Feel free to stop by the BASiC office during the week to ask questions or get signatures! We’re located at

Leacock 114B, on the ground floor, behind SNAX.

GENERAL INSTRUCTIONS

1) Collect 20 signatures from B.A & Sc students who are willing to nominate you, 30 signatures if you are

running for President. (Note: you might want to include extra signatures to ensure all of the required

ones are valid)

Please do not ask students to sign your sheet(s) unless you specify which position you are running

for.

2) Fill out the Candidate Information below and Attestation of Academic Standing.

3) Get the endorsement of the executive currently in the position you would like to run for. (See p.05 )

4) Send your pen sketch and one photograph (saved in .jpeg and less than 500kB in size) to the Chief

Electoral Officer at [email protected] by the end of the nomination period (Thursday, March

14 3:00pm).

5) Read the BASiC electoral by-laws and Constitution on the BASiC website (www.mcgillbasic.com)

6) Submit the kit by the appropriate deadline, keeping a photocopy of all completed forms.

7) Please ensure that a BASiC executive signs for your package when you hand it in.

* If you are running for President or are a current executive hoping to return to BASiC, please email the CEO

for a slightly modified nomination package.*

NOMINATION KITS DUE: Thursday March 14th

at 3:00 PM in the BASiC office Leacock (114B.) However,

in the event that a position has either no candidates or only one candidate, only that position will have an

extended nomination period, as stipulated by the aforementioned list of important dates. All other positions,

however, will be closed and will not be granted the extended nomination period.

POSITIONS

1) President

Administers and coordinates all BASiC projects and ensures group cohesion amongst council members.

Represents the BASiC at program advisory committee meetings, attended by representatives from the

administration, as well as to other student groups, such as the SSMU Presidents’ Roundtable. Assists other

council members with their portfolios and spearheads new initiatives for the BASiC. Individuals who are

interested in the position should be prepared to present a coherent platform for candidacy.

Suggested qualities: Experience coordinating teamwork and staying on track, knowledge of campus

politics and be comfortable dealing with the administration/ tricky situations

2) Vice President Academic

The VP Academic represents the academic interests of B.A. & Sc. students. The main responsibilities of the

position include chairing the Academic Committee and Town Halls, running student academic information

sessions, providing academic support, and overseeing the execution of the National Integrative Research

Conference. Individuals who are interested in the position should be prepared to present a coherent platform for

candidacy.

Suggested qualities: Strong familiarity with the B.A. & Sc. program/ credits, willingness to help students

understand their program, strong dedication towards improving the program itself

3) Vice President Communications

Ensures that the Arts Sci student community is made aware of council services and initiatives. Administers the

website, writes and manages listservs, and designs posters to advertise council events. The VP Comms also

takes minutes at exec meetings and Arts Sci Assembly, and oversees the execution of Ampersand: the

Conference. Individuals who are interested in the position should be prepared to present a coherent platform for

candidacy.

Suggested qualities: Basic HTML use in emails, good organizational skills, good written communication

skills

Required qualities: Website design and maintenance knowledge, whether from scratch or using a

publishing/content management system such as Wordpress, Drupal or Joomla (but original websites are

encouraged), events planning experience

4) Vice President External Affairs

As the VP External, you must attend both the SUS General Council and AUS Council Meetings (usually held

every other week) and present views that represent the interests of B.A. & Sc. students, partake in the duties of a

Councillor for both Councils, including voting on all resolutions, and consult and report the relevant/important

discussions to the BASiC council. SUS General Council is not as politically savvy as AUS and prefers to have a

more neutral view on most matters. AUS Council is a highly political environment. Some resolutions will

involve the interests of Arts Sci’s on the line and resolutions that will divide the Council; therefore, the VP

External must not be afraid to voice out Arts & Science interests, participate in discussions and vote on

controversial resolutions. Meetings can range from being 1 hour to 4 hours long.

Suggested qualities: Ability to deal with tricky situations – being diplomatic is very important,

knowledge of AUS/ SUS

5) Vice President Finance

The VP Finance is required to conduct all financial planning for BASiC over the year. This includes applying

for funding for the various events, working with the various BASiC committees, including but not limited to

NiRC and Ampersand, to obtain sponsorships, creating accurate event-specific budgets as well as long term

budgets for BASiC, raising funds by overseeing the conduction of food sales and other fundraising events,

keeping tabs on inflow and outflow of funds and finally, helping out with event organizing whenever possible

and applicable.

Suggested qualities: Familiarity with financial statements such as a cash flow statement.

Required qualities: Familiarity with Microsoft Excel, and familiarity with drafting and making budgets.

6) Vice President Internal Affairs

The VP Internal is responsible for organizing a variety of events for the Arts Sci’s and building a sense of

community within the program. Main responsibilities include planning a frosh event for Arts Sci freshmen,

working with the AUS and SUS VP Internals to coordinate the Arts & Science orientation, planning a semi

formal in the Fall, coordinating clothing orders and grad photos, and helping plan and recruiting Discover

McGill and Frosh leaders for the following year. Individuals who are interested in the position should be

prepared to present a coherent platform for candidacy.

Suggested qualities: sponsorship experience, knowledge of McGill events procedures

Required qualities: experience planning and organizing events, presence in Montreal during the majority

of July and August

7) Vice President First Year Affairs (Appointed position)

The VP FYA acts as a liaison between entering Arts Sci Freshman and the rest of the Arts Sci community. The

FYA is the chairman of the Freshman Arts and Science Committee (FASC) and is in charge of formulating the

committee, creating events to engage freshman with the interfaculty, and maintaining the BASiC Buddy

program. Lastly, the VP FYA puts together the first year booklet, Arts & Science: the BASiC’s that will be sent

out in the summer.

Suggested qualities: Event organization, strong leadership skills, graphic design skills

*** The VP FYA is recommended to be present in Montreal for the majority of July and August to help the VP

Internal with the planning of the event for first years. (This will be taken into consideration when applications

are considered.)

** Please take a look at the VP FYA section in the BASiC Constitution (Article 10.7) to make sure you know

what the position entails.

8) SSMU Representative

The Representative is the official delegate representing students in the Arts and Science program at Student

Society of McGill University (SSMU), by taking an active part in the bi-weekly SSMU Legislative Council.

Other responsibilities include participating in SSMU committees, events, and General Assemblies. The

Representative must also give a report at every ArtSci assembly about the happenings at SSMU.

Suggested qualities: Experience in student government or groups, preferably the external position but

not necessary; knowledge of campus politics and comfortable working with other SSMU Councilors and

ENDORSEMENT

The process of getting endorsements from executive(s) is implemented to ensure we have qualified candidates

who know exactly what they are getting themselves into. Please note that your name will not be listed on the

ballot without an endorsement from the executive currently in the position you are running for.

In order to get the endorsement, you’ll have to meet with the executive to demonstrate that you a) meet the

required skills listed in the position description section, and b) (for some positions3) present a preliminary

platform consisting of a few ideas. We are also hoping you will take this opportunity to talk to the executive

about the responsibilities, and to ensure that you are ready to take on the challenge! Note that just because you

don’t meet the required qualities, doesn’t mean you’ll be rejected for an endorsement. If you don’t agree with

the executive’s decision to not endorse you, you may appeal to the CEO for reconsideration.
