ParkIng The Kitchener Memorial Auditorium Complex provides free parking to exhibitors and guests.

Draws, Contests & ComPetItIons All such activities and specifications must be approved through show management, who must be advised in writing as to the nature of the activity. Please notify us by April 7, 2017.

exhIBItor agent regIstratIon All exhibit staff entering the show during show hours must check in with show management at front cash. Each exhibitor will be provided with 2 exhibitor badges with the business name.

seCurIty Pick up your exhibitor badges on arrival at the registration area at the main loading door to the Kitchener Memorial Auditorium Complex during set up times only, see attached floor plan. The Waterloo Region Food & Drink Show will be supplying overnight security for Friday and Saturday nights.

InsuranCe Neither Show Management nor Kitchener Memorial Auditorium Complex or their officers, directors, employees, agents, volunteers, or contractors will be held responsible for injuries to persons, loss or damage of any products, exhibits, equipment or decorations by theft or fire or any other cause. It is the responsibility of the exhibitors to provide adequate insurance for their exhibits and materials.

exhIBItor InformatIon anD ConDuCt Exhibitors may not at any time distribute flyers, promotional material or any such product in any other area of the show grounds and premises, other than their designated booth (unless negotiated with show management prior).

Subletting is prohibited. No Exhibitor shall assign, sublet or apportion the whole or any parts of the space allotted, or have representatives’ equipment or materials from other than its own firm in the said space without the written consent of Show Management.

Please note that exhibitors may not make use of any tape, staples or nails on the drapery or floors at Kitchener Auditorium. In the case of excess garbage left behind by exhibitors, the exhibitors will be billed for this cost through The Waterloo Region Record.

show offICe The Show Office is located inside change room #2 of the Kitchener Memorial Auditorium Complex and will be staffed by Show Management throughout move in, Show hours and move out. Please direct all inquires to the Show Office throughout the show.

sIgnage In the interest of the overall appearance of the Show, suspended signs will not be allowed in the Show building. Signs must not exceed the eight (8) foot height restriction and may not be attached to or painted on equipment above that height. PLeASe noTe: ABSOLUTELY NO HANDWRITTEN SIGNS WILL BE ALLOWED ON THE SHOW FLOOR. Prices or any references to dollar figures are not allowed in any prominent display area within the booth, or attached to any of the signage on the booth. Show specials will be allowed, but any signage with reference to dollar figures must be no larger than 8”x10”.

samPle sales All attendees to the Waterloo Region Food & Drink Show will utilize $1.00 tokens for sample sales. Boxes will be available to each exhibitor to hold tokens. Tokens must be weighed at the token redemption office nightly and a receipt will be issued. Cheque reimbursements will be issued to exhibitors within approximately 6 weeks of the event. Please pick up a sample token collection box in the Show Office. Please note, Metroland Media Ltd. will remit HST on your behalf from the sample tokens collected during the event.

smart serve It is a requirement of the Waterloo Region Food & Drink Show that all staff members working in your booth that will be handling and serving alcoholic beverages MUST BE SMART SERVE CERTIFIED. Please see the online certification course link in your Exhibitor Guide email for further information. Please communicate to your staff that they must carry their SMART SERVE card at all times. The Kitchener Memorial Auditorium Complex management require advance copies of your certified staff. Please fax to 519-894-3912 by April 17, 2017.

PourIng guIDelInesPlease refer to the AGCO guidelines for pouring. The Waterloo Region Food & Drink Show staff will be monitoring compliance of these guidelines throughout the weekend. This is for your safety and the safety of those attending the show. Should any of your customers show signs of being inebriated, please contact one of the Show staff immediately. The Waterloo Region Food & Drink Show will have a common area dedicated to the education of the general public which will feature lectures and guest speakers will be held throughout the weekend.

staffIng of exhIBIts Each booth may have a maximum of four (4) staff in the booth at any given time, unless otherwise pre-approved by show management. Please remember that within your space you will require adequate room to allow the consumer to do business in your booth. The amount of display material, product and merchandise shall be reasonable and allow the exhibitor the ability to conduct business within the confines of their contracted area. If Show Management deems that there is excessive staff or product within the contracted area, resulting in public safety or obstruction of aisle traffic, the exhibitor will be asked to make changes or amendments. Interpretation of these rules and regulations are at the sole discretion of the Show Management and non-compliance of these regulations will result in the ejection of the offending exhibitor and the closing of their booth, nor will there be any refund on rental fees or any other exhibitor expenses.

Exhibits must be staffed during all Show hours. Show Management reserves the right to uncover any un-staffed booths during Show hours and will not be liable for damage or pilferage. Should an exhibitor leave their exhibit un-staffed, they will forfeit the right to participate in the future events.

refrIgeratIon The refrigeration trailer has limited space so please bring only what is required and pack it tightly. The refrigeration truck will be parked inside the arena. Please ensure that your products are clearly labeled and identified as other exhibitors will be sharing the space.

ICe Ice will be available at the show with 4 bags per exhibitor for the duration of the Show. There will also be additional ice available onsite for purchase. Exhibitors are responsible for bringing their own water jugs. containers and ladles for transporting the ice back to their booth space.

sInks A sink will be available for all exhibitors inside the Kitchener Memorial Auditorium Complex. If you require your own sink you must arrange for one to be available within your booth for the weekend.

Food Sampling ExhibitorsFood exhibitors can provide sample size portions to Waterloo Region Food & Drink Show attendees so they may experience some of your featured dishes:

• Sample sizes shall be used by all food exhibitors and food items shall be served on a plate 6 inches or less in diameter.

• Full size portions of signature dishes are not permitted.

• Food samples can only be provided to attendees in exchange for authentic Waterloo Region Food & Drink Show tokens.

• Cash cannot be accepted for food or drink sampling transactions. *** Cash payment is permitted for retail sales but is prohibited in exchange for food or drink sample sales.

Exhibitors will be subject to a $300 fine if any of the above rules and regulations are not adhered to.

PricingExhibitors should set their token pricing for samples as close to the break-even point as possible. See below for a formula to assist you with this:

Begin with the retail price of the product, add the cost of the levy, add a 10 cents per sample charge for service and divide the total amount by the amount of servings available from the bottle. ExaMPLE: 750 ml. Wine $14.00 Current levy (16%) $2.24_ $16.24 Add 10 cents x the number of samples Divide by the total number of samples

* Sample Token prices are prohibited to be less than the cost of the product. They are calculated by dividing the retail price by the number of samples.

fooD & DrInk samPlIng regulatIons Participating exhibitors are restricted to distributing products they manufacture, process or distribute within their booth space.

Drink Sampling ExhibitorsWhen participating in the Waterloo Region Food & Drink Show as an exhibitor you can be held legally liable for the sobriety and the safety of the attendees visiting your booth to sample or purchase product. By ensuring that each alcohol sample does not surpass LCBO guidelines you can lower your liability risks. Please ensure that you do not exceed the sample amount indicated on the sample glasses. Each sample glass is marked with ounce measurements to assist you in providing attendees with the proper quantity of your product.

Drink sample guidelines:

• 6% or less alcohol Volume maximum serving 115 ml.

• 7% alcohol Volume to 22% alcohol Volume maximum serving 60 ml.

• 23% alcohol Volume or greater maximum serving 30 ml.

• Drink samples can only be provided to attendees in exchange for authentic Waterloo Region Food & Drink Show tokens.

• Complimentary beverages to attendees or staff are prohibited

• Each customer is permitted one tasting sample per product

Sample prices should reflect your retail pricing

all food exhibitors must complete the Region of Waterloo Public Health Forms that are attached to this package. Only Public Health approved exhibitors may participate. Please complete the forms and fax to us at: 519-894-3912, 30 days prior to the show.

PLeASe reAD!eLeCTriCAL SAFeTY CoDeThings to consider when planning your booth:

Electrical Equipment connected to one power outlet must not exceed: for 120 volts – 15 amps; for 200 volts – 30-50 amps (if you require higher voltage, please contact us).

Electrical equipment should bear certification marks acceptable under the Ontario Regulation 438/07. Equipment without these marks will not be approved. See attached table.

All electrical equipment is well maintained and in good condition. Check for the following: • frayed electrical cords • missing ground pins • missing box connectors

Extension cords should be taped to the floor to avoid tripping hazards.

Only use extension cords or power bars for portable lamps and appliances that are within the allowable amperage for the size and type of power bar.

All clamps on portable spot lights should be protected from metal to metal contact by electrical insulating pads permanently attached to the clamp.

DO NOT: Do not use open clip sign socket, latex or lamp cord

wire in displays, 2 clamp-on fixtures. Do not use zip cords or two wire cords; they are not

grounded.

Please note:The Electrical Safety Authority Inspector has the right to cut equipment cords or remove equipment if their standards are not met.

2-022 Sale or Other Disposal and Use:• No person shall use, advertise, display, sell, offer for sale or other disposal any electrical equipment unless it has been approved in accordance with Ontario Regulation 438/07• If a certification report or a field evaluation report in respect of any approved electrical equipment requires that a notice indicating the proper and safe manner of use of the electrical equipment be affixed to the electrical equipment or be provided with it, no person shall use, advertise, display, sell, offer for sale or other disposal of the electrical equipment without affixing or providing the notice in the manner required, as required by section 5 (3) of Ontario Regulation 438/07• Despite subsection (1), electrical equipment does not require approval under Rule 2-024 or Ontario Regulation 438/07 if:- it is displayed at a trade show or is activated in a demonstration of its use - permission to display or activate it is given by the Inspection Department• Where a certification report in respect of any approved electrical equipment requires that a notice indicating the proper and safe manner of use of the equipment be affixed thereto or furnished therewith, no person shall sell or otherwise dispose of the equipment without affixing or furnishing the notice in the manner required by the certification report• Notwithstanding Subrule (first point), unapproved electrical equipment shall be permitted to be displayed at trade shows when permission is given by the Inspection Department
