> DELIVERY D > TEAMWORK T > ADAPTABILITY A > FRIENDLY F Always Delivering what you need to know March 2013 > financial BUSINESS BITES: Your regular business update from our Commercial Finance Director, Steve Watson… In the last edition, I rashly declared that I thought I could see some green shoots. Me and my big mouth! Since then we’ve had a Christmas distinctly short of good cheer and have seen a further rash of high profile retailers go into administration including Blockbuster, which is one of our customers. To add to that, many people are now predicting a triple dip recession. A glance at how our key channels are performing illustrates just how tough it is: Independents: Our most recent market data shows that Symbol groups (i.e. the likes of Spar, Londis, Costcutter and Mace) are showing sales volumes down 9% year-on-year. Whilst we don’t get data for non- symbol independents, you can bet they are performing even worse. With increasing competition from multiple retailers, newsagents are under huge pressure, with some reports suggesting ten are closing every week. Similarly forecourts are suffering from fewer drivers doing fewer miles and taking advantage of the aggressive offers on petrol from the likes of Asda and Morrisons. Despite this, our ShopHealth report found that the CTN remains a valued and highly profitable area, and shops that branch into new and alternative products and services are doing well around the country. Multiples: Independent shops were not the only sector feeling the pressure in 2012. Our market data shows that sales were down 10% in managed forecourts and 11% in Motorway Service Areas. Only multiple convenience retailers showed any resilience and even they are only showing flat sales volumes year-on- year. The multiple forecourt arena has seen a lot of consolidation this year. Total sold their sites to Rontec which in turn sold a lot of sites on to Shell. Thankfully Palmer and Harvey already supply both companies. With Esso we have not been so lucky, as they have announced the transfer of a block of sites to Euro Garages. The answer? Let’s go out and win the Euro Garages business! Multiple Grocers: Back in January, a ‘dead heat’ was announced between archrivals Tesco and Sainsbury’s after Kantar Worldpanel released data that showed identical growth rates over Christmas of 3.9% and market shares unchanged from a year ago. Morrisons saw its sales growth fall one per cent according to Kantar, while its market share fell from 12.5% last year to 11.9%, emphasising the ongoing struggle for the company as it builds its multichannel operations. Elsewhere Aldi, Lidl and Iceland celebrated ongoing positive performances, with Aldi’s market share hitting an all-time high of 3.2%. So, it really is tough out there but every cloud has a silver lining. When retailers are under pressure they also begin to look for cost savings. Our job is to convince them that switching supply to P&H is the answer! Steve’s figures demonstrate why our business will be feeling the pressure from all sides. Customers and Suppliers both look to us to provide unrivalled value through these challenging times, so what will the business change this year to ensure that we always deliver? What’s going on in Coventry? You will already have seen Chris Etherington’s video, which shared some of our Customers’ views on Palmer and Harvey’s main challenges. Chris told us, “The purpose of the customer forum video was to communicate the need for change, direct from the mouths of our customers. To have everybody clear on the key issues faced by the business is the first step towards business transformation. The second step is to simplify the way we work, ‘get back to basics’ and ultimately make it easier for our Customers to do business with us. This is why I’ve asked lean expert and consultant, Joe Manzur, to work with a team of people at our Coventry depot to improve and simplify all of our operational processes.” Joe explains, “The practise of lean involves looking at ‘waste’ within an organisation (such as excess stock, cycle times and costs) and finding ways to reduce this on a permanent basis so that the business can produce higher quality goods and services in the most efficient, effective and responsive manner possible. Lean is a business philosophy, not just a one-off clean-up exercise; it must be firmly embedded within a company’s processes long term, so that the business can continually improve and adapt to its environment. Once Coventry has been set up as a successful model, the techniques and new, improved processes will be rolled out to all Palmer and Harvey depots.” What else is changing? Head Office is also looking to simplify key processes. Work is already underway to improve the IT systems used to setup and monitor promotions. This will allow us to set up and review promotions more quickly, to be more flexible and responsive to the market and to review promotional performance in more detail. In order to make it easier to trade with Palmer and Harvey, the IT team have just completed a major upgrade of the systems that we use to receive orders from our major trading partners such as Sainsbury and Tesco. Other exciting things currently in development include an iPhone app, which enables customers to compare prices and place orders from smart phones. It has always been a challenge for Palmer and Harvey to keep up with new technology, especially in our fast moving branch operations. A recent review highlighted that a new warehouse management system would cost in the region of £10m-£15m to implement, a cost that would be too onerous for the business right now. So instead, the IT team are rebuilding our systems in bite sized chunks, using an in-house team. This is a long term project that will deliver significant system improvements for Operations and Head Office staff, without causing major disruption to the day-to-day running of the business. Future opportunities All of these improvements will enable our business to be more flexible in the future and help us to sell and broaden our services. Palmer and Harvey are always exploring new sources of revenue and several exciting new business opportunities have recently been identified that could absolutely transform the business in years to come. So lots of improvements are under way but how can you help? As Chris commented, “Our staff are the experts when it comes to our services. They are the ones who resolve issues daily and ensure our deliveries go out on time and they usually know what we need to do to make things easier. I am looking for people to be proactive; if something needs to change, let’s make it happen. This is part of the reason why the Contact Chris scheme was set up, so that people could feel empowered to make a difference, and we’ve had some great examples of that happening already.” Go to www.palmerharveyandme.co.uk and visit the ‘News’ section for more information on Contact Chris ideas that have been making a difference to the business (log on using your name – no dots or spaces – and your employee number or contact [email protected] for assistance. Multiple Grocers: Back in January, a ‘dead heat’ was announced between archrivals Tesco and Sainsbury’s after Kantar Worldpanel released data that showed identical growth rates over Christmas of 3.9% and market shares unchanged from a year ago. Morrisons saw its sales growth fall one per cent according to Kantar, while its market share fell from 12.5% last year to 11.9%, emphasising the ongoing struggle for the company as it builds its multichannel operations. steve’s figures demonstrate why our business will be feeling the pressure from all sides.

This is why I’ve asked lean expert and consultant, Joe Manzur, to work with a team of people at our Coventry depot to improve and simplify all of our operational processes.”

Joe explains, “The practise of lean involves looking at ‘waste’ within an organisation (such as excess stock, cycle times and costs) and finding ways to reduce this on a permanent basis so that the business can produce higher quality goods and services in the most efficient, effective and responsive manner possible. This will allow us to set up and review promotions more quickly, to be more flexible and responsive to the market and to review promotional performance in more detail.

In order to make it easier to trade with Palmer and Harvey, the IT team have just completed a major upgrade of the systems that we use to receive orders from our

major trading partners such as Sainsbury and Tesco. Other exciting things currently in development include an iPhone app, which enables customers to compare prices and place orders from smart phones.

It has always been a challenge for Palmer and Harvey to keep up with new technology, especially in our fast moving branch operations. A recent review highlighted that a new warehouse management system would cost in the region of £10m-£15m to

Pro-retail 2013 will be taking place on 30th April and 1st May at the international Centre in telford, shropshire.

This year the show is going local, leading the way on the growing trend towards local retailing and sourcing. We’ll be focusing on community and the local high street – in fact we’re bringing the high street to Pro-retail, staging a massive recreation to show off best retailing practice in context.

We’ll also be showcasing excellence in many areas of retail that are relevant right now with dedicated zones for Chilled, Fresh and Alcohol. We’ll also take a good look at 360 degree retailing, shopper missions and part-day merchandising.

Pro-retail is the premier UK trade show for the independent and multiple convenience channels. The show attracts over 6,500 visitors and over 200 leading manufacturers and suppliers every year. Pro-retail plays a key part in building Palmer and Harvey’s relationships with both retailers and suppliers, providing retailers with the chance to try new products, learn about the latest innovations, trends and best practice and take advantage of exclusive show-only deals.

Suppliers benefit from the opportunity to showcase products, initiatives and ideas to thousands of multiple and independent retailers from every sector of the trade, providing an unrivalled networking and sales generating opportunity, along with a chance to build relationships and gain invaluable feedback.

Pro-retail is completely free to attend, so if you are talking to customers, get them to register now either online at www.pro-retail.co.uk or over the phone on 01562 821 723.

palmer anD Harvey SCHeme iS an elFy SUCCeSSFor the second year running, Palmer and Harvey brought seasonal cheer to its retailers with a rather unorthodox Christmas gift. store owners for our symbol fascia Mace received helpful ‘Christmas elves’ in the shape of eager Palmer and Harvey employees.

Following the rousing success of last year’s scheme, more than 100 of Palmer and Harvey’s management board, distribution centre and head office staff swapped their usual duties for a day working at Mace stores across the country.

Mace store owners received their Elf in the week commencing 10th December and just like last year had a helping hand with stocking shelves, stocktaking and even washing car windscreens on forecourts.

As Mace retailer Jackie Spiers noted of her P&H Christmas Elf, “It was lovely to have him here and he worked really hard. Can we have him again next year please?”

As well as helping retailers, the annual scheme provides a great opportunity for our staff to gain a better understanding of the end customers - namely stores and shoppers.

Martyn Ward, Managing Director of Commercial and Sales, said: “The scheme has been amazingly successful. Of course, it’s been yet another challenging year for retailers and they really appreciated an extra pair of hands during the busy pre-Christmas period, whilst our employees were able to see exactly what it’s like to work at a forecourt, convenience store or CTN; meeting shoppers and working hands-on to provide the products they need.”

in late november we launched shopHealth, an in-depth report aimed at Ctn retailers, with the launch event held at the Houses of Parliament.

The event kicked off with a welcome speech from MP Priti Patel, the Conservative MP for Witham in Essex and Chair of the All Party Parliamentary Small Shops’ Group. Coming from a family of shopkeepers, Ms Patel has firsthand experience of the outstanding contribution independent shops make to local communities and showed her support for Palmer and Harvey’s focused attention on the CTN sector.

A panel discussion then followed, chaired by Nick Shanagher, New Trade managing director, and included leading experts in the field including Palmer and Harvey’s very own Martyn Ward, ACS chairman James Lowman, author Bill Grimsby, Imperial Tobacco’s Colin Wragg and Peter Aldous MP. The group discussed and reviewed the key findings of the report: the decline of the news category, crime and prevention and the role of CTN’s in the community, giving their own personal recommendations

for retailers operating during this tough economic climate.

The Shop Health report offers retailers best practice advice on a range of issues

affecting CTNs, including a Q&A with MP Priti Patel and inspiration from some of the best retailers in the country on how CTN owners can boost their profits and make their store a success.

Other topics included the impact of the decline of the news category on retailer profits, advice on tackling crime and anti-social behaviour and the role CTN’s play in local communities, along with solutions and opportunities for retailers to get involved.

Since the launch, the findings from the Shop Health report have been widely reported on by a large section of the independent retail press, including: Retail Newsagent, Retail Express, Asian Trader, Convenience Store, Forecourt Trader and The Grocer.

The research has also formed the basis for hard hitting stories in the national media, with findings appearing in both The Sun and Daily Express on shop crime, as well as a second story in the Daily Express on the value local shops give to local communities and their high streets.

How long have you worked for Palmer and Harvey? 5 months.

What does your job involve? Managing and developing the Palmer and Harvey websites, digital marketing communications and social media to build Palmer and Harvey’s online presence and digital activity.

What skills do you need to become a Digital Marketing Manager? A firm understanding of web usability and functionality. The ability to play devil’s advocate constantly – seeing anything and everything the customer may see and experience. A belief in gut instinct and taking (slight) risks. An eye for detail. Patience!

What do you aspire to do in the future? Ultimately: move to Los Angeles, and start

my own marketing agency. Just a dream, but maybe one day... We’ll see!

What is the best thing about your job? The satisfaction of launching your hard work and ideas live onto the web for the world to see and to use.

What did you want to be when you were younger? A car designer. I even wrote to the CEO of British Leyland when I was six (with help from my Dad) and received a very kind response, “promising” me a job (with very careful wording...) when I was old enough. But, unfortunately, it became clear as I grew up that art and graphic design wasn’t my forte.

What’s the worst job you’ve ever had and why? I was a paperboy for 2 weeks when I was a teenager. My paper-round seemed to include the hilliest, longest driveways around, and it would take me hours. So I

gave up and got a job in a shop instead – much warmer and much less tiring!

What do you do outside of work? I’m a keen car enthusiast (currently on my 14th car over my 10 years of motoring), dedicated socialiser, devoted dog walker and potential novelist (well, currently about halfway there...).

And another thing... I’ve recently re-launched our Facebook page – we are working to gradually grow our Facebook presence. Please ‘Like’ us: www.facebook.com/palmerandharvey

You’ve been sending us a number of stories on colleagues who have pulled out the stops to help the business get through recent challenges, so here are some of those that really impressed us and demonstrated the true meaning of exceptional customer service...

Claire Fenwick (Customer Service Clerk at Birtley) literally went the extra mile to deliver... Claire took a call from a customer whose delivery was late and the customer had already let her staff go home. The agency driver was late as he was struggling to find the location, so Claire finished her shift at 4.30pm to meet the driver and show him the way. She then hand-balled the stock into the customers location, agreed the count with the customer and even phoned back into the branch with the customer’s shortage. This was all in Claire’s own time as she felt it was good for our brand image.

Rob Burns, Ray ogle, steve Lockie and neil eilliot, all warehouse staff at Birtley, gave up their Sunday (20.01.13) to clear the snow from Birtley’s car parks and cleared the whole yard. This hard work in chilly temperatures enabled the Production Nightshift to get the company vehicles on and off the loading bays with ease, so that all the vans could get out to customers on Monday morning on time.

Over in Bristol, nathan Baxter and Dave Blanford demonstrated great teamwork by going to help free vehicles that had become stuck in the snow. Because of special efforts like this, Bristol managed to get the majority of its deliveries out on time despite very severe weather

and had great feedback from customers, who made comments such as “I wasn’t expecting my delivery today thank you very much” (independent customer) and “Our [Tesco] delivery hasn’t made it today yet Palmer & Harvey has” (Tesco account).

Bob steele and Mike steel of the Dunfermline Transport Department

each volunteered to give up their day off in January, when it was discovered that picked stock would not be received by our Inverness Transhipment depot in time to be delivered to customers on the following day. Between them, they loaded the stock on the vehicle, drove to Inverness and unloaded it, all to ensure the customers got their stock on time.

Also at Dunfermline, Mark Prince (Mechanic) worked until 1am over the Christmas period to ensure that a defective vehicle was fixed in time to undertake deliveries the next day.

John MacKean (Production Supervisor – Nights), elaine Campbell (Production Team Leader - Nights) and David King (Production

Person – Nights) also put in exceptional effort, working extra days and hours to assist with operational requirements when things were really busy.

Palmer and Harvey has come a long way since its humble beginnings in 1925, when a young entrepreneur named Archie stone acquired wholesale tobacconist businesses from Mr Palmer & Mr Harvey. Here, we map the history of the company and one of our longest serving employees, mike Conway (DCM at Leeds), who has just completed 25 years service.

There is a bizarre coincidence to Mike’s journey; his very first job (before Palmer and Harvey) was as a management trainee in Leeds. The company he worked for, Morris and Jones, previously ran the Mace franchise, which Palmer and Harvey now own! Mike is back in Leeds again, now managing our Leeds distribution centre, where he continues to play his part in the ever-evolving Palmer and Harvey journey...

Well done to Hazel Burn (HR and Customer service Manager, Birtley) who won the last edition’s competition of £150 in shopping vouchers from our new Bookshelf and e-learning supplier, CPL Training Ltd. Hazel correctly located Darwin the Dog. He was on page 2 of the ‘White Policies’ folder within ‘Policies & Company Information’ on the new Bookshelf system (www.palmerharveyandme.co.uk).

For help accessing this new system, contact [email protected] or call 0151 647 1057 and the CPL support team will help you with any queries.

GroceryAid, formed from the merger of Caravan and sweet Charity in 2012, is the only charity that helps people across the whole of the grocery industry. the charity currently helps more than 5,000 beneficiaries from the largest factory to the smallest store and in these tough economic times will spend close to £3M on welfare support in 2013.

It is thanks to support from companies such as Palmer and Harvey that Grocery Aid are able to look after current and former colleagues and their dependants. Palmer and Har-vey regularly support Grocery Aid through events run on their behalf, such as the very popular Burns Supper.

How do you qualify for financial aid?

To qualify for financial help potential beneficiaries need to have worked for at least 10 years in any part of the grocery industry and be in financial hardship. Service can be either full or part-time, does not need to be with one company and can include breaks in service too. The breadth and depth of the charity’s support ranges from quarterly payments to a crisis grant and essential items to the 24-hour confidential Welfare Helpline.

How have Grocery Aid previously helped peers in our industry?

Case example one: Wendy* and her husband live in their own home; both are in their 70s and are suffer-ing from ill health and mobility problems. Before her retirement Wendy had worked for 40+ years in the local independent store. The couple contacted GroceryAid as although they receive state benefits; their increasing ill health has required additional expendi-ture which has exhausted their limited savings. After a visit by a member of the Welfare Team, Wendy has been enrolled as a beneficiary and receives quarterly payments. To enable them to stay safe in their own home the charity has also arranged for a stair lift to be fitted.

Case example two:Frank* called the Welfare Helpline after experiencing a traumatic incident whilst on his delivery rounds for a major wholesaler. He explained that since the incident he found it very hard to cope, he was having trouble sleeping and was experiencing flashbacks and that this was affecting his work. After discussion with the professional helpline advisor, Frank was guided to the relevant support on the GroceryAid website and is receiving post-traumatic incident counselling. Frank is now on the road to recovery and hopes to return to work soon.

* Names have been changed to protect their identities, but the stories are real.

ACCiDent nuMBeRs FALL AGAin in 2012Once again Palmer and Harvey have reduced the total number of employee accidents – this is the 11th annual reduction in a row! And it is hoped that a number of safety initiatives planned for 2013 will reduce this number even further.

From February to April, some nineteen ‘Train the Trainer’ Courses are being delivered across the Palmer and Harvey network, facilitated by BV Associates Ltd - an experienced external training company. The Train the Trainer course will be delivered to nominated managers and supervisors to equip them to deliver professional and effective risk and safety training.

March 2013 will also see the launch of a standard set of group risk and safety training modules which will replace all those currently used in Distribution Centres, so that every depot has the same high standard of training.

This is the beginning of a number of major initiatives by the risk and safety team for 2013, which will also include new and improved risk assessments, detailed accident investigation, health and safety training for managers and new improved forklift truck training programmes.
