NCFE, a qualifi cation awarding organization and registered charity based in Newcastle upon Tyne, England, has 160 staff and

Th is past December, Skagit Gardens decided to create some holiday fun and excitement in its hometown of Mount Vernon, Washington. Th e Universal Sanitary Equipment Manufacturing Company (USEMCO), based out of Tomah, Wisconsin, developed a digester operation specifi cally to encompass small-herd operations. Th e USEMCO design caters to farms with 150 to 200 cows, and its pilot project came online earlier this spring. “Wisconsin is known for its many small, family-owned dairy farms. By developing a digester system that taps the renewable energy of these farms, we are greatly increasing the potential production of renewables while helping farmers minimize farm waste,” said Pat Rezin, president of USEMCO. USEMCO was awarded the Special Agricultural Facility Grant from the State of Wisconsin to develop and demonstrate an anaerobic digester that is cost-eff ective for small farms. Thinking about an upgrade? NAVUG™ spoke with Kim Congleton, director of IT for Group O, Per Mogensen, owner of Mergetool.com, and Greg Kaupp, CEO of ArcherPoint to find out what you need to consider to make your next upgrade a success…and to keep your

team talking to each other afterwards.The First StepsYou might feel ready, but are you? “When a User is ready to

upgrade, the first step they should take is to have an upgrade analysis

performed by a Partner that regularly does upgrades,” says Greg.

“An upgrade analysis will help a User determine the best approach,

estimated cost, and timeline. An upfront analysis is the best way to

ensure that a User will get the outcomes they are hoping for at the

completion of the upgrade.”Another way to get your upgrade off on the best foot is by involving

your key stakeholders. “The best thing you can do is get the business

case for the upgrade approved by your leadership team,” says Kim. “We select a leader from the business side to partner with the IT team and hold a kick-off meeting to present the project timeline and our objectives to management.”

Ask for HelpMany Users and Partners don’t have the

resources to focus all their efforts on an upgrade. “There are Partners out there that specialize in doing upgrades and at a reasonable cost,” says Per. “If you want to get there fast, you need to bring in resources that can help you be efficient and cost effective.”

Another group to ask is your Users. The people who use the software on a daily basis to make sure the upgrade will accomplish what they need to do. “It also works well to have Users participate in the testing process,” says Kim. “We had our Users write test scripts, which helped them get up to speed on changes, and we were able to use them as well when fixing defects.”

Start FreshIf you’re upgrading from a version older than Microsoft Dynamics NAV 2009, take the time to clean up your system and discover what you need…or don’t need. “Don’t create one single more report in Microsoft Dynamics NAV,” says Per. “It’s very expensive to redo a report as there’s no good conversion tool.

It also may make more sense to just re-implement than do a crunch of all of your code.”Also mentioned by Dmitry Chadayev (page 16), a transformation tool automates the work you need to do. “If you transform it rather than redevelop it, chances are 99 percent of it will be accepted, reducing the cost of your upgrade,” says Per.

Before You Flip the SwitchThe last thing you want is a huge headache after going live. Remedy that by testing, testing, testing. “We tested on the server we’re going live with so we can make sure the performance and connections are ready when we go live,” says Kim.

Kim also creates a checklist for go-live weekend and then puts it through the paces. “We run through our mock upgrade two to three times to make sure we know what’s going to happen and what we’ll run into on go-live weekend,” says Kim. “Practicing what the IT group will face and making sure employees know what to expect on Monday morning is critical to an upgrade’s success.”Follow Up

The upgrade doesn’t end with going live. “We support Users for two to three weeks after the upgrade,” says Kim. “Our goal is to have them prepared and ready to face whatever new things there are before the upgrade, but after the deployment, we meet weekly to address issues.”“After 30 days we hold a ‘lessons learned’ meeting to review what worked and what didn’t to prepare for the next upgrade,” continues Kim.

Reaping the Benefits“Microsoft Dynamics NAV 2009 did not deliver all the features as expected,” says Per. “Microsoft Dynamics NAV 2013 is fully functional and ready to go. It’s worth upgrading to this one. The performance functionality is more than doubled. The product is complete and truly ready for Users.”Greater productivity and more features are a given, but there’s more to look forward to with an upgrade. “Probably the biggest fringe benefit to committing to an upgrade is that it challenges the status quo,” says Greg. “An upgrade is a great opportunity to rethink the business and ask ourselves why we do things the way we do them.”

One of the most exciting things in the NAVUG™ community right now is the release of

Microsoft Dynamics NAV 2013. I can’t tell you how many Users, Partners, and even

Microsoft employees have told me that this is the best release yet.

Usually when a new version is released, I hear a lot of chatter about how there are some

great new features – but people typically have to think about the upgrade process and if the

expense is worth it. Not this time. Everyone seems to be fi guring out “when” – not “if”.

As part of our Microsoft Dynamics NAV 2013 webinar series, NAVUG recently hosted a

session on the new Cash Flow feature in Microsoft Dynamics NAV 2013. When Brian Nielsen

was done presenting the webinar, there were no questions; that’s a bit odd. And then one User

said, “It’s so exciting; we are stunned! We can’t wait to use it.” Another said, “Great session!

Our fi nance team will be excited about this feature...one more reason for us to upgrade!”

Th is is the feedback I hear every day. As such, I encourage you to read this issue with

your next upgrade in mind. Whether it is already planned or is just a seed planted in your

executives’ minds, know that this latest version of Microsoft Dynamics NAV can change your

business.

If you are at Convergence, you will have many great opportunities to meet fellow NAVUG

Members, share experiences, and learn from one another. NAVUG will host six breakout

sessions on Monday, followed by roundtable discussions based on your job role and “hot

topics”. You’ll also see your NAVUG peers leading many sessions – both interactive discussions

and concurrent sessions – throughout the week. What a fantastic opportunity to hear all

about Microsoft Dynamics NAV 2013 in person!

For those unable to attend Convergence, we’ll host as many sessions as we can as webinars.

Th ey’ll be listed at NAVUG.com/events, and their titles will begin with “NAVUG Convergence

Encore”.

Plus, we have many other great in-person NAVUG Events going on this year. Our annual

meeting in Waupaca, Wisconsin will be held on May 22 (more details can be found in the

Regional Chapter News on page 8). Also, we have already begun planning for NAVUG Forum.

Mark your calendar for October 21-24 and join us for this User group conference that will

be held in Tampa, Florida. Th is will be our best conference yet! (It also happens to be where I

live…so I can tell you all the good places to eat…and maybe grab a beverage or two).

Lastly, we are planning a User group conference in Germany in November. We know many

of our Users have operations outside the United States, and sending Users across the pond

isn’t always feasible. Keep an eye out for more details.

Th e Universal Sanitary Equipment

Manufacturing Company (USEMCO), based

out of Tomah, Wisconsin, developed a digester operation specifi cally

to encompass small-herd operations. Th e USEMCO design caters to

farms with 150 to 200 cows, and its pilot project came online earlier this

spring. “Wisconsin is known for its many small, family-owned dairy

farms. By developing a digester system that taps the renewable energy

of these farms, we are greatly increasing the potential production of

renewables while helping farmers minimize farm waste,” said Pat

Rezin, president of USEMCO. USEMCO was awarded the Special

Agricultural Facility Grant from the State of Wisconsin to develop and

demonstrate an anaerobic digester that is cost-eff ective for small farms.

Have you ever heard of Waupaca, Wisconsin? Well, neither had

I until a few years ago. Now it’s one of my favorite places to go each

year. And I hope you can join us there on May 22 for our annual

NAVUG™ Midwest Regional Chapter meeting. Th ings get started the

evening of May 21 with a welcome reception, followed by a full day of

Microsoft Dynamics NAV education.

Chapter leader Scott Rose polled Users, and the result is a great

lineup of sessions. Th ere will be 13 diff erent sessions to choose

Regional Chapter Newsfrom, including a deep dive into reporting. We’ll also cover budgets

in Microsoft Dynamics NAV, OData (a new feature in Microsoft

Dynamics NAV 2013), upgrading tips and tricks, and more – and

leave plenty of time for networking and sharing best practices.

We’ll also have plenty of ISVs on hand with a mini tradeshow so

you can learn about the various products during breaks. You’ll see

Equisys, Fastpath, Jet Reports, Lanham Associates, Mergetool.com,

Sologlobe, TARGIT, and more!

Many analogies can be drawn from the fact that the fi rst NAVUG™

event in Europe was held just down the street from the site of

the ancient Roman Forum. Like the Forum, the event was a place to

gather and share information.  Although the ancient Romans most

likely weren’t discussing business issues and their company’s use of

Microsoft Dynamics NAV, the premise of value through community

stood clear.

In January, NAVUG hosted Users from Denmark, France, Germany,

Italy, Kenya, Liechtenstein, Portugal, Spain, Th e Netherlands, and the

United States at the Microsoft offi ces in Rome. Th is two-day event

brought together several diff erent Microsoft Dynamics NAV User

groups from across Europe.

In a quick couple of days, these groups got to participate in many

activities including speed networking, educational sessions, roundtable

discussions, and ask the expert panels.

“One of the fi rst thoughts that come to my mind is the feeling that

we are not alone in this. We now have access to other Users who have

similar problems or are using the system in a diff erent way. Th is gives us

comfort in using the product. Secondly the speakers at the event were

very passionate about the topics, and we went back with a feeling that

we can do so much more,” said Nisheel Shah, CFO of Osho Chemical

Industries Limited, who traveled from Kenya for the event.

Th e event spawned the idea for a Federation of Dynamics

Associations where the varying User groups can come together

and share thoughts and ideas with each other and connect through

a worldwide dialog. While Users in a country have much to discuss

about localization issues, there are many opportunities for sharing

knowledge around issues that are global in nature. 

While some countries, like Germany and Th e Netherlands, already

have established User groups, NAVUG was able to start chapters in

countries that were without, such as Kenya.

Microsoft Dynamics NAV enjoys a worldwide reputation as a leading financial management system, but for a family-

owned alarm business located west of Chicago, the accounting is just the beginning. It has helped Alarm Detection Systems develop a reputation for impeccable management of inspections required for fire alarms. The company’s Microsoft Dynamics NAV solution coordinates via smartphones with more than 100 field-based technicians.

In fact, Alarm Detection System’s approach to using Microsoft Dynamics NAV was recently recognized and honored by Microsoft: the company was chosen as the 2013 Customer Excellence: Small and Medium Busines award winner. With more than 200 employees, the business has thousands of customers who rely on the company for a range of alarm systems, from burglar, fire, and card access to closed-circuit television. Based on monthly revenue, Alarm Detection Systems is one of the 25 largest alarm companies in the country.

“As an alarm company, the monitoring technology is the most important, but Microsoft Dynamics NAV is definitely second,” says Mark Schramm, MIS manager, who explains that while there is a lot of base and enhanced Microsoft Dynamics NAV capabilities that are used (AP, payroll, and inventory, for example), the ease with which the code within the solution can be accessed and customized contributed to the ability to develop programs to improve the management of inspections, inventory, and service calls. In fact, Microsoft Dynamics NAV is so integral to the daily routine at Alarm Detection Systems that people throughout the company refer to it not as the accounting system but as the business system. “When a system such as document imaging is down, people say NAV is down,” Mark says. “It’s that seamless.”

Unfortunately, seamless was not the word that would describe the company’s records pertaining to fire alarm inspections. Businesses are required to have their alarms inspected regularly, but different devices require different inspections at different intervals. Alarm Detection Systems used Excel to manage the information, which included issuing reports and notifying fire departments of inspection results. The complexity of the report interactions required the company to find a more robust solution. After looking at several systems used in the industry, including a cloud-based offering that charged a fee every time something was scanned, Mark decided to develop a solution in-house. “We’ve been complimented on the accuracy of our testing reports,” he says. “And we deployed a system that performs to our needs.”

The tasks Mark throws at Microsoft Dynamics NAV aren’t stopped by physical walls. He and his team recently built a dispatch system within Microsoft Dynamics NAV that works with the smartphones used by the company’s more than 100 field technicians. In turn, they use it to manage the status on tickets and document the time they’ve spent on each call. “We’re working on using the data from the phones to automate time keeping,” Mark says.

After more than a decade using the technology, it might seem like the appeal of a User group would start to wane, but for Mark it’s the exact opposite. “I wasn’t that involved until recently,” he says. His VAR started a local chapter in Madison, Wisconsin, which has evolved into the NAVUG Midwest Regional Chapter. Mark has presented on topics such as handhelds and reporting, and he and Alarm Detection Systems even hosted one of the meetings last year. But for him the main draw is learning. “Even if people are talking about doing things at a business that’s totally different from ours, I always come back with ideas on how I can use what I learned,” he says. as the Role Center page. Each User can personalize it to suit his/her preferences with Activity Cues, Microsoft Outlook highlights, short-lists (of selected Customers, Vendors, and Items), and Charts.

Microsoft Dynamics NAV 2009 comes pre-loaded with about 40 charts, and more custom charts can easily be created or imported. To view the list of charts from the RTC, navigate to Departments > Administration > (Application Setup) > RoleTailored Client > (Lists) > Charts. (In the Classic Client, look under the same menus but start with Administration since there is no Departments menu.)

Being familiar with Microsoft Dynamics NAV table object numbers, you will immediately notice that the Chart IDs tell you

what table they are linked to. For example, Chart IDs 18-01 and 18-02 are related to Table 18 (Customer). If you were to create a new Chart that was linked to the Customer table, the ID could be 18-03 or 18-50000. I prefer the latter, in case the next release of Microsoft Dynamics NAV includes more built-in charts which would likely be numbered 18-03, 18-04 etc.

Let’s look at Chart ID 18-01 (Sales & Profit per KeyAcc). Go back to the Home > Role Center page, and add this chart to the page. By default, it should look something like this:

The Y-axis represents the Sales and Profit amounts in ($), while the X-axis represents the Customer Nos (as highlighted with the red arrows).

In most cases, you (or your client) may not be able to readily infer the Customer’s name from the Customer No., especially if they are plentiful and a generic sequential numbering series is being used. In this Tips & Tricks article, we will modify this chart to display the Customer Name instead of Customer No.

Go back to the Charts list page (Departments > Administration > …), and click on the row for Chart ID 18-01. Click on Actions > Functions > Export Chart. Save the XML file to an easily accessible location such as your Desktop or My Documents folder, and name it 18-01Custom.xml instead of the pre-assigned filename Default.XML.

Open this XML document with your favorite XML editor (or Notepad). Look under  <XAxis> for  <Field Name=”No.” />. Since we want to display the Customer Name, we need to replace “No.” to

“Name” (i.e., display Field 2 from Table 18 instead of Field 1).Once changed, it will look like this: <Field Name=”Name” />Next, update the  <Caption>  values as well by changing  <Text

ID=”ENU”>Customer No.</Text>  to  <Text ID=”ENU”>Customer Name</Text>.

This line appears twice in the XML file, so be sure to update both. Save the file as 18-50000.xml and close your XML editor/Notepad.

In Microsoft Dynamics NAV on the Charts page, click the New icon on the Charts page. In the window that pops up, type in 18-50000 in the ID column. In the Name column, type in Custom-Sales and Profit KeyAcc. Click OK.

Back on the Charts page, find and click on the row for our new Chart ID  18-50000. You will notice that the column titled  Data  is unchecked (if it is not visible on the page, use Choose Columns to make it visible). The Data field is only checked when an XML chart definition exists for the Chart ID.

Click on Actions > Functions > Import Chart and select 18-50000.xml to import it into Microsoft Dynamics NAV. The Data column will now contain a check mark.

Finally, go back to the  Home > Role Center  page, remove Chart ID 18-01, and add Chart ID 18-50000 to the page in its place. Your

modified chart will now show Customer Names (in alphabetical order) on the X-Axis.

In this walkthrough, we made a very simple modification to a built-in chart. Back in the XML file, you will find other parameters that can be modified such as the Date filter, Customer filter, etc. After making any additional desired changes, save the XML file and follow the steps above to import the XML file to our Chart ID 18-50000.

This  line  appears  twice  in  the  XML  file,  so  be  sure  to  update  both.  Save  the  file  as  18-­‐50000.xml  and  close  your  XML  editor/Notepad.  

In  Microsoft  Dynamics  NAV  on  the  Charts  page,  click  the  New  icon  on  the  Charts  page.  In  the  window  

that  pops  up,  type  in  18-­‐50000  in  the  ID  column.  In  the  Name  column,  type  in  Custom-­‐Sales  and  Profit  KeyAcc.  Click  OK.  

Back  on  the  Charts  page,  find  and  click  on  the  row  for  our  new  Chart  ID  18-­‐50000.  You  will  notice  that  the  column  titled  Data  is  unchecked  (if  it  is  not  visible  on  the  page,  use  Choose  Columns  to  make  it  

visible).  The  Data  field  is  only  checked  when  an  XML  chart  definition  exists  for  the  Chart  ID.  

Click  on  Actions  >  Functions  >  Import  Chart  and  select  18-­‐50000.xml  to  import  it  into  Microsoft  Dynamics  NAV.  The  Data  column  will  now  contain  a  check  mark.  

Finally,  go  back  to  the  Home  >  Role  Center  page,  remove  Chart  ID  18-­‐01,  and  add  Chart  ID  18-­‐50000  to  the  page  in  its  place.  Your  modified  chart  will  now  show  Customer  Names  (in  alphabetical  order)  on  the  

X-­‐Axis.  

 

 

In  this  walkthrough,  we  made  a  very  simple  modification  to  a  built-­‐in  chart.  Back  in  the  XML  file,  you  will  find  other  parameters  that  can  be  modified  such  as  the  Date  filter,  Customer  filter,  etc.  After  making  any  

additional  desired  changes,  save  the  XML  file  and  follow  the  steps  above  to  import  the  XML  file  to  our  Chart  ID  18-­‐50000.

Dmitry Chadayev works as a senior program manager on the Microsoft Dynamics NAV research and

development team and focuses on implementing the end-to-end experience of Microsoft Dynamics NAV on Windows Azure or other hosting platforms. He’s been with the group for two years and prior to that he was a development manager for a large Microsoft Dynamics NAV Partner, working with Partners on their upgrade solutions.

NAVUG: In your role, you work mostly with Partners. What’s the main focus of your work with them?Dmitry Chadayev (DC): Partners that specialize in hosting solutions should have better tools and techniques to manage deployments. My goal is to make it easier for them to manage volume business through easier provisioning, monitoring, and upgrading of Microsoft Dynamics NAV deployments.

There are two types of hosting Partners: one is the conventional hosting company that used to host something else and is now also hosting Microsoft Dynamics NAV with help from Microsoft Dynamics NAV Partners; the other is large-sized Microsoft Dynamics NAV Partners that now specialize in hosting the product. We target both of these groups within our team.

NAVUG: You’ve presented sessions at NAVUG Forum and Convergence on upgrade benefits, strategy, and tools. What advice do you have for Users who are considering an upgrade? DC: I would advise them to seriously consider the upgrade to Microsoft Dynamics NAV 2013. In the past, the situation was that people would wait until the next release to make sure the product is stable enough. With Microsoft Dynamics NAV 2013, the story is different.

The product has benefitted from TAP and beta testing, as Brett Johnson shared in the winter issue of NAVUG Magazine. Even before it was released, we had a number of Customers running on Microsoft Dynamics NAV 2013, and that addressed a lot of issues before release.

Additionally, we have benefited a lot from adopting agile mode of

development for our internal processes at Microsoft, which among other things, suggests a high degree of automated testing (we have automated test scripts that run on a daily basis, covering numerous end-to-end scenarios) and that every team has a goal of cleaning up known bugs before we move on to new features. That means we discover and fix bugs earlier during the course of development.

I’d really like to emphasize the quality of development. The Customer feedback plus significant investments in testing process really mean a quality product.

NAVUG: What are some of your favorite things about this release?DC: Among my favorites are the technological improvements. We’ve rewritten the data access layer in managed code so that we’re now capable of optimizing code for SQL Server®, which offers a lot of performance improvement. Critical scenarios like creating and posting an order, data look ups, browsing calculated lists etc., all these actions run much faster than on previous three-tier release and with reduced blocking/deadlocking of simultaneous Users as we’re using standard Microsoft technology to talk to other standard Microsoft technologies.

The RapidStart Services feature is really neat for when it comes to setting up Microsoft Dynamics NAV for new Customers. It keeps the setup process transparent and well structured, giving the Customers freedom to bring their own data into their version of Microsoft Dynamics NAV.

Finally, we’ve added three large application areas making them “first class citizens” – cash flow forecasting, cost accounting, and assembly management, which is known to North American Users as “kitting.” These used to be local country features, but they’ve now been revisited and redesigned to blend seamlessly into the financial management area of the application as well as into order management, inventory, planning, and warehousing functionality of Microsoft Dynamics NAV. New charting and reporting capabilities of the product made these features not only convenient, but also likable for the Users.

NAVUG: Many Users are on older versions of Microsoft Dynamics NAV. What is the path for them to upgrade?DC: Certain code and the objects in older versions of the product are not supported in Microsoft Dynamics NAV 2013, so Partners need to upgrade that code from the old, classic stack to the new, three- tier architecture using Microsoft Dynamics NAV 2009 SP1 or R2 development environment and the transformation tool released with it. The transformation tool enables you to convert forms to pages, you use Visual Studio Report Designer to turn classic reports to RDLC reports, and you use Microsoft Dynamics NAV 2009 Development Environment to make the necessary code adjustments related to three-tier operations.

However with Microsoft Dynamics NAV 2013 released, Partners can leverage its enhanced development environment to fine-tune the “row” objects they got from using the transformation tool and the report designer in Microsoft Dynamics NAV 2009. For instance, they can take page objects produced by the transformation tool, import them into the Microsoft Dynamics NAV 2013 development environment, and finish them there. Visual Studio 2010 Report Designer in combination with the new Report Dataset Designer in the C/SIDE is also superior compared to what we had in Microsoft Dynamics NAV 2009.

your business. We will not straight away make it faster for the Partners to integrate changes coming from Microsoft or ISVs into their solutions, although we are looking at optimizing those scenarios too. But for the end Users it should be a smooth experience, rather than going through painful, error-prone upgrades that take days. They’d pay for those upgrades to happen automatically as a subscription and keep up with upgrades as seamlessly as possible. NAVUG

NAVUG: Would using Microsoft Dynamics NAV 2009 mean that Users would have to purchase both products?DC: Absolutely not. Looking at the upgrade process from a licensing perspective, no Customer will be required to pay more for Microsoft Dynamics NAV 2013 based on the fact that they have to go through Microsoft Dynamics NAV 2009 to get there. The major cost factor is the upgrade itself – the work that should be done to transition to the modern technology platform. This cost is split into two parts, with the first part mostly the mechanical transformation of classic objects into new objects. Quite often this first part can be done by Partners that specialize in upgrades as they have automated the process and can do the work faster and expensively. Some of these Partners also build ROI calculation tools to help Users figure out the financial benefits of an upgrade.

The second part is the customizations specific to the User. Here again, it’s best to work with a Partner as they can help figure out how to bring custom functionality into the new version.

NAVUG: Will future versions of Microsoft Dynamics NAV become more standardized or will custom development still have a big part of the product strategy?DC: We want to deploy and release products at a quicker rate, at least once a year. We need to make sure Users and Partners can absorb those changes quickly and to do that several components are essential. They need the right tools on both platform and application levels.

To do this effectively, we need the application to change — less customized to each User and a more standardized solution that suit a branch in a business. This doesn’t mean that Microsoft Dynamics NAV customization capabilities will go away, as Microsoft Dynamics NAV is known for ease of customization.

Our goal is to provide a similar experience as you’d get with a phone application. You see there is a new version, push the button, and get the new version, or better yet – have your cloud provider update it for you without disrupting

team talking to each other afterwards.

The First StepsYou might feel ready, but are you? “When a User is ready to

upgrade, the first step they should take is to have an upgrade analysis performed by a Partner that regularly does upgrades,” says Greg. “An upgrade analysis will help a User determine the best approach, estimated cost, and timeline. An upfront analysis is the best way to ensure that a User will get the outcomes they are hoping for at the completion of the upgrade.”

Another way to get your upgrade off on the best foot is by involving your key stakeholders. “The best thing you can do is get the business

e case for the upgrade approved by your leadership team,” says Kim. “We select a leader from the business side to partner with the IT team and hold a kick-off meeting to present the project timeline and our objectives to management.”

Ask for HelpMany Users and Partners don’t have the

resources to focus all their efforts on an upgrade. “There are Partners out there that specialize in doing upgrades and at a reasonable cost,” says Per. “If you want to get there fast, you need to bring in resources that can help you be efficient and cost effective.”

Another group to ask is your Users. The people who use the software on a daily basis to make sure the upgrade will accomplish what they need to do. “It also works well to have Users participate in the testing process,” says Kim. “We had our Users write test scripts, which helped them get up to speed on changes, and we were able to use them as well when fixing defects.”

Start FreshIf you’re upgrading

from a version older than Microsoft Dynamics NAV 2009, take the time to clean up your system and discover what you need…or don’t need. “Don’t create one single more report in Microsoft Dynamics NAV,” says Per. “It’s very expensive to redo a report as there’s no good conversion tool. It also may make more sense to just re-implement than do a crunch of all of your code.”

Also mentioned by Dmitry Chadayev (page 16), a transformation tool automates the work you need to do. “If you transform it rather than redevelop it, chances are 99 percent of it will be accepted, reducing the cost of your upgrade,” says Per.

Before You Flip the SwitchThe last thing you want is a huge headache

after going live. Remedy that by testing, testing, testing. “We tested on the server we’re going live with so we can make sure the performance and connections are ready when we go live,” says Kim.

Kim also creates a checklist for go-live weekend and then puts it through the paces. “We run through our mock upgrade two to three times to make sure we know what’s going to happen and what we’ll run into on go-live weekend,” says Kim. “Practicing what the IT group will face and making sure employees know what to expect on Monday morning is critical to an upgrade’s success.”

Follow UpThe upgrade doesn’t end with going live. “We

support Users for two to three weeks after the upgrade,” says Kim. “Our goal is to have them prepared and ready to face whatever new things there are before the upgrade, but after the deployment, we meet weekly to address issues.”

“After 30 days we hold a ‘lessons learned’ meeting to review what worked and what didn’t to prepare for the next upgrade,” continues Kim.

Reaping the Benefits“Microsoft Dynamics NAV 2009 did not deliver

all the features as expected,” says Per. “Microsoft Dynamics NAV 2013 is fully functional and ready to go. It’s worth upgrading to this one. The performance functionality is more than doubled. The product is complete and truly ready for Users.”

Greater productivity and more features are a given, but there’s more to look forward to with an upgrade. “Probably the biggest fringe benefit to committing to an upgrade is that it challenges the status quo,” says Greg. “An upgrade is a great opportunity to rethink the business and ask ourselves why we do things the way we do them.” NAVUG

Steven Chinsky’s career path features a number of turns that at first look odd but that, on closer inspection, make perfect sense. An accountant by training, he got bored working

with other people’s numbers, so, based on his experience and insight, he went to work for a major Microsoft Dynamics Partner and started installing a very popular ERP system. No slouch, the clients took notice of his work, and last year one of them invited Steven to join the company.

“My goal is to exploit the technology to no end to improve productivity and performance and streamline wherever we can,” says Steven, program/project manager with Quidsi. “We don’t sit here and try to figure out how to cut people. We look at it from a different angle. How can we improve? How can we make our employees’ lives better? We know that better decisions make a better company, which makes a better work experience for all, so my goal is to make the data we get out of Microsoft Dynamics NAV as valuable to our management team as possible.”

While Steven believes the goal is an achievable one, he acknowledges that the company’s rapid expansion and diversification adds to the challenge. Founded in 2005 by two people who had known each other since fifth grade, one of whom had become a parent, the company originally sold baby-related products via telephone orders that were shipped from a garage. For a while the growth was slow, but it wasn’t long before sales quadrupled and fulfillment centers were opened and then sales tripled and then, in 2008, in the midst of a major economic slump, doubled again. The number of employees skyrocketed as well, as did the fulfillment centers in Nevada, Kansas, and Pennsylvania, which grew in response to the amount of web traffic. In fact, two new websites were added – www.soap.com and www.beautybar.com. In 2009, the company that operated the family of web properties became Quidsi. It was named the 35th fastest growing private company by Inc. 500. Diapers.com was recognized for outstanding customer service and named “Elite” online retailer by STELLAService.

It set up corporate headquarters in Jersey City, New Jersey and, in 2010, was bought by Amazon.com in what remains that company’s largest cash acquisition to date.

Not surprisingly, the growth has continued. In 2011 mobile apps were launched and a physical store opened as well as two new sites – www.wag.com for animals and www.yoyo.com for toys. Last year, the company added www.casa.com, www.vine.com, www.afterschool.com, and www.bookworm.com to its portfolio. With 1,155 employees, the company now occupies not one floor in Jersey City but three. One thing, however, remains constant: “It’s the vision and drive of the owners that runs the place,” Steven says.

And Microsoft Dynamics NAV, in a sense, serves as the map.

“It links everything financial together, enabling us to run the back office,” Steven says. While it links together it also makes data retrievable by company, by website, by department, and by location. It integrates transactions with the warehouses for inventory and shipping and receiving management. It integrates with banks for daily reconciliations and with American Express to process transactions on employee accounts. “We try to use as much technology as possible in order to use paper as little as possible,” Steven says.

Steven says he’s planning the upgrade to Microsoft Dynamics NAV 2013 for the second quarter of this year and is simultaneously in the process of implementing an expense reporting automation system. To learn as much about Microsoft Dynamics NAV as possible, and to share his own somewhat unusual perspective based on having been both a Partner and a Customer, Steven is a huge advocate of NAVUG. “It’s a place to gather with peers, with Microsoft people, with ISVs, with anyone who lives and breathes and eats Microsoft Dynamics NAV,” he says. “The benefits far outweigh the cost of membership.” Does he encourage others who work with the technology to participate? “I think it should be mandatory,” he says. Technically speaking, that’s a form of encouragement. NAVUG

Liberty Grove Software was founded by Dave and Karen Studebaker. In 1999, they decided to focus on supporting the Partner channel on special projects and upgrades. The organization started with three individuals (the Studebakers plus Mike Doster) and has since grown

to 20 individuals, still committed to the original focus with the addition of a few other areas of expertise.

NAVUG: Your company literally wrote the book on programming and development on Microsoft Dynamics NAV. Are you available to answer questions if Users and Partners have them?Andrew Good (AG): We have David Studebaker’s development books for Microsoft Dynamics NAV 2009 and Microsoft Dynamics NAV 5.0, and Mark Brummel wrote a book on application design. All are available in hard or soft copy through Amazon, bookstores, or through the publisher. I am also delighted to announce that “Programming for Microsoft Dynamics NAV 2013” will be available in just a few weeks.

As for questions, Users and Partners can contact us directly. If a User contacts us, we work with their Partner as well to define requirements. In late 2012, we became the agilesWorkflow Partner for North America, which means we support Partners and Users directly with that product, providing technical support, services, and training.

NAVUG: What are you seeing as far as User adoption of Microsoft Dynamics NAV 2013?AG: New Users are only looking at Microsoft Dynamics NAV 2013, and current Users are evaluating their upgrading possibilities. It’s more of a “when” than “if” discussion. We’ve had the opportunity to work with Microsoft during the beta testing portion of Microsoft Dynamics NAV 2013, which allowed us to build a good understanding of the product and the advantages it brings to end Users.

NAVUG: What do you feel are the greatest advantages of this new release?AG: The performance improvements. The most touted are in the area of dimensions as the re-architecture is expected to have data

reduction in the neighborhood of 20,000 to one or 40,000 to one; which means that if we had 40,000 records in the old database, we now have one. This results in performance speed when the transaction is recorded and improves performance when you’re reporting on historical data.

Another advantage is the reporting flexibility. People that are coming from the classic environment had only two choices: send to Excel or run a classic report. With the move to Microsoft Dynamics NAV 2013, there are many additional ways at getting to the underlying data. Those options still exist, but now there’s the introduction of the Query Object to grab data out of Microsoft Dynamics NAV.

Finally, the ability to extend Microsoft Dynamics NAV in new ways through integration with other systems and programs is a win. For example, a manufacturing environment needs to collect real-time data from the shop floor. A .NET application can be built with the specific requirements in mind for the shop floor User and realize the business logic. Previously you’d have to build a separate integration.

NAVUG: What advice do you have for a User who is looking to make the upgrade to Microsoft Dynamics NAV 2013?AG: From a timing perspective, I would suggest sooner rather than later. If a User is on Microsoft Dynamics NAV 2009 RTC, then the upgrade to 2013 is quite straightforward. If they’re running a classic client, they’ll need to go through Microsoft Dynamics NAV 2009 to upgrade. The performance, feature, and function improvements really do make a compelling case for a User to upgrade to this new version.

From a practical perspective, Users should ensure they have a complete project plan before they start and that they have adequate resources before they begin testing and training. I also recommend that they work with a Partner that is very experienced with upgrades. Another thing to consider are the Users’ reporting needs. Evaluating those before an upgrade can reduce the upgrade cost significantly.

NAVUG: What would be the first step in evaluating reporting needs?AG: The User should make a short list of documents that absolutely have to come out of Microsoft Dynamics NAV, such as sales invoices, sales credit memos, purchase orders, and checks. This will help them identify the reports that have to be upgraded.

Secondly, look at remaining reports that are used and determine why they are used. In many cases, those reports can be left behind and don’t need to be upgraded as there are alternate ways of getting that information from Microsoft Dynamics NAV, such as fact boxes and filtered list pages. NAVUG
