It is with great pleasure that I invite you and your organisation to be part of the 23rd ANZFSS International Symposium on the

Forensic Sciences to be held in Auckland, New Zealand (NZ) in September 2016. Regardless of whether your organisation has

supported ANZFSS Symposia in the past, or you are a newcomer, including exhibitors and sponsors from the FIRMS industry,

a very warm welcome to you all.

NZ leads the world in many areas of forensic science and forensic science research. As such, we anticipate this Symposium

will attract a large number of delegates, eager for the opportunity to benefit from the knowledge and experience of forensic

science within NZ as well as the reputation of ANZFSS as one of the top forensic science Symposia in the world.

4 Australian and New Zealand Forensic Science Society

The Australian Forensic Science Society was formed in 1971 with the aim of bringing together scientists, police, criminalists,

pathologists, and members of the legal profession actively involved with the forensic sciences. The Society’s objectives are

to enhance the quality of Forensic Science providing both formal and informal lectures, discussions and demonstrations

encompassing the various disciplines within the science.

In 1988, the strong New Zealand membership within the Society was recognised, resulting in the name of the Society

changing to the Australian and New Zealand Forensic Science Society (ANZFSS).

The 23rd International Symposium on the Forensic Sciences

The International Symposium on the Forensic Sciences is the major forensic science symposium in Australasia, showcasing

the region’s forensic research efforts on a biennial basis. The symposium is a major networking event for members of the

Australian and New Zealand forensic science community. It is a ‘must attend’ event for the industry of forensic sciences. For

exhibitors, it is the one opportunity every two years to showcase their products and services within forensic science and

related industries. The symposium has earned a high reputation internationally and is ranked by many in the top three

international forensic symposia. It offers a great opportunity for local forensic practitioners to attend a world class meeting.

The symposium now attracts a strong contingency from Asia, Europe and the Americas. It is the most significant international

forensic science conference to be held in 2016.

In addition to the Bronze Entitlements outlined above, each Bronze Sponsor

may choose one of the following complimentary additional options to add to

their package (first come, first served basis).

Option 1 – Name Badge and Lanyard To gain access to the Symposium, all delegates are required to wear the official

Symposium name badge and lanyard. This is an opportunity to have your company

logo printed on all name badges and lanyards alongside the Symposium logo

and gain considerable exposure throughout the Symposium.

The lanyard colour will determine the level of access for each attendee. As the

Name Badge and Lanyard Sponsor, your company will receive the following

entitlement:

• Company Logo to appear on all Symposium name badges and lanyards

alongside the Symposium logo.

Note: Branding is subject to approval from the Symposium Organising Committee

Option 2 – Symposium Pocket Program Your company’s logo will be printed on the front cover of the fold-out Symposium

Pocket Program that will be given to all attendees. The Symposium Pocket

Program will include a summary of the program (day at a glance) and Trade

Exhibition Area information. The Symposium Pocket Program is the quick guide

to the Symposium for all attendees, so your profile will be seen continuously

throughout the Symposium.

As the Symposium Pocket Program Sponsor, your company will receive the

following entitlement:

• Logo displayed on the cover of the Symposium Pocket Program.

Note: The Symposium Pocket Program sponsor will receive maximum exposure in this

sponsorship package but Symposium Pocket Program sponsorship does not entitle

the sponsor to exclusive advertising rights within the Symposium Pocket Program.

The ANZFSS 2016 Espresso Café will

serve premium coffee, hot chocolate

and teas during catering breaks on

Monday, Tuesday, Wednesday and

Thursday. The package cost covers

the provision of café furniture,

barista, consumables and coffee

carts and includes an adjoining

exhibition booth. The Espresso Café

will be available for the exclusive use

of Symposium delegates and will be

located in the Trade Exhibition Area.

• One 3m x 3m exhibition booth adjoining the café area.

Plenary Session Sponsor$10,000 (GST inclusive)

As a Plenary Session Sponsor,

the support of a nominated plenary

session of your choice.

Delegates will attend plenary

sessions throughout the

Symposium.

Entitlements (in addition to Standard Entitlements):

• Display of company logo on a looped PowerPoint slide shown in session

rooms prior to and between the commencement of sessions.

• Recognition in all program materials that the session is sponsored by your

company.

• Two complimentary day registrations for nominated guests to attend the

sponsored session day only.

• The sponsor may provide a pull up banner which will be positioned in a

prominent location in the session room (maximum size 2m high x 1m wide).

• Verbal recognition by the Session Chair prior to and at the conclusion of the

sessions in that stream for that day.

MULTIPLE OPPORTUNITIES

As a Stream Sponsor, your company

will enjoy a strong alignment with

the event through the support of

a nominated stream of your choice

for a single day.

Delegates will be able to select

from a very comprehensive series of

program sessions.

Where a stream spans a number

of days, the sponsored stream

will apply for a single day per

sponsorship unit.

Entitlements (in addition to Standard Entitlements)

• Display of company logo on a looped PowerPoint slide shown in session

rooms prior to and between the commencement of sessions on that day.

• Recognition in all program materials that the stream is sponsored by your

company.

• Logo and 50 word profile on the Symposium Website.

• Two complimentary day registrations for nominated guests to attend the

sponsored stream day only.

• The sponsor may provide a pull up banner which will be positioned in a

prominent location in the session room (maximum size 2m high x 1m wide).

• Your company logo will be displayed on the session room projection screen

prior to and after the sessions in that stream for that day.

• Verbal recognition by the Session Chair prior to and at the conclusion of the

sessions in that stream for that day.

Where streams span a number of days, the sponsor may negotiate with the

Symposium Organising Committee to coordinate a particular speaker and

session theme. Where requested sessions coincide with a Keynote Speaker

Sponsor, the Symposium Organising Committee reserves the right to negotiate

with the sponsors and reallocate the sponsored streams to provide all sponsors

with maximum exposure.

In the case of a Stream Sponsor and Keynote Speaker Sponsor requesting

sponsorship of sessions or streams on the same day, and separate scheduling is

not possible through negotiations with the Symposium Organising Committee,

both sponsors will share the recognition for that day but be acknowledged for

the type of sponsorship they have provided.

Scientific Poster Sponsor $6,000 (GST inclusive)

ONE ONLY

The Scientific Poster area is an

integral part of the Symposium and

will provide a premium branding

and marketing opportunity to

demonstrate your support and

commitment to continued research

and development.

The Scientific Poster area will be

located near the Trade Exhibition

Area and will provide the sponsor

with superior levels of exposure

during the Symposium. It is

anticipated that in excess of 200

posters will be displayed for the 4

days of the Symposium.

Entitlements (in addition to Standard Entitlements):

• Company’s logo prominently displayed on poster board numbers and

discipline signs within the poster area for the duration of the display period.

• Logo and 50 word profile on the Symposium Website.

• The sponsor may provide a pull up banner which will be positioned in a

prominent location at the Scientific Poster display (maximum size 2m high x

Each sponsorship opportunity includes sponsorship of a Keynote Speaker for one

keynote session.

Where requested sessions coincide with a Stream Sponsor, the Symposium

Organising Committee reserves the right to negotiate with the sponsors and

reallocate the sponsored streams to provide all sponsors with maximum exposure.

In the case of a Stream Sponsor and Keynote Speaker Sponsor requesting

sponsorship of sessions or streams on the same day, and separate scheduling is

not possible through negotiations with the Symposium Organising Committee,

both sponsors will share the recognition for that day but be acknowledged for

the type of sponsorship they have provided.

Note that all sponsored Keynote presentations will require submission of an

abstract and speaker biography as per the general abstract submission process,

and the presenter will have to be registered to attend the symposium (for the full

duration or the relevant day). Speaker travel, accommodation and registrations

costs are not included.

four full days of the Symposium Program – from Monday

morning until close of business Thursday afternoon.

20 Terms & Conditions

Application and Payment• Please complete the Booking Form attached with this

prospectus and return to the contact details on the

form. On receipt, a tax invoice for payment of 25%

deposit will be forwarded for payment.

• On receipt of the 25% deposit and after approval by

the committee, your sponsorship package will be

confirmed, and a letter will be sent to you outlining the

sponsorship agreement and specifications regarding

artwork for logos and advertisements, delivery details

for signage etc.

• As spaces are strictly limited, returning a Booking

Form does not guarantee a place as a sponsor/

exhibitor. Sponsorship and exhibition packages are not

considered confirmed until a 25% deposit of total costs

is received. Should the deposit not be received within

21 days of invoice, the package will be released for re-

sale.

• The second payment of 50% is due 31 July 2015 and

the final payment of 25% is due Friday 1 July 2016. A tax

invoice will be sent to you. Should final payment not be

received by 14 days after this date, the package will be

released for re-sale and the deposit not returned.

• Sponsors and exhibitors will be able to nominate their

1st, 2nd and 3rd choices for preferred sites at a later date.

Booths will be allocated based on sponsorship level

and order of receipt of Booking Form and deposit at the

discretion of the Symposium Organising Committee.

Should your preferred sites be unavailable, you will be

contacted for another preference.

Acceptance and AllocationThe Australian and New Zealand Forensic Science Society

(ANZFSS), the Symposium Organising Committee and

Symposium Organiser; Conference Innovators, reserve the

right to accept or reject any application for sponsorship at

its absolute and unfettered discretion with the return of

any deposit paid. Sponsorship and exhibition packages,

which may be limited in number, will be generally allocated

to those companies who apply earliest. Allocation of

sponsorship packages and booths regardless of the

preference indicated, and alteration of the floor plan is at

the discretion of the ANZFSS, the Symposium Organising

Committee and Symposium Organiser, whose decision will

be final.

Cancellation Policy If the event is cancelled by the ANZFSS, the Symposium

Organising Committee and/or Symposium Organiser

less than 12 months prior to the scheduled date, the

Sponsor/Exhibitor is entitled to a 75% refund. If the

event is rescheduled by the organiser, and the Sponsor/

Exhibitors can reasonably demonstrate their inability to

participate it will be entitled to a full refund. In the case

of your cancellation of sponsorship, notification in writing

should be sent to the Symposium Organiser. In the event of

cancellation of sponsorship the ANZFSS reserves the right

to retain monies paid in full unless resold.

Consequential DamageThe ANZFSS Symposium Organising Committee and

Symposium Organiser will not be liable for any indirect

or consequential damages arising out of a breach of this

Exhibition/Sponsorship contract.

Detailed Requirements and Due Dates The Symposium Organising Committee and Symposium

Organiser’s requirements regarding the artwork for logos

and advertisements, specifications and delivery details

for signage, arrangements for static display or other

arrangements will be sent to you in a confirmation letter at

a later date with relevant due dates. Logos will be requested

in both .jpg and .eps format, high

resolution 300dpi. Should an alternative format be received,

the Symposium Organisers cannot be held responsible for

the quality of the logos displayed in any of the promotional

material. In the event that materials, information or artwork

required by the Symposium Organiser are not received

by the designated due date, their use for their intended

purpose cannot be guaranteed. The value of these

entitlements will not be refunded if this is the case.

21Entitlements• The Symposium Organising Committee on behalf of

the ANZFSS and the Symposium Organiser will take the

upmost care to fulfil all listed entitlements.

• Concern that benefits have not been met must be

advised in writing to the Symposium Organiser prior to

the event.

• The sponsor is responsible for any banners supplied

and erected at the Symposium and must coordinate

with the Symposium Organiser prior to the events.

• The Symposium Organising Committee may enter into

negotiations regarding the provision of services under

this prospectus as they see fit.

Exceptional CircumstanceThe ANZFSS Symposium Organising Committee and

Symposium Organiser reserve the right to change the

venue and duration if exceptional circumstances demand.

In the event of a change of venue and/or duration, the

agreement to participate will remain in force as long as

the Sponsor/Exhibitor is informed at least one month

before the planned Symposium. The ANZFSS Symposium

Organising Committee and Symposium Organiser will use

reasonable endeavours to remedy the impact of exception

circumstances.

Exhibitor Display Rules• The Symposium Organising Committee and

Symposium Organiser shall determine the hours during

which the Trade Exhibition Area shall be open and the

hours of access for Exhibitors including variations of

such times as shall be necessary.

• The exhibition booth is to be fully manned and

operational and removal of or change to any of the areas

will not commence until after the exhibition closes after

close of business on Thursday 22 September 2016.

• No advertising material such as banners, are allowed

outside the designated booth area.

• Excessive noise that inconveniences other exhibitors

or the Symposium will not be allowed. The ANZFSS

Symposium Organising Committee and Symposium

Organiser will be the judges as to whether there is an

annoyance.

• No obstruction of any form in the aisles and walkways.

• While companies are encouraged to pursue novel

methods of attracting people with their stand, practices

disadvantaging other companies or detracting from

the Exhibition will be discouraged.

• The Sponsor/Exhibitor will acknowledge that

the ANZFSS Symposium Organising Committee,

Symposium Organiser and SKYCITY Convention Centre

will not be responsible for any loss or damage to the

exhibitor’s property and that all exhibitor material and

equipment is the sole responsibility of the exhibitor

Partnerships Nothing contained in the Agreement will be deemed

to constitute a partnership, joint venture or agency

relationship between you and the ANZFSS and/or the

Symposium Organiser and you must not do anything

where you will, in any way, be represented that you are a

partner of the ANZFSS and or the Symposium Organisers.

ResponsibilityThe ANZFSS Symposium Organising Committee,

Symposium Organiser and SKYCITY Convention Centre

accept no responsibility for any act, accidents, omissions on

the part of service providers, the accuracy or content of any

written or oral statements by speakers in connection with

this event, delay, damage, personal injury or death.

The Sponsor/Exhibitor is responsible for all personal injury

or damage to property arising in connection with the

Exhibitor display area, howsoever caused. The Sponsor/

Exhibitor will indemnify the Organisers in respect of any

claim and demands in respect thereof. The Sponsor/

Exhibitor must take out adequate insurance in respect of

all such claims.

RegistrationsSponsor/Exhibitors are not permitted to attend Symposium

sessions or social functions unless the relevant tickets are

offered as part of the particular sponsorship or exhibition

package. However, should Sponsor/Exhibitors wish to

attend the Symposium as a delegate or attend social

functions, the appropriate registration form must be

completed and forwarded to the Symposium Organisers

together with the applicable registration fee. Specific

Sponsor/Exhibitors registration forms will be sent out at a

later date.

Sponsorship and Exhibition PackagesPlease refer to the sponsorship packages in the Sponsorship

and Exhibition Prospectus document. Any variations to the

description of each package must be as agreed in writing

with the Symposium Organiser. Sponsorship and exhibition

entitlements will not commence until the Booking Form

and deposit is received by the Symposium Organiser.

22Unavoidable OccurrencesIn the event that the Symposium/Exhibition is cancelled

or delayed through no fault of the ANZFSS Symposium

Organising Committee, Symposium Organiser and the

Venue Manager, including but not limited to fire, flood,

labour disputes, natural disasters, acts of God(s), civil

disorders, riots, insurrections, work stoppages, slow downs

or disputes, or other similar events then the Sponsor/

Exhibitor shall not be entitled to any refund or claim for any

loss of damage.

VenueThe Sponsor/Exhibitor and the servants, agents, contractors

and invitees of the Sponsor/Exhibitor are also to observe

the rules, regulations and procedures as prescribed by

SKYCITY Convention Centre.
