit analysis, key performance indicators, and

consolidation over multiple companies. Having this variety of

information at your fingertips can help your organization in so many

ways, from knowing where to look for cost savings to being able to

forecast and plan future activities.

Although BI has been a hot topic the last couple of years, Cristian

believes we’ve just scratched the surface.

“We’re in the early stages of what we know about BI,” says Cristian.

“It was built for trend and data analysis, but I believe we’re going to

move into data mining, which will then be commoditized and in the

cloud. It used to be that companies with an ERP system had a leg up

on their competition as they were able to run their business more

efficiently. Now that more and more companies are using ERP, it’s no

longer a competitive advantage. Users always need to look at what

they can do to set themselves apart.”

As with any software or plan, BI is only of value if you actually

use it, rather than “letting it gather dust on the shelf,” according to

Cristian. Once you have your plan in place, you just need to jump in

and start letting BI work for you.

“There’s definitely a learning curve,” says Cristian. “I’ve spent my

last three to four years living and breathing this, helping Users and

Partners understand what BI is and what it can be used for. It’s so

rewarding to have it click for a Customer. The reason I love being in

the Microsoft Dynamics NAV business is that I’ve had Customers say

that they’re successful because of NAV.”

Adding to that, “BI makes a User’s life easier,” says Noah. “It helps

people and helps their business.”

If you’re in the market for an actual BI solution, be sure to look

around to see what’s available. There are numerous vendors in this

space right now and just as your business is unique in the things

you do with Microsoft Dynamics NAV, each of them has something

slightly different to offer.

“You wouldn’t go out and buy an ERP system without comparing

pricing and vendors, and this is the same thing,” says Cristian. “Check

out at least two or three products, see what they have to offer, and

make the decision that’s best for your organization.”

One other thing to consider concerns the creation of your data

warehouse.

“Building a data warehouse takes a lot of time,” says Noah. “Look

at products in the marketplace that solve that problem and automate

the task for you.”

Implementing a BI practice isn’t something you’ll cross off

your to-do list in a day, but it’s worth it when you think about

the business insight you’ll experience. Even when you have your

practice up and running, there’s still an element of responsibility

for you and your team as BI is an ongoing project. Much like

a seed planted in the ground, a good BI plan will flourish under

Beck Consulting has been in the Microsoft Dynamics NAV

business since 1997. Their very first client, California Dairies,

is still an active client today, and that relationship has paved the

way for Beck Consulting to have a focus on the food industry.

NAVUG: You’ve developed several modules within Microsoft

Dynamics NAV to help Users with their specific industry

needs. Tell me about them.

Cheryl Irons (CI): We have. We’ve created aptly named modules

for the food industry (bcFood), data warehousing (bcData

Warehouse), EDI integration (bcEDI), trade management,

commissions, and programs (bcTrade), document management

(bcProductivity), warehouse management (bcMobile), and

shipping (bcPackandShip), to name a few.

NAVUG: Do you work in verticals outside of the food industry?

CI: Yes, we also work with manufacturing and distribution-

focused Customers. We’re proud to be well known on the West

Coast as Microsoft Dynamics NAV experts and are fortunate to

have low turnover with both our Customers and our personnel,

which have an average of 12 years of experience using Microsoft

Dynamics NAV.

NAVUG: You mentioned bcData Warehouse. You’ve focused

on growing your business intelligence (BI) capabilities

recently. Did you see the need or was it something your Users

asked for?

Jeremy DeVries (JD): Traditionally it’s been a struggle to get

information out of Microsoft Dynamics NAV for reporting

purposes. The person building the report has to understand

the database structure and know the connection between

entities. We decided to create data warehouse

structures and pull in all the information we

could possibly think Users would want to

see, so that when they build a report they can easily pick the

metrics they want.

NAVUG: Do Users then create the reports in Excel or in a

different environment?

JD: They can use any tool that points to the SQL database, such

as PowerPivot, MS Query, SRS, Crystal Reports, and Jet Reports.

NAVUG: What do your Users like about the reporting tools

you’ve created?

JD: It makes it so much easier for them to build a report. They

don’t need to be technical and understand all the table structures,

they just need to know what type of information they want to see

in a report format.

NAVUG: What do you enjoy most about being a Partner?

CI: We love what we do. We love working with Microsoft

Dynamics NAV and all the modules we’ve built into it. It has a

low TCO and is all on one database, making life easier as we don’t

have to integrate with a lot of products from other companies.

We get a lot of accolades from Users and Microsoft because of

how we approach the business.

We have also really enjoyed being part of NAVUG as a

Premium Partner Member. We sit in on the webinars and see

the value that Users receive. We hope to use NAVUG Forum

to educate our customers and will host our own User Group

at NAVUG Forum this fall. One of the managing partners is

also getting involved, leading a Regional Chapter meeting in

Belgium as he’s Dutch. It’s been a pleasure to see such great

NAVUG: Tell me about your company.

Joe Little (JL): Prior to 2002 we were a VAR. Some of our clients

insisted on using Microsoft Excel instead of Microsoft Dynamics

NAV for their reporting, so we gave in and created an Excel-

based tool called GL Link. We were giving it away to friends

within the channel, and people liked it. Pretty soon they were

asking for new versions, and we made the decision to develop

the product. Customers liked the idea of doing work in Excel,

we continued to make improvements, and Jet Reports was born.

Since then, a lot of improvements have been made to reporting

within Microsoft Dynamics NAV, but people still turn to Excel as

the first place for analytics.

NAVUG: Tell me about Jet Reports products.

JL: We offer three solution tiers of Jet Reports. The newest is Jet

Express, which was developed in partnership with Microsoft and

is free to Users who are on Microsoft Dynamics NAV 2009 (soon,

Microsoft Dynamics NAV 2013) current on their Business Ready

Licensing plan. We worked closely with the Microsoft team on this

product to promote the integration story. Our second product is

Jet Essentials, which is an enhanced, Excel embedded reporting

and automation solution. Essentials includes additional features

and functionality that facilitate all the operational reporting and

distribution needs many organizations have. The third is Jet

Enterprise, which is a full business intelligence (BI) product that

has all the reporting components of Jet Essentials, but also has

a BI stack behind it. Jet Enterprise enables Users to create and

maintain cubes, as well as use pre-built cubes and reports for

Microsoft Dynamics NAV.

NAVUG: What sets you apart from your competition?

JL: We pay a lot of attention to the fit factor. We focus on making

the tools work well for the market, with the skills they already

have in house. There are many companies in the market that have

great technology, but don’t have the same attention to fit. Some

require skills with MDX, installation services scripts, etc. That’s

all fine, unless your organization doesn’t have the skills.

NAVUG: What’s on the horizon for Jet Reports?

JL: We have a product in beta right now called Jet Reports

2012 R2. It contains new functionality to work with Microsoft

Dynamics NAV 2013. Because it’s part of that new platform, it

uses web services and runs on Windows Azure.

NAVUG: You mentioned this briefly, but you worked with

Microsoft on providing Jet Reports Express to Users at no charge.

That’s a pretty great relationship to have with Microsoft.

JL: When we agreed to do that, we made some commitments to

Microsoft, one being that when Microsoft Dynamics NAV stepped

up to Azure and web services, we would work on the same platform

and have our products available at the same time as their product

release. There’s a strong commitment there, so we are working

closely with the Technology Advancement Program (TAP) and the

field to make sure everything will work according to plan.

NAVUG: That’s good to hear. A lot of Users are anxious to see

the reporting capabilities of Microsoft Dynamics NAV 2013

as well as what you and other ISVs have planned. You’ve been

working with reporting for a while now. What do you think is

the greatest benefit to having access to quality reports?

JL: You always know how your business is performing and have

one version of the truth to back up your tactics and strategic plan.

You need to have that, or everyone is off on their own planet with

different sets of numbers. You also need the ability to create

reports on the fly and be able to quickly look at something you

didn’t expect so you can get questions answered, off your desk,

and stay productive.

Productivity around the world is at an all-time high. To be

competitive you need to sharpen your tools and be really productive

because everyone else is. A great reporting and BI solution will do

that, enabling you to be efficient and effective. NAVUG

Member. What’s been the most valuable aspect of your

NAVUG membership?

JL: We love hearing what the Users have to say. Many public

events are driven by vendors and there’s a lot of talking “to”

clients – outbound speech, which isn’t really communication.

NAVUG is reversed. At first we weren’t sure if that would be

true, but it’s very End User-based. Users determine what they

want to hear, and then speakers are found on that topic. So as

a Partner, when we’re asked to present, it’s fantastic to speak

about what people want to know.
