Attendance Monitoring and Reporting Flow Chart Attendance Monitoring and Reporting Flow Chart Students who are absent for five consecutive days receive a phone call from Shafston to ensure their safety and well-being. SHAFSTON HOUSE COLLEGE LIMITED | RTO Code: 32004 | CRICOS Provider Code: 01542F Students whose attendance falls below 85% are posted a Warning Letter. Students whose attendance falls below 80% are posted a Letter of Intent to Report. Student has 20+3 working days to access the appeals process from the date on the letter. 20 working days elapses with No Response from the student. Student accesses the Appeals Process via the Shafston Reception counter. Students are responsible for maintaining an overall attendance of 80% and updating their Address with Shafston. These are conditions of all Student Visas. STUDENT REPORTED to DIAC via PRISMS. Shafston Attendance Counsellor hears the student’s appeal, collects documentary evidence and makes a decision on the appeal in accordance with Standard 11.9 of the National Code. 2007 Student receives a letter from Shafston notifying that they have been reported to DIAC. DIAC may make contact with the student and request information in regards to the attendance breach. UNSUCCESSFUL APPEAL Counsellor informs student in writing of the unsuccessful appeal and reminds student of their right to an external appeals process. SUCCESSFUL APPEAL Counsellor informs student in writing of the successful appeal. The Student must now, until the end of the course, maintain an overall attendance of 70% or higher to avoid being reported. Student does not reply to DIAC’s request for information DIAC may implement a discretionary visa cancellation Student claims to DIAC that they did not receive the letter and/or were not informed of their rights by Shafston. Student accepts responsibility and gives DIAC reasons and any documentary evidence to support the absences. DIAC takes a statement from the student and passes it to DEEWR DEEWR requests Shafston to supply evidence supporting the decision to report. Shafston complies. DIAC may request Shafston to write a letter of support for the student and give any additional information to assist them in DEEWR decides Shafston was compliant-: The case will be returned to DIAC. DEEWR decides Shafston was non-compliant-: Shafston issued with a directive to start the appeals process again. DIAC decides whether or not to cancel the student’s visa Steps above are repeated from Letter of Intent to Report Based on the evidence provided by the student, DIAC may decide not to implement a visa cancellation. The student visa will remain active. Based on the evidence provided by the student, DIAC may implement a discretionary visa cancellation. The student visa will be cancelled Student chooses to access an external appeal. Counsellor arranges for independent mediation in accordance with Shafston’s Grievance/Appeals Policy and Procedures for all Non-Academic Decisions. Further action dependant upon the outcome of the external appeal. Student chooses NOT to access an external appeal and signs the Statement. Student is reported to DIAC via PRISMS Steps above are repeated from STUDENT REPORTED Student’s attendance falls below 70% Intention to Report Letter posted and emailed to the student. Student has 20+3 working days to access the appeals process from the date on the letter. Student accesses the appeals process via Reception counter. If the student is between 60% and 70% they must present strong supporting evidence. No evidence and the appeal will be unsuccessful. If student is below 60% they will be reported. If the appeal in unsuccessful the Counsellor informs student in writing of the unsuccessful appeal and reminds the student of their right to an external appeals process. 20 working days elapse with no response from the student.
