BANQUET EVENT INFORMATION

FOOD AND BEVERAGE Due to license restriction, all food and beverage items must be supplied and prepared by DoubleTree by Hilton Tampa Airport Westshore. Guests may not remove food or beverage from the premises nor consume food and or beverage prepared by a third party without the hotel’s written approval.

GUARANTEES The guaranteed attendance must be confirmed to our catering department within 72 business hours prior to the function date. This number will be considered a guarantee and we will provide food, beverage and set up to 5% over your guarantee.

SERVICE CHARGE & TAXES A service charge of 13% of the total food and beverage revenue will be added, which will be provided to wait staff employee, service employees and/or service bartenders. An administrative fee of 10% of the total food and beverage revenue and applicable taxes will be added. In the event that your group is tax exempt, we are required by law to have a copy of your current Florida Certificate of Sales Tax Exemption on file prior to the start of your event, and the event must be paid with a check or a credit card from the tax-exempt organization.

BEVERAGE It is the policy of Doubletree by Hilton Tampa Airport Westshore that no outside beverages may be brought into your event unless arranged ahead of time with our catering department. At that time, we hold the right to charge a corkage fee of $10 per bottle and a customary fee of $100 for our beverage staff to control the consumption during your event to ensure the safety of your guests.

BUFFET MENUS AND RECEPTIONS Pricing is based on one and one-half hours of service. Additional service times will be charged accordingly.

MENU PLANNING Should you desire custom menus; simply communicate your needs to our catering team.

BREAK MENUS Pricing is based on 30 minutes of service. Additional service times will be charged accordingly.

FUNCTION ROOMS Our function rooms are assigned based on the number of guests that are expected to attend the function. The hotel will set no more than 5% over the guaranteed number of attendees once the guarantee is given. A significant change in the final number of attendees that require a room to be reset or reassigned, will incur a $300 reset fee.

METHODS AND CONDITIONS OF PAYMENT A non-refundable deposit is required for all events, with the balance due 72 hours prior to the start of your function. The hotel must have a credit card on file for all events regardless of the method of final payment prior to the start date of your function. Social events are to be fully prepaid 72 hours prior to start date of your function.

SHIPMENTS All packages accepted through the hotel for your event function may be shipped up to 3 business days prior to the start of your event with no additional charges. Each package will be assessing a handling fee of $10 per box and $100 per pallet upon moving them into your event space.
