When do I start using Office 365 for email instead of Gmail? Should I login in advance?

You will NOT be able to login in advance of the cutover. The precise cutover date is still being determined, but is expected to be within the month of

April. We will provide you several weeks’ notice and multiple communications ahead of the cutover date.

Will my existing historical email be migrated to Office 365 / Outlook?

Yes, your historical email will be imported into Office as part of the cutover. You will not need to log back in to Google to review older email.

Am I losing access to my Google account and to Google Docs?

Not right now. While you will not be able to use your Google account for email after the cutover, for now, you will be able to use the other features such

as Google Drive and the productivity tools. However, we suggest starting to use the Office apps online instead, as we do plan to sunset access Google

Docs for most users within a few months. This won’t happen without ample warning, however, and exceptions will be made as needed for users who

have a compelling business need to continue with Google Docs for longer.

What is my new email address?

Your email address will not change. You will, however, get an additional “alias,” which is basically another email address that goes to the same mailbox.

However, this doesn’t require any action on your part, and you can continue using your current email address.

A few people will have additional legacy alias addresses also.

So I will have the same email address in both Gmail and Outlook?

Yes. But all new email will go to your Outlook email account; it will not appear in Gmail.

And I will be able to sign in into both?

Yes. You will be able to sign into both Outlook and Gmail as FirstName.LastName@diadias. But only the Outlook account will be ACTIVE after the

cutover. After the cutover your legacy Gmail account should only be used for reference.

What if I accidentally forget, and I try to keep using Gmail after the cutover? You Gmail account will be INACTIVE. By this we mean that you will be able

to see historical emails (we won’t be deleting them), but you will not see any new email arrive.

How do I get my O365 password?

Your O365 password will be sent to you via email along with notification of which O365 version you will be getting.

And how do I log into O365 the first time?

1. Use https://portal.office.com/Home to log into the O365 portal

2. Save Office 365 it as a favorite

3. Then select the O365 app you would like to use. We recommend trying Outlook first.

Which O365 version will I be getting… the Online or the Desktop version?

You will be notified whether you are getting the Online version or the Desktop version via email, in advance of the cutover. Most Artists and Operators

will get the Online version and the rest will get the Desktop version. However, everyone can use Office Online, and many find that approach to be a

more natural transition from Google.

What if I get the Online version but require the Desktop version to perform my job duties?

If you were notified that you were assigned Online version but think you require Desktop version to perform your job duties, check with your Supervisor. If

required, your Supervisor will submit a ticket in ServiceNow for you to get the Desktop version.

If I am notified that I am getting the Desktop version, can I install it on my Windows or Mac computer?

No. Installing the Desktop version on your computer requires Admin rights so it will be installed by IT. They will notify you when the installation is complete.

But you will be able to use the Online functionality right after cutover even though the Desktop version is not installed on your computer.

What is Multi-Factor Authentication, and is it required?

”MFA” is a security system that requires more than one method of authentication from independent categories of credentials to verify the user's identity

for login to a system like O365. Once you have access to Office 365, you must enroll within 30 days. What happens if I don’t enroll? You will be reminded

after 30 days that you must enroll or potentially lose access to sgsco systems when remote. It’s recommended that you enroll in MFA as soon as possible.

How do I enroll in Multi-Factor Authentication?

You must be at a trusted network to enroll in MFA (ex. In the office or via VPN). Once you have an active Office 365 account (after the cutover), for full

Do I need Skype for Business?

You probably don’t. Microsoft Teams is the best choice for instant messaging, chat, video chat, online meetings, and collaboration. Skype for Business

will be retired by Microsoft in favor of Teams in the coming months, so for most people, there is no reason to learn or use it. If you find for some reason you

do need it, please reach out to your IT support.

Can I start using Microsoft Office 365 apps like Word, Excel, and PowerPoint, even though I still have G Suite? Yes! You should begin to use the O365

apps after the cutover date instead of the Google apps.

What do I do if I run into trouble after the cutover?

1. Try checking the FAQs and/or O365 Training links

2. If you are having problems, submit an incident by one of the following:

• Submit a ticket at the ServiceNow portal https://sgsit.service-now.com/serviceportal (Preferred)

• Send an email to [email protected]

• Call the Service Desk at +1-888-226-4730

3. Someone from the Service Desk or IT Support will call you to provide assistance.

I am still concerned this transition might slow me down at first. How can I get better prepared, or get additional questions answered before the cutover?

How were my Gmail and G Suite documents converted to O365?

They were converted with a program called BitTitan. BitTitan used the same kind of logic to convert the documents as if you were to export

each document from G Suite individually… except it converts all your documents at the one time.

What’s the difference between the Online and Desktop versions?

The Online version is browser based. You get Outlook, Teams, Word, Excel, PowerPoint and OneNote.

The Desktop version includes all the features of the Online version. But it also comes with a full license to install O365 apps on your Windows or

Mac computer.

Both versions allow for the installation of Office Mobile on mobile devices – and both versions allow for desktop installs of Microsoft Teams.

What happens to my historical Gmail from before the cutover? Will I still be able to see it in Gmail?

Yes. Your historical email from before the cutover will still exist in Gmail but you should only use it for reference. After the cutover your historical

email will have been converted into Outlook.

MFA now to avoid the hassle.
