CCAB qualified, you will have at least 3 years post qualification experience. We are seeking an enthusiastic and hardworking individual who is a team player and keen to work within a small energetic finance team. You will require technical skills in VAT and payroll, an understanding of inter-company transactions and charity accounting as well as good systems experience in order to lead on automating processes. Strong analytical and excellent excel skills will be essential. This job will suit someone who enjoys variety and juggling a range of projects.

2. JOB PURPOSE

The Financial Accountant reports to the Director of Finance. Together with the Finance Manager and Finance Director, the Financial Accountant will contribute to the monthly management accounts. The Financial accountant will be responsible for the more complex areas of the monthly Hospice management accounts including investments, payroll costs, inter-company, balance sheet reconciliations and also the creation of the Trading management accounts. The Financial Accountant will also be responsible for the preparation of the year end financial statements and audit.

A key area of responsibility will be ensuring compliance with VAT regulations, completing partial exemption calculations and submitting quarterly VAT returns for the Hospice & Trading company.

The Financial Accountant will support the Finance Director with forecasting and cashflow projections. This role will have a particular focus on improving financial controls and automating processes.

The Financial Accountant and Finance Manager will assist the Director of Finance with the development and delivery of the financial strategy and contribute to the Hospice’s strategic and business plans.

3. DIMENSIONS

St. Columba’s Hospice has three companies Hospice, Trading and Hospice 2007 (now dormant) and prepares group accounts. This post supports the work of the Finance Department by providing an efficient service in provision of management and annual accounts as well as technical expertise to improve systems and processes.

1. Work closely with the Finance Director and Finance Manager to ensure monthly management accounts are issued to budget holders promptly each month

2. Post the payroll journal and carry out the balance sheet reconciliations of payroll control accounts. Liaise with the Finance Manager and payroll officer to resolve queries and ensure differences are cleared promptly

3. Create and post quarterly investment journals

4. Ensure all balance sheet reconciliations are completed each month – some are delegated to the team-and any variances or overdue balances are investigated promptly. The areas of complexity are the payroll controls and inter-company balances

5. Produce the monthly management accounts for the Trading Company giving the profits from the operation of our lottery and the sale of new branded goods

6. Be responsible for the year end timetable and preparation of the annual financial statements for Group, Hospice, Trading and Hospice 2007 (now dormant). Be the key point of contact for the interim and year end audit visits

7. Provide VAT guidance to managers, budget holders and the finance team in relation to VAT

8. Submit the quarterly VAT returns for two companies. Lead on Making Tax Digital (software is compatible).

9. Assist the Finance Director with external reporting for corporation tax, business returns, and NHS reporting.

10. Design and create new reports using Data Analytics software (excel based extracting data from Sage) in order to support budgeting, management accounts and specific budget holder queries.

11. Deal with adhoc queries from Budget holders, managers and the finance team which need financial expertise e.g. leases, VAT treatment of staff benefits

12. Assist the Director of Finance in creating longer term budgets and modelling cash flow requirements to manage working capital, ensuring sufficient cash is available to meet the organisation’s needs.

13. Work closely with the Finance Director and Finance Manager to ensure strong financial controls are in place and to identify and develop new and improved systems, policies and procedures. Be responsible for setting up new financial controls which will then be passed to the Finance team to operate.

14. To create new automated processes to ensure data is uploaded from other systems to reduce keying and speed up processing times.

15. Any other duties as appropriate to the post.

8. ASSIGNMENT AND REVIEW OF WORK

The post holder is accountable to the Director of Finance and will make autonomous decisions on a daily basis including advice to Senior managers and the finance team on technical finance matters. The post holder will predominantly advise the finance team but will need to work across the Hospice in order to design and review new systems and processes.

The environment predetermines a number of the time-scales e.g. monthly and annual reporting cycles. The nature of the work will be a combination of routine, planned and timetabled tasks as well as ad hoc assignments.

The post holder will be required to determine the priorities for their role and to manage their own workload to achieve daily, weekly and monthly deadlines.

Objectives will be agreed annually with the Director of Finance. The post holder is responsible for ensuring delivery of those objectives within the remit and obligations of the post. Formal appraisal review will take place annually and at mid-year. Update of objectives and review of progress will also take place through regular 1:1 meetings with the Director of Finance.

Decisions will be made within broad departmental policies and procedures without reference to manager. Contribute to the design of new systems and procedures in Finance

Majority of work will be self-directed and the post holder will make autonomous decisions on a daily basis including advice to operational and clinical staff regarding financial matters.

Analysis and interpretation of complex financial and non-financial data, identifying errors and trends, providing advice as to where and why material variances are occurring.

Required to provide forecasts on financial performance, identifying and quantifying risk as required, and provide a professional opinion.

Technical expertise in excel to analyse and manipulate large quantities of complex data to create reports and to review the accuracy of VAT coding

Detailed knowledge of VAT for charities and ability to carry out VAT partial exemption calculations in order to submit VAT returns (recent VAT review completed and new model created)

Ability to lead and deliver on change projects with the finance team and other departments by supporting and motivating colleagues through the change process and then handing over to other managers

Juggling different deadlines in order to deliver monthly and annual accounts as well as adhoc projects within agreed timescales
