General Policies

Blackstone Country Club is a private club and the privileges of its members must be respected. Management of the club will notify members of upcoming weddings and

request that they allow access to wedding parties to prepare for the wedding.

Use of Locker Rooms

Wedding Parties may use Blackstone’s Locker Room Lounges in order to gather and prepare for the wedding ceremonies 3 Hours Prior to Ceremony Start Time. If a reception only is scheduled, prior arrangements for use of Locker Rooms may be made with the Events Coordinator.

Wedding Party and immediate family only are allowed into the Locker Room area.

After wedding parties exit the locker rooms for their ceremony, the Locker

Rooms will be locked, with the exception of member use. Wedding parties are responsible for delivery and removal of their items to and from the Locker Room Lounges before and after their event. Blackstone is not responsible for any items left in the Locker Rooms.

Unless arrangements have been made prior to the event, use of showers, steam rooms, robes, and slippers is prohibited.

Wedding parties are responsible for the locker room lounge. This means disposal of all trash into receptacles, straightening of lounge areas, etc.

No music, other than what is provided by Blackstone, is allowed to be broadcast via speakers in the locker room.

Mobile phones are strictly prohibited in locker rooms, except in lounges and on locker room patios.

Smoking is permitted outside on the Locker Room Patios only.

Food and Beverage

Outside food and beverages may not be brought onto Blackstone Country Club property. Blackstone Country Club reserves the right to remove any food or beverage brought onto club property.

Arrangements can be made through the Food and Beverage Manager for Blackstone to provide food and beverage service on the day of your event.

Attire

Proper attire must be worn at all times while on Blackstone Country Club property.

Shoes must be worn at all times in the locker room foyers, Courtyard,

Cantina Bar, and all dining areas, including patios and lawns.

Men must be in collared or mock-collared shirts at all times.

No sleeveless shirts for men.

No torn or excessively worn jeans for men or ladies.

No undergarments showing.

Hat brims must be facing forward.

All skirts and shorts must be mid-thigh length or longer.

No beachwear/swimwear permitted (bathing suites, cover-ups, tube-tops, etc).

CONTRACT OF CATERING TERMS AND CONDITIONS

Guaranties: For arrangement of non-member functions, the final attendance must be specified and communicated in writing ten (10) business days prior to the event by 11:00 AM. This number will be considered the final guarantee and is not subject to reduction. The guarantee is the minimum number for which you will be charged. If no written guarantee is received, the estimated amount of attendees will become the final guarantee. Under such circumstances, Blackstone will set for five percent (5%) over the guarantee. If the attendance exceeds the guarantee the event representative will be billed for the actual number of guests in attendance.

Ceremony Fee: The Ceremony Fee for either the Rose Garden Lawn or the Main Event Lawn is two-thousand, seven hundred fifty dollars ($2750.00). This fee includes:

Dedicated Wedding Professional for Ceremony Rehearsal & Day-of Coordination

Access to Ceremony Lawn for a One Hour Rehearsal Prior to Wedding

Separate, Private, Upscale Locker Room Suites for the Bridal Party - available up to 3 hours prior to Ceremony start time

White Padded Resin Chairs for up to one hundred twenty-five (125) guests

Set-up and Break Down of Ceremony

Venue Fee: ($750.00 + $15.00 Per Person) All contracts will be subject to a Venue Fee that is based upon your final guest count and includes:

Entrée, Cake & Wine tasting for up to 6 guests

Private Venue with 6 Hours of Exceptional Guest Service Beginning at Ceremony Start time

Anything exceeding six hours will be charged $500 per hour

Dedicated Wedding Professional to facilitate Reception design, Bridal Party photos, Cocktail Hour transition and Grand Entrance

Round Banquet Tables & White Padded Resin Chairs for up to one hundred twenty-five (125 ) guests

All China, Glassware and Flatware

Long Banquet Tables for DJ and Wedding Party

Full Access to Cantina Bar & Outdoor Courtyard with Portofino Lights

Access to Four Stone Fireplaces and Water Features with Intimate Seating

Payment: Payment of the $2500.00 deposit is required upon signing of the contract to confirm and book event. This initial deposit is non-refundable. If the event is not cancelled, the $2500.00 event deposit will be applied to the final invoice. In the event of any overpayment, you will receive a refund within fourteen (14) business days following the event. If at the conclusion of the event the actual consumption exceeds the estimated consumption, the difference is due and payable at the conclusion of the event. If payment is not made and the account is referred for collections, patrons will pay all reasonable collection fees and legal costs incurred. All payments are to be made by credit card, debit card or cashier’s check made payable to Blackstone Country Club. Payments are due on the following schedule:

$2500.00 non-refundable event deposit is due along with a signed copy of the Contract of Terms and signed Estimate to reserve/hold date and space.

Fifty percent (50%) of the estimated banquet event order is due thirty (30) days prior to the event.

Remaining balance is due ten (10) business days prior to the event.

Any “day-of” charges are due at the conclusion of the event

Tax: All federal and local taxes which may be imposed or be applicable to this agreement and to the services rendered by Blackstone Country Club are in addition to the prices herein agreed upon. There is a tax on the ceremony fee, venue fee, all rentals, all food and beverage and the service charge.

Service Charge: Twenty-two percent (22%) will be added for all food and beverages.

Food and Beverage: Blackstone Country Club provides all food and beverage served within the club. At no time is any food or beverage of any kind to be brought onto the grounds of Blackstone Country Club. Candy guest favors and/or a “candy table” are permitted. Maricopa County and the State of Arizona health regulations prevent the Club from providing extra food and beverage for guests to take home.

Items on our menu are subject to change due to market conditions. All prices shown on catering menus are per person and are subject to applicable sales tax and a twenty percent (22%) service charge. Service charge is taxable.

Minimums: Buffet service for less than fifty (50) guests is subject to a one hundred dollar ($100.00) set-up fee.

Alcoholic Beverages: The sale and service of alcoholic beverages is regulated by the Arizona State Liquor Commission. Blackstone Country Club, as licensee, is responsible for the administration of these regulations. It is our policy that no type of alcoholic beverage be brought on to or removed from the property of Blackstone Country Club.

In accordance with the Arizona State Liquor Commission, the Club can not sell or deliver to a person an unlimited number of spirituous liquor beverages during any set period of time for a fixed price. The Club reserves the right to monitor consumption to ensure compliance with Arizona law. The availability of a cash bar format will be at the discretion of club management. Our legal responsibility requires us to verify the age of anyone appearing to be under the age of thirty. We highly recommend that guests fall-ing into this category bring a valid qualified form of identification.

Performance: Performance of the Agreement is contingent upon the ability of Blackstone Country Club to complete same, and is subject to labor troubles, disputes, strikes or picketing, accidents, government requisition, restrictions upon travel, transportation, food, beverages or supplies and other causes, whether enumerated herein or not which are beyond the control of Blackstone Country Club. In no event shall the Blackstone Country Club be liable for the loss of profit of or similar or dissimilar collateral or consequential damages, whether based on breach of contract, warranty or otherwise. In no event shall Blackstone Country Club’s liability be in excess of the total amount of food and beverages.

Additional Charges: Please refer to specific menus for additional charges for carving chefs, specialty chefs, bartenders and servers. There will be additional charges for linens, audio-visual equipment, and any other rentals incurred by Blackstone Country Club. The final event order will have all charges listed.

Damage: Blackstone Country Club reserves the right to inspect and control all private functions. Liability for damage to the premises will be charged to the event invoice. Signor agrees to be responsible for any damage to the functions areas or any other part of the Club used by his or her guests or independent contractors. Host agrees to be responsible for any damage to the property of Blackstone Country Club that oc-curs prior to, during or after any event that is directly attributed to the event.

Loss of Property: Blackstone Country Club will not assume responsibility for the damage or loss of any merchandise or personal articles prior to, during or after your function for you, your guests or independent contractors.

Outside Vendors: Blackstone Country Club assumes or accepts no responsibility for the damage or loss of any property related to outside vendors. All equipment or merchandise must be removed by the vendor or the guest at the conclusion of the event.

Acceptance of Risk at Club Facility: The host acknowledges and accepts any and all risk of injury to the host and his or her family mem-bers and guests, and to their respective properties that may be sustained while on club property.

Inclement Weather Policy:

Due to the possibility of inclement weather, Blackstone Country Club insists that a weather contingency plan be agreed upon by the club and the client prior to the event.

If an event has been booked during months of December through February, and June through August, Blackstone reserves the right to require that a tent with proper heating or cooling units be used for the ceremony and/or reception.

If, in other cases, the forecast calls for inclement weather, a decision regarding using a tent or the use of additional heaters must be made 4 days prior to the event to allow for rental adjustments to be made.

If no action is taken, the client assumes the risk of inclement weather and any ramifications thereof.

BLACKSTONE COUNTRY CLUB ASSUMES NO RESPONSIBILITY DUE TO THE EFFECTS OF INCLEMENT WEATHER.

Cancellation Policy: Should it be necessary to cancel a function after this contract has been signed, Blackstone Country Club requires writ-ten notification and Blackstone Country Club will be entitled to liquidate losses based on the following schedule: IF EVENT IS CANCELLED MORE THAN SIXTY (60) DAYS PRIOR TO THE SCHEDULED DATE: Loss of the $2500.00 non-refundable deposit. IF EVENT IS CANCELLED THIRTY (30) DAYS PRIOR TO THE EVENT: An amount equal to one-half of the estimated food, bever-age, rental and miscellaneous revenue agreed upon in the Original Event Order will be charged. Loss of the $2500.00 non-refundable deposit. LESS THAN THIRTY DAYS PRIOR TO THE EVENT: An amount equal to seventy-five percent (75%) of the estimated food, beverage, rental and miscellaneous revenue agreed upon in the Original Event Order will be charged. Loss of the $2500.00 non-refundable deposit.

I have read and understand the Banquet and Catering Policy Agreement of Blackstone Country Club. I accept the terms and estimated charges/pricing as outlined on the contract. I will assume responsibility for all loss or damaged items while on Blackstone Country Club property.
