Slide 6 - Employment Equity Interface

Slide notesEmployment Equity laws require companies to capture data and report on various groups of people. This feature enables companies to capture that data for its employees and report on those groups. The groups of designated people are defined as women, people with disabilities, aboriginal people, and visible minorities.

The Run Employment Equity Interface process creates 3 import text tab delimited files which the customer can submit to the Labour Program through the WEIMS (Workplace Equity Information Management System) online application. The process may be run by year and NAICS (North American Industry Classification System) Code . The import text files created are the:

• employee.txt

• promo.txt

• term.txt

The employee.txt file contains one record for each employee and specifies group membership, biological, salary and employment, and location information.

The promo.txt file contains one record for each employee’s promotion and reports dates related to each of those promotions. The file is only created if promotions were awarded during the reporting period.

The term.txt file contains one record for each temporary employee's contract term. The file specifies information for each employee’s contract. Multiple terms for an employee are listed chronologically. The file is only created if temporary employees were employed during the reporting period. The Assignment Category determines temporary status for employees, which is defined for the employee on the job within Employment Information in the new hire process or within the Manage Employment UI.

There are various UIs that capture information reported for employment equity. The various components and where they are captured are outlined below:

• NAICS Code: Manage Legal Entity HCM Information>Federal Legal Employer Information>Employment Equity Interface Rules

• NAICS Override Code (at the person level): Manage Work Relationship>Work Relationship Details

• EEOG and NOC Code: Manage Workforce Structures>Manage Jobs>Canada Job Information

• Census Metropolitan Area: Manage Workforce Structures>Manage Location>Canada Employment Equity Interface Rules

• Designated Group (designation for the person): Manage Person>Extra Information>Canadian Designated Groups

• Assignment Category: Person Management>Manage Employment>Job Details

Slide 7 - Load Geographies for Canada

Slide notesGeography-related information is delivered by a monthly flat file that include provinces, cities, and postal codes for Canada. US data is also included in this file. The On-Demand team installs the flat file for the customers when they are requested to do so by their customers.  On-Premise customers must install the file themselves. Once the files are installed, all customers must run this process to retrieve information from the file and load it into Oracle database tables. The geographies are loaded into the Trading Community Architecture (TCA) database tables, which provide a centralized and consistent way to manage geographies. Once records are loaded in the TCA tables, you can use the Manage Geographies interface to easily view and update the data. This geography data is used for address validation and tax calculations.

For those provinces and cities that have both English and French names, both records will be loaded into the tables automatically. However, an important item to note is in the case where the French spelling is the same as the English spelling, only one record will be created with the geography language attribute value set to “US”.

Log files are generated that display details of the process run, as well as the records loaded.

Customers must run this process as part of their initial setup for the implementation project, as well as upon a monthly basis.
