I don’t know about you, but I am still on an adrenaline rush from NAVUG™ Forum

2013! You might not know this, but I experienced Forum for the very first time this

year. To see it all come to life was amazing! I enjoyed meeting everyone and seeing

and hearing great ideas and solutions among Users. One of my favorite moments was

hearing a User say he just sat in on a session and learned a new trick; he walked out of the

class and implemented it immediately. He said that that one tip more than paid for his entire

trip to Forum. This is just one of the many stories I heard at Forum that I just had to share it

with you.

As we say adios (I was just at EMEA Barcelona, and I am still attempting to speak Spanish)

to 2013, we look toward 2014. Before turning the calendar, I want to reflect on some of the

big moments of 2013.

Sherry’s NAVUG 2013 Top 10

10. “Ciao Rome, Italy!” We take NAVUG across the pond and have our very first User

meeting in EMEA.

9. At Convergence in New Orleans we signed up 24 Premium NAVUG Members.

8. In April we said goodbye to Trish Boccuti and thanked her for a job well done. I’ve been

filling those big shoes ever since.

7. In June, NAVUG Collaborate launches to rave reviews. To date we have more than 5,400

Members and 650 discussions.

6. It’s time for Forum 2013, and we travel to Tampa, Florida for our biggest Forum yet!

More than 386 attendees enjoy the sun and the sand.

5. We said “Hola” to Barcelona, Spain when NAVUG participates in Convergence EMEA.

More than 400 attendees join in NAVUG sessions.

4. Change is good. We announced that we are officially changing the name “NAVUG

Forum” to “NAVUG Summit” beginning in 2014.

3. Meet me in St. Louis, Missouri in October for NAVUG Summit 2014!

2. We welcomed Marc Allman as our new board president.

1. We had more than 95 webinars and 35 Academy classes this year!

These are just a few 2013 NAVUG highlights. Thanks to all of you, Partners, Users, and

As the NAVUG community continues

to grow, I expect to see more Microsoft

Dynamics NAV Users joining NAVUG

as well as a higher rate of participation

amongst Members.  In particular, I

expect to see more Users presenting at

NAVUG Summit 2014 than we have seen

in the past; this was clearly evident at the

NAVUG Forum in Tampa.  I also see the

use of NAVUG Collaborate exploding

as NAVUG Members see how quickly

their questions are answered.  We at

ArcherPoint actively promote NAVUG

membership and participation because it

allows Microsoft Dynamics NAV Users to

communicate and share ideas with other

Microsoft Dynamics NAV Users. See you

I see lots of continued growth for

NAVUG in 2014, and the future is

GLOBAL. The world continues to get

“smaller” as businesses increase their

global reach. Video conferencing and

Skype and so on are becoming the norm

as businesses such as ours are growing

globally and communicating across

the world without adding significant

travel and communication expenses.

The use of Microsoft Dynamics NAV is

spreading across the globe, within the

Mars organization, and within other

organizations, too. NAVUG will likely

spread globally as well to support the

international Microsoft Dynamics NAV

community.

Troy Harkness is a classically trained

artist who loves computers and who,

by nature, is a questioner. “Whenever

I think I have answers, I realize there

is so much more that I don’t know, so

I start digging,” he says. At Group O, where he works

as an integrated purchasing solution supervisor for

the company’s Caterpillar line of business, Troy’s

digging is done within Microsoft Dynamics NAV.

“It’s a gigantically huge pile of data, but once you

start learning, there is no end to what you can do.”

Troy’s dig at Group O began in July 2010. From

locations across the U.S., Group O, often described

as the biggest little company nobody’s heard of,

provides a portfolio of global brands that includes

Best Buy, Samsung, and Caterpillar, with services

ranging from developing websites and portals to

testing cell phones and other electronics. Troy

works with 650 suppliers that provide parts and

kits for Caterpillar. “Caterpillar lets me know what

they need, and I then purchase it from a supplier

and have it shipped,” he says. “It’s all managed in

Microsoft Dynamics NAV.”

To prevent mix-ups, each Group O client

has its own space within the solution, with the

number of parts for Caterpillar alone approaching

6,000. There are more than 10,000 parts for kits,

which provide everything but the tools needed to

perform a specific task. Kits vary in size, with some

requiring more than 800 parts and a shipping crate

as big as a typical office desk.

Troy says that setting the system up was –

and continues to be – complicated. “There is so

much we have to think about, such as how much

packaging is needed for safe shipping and how

long it will take us to get the components here,

build the kit, and then ship,” he says. But that’s

where Microsoft Dynamics NAV comes into

play. “Purchasing, scheduling, pre- and post-

production, shipping, and receiving – all touch

something in Microsoft Dynamics NAV,” Troy

says. “Suppliers can work in the portal we’ve

set up. Once we accept what they’ve done, it

integrates into Microsoft Dynamics NAV, so we’re

not compromising security.”

One of the chief benefits of the portal goes

beyond the walls of Group O. “Microsoft

Dynamics NAV is the brain, the portal is the

hand, and it’s through the portal that we push

the best of the solution,” he says. “Because we’re

a technology bridge for some of the suppliers,

we can help mom-and-pop shops go paperless in

their work with Caterpillar – all because of how

Microsoft Dynamics NAV works.”

Troy’s favorite thing about Microsoft Dynamics

NAV is its flexibility. “Even though we all use

the same data, we look at it differently,” he says.

“Accounting looks at numbers, shipping looks

at dates. We’re touching the same things but in

different ways. With Microsoft Dynamics NAV, it’s

based on roles, and there’s no loss in continuity.”

Partners to customize, citing the portal,

which went live in January 2010, as an

example.

With a seemingly endless passion for

discovery, it’s not surprising that Troy is

a strong proponent of NAVUG. He went

to Summit 2012 in Seattle, from which

he returned, he says, “like a 12-year-

old who just came back from his first

trip to the hobby shop.” In 2013, he and

eight others from Group O travelled

to Florida for Summit. “Both years I’ve

rediscovered what a great tool Microsoft

Dynamics NAV is as long as you’re

asking the right questions,” he reports.

“Each year I’ve come back sparked to do

something.”

The “spark” from Summit in Tampa

embodies the hands-on, never-stop

approach Troy takes to learning about

everything. “We have almost 900 people

indirectly using the system with 190

licensed Users here, so the eight we sent

to Summit doesn’t even represent one

percent,” he says. “So we’re going to start

our own NAVUG chapter for Group O

employees.”

Troy has a one-word explanation of

the vision behind the User group they

are creating. Not surprisingly, that word

is excitement. “One or two people will

pick out a topic and present a workshop,”

he says. He hopes that one of the key

elements of the workshops is what’s not on

the agenda. “I learn almost as much from

people I’m sitting next to as the presenter,”

he says. “All it takes is for one participant

to stand up and ask if anyone knows how

to do a particular thing, and that gets the

conversation rolling. It doesn’t matter if

it’s parallel parking or a template in Item

Cards: Someone asks a question, and if

the facilitator allows the floor to open,

the learning starts. That’s how I want our

meetings to be.” NAVUG

Those three words – procedures, protocols, and processes – can be

polarizing. You either love them or you hate them. Let’s build on that love,

shall we? NAVUG™ sat down with NAVUG Members Steven Chinsky,

program/project manager of finance for Quidsi, and Jason Chance,

senior programmer analyst for Seventh Generation, to learn more about

why procedures, protocols, and processes are so important in their organizations,

gather advice for fellow Users looking to sharpen up in this department, and hear

how Microsoft Dynamics NAV and NAVUG can help.

Dotting the “I”s and Crossing the “T”s

Having “the three Ps” in place helps your organization with its compliance and

audibility. Big things – especially if you’ve ever been across the table from an auditor

who’s looking at your paper trail.

“They’re not the most fun thing, but policies help to make sure

the org and everybody in it are using the same rules and regulations

so everybody dots “I”s and crosses “T”s the same way,” says Steven.

“Putting aside the fact that a lot of policies and procedures fall back

on finance, without them everybody could be going all over the place,

and the next thing you know you’d have a nightmare on your hands.”

Doing things in the same way each time is also important because it

gives a management team the confidence to know their organization

is running as one cohesive unit, rather than in silos.

“Building consistency allows for repeatability,” says Jason. “One

thing we do over and over again at Seventh Generation is introduce

new products. Having a consistent process eliminates the need for

exceptions, which results in two things: you get good at your process,

and you start to realize how difficult exceptions can be.”

“A clearly documented process also helps train new employees,”

continues Jason. “It’s very easy to get people to understand what they

need to do if you have it outlined and then follow that outline.”

Getting the Three Ps in Place

“The first thing is to record transactions in a systematic way,” says

Jason. “We recently acquired a company that was a small startup

running on MacBook programs and QuickBooks. After six months,

we’ve just started to untangle the knot of that acquisition.”

“You’re never too small to use a database to capture transactions,”

continues Jason. “Start simple, looking at a core value chain from new

product conception to accounts receivable, and map that out in as

much detail as you can to see where your core processes are.”

Part of starting small is figuring out what your team, department,

or whole organization can realistically tackle, as well as evaluating

which areas of your business have the highest exposure for your

organization in general.

“Tackle the ones that have the biggest effect on the organization

first,” says Steven. “Bring all the team members together – not just the

managers and VPs – as you can’t roll out a plan to a group of people

and have them look at you like deer in the headlights.”

Bringing everybody together may seem daunting, but once

you figure out the right process from procedure, compliancy, and

audibility standpoints, then the team can come together and build

the policy.

“This format went over well at our organization because people

had ownership, from execs to those in the trenches,” says Steven.

“When you have buy-in across the board it’s so much easier to roll

out and train people. Never lose sight of the fact that you need all the

people in there.”

Utilizing Microsoft Dynamics NAV

as a Resource

Harkening back to the transactional database, Microsoft Dynamics

NAV is the perfect tool to help standardize processes as information

flows in and out.

“We outsource a lot of things like manufacturing, warehouses, and

distribution,” says Jason. “All of our warehouse communication is

done with EDI, and the consistency we have with our warehouses and

customers wouldn’t be possible without Microsoft Dynamics NAV.”

Seventh Generation also captures a lot of data in its procurement

and purchasing functions in order to build meaningful profit and

loss statements, enforcing rules and conditions so that information

is entered completely the first time around, reducing margin for error

and disparate data.

Quidsi employs similar measures, using Microsoft Dynamics NAV

heavily when it comes to checks and balances in procurement.

“All of our merchandise goes through an external system that

flows back into Microsoft Dynamics NAV for final approval with a

three-way match. If the match isn’t successful, it’ll never get through

Microsoft Dynamics NAV to get paid,” says Steven. “Even though this

and other policies are automated, we have the process documented

so that people can go in and see what they need to do and how it’s

done. The more streamlined I can make our Microsoft Dynamics

NAV database, the better my Users will be.”

Steven and Jason have also found value from talking with other

Users and attending NAVUG webinars.

“I attend pretty much every finance session I can, and I love listening

to other people and how they deal with compliance, customizations,

and new products,” says Steven. “I love the networking; I feel it’s the

only way we’re going to grow Microsoft Dynamics NAV.”

“In each session, the speaker or an attendee is talking about a

new way of doing something that you might never have thought of,”

says Jason. “It can also be an affirmation that you’re using Microsoft

Dynamics NAV the best way your organization can, which gives a

boost of confidence.”

Focusing on Future Innovation

Innovation never stops. As the three Ps are defined, organizations

can take the next step and automate those processes as workflows

within Microsoft Dynamics NAV. And that’s only the beginning.

Steven sees workflow processes as a valuable area for more ISV add-

on solutions.

“Our next project is a vendor portal with AP automation. There is so

much benefit to this from human and business process standpoints,”

says Steven. “At our organization, there can be as many as five people

doing the work of entering POs before they even post to Microsoft

Dynamics NAV. I would hope that ISVs are looking at how they can

augment the procedures that are needed, whether it’s a workflow or

the tracking process.”

Jason shares that while his organization is still on the classic

client, the role-tailored client will be nice to adopt as the cash flow

management features in Microsoft Dynamics NAV 2013 would be a

huge value add to the organization’s procurement process.

Figuring out your Plan

You don’t have to go it alone, which is something that is a tenant

of the NAVUG community. In addition to attending events and

networking with peers, Steven and Jason recommend a few external

sources that can help you in figuring out your three Ps.

» Talk with your organization’s accountant and get him/her in-

volved in your planning process.

» Visit with friends and associates outside of your organization

who have gone through similar procedures.

» Check out process mapping resources to get a feel of where to

start and what to include.

» Spend time with organizations such as APICS, AICPA, and

IMA, all of which have policy and procedure information in

place…because that’s what they do.

“Microsoft Dynamics NAV 2013 is going to open up an endless

environment of attacking something that was very manual in the

past,” says Steven. “When the three Ps are in place, give yourself some

room to make the process more streamlined using the solution that is

designed to help you do just that.” NAVUG

If you missed NAVUG™ Forum 2013 this year in Tampa, you missed the last Forum

ever. But more on that in a minute. You also missed the best Forum ever. Here are

some of my highlights:

» Your NAVUG community put on more than 130 breakout sessions across 11

tracks.

» We had a new track that featured leadership-oriented content, and one of the sessions

attracted more than 70 people!

» We had a new track for international deployments as well, so those dealing with global

installations could share their challenges and solutions.

» We had two, hour-long deep dive sessions that allowed us to really get into some

serious detail and learning with recognized experts.

» We had a Buddy Program that “buddied up” first-time Forum attendees with an

experienced conference-goer to help them navigate the many session choices and

meet more Microsoft Dynamics NAV Users.

» We had 11 pre-conference training classes on a variety of topics to extend the week’s

learning.

» We were inspired by coach Tony Dungy’s keynote address that included insights from

30+ years of leading teams.

It truly was an awesome week!

I think Forum this year was an excellent example of the theme for this magazine, “New

Horizons/Positive Change”. And in that light, at the end of the conference we not only

made the traditional announcement of the location of next year’s conference, but we also

announced that next year NAVUG Forum will become NAVUG Summit! After seeking

input from the community, your NAVUG board of advisors voted to change the name to

NAVUG Summit.

The other Microsoft Dynamics User Groups (AXUG®, CRMUG®, and GPUG®) have

traditionally called their annual conferences ”Summit”. Having a different name for our

conference has led to confusion and complexity. With the name change, we can refer to

the conferences collectively, which will enable a wider exposure to more attendees. For

example, I know having a separate name has hindered our Partners in the community as

well as Microsoft because they’ve had to reference names, and as such, “Forum” has often

been left out of communications. Now we can leverage the economies of scale while still

being the largest conference by Microsoft Dynamics NAV Users for Microsoft Dynamics

NAV Users.

Jason Chance, senior programmer/analyst with Seventh Generation in Burlington,

Vermont, attended his fourth NAVUG conference in Tampa and was glad to hear the news.

“I’m happy about the name change from NAVUG Forum to NAVUG Summit. It was always a

little confusing to me why NAVUG was different from all the other User groups. Now it’ll be

consistent, and all we need to do is focus on the great learning and networking that we’ll get to

take part in at NAVUG Summit 2014.”

And if you’re wondering where NAVUG Summit 2014 will be, I’m pleased to welcome

you to my hometown, St. Louis, Missouri. So mark your calendars now for the week of

A Year-Round

Once upon a time, a mother and her two grown daughters decided to share one of their

favorite holiday traditions with the world. First published in 2005, The Elf on the Shelf®

is a children’s watercolor book that tells the story of an elf who travels all the way from

the North Pole to visit a family. Naming and adopting the elf is as simple as visiting

www.elfontheshelf.com – deceptively simple, actually, because that’s where the real fun

starts. Once the elf is named, and thus officially adopted, it is empowered with Christmas magic. Then

every night after the children are asleep the elf uses Christmas magic to travel to the North Pole and

provide a report to Santa. The elf returns in the morning and perches in a new location – just in time for

In 2007, Dave began working with CCA&B as a consultant, and

by 2011 he had become the head of its IT department. “My job is

to develop and maintain systems that support the growth of the

company and we are growing quickly” he says. “I solve problems

immediately but also focus on the long term.”

At the heart of problem solving is Microsoft Dynamics NAV,

which Dave learned as much about as he could by going to NAVUG

sessions at Convergence before the solution was purchased.

“Everyone in the room had used Microsoft Dynamics NAV, but they

had used other systems, too. There was a lot of knowledge to draw

on,” he says. “We have a saying here, ‘fast growth equals fast change.’

So, what we really like about the solution is its configurability. We

do a lot of electronic data interchange (EDI), and we needed to

support that.”

EDI isn’t the only area of growth: The spirit of giving is in constant

expansion mode. “The company started with parents who wanted

their kids to grow up with wholesome traditions,” Dave says. “We’re

a family business with the goal of creating positive experiences,

moments, and memories for children. But we know that not every

kid can have the kind of experiences we offer.”

So CCA&B is always looking for new ways to support child-

focused organizations. Over the years, the company has supported:

the Path Project, Save the Children, and Children’s Healthcare of

Atlanta, to name a few. This year, the company has partnered with

charity: water. Globally there are nearly 800 million people without

access to clean drinking water. Charity: water is an organization

focused on solving that problem by providing safe drinking

of their public donations to directly fund sustainable

book to the charity.

a great job, I’m engaged to be married, and I’m

surrounded by good friends and family. I have a lot

In a post-event evaluation of NAVUG™ Forum 2013 this October in Tampa, the 400 attendees were

asked what their most valuable experience was during the conference. 

We were pleased – but not surprised – that several of their responses included things like,

“Discussing Microsoft Dynamics NAV issues and possible solutions with others who have similar

problems” and “Learning that my company is not alone and many other companies face the same

challenges we do”, and “Seeing what’s available with Microsoft Dynamics NAV and how others are using it”,

and “Learning from other Users and helping them resolve issues as well.” 

These are, after all, the very reasons that NAVUG exists – to help Microsoft Dynamics NAV Users find and

connect with one another, to learn about how others are successfully using the solution, and to share your

own Microsoft Dynamics NAV experiences to help other Users.

For years we’ve been coming together as an NAVUG community to help one another via monthly webinars,

virtual Special Interest Group (SIG) meetings, online training courses through NAVUG Academy and, of

course, our annual face-to-face get-together at NAVUG Forum.

Inventory Valuation/GL Account

Hi, I was wondering if someone can help me with this issue.

Here is the scenario: I have setup a separate GL account to track

each inventory posting group and costing method we use is FIFO.

The Inventory valuation numbers match the inventory to GL

reconciliation report. The Inventory to GL reconciliation report

shows no differences.

However, my GL balance on chart of accounts is less than the total

shown on inventory valuation.  The GL account should definitely

be in sync with the inventory valuation for that inventory posing

group. I have checked for Direct postings to the GL account, there

are none. Adjust cost program has been run but the GL balance is

still different than the inventory valuation.

Just as an additional info, the accounts were in sync till last month so

it’s definitely some entry over the last month that caused the difference.

Any ideas on where else should I look for this difference?

How to Re-open Closed Order in E-ship

We utilize E-ship process our shipments, and more specifically

the Fastpack functionality within E-ship. At times, our shipping

department will close an order prior to packing any items. This

causes us to not associate tracking numbers from USPS/UPS with

our orders directly, as we ship with miscellaneous packages and it

does not allow some customization we have had done to trigger a

shipment notification in our e-commerce site.  

Does anyone know how to re-open the order so we can pack it

within Fastpack and can pack the order and post a package? Thanks.

Close Warehouse

How would I hide a warehouse from the location list  so that

it cannot be erroneously selected on a sales order or purchase

order? This warehouse is now closed but has activity history attached

to it; therefore, I do not want it deleted, only unable to be selected.

Restored Test Database Only Works

in 2009 R2 Classic Client

I recently refreshed our test database for the first time in a year

and now I can only access via Classic Client. RTC returns the

following error: 

Metadata for object of type Table with id 2000000053 is in a

failed state. This is caused by a previous exception: Compilation

of assembly ‘C:\ProgramData\Microsoft\MicrosoftDynamics

NAV\60\Server\MicrosoftDynamicsNavServer$MCNETT-

TEST\assembly\Record2000000053.dll’ failed. This can be

caused by differences between binaries in your installation

or your database. Ensure that all installation components

are consistent and up to date. Error details reference

missing definitions for SalesSetupRead, SalesSetup, and

tmpWindowsLoginGroup.

Can anyone point me to setup location in Classic? Thanks in

advance.

NAV “Maintenance Mode”

to Block Logins?

Hello, There are times, especially in our UAT environment,

where we need to deploy something new or make a tweak and I

need Users out of NAV. Is there a simple way to block user access

to NAV 2013? Like they click their normal link and it doesn’t work

or even better told them why? I’m sure my IT dept could come up

with something but I thought I would see if there was a solution

within NAV or if anyone had done this before. I was hoping there

is a check box or something similar to a website where you can put

it in maintenance mode. Thanks.

Dataport and ChangeLog

I have yet to find an answer to this question with a search

engine. I have created a simple dataport to update min/max on

a stockkeeping unit table. It doesn’t get into the change log. The

change log is already tracking these fields.  How can I get the

dataport to update the change log? Thanks!

Brett Johnson is a 13-year-veteran of

Microsoft who joined the Microsoft

Dynamics NAV team six years ago. He

got his start in the enterprise space

in developer roles for Microsoft

Consulting Services and the enterprise Partner

group. His move to the Microsoft Dynamics NAV

research and development (R&D) team brought

him into the midmarket space, where he works with

Users and Partners to create, facilitate, and run

his team’s programs. NAVUG™ sat down with Brett

to talk about the value of Customer and Partner

input into Microsoft Dynamics NAV, updates on

the release cadence of the product, and the Agile

Customer Engagement (ACE) initiative.

NAVUG: You support Convergence, NAV

Directions, and NAVUG Forum in your role.

What are the main benefits of that event

involvement for your role?

Brett Johnson (BJ): The events are really packed,

but the Customer connections are key for us.

We need to know what Customers like about

the usability and features and what types of

experiences they have working with the product. It

also helps us to vet the new features we’re planning

to put into a future product. With Partners, we’re

interested in hearing how their vertical solutions

are working for Users.

Events are a good opportunity for us to be on

the front line for feedback, and we then in turn

take that feedback to influence how we develop

the product in the future, so that we’re shipping a

product that meets their business needs.

NAVUG: Do you have any examples of anecdotal

feedback that turned into a product feature?

BJ: The most memorable feedback came from

one of my first events with the team. When we

shipped Microsoft Dynamics NAV 2009, one of

our Customers in the technology advancement

program (TAP) shared that while we had this new

role-tailored client, most of his reports were in the

classic client, and he needed to be able to access

those reports from the new client.

That was a big feature change that was not

only critical to that Customer, but also to others

in the program as well. Because of that feedback,

we added the “Print to Classic” option. This gave

Partners and Customers a few more years to

get their reports upgraded to the role-tailored

client. One note: Microsoft Dynamics NAV 2013

no longer supports classic client functionality,

so Users will need to upgrade those reports to

upgrade to this release.

NAVUG: Speaking of Microsoft Dynamics NAV

2013, how is the User adoption coming along?

BJ: The adoption is faster than it was for Microsoft

Dynamics NAV 2009 when that was released.

We’re also seeing that the number of Partner

solutions that have been upgraded to Microsoft

Dynamics NAV 2013 is quicker as well, and

we have two times the number of Certified for

Microsoft Dynamics solutions on the new product

than we had on Microsoft Dynamics NAV 2009 at

this point.

At NAVUG Forum I asked people to raise their

hands if they’re on the new product, and probably

an eighth of the audience was on Microsoft

Dynamics NAV 2013. When I asked that question

a year or two after Microsoft Dynamics NAV 2009

was released, hardly any Customers were using it

yet.

NAVUG: What can we expect as far as a cadence

for future product releases?

BJ: We’re now on an annual release cycle. We

were previously on a three- to four-year cycle

but changed our development model to the agile

development process which allows us to be able to

finish a smaller set of features faster and get them

to market quicker. This has been a good move in

that we can deliver high-quality, interim releases

each year and then when we have a “major” release

every few years, we can publish that release in the

same manner.

We just released Microsoft Dynamics NAV

2013 R2 on October 6, 2013, and the next release

(code named “Crete”) will be released sometime in

Q4 of 2014.

NAVUG: What can you tell us about the feature

set of Microsoft Dynamics NAV 2013 R2?

BJ: We were really focused on creating instant

value for our Customers and providing more

things they can use right away, out of the box.

Specifically, we have improved cash management

and reconciliation as well as created a web-

based help server, which is really nice for getting

customized help via a browser in addition to the

in-client help feature.

We’re also integrating with the latest in

SharePoint®, Office 365™, and Windows Azure™,

making Microsoft Dynamics NAV the first

Microsoft Dynamics product to be certified for

Azure.

We’ve also changed the product’s architecture to

support multi-tenancy for cloud-based offerings

as without multi-tenancy, the application won’t be

efficient enough for cloud-based usage.

NAVUG: You shared some information at

NAVUG Forum about your team’s User council.

Can you tell our readers more about that?

BJ: Definitely. The Agile Customer Engagement

(ACE) initiative helps to provide feedback on

the next versions of Microsoft Dynamics NAV

by giving us direct interaction with User subject

matter experts (SMEs) in the areas we’re working

on for particular new functionalities (see sidebar

for more information on the roles that the team is

looking to fill right now).

Some people have already applied, and we’re

happy to offer a special deal for NAVUG Members

who join, offering them a free piece of Microsoft

software, such as a copy of Microsoft Office,

Windows, or other products. If a NAVUG User

joins and gets engaged, we’ll share the information

for redeeming the software.

ACE can be a multi-release engagement, as

once we have established a great SME in say,

bookkeeping, who is providing valuable feedback

and insight, we want to stay engaged with that

individual as long as we can.

The time commitment is one or two meetings a

quarter, and if individuals really want to get active,

we’d gladly meet with them once or twice a month.

Soon we may be able to grant ACE members

access to an online, cloud-based version of the

latest features we’re working on so they can log

in and try them out. The new cloud capabilities

of Microsoft Dynamics NAV make it possible to

show the work in progress.

NAVUG: What do you like most about what you

do?

BJ: I like to see the positive impact we can make

with each version of the product. From hearing

a Customer’s view of what should go into each

version to making sure that what we produce is

high quality, it’s great to see the positive impact

a User can have on something like Microsoft

NAVUG: Tell me about Fastpath.Andy Snook (AS): We provide security, audit, and compliance solutions for Microsoft Dynamics. Our team of certified internal auditors has analyzed the unique challenges presented by Microsoft Dynamics NAV and has developed audit templates, segregation of duties rules, and key audit reports that make continuous compliance achievable.

NAVUG: What products do you have available to help Users with their compliance needs? AS: Compliance is our business. Our Assure tool enables continuous compliance by efficiently identifying security conflicts by User and providing the necessary documentation to satisfy both internal and external reporting requirements. Second, our Audit Trail tool tracks all changes to Microsoft Dynamics NAV data allowing you to see the User initiating the change, the source of the change, and before/after values. It functions much the same as the Microsoft Dynamics NAV change log, but is much more flexible and the data can more easily be retrieved via prebuilt or customized reports. Finally, for Microsoft Dynamics NAV 2013 we have Config AD. It manages all aspects of Microsoft Dynamics NAV User provisioning from Active Directory, removing the need for administrator access in Microsoft Dynamics NAV and streamlining the new hire, User change, and termination processes.

NAVUG: Does it take long to get up and running on your products?AS: We have audit tools set up so Customers can be up and running, auditing, and continuously monitoring their systems in a matter of days or even hours. Whether Customers are looking to comply with Sarbanes Oxley, public sector, or non-profit regulations or just want audits to go easier, we’re their guys.

NAVUG: Are your products available out of the box or are they configured for the Customer?AS: We have templates available out of the box, but each company can configure the product to meet their risk profile. For example, a financial services firm would want to monitor their systems constantly for internal fraud, whereas an office environment would want to monitor their systems constantly for internal fraud.

NAVUG: Can you be innovative in your field or is a lot of what you do government-mandated? AS: The methodology we built is innovative based on our approach to audits in the enterprise space.

At the end of the day, companies need to be responsible for their financial data, but doing it in the least intrusive way possible is our innovation.

One example of our innovation is that people want to simplify their very complex compliance process. Typically, compliance has been a very manual process equating to weeks and months of digging through reams of paper reports filled with IT jargon. We have automated this process to deliver the key data, in plain English, which allows companies to focus on analysis and distribute the information to business process owners resulting in more effective reviews. That’s just the right way to do things, and it gives people some much needed time back in their day.

In the end, most of the regulations are the same, but it comes back to do you know who has access to your system, and do you know what they’re doing with it.

NAVUG: Anything coming out in 2014 for Microsoft Dynamics NAV Users?AS: Yes. We are very excited about our new Review Planner which will allow Users to assign, manage, and track the reviews of critical reports. It will sync with Outlook to notify Users they have an upcoming review and upon login, they will have a list of reports that need to be reviewed. This is a great tool for Users because they don’t have to remember their reviews; the information is readily available. It’s also great for the audit team as they can monitor if the reviews are being done on time by Users.

NAVUG: What does a User gain from working

with Fastpath?AS: We really understand the challenges associated with analyzing access, reducing risk by monitoring and identifying conflicts in segregation of duties, and making system changes, and we have built a specific methodology to support companies’ best practices in security and compliance regulations. We also have a team of former Sarbanes Oxley auditors who have come together to build templates for use with Microsoft Dynamics, which means we’re able to take that workload off our Customers. NAVUG

A Signifi cant Payback

One aspect of his work that Brian says he feels particularly good

about is a study conducted by the National Industries for the Blind,

which determined that for every dollar spent on products and ser-

vices manufactured by organizations such as Lighthouse for the

Blind, $3.33 is returned to the customer via decreased transfer pay-

ments, such as Medicaid and Social Security Disability Income, and

increased income and FICA taxes, thereby saving taxpayers money

while fulfi lling an important social mission.

Lighthouse Gives Back

Lighthouse for the Blind’s 2013 investment in community pro-

grams is $1.5 million. Th e investment occurs in many ways, one of

which is by supporting 15 community enrichment programs for the

blind in Missouri and southwestern Illinois. Some programs off er

camps with activities such as rock climbing and other sports while

others focus on helping people become more confi dent in indepen-

dent living skills such as banking, laundry, and cooking. One pro-

gram sends youth to space camp in Huntsville, Alabama where they

participate in various activities including simulated space missions

using Braille mission instructions, as well as Braille labeled switches,

buttons, and levers.

Keeping it Running

To keep the operation running smoothly, Lighthouse for the Blind

deployed Microsoft Dynamics NAV in March 2012. Much of the

functionality it relies on in the solution for is typical of companies

in the manufacturing industry. It’s used for fi nance and accounting,

order entry, shipping, billing, planning, routing, bills of materials –

essentially the entire manufacturing process.

But the product has distinguished itself for Lighthouse for the Blind

in numerous ways. First, it’s compatible with other popular Microsoft

products. Since the screens are familiar and more simply laid out,

they are easier for people with vision impairments to navigate. Th e

solution also works better with screen magnifying and screen read-

ing technology than the company’s previous software as well as other

software considered before choosing Microsoft Dynamics NAV.

Finally, the auditors like it. “Th e auditors were expecting a mess,

but we’re in better shape than any organization they’ve seen before

that just went through a transition to a new ERP system,” Brian says.

“Th at’s because of our work, our Partner, and the technology.”

Joy of Working

Lighthouse for the Blind employs people who are blind or legally

blind at all levels, from the manufacturing fl oor – where employees

earn prevailing wages – to the sales team. While his position is like

many other jobs in that some days are better than others, Brian says

that even after a decade he has yet to wake up dreading going to

work. “Work is like a social network here,” he says. “People meet

other people who have similar issues and challenges, and together

they help each other solve them. So it’s a very social environment,
