Frequently Asked Questions

Who is sponsored to attend the Practical Playbook National Meeting?

The Practical Playbook is sponsoring three individuals from each funded project to attend the National Meeting. The group should be comprised of a representative from each of the core partners; the non -profit community group, the hospital or health system, and the public health department. We ask that you coordinate internally to determine who will attend the meeting.

What’s included in the sponsored travel? What’s the process for reimbursement?

Registration for the meeting; travel to and from the meeting; and lodging and meals while attending the meeting. More specific details will be available closer to the date of the meeting. The reimbursement policy from Duke University is available at the end of this document.

Do we have to send the same people that we sent to the June BUILD Health Challenge orientation?

No! You should send the person who best represents your project, organization, and partnership currently.

Who should be the representative from each organization? Should we send our CEO or our grant writer or our data analyst?

We recommend that the individual at your organization who is most heavily involved in the BUILD Health partnership represent your organization at the meeting. This is a great opportunity to network, to share your stories, and to learn from others who are doing similar work. However, it is up to you and your partnership to determine who the most appropriate representatives would be.

One of our partners can’t attend; can we send two individuals from another partnering organization?

The Practical Playbook is only sponsoring one individual from each organization. Special circumstances may be considered, but we recommend that you determine the participant from each partner in advance and mark your calendars for May 22-24, 2016!

We have additional partners who are closely involved in our project beyond the three required organizations; can we bring more partners to the event?

The Practical Playbook will only provide sponsored travel and registration for the three core partners. However, additional partners are welcome to register and arrange travel through other means of support. However, certain events or sessions may be limited to only the core partner representatives.

Many people from our partnership are interested in attending this meeting! Is there a limit to how many individuals from our partnership may attend this meeting?

We are capping registration at 300 participants, so registration for additional partners would be on a first come, first serve basis. Please be aware that certain events or sessions may be limited to the core partner representatives.

What should our expectations be for the meeting? Will we have an opportunity to work closely with other BUILD grantees? Will there be members of the Technical Assistance Group in attendance?

We have reserved spots for the core partners from the 18 BUILD sites, so you will have an opportunity to network with the entire cohort. We have also reserved spots for the five BUILD Primary Liaisons, so you will have a chance to meet your PL and interact with them over the course of the two day meeting. In addition, the Practical Playbook team will be on hand as one of the three primary technical assistance providers. Since this is very much a learning meeting, we may also reach out to you and your partne rship to sit on a panel and/or lead a learning lab session devoted to your work.

I’m excited! Should I register now? When should I book travel?

Not yet! Registration will be open in mid-October. We’ll send you more details about the sponsored registration and travel soon. We will also be posting information about the meeting on our BUILD NING site.

PPB National Meeting

BUILD Health grantee, speakers, and staff - Travel Guidelines for Hotel, Transportation, and Food

The charges for one single occupancy hotel (including associated taxes) will be covered for the

conference; contact [email protected] to confirm your hotel upon registration. You are

responsible for any other incidental costs incurred during your stay for the conference. These include, but are not limited to:

In room video rentals

In room alcoholic beverages

Health club charges

Personal phone calls

Loss or theft of personal property

Reimbursement

You will be reimbursed for the amount that you spend on your round trip flight and transportation to

and from the hotel/conference site, as well as for up to two dinners. Here are some guidelines around

travel expenses that you should follow:

You will make your own travel arrangements at the link provided. You must send in your travel

expense reimbursement form and receipts no later than June 15, 2015. Any expense

reimbursements received after the cut-off date may not qualify for reimbursement. You must

submit receipts for all expenses in which you are asking for reimbursement.

You are eligible for up to $600 to cover one roundtrip coach airfare purchased at least three

weeks prior to the conference dates, and ground transportation expenses for taxi, shuttle, and

bus (rental cars are NOT eligible for reimbursement). If your airfare and transportation must

exceed $600, please notify Kate Holeman at [email protected] as soon as

possible.

Dinner is not provided for the two days of the conference; you are eligible for up to $50 to cover

two dinners during the conference dates. With the exception of these two meals,

reimbursements will NOT be provided for other meal costs incurred during (including transit to and from) the conference. Costs for alcoholic beverages will also not be reimbursed.
