Bookings

• Bookings will only be considered secured upon receipt of a refundable deposit of R5000. The deposit will be refunded within 15 working days after the set date (terms and conditions apply).

• For groups less than 40 – no deposit will be charged.

• By paying a deposit you indicate your acceptance of the terms and conditions of Kleinkaap.

• In the event of non-payment of the deposit within the time specified, Kleinkaap shall be entitled to cancel the booking after giving the client written notice.

• Menu choice and number of guests should be confirmed 4 weeks prior to the function. Kleinkaap requires a 50% payment of the deposit invoice 4 months prior to the function date.

• The balance of the pro-forma invoice is payable at least 30 days prior to the function date.

• Take note: the final number of guests will not be changed after two weeks prior to the function.

• Kleinkaap must be informed two weeks before function date regarding repayment of extra guests with your deposit

Appointments

5 weeks prior to the function the following must be confirmed with your function co-ordinator:

• Menu choice

• Running order

• Number of guests

• Special requests

• Confirmation of suppliers as well as their contact details

• Hall layout

• Bar requirements as well as table wines

• Special dietary requirement

• Accommodation requirements

A final appointment is scheduled no later than 5 weeks prior to the wedding to finalize arrangements.

Please note that final meetings can only be done on weekdays.

The final number of guest will not be decreased after two weeks prior to the wedding. The number can increase and will be charged accordingly.

Kleinkaap must be informed two weeks before the wedding date regarding payment of extra guests with your deposit.

Bar services

• Bar attendants are charged a minimum of an 8 hour shift. Should the waiters and bar attendants work longer than 8 hours, the standard hourly rate per waiter/barmen will be charged, R88 per hour per waiter, and R95 per hour per bar attendant. These prices are subject to change.

• All beverage requirements should be arranged prior to the event date.

• Kleinkaap bar closes an hour before the venue closes, however it may be hired after set time for a fee of R1015.00 per hour.

• The bar is fully licensed; therefore all beverages must be purchased from Kleinkaap. Should you wish to provide wine or champagne; a corkage fee of R88 per 750ml bottle will be charged. Prices subject to change.

• No shooters, spirits, beers, soft drinks or food may be brought onto the premises.

• A limit may be stipulated for an account bar. In order to monitor the accumulative total, Kleinkaap will supply a regular reconciliation of the account for the duration of the event.

• Any changes to beverage requirements at any stage are to be done so in writing.

• Wine list and bar menu is available on request.

• On the day of the event the balance of the bar account must be settled as costs or overtime costs.

• All prices are subject to change without prior notice

Smoking

No smoking is permitted in the banquet halls, in the garden near the tables or in the guest rooms.

Ashtrays are provided outdoors in the designated areas.

Legislation prohibits smoking in public areas.

Rooms and all venues are non-smoking.

Guests are required by law to smoke in designated smoking areas.

Set up and cut off times

• Set up time is during office hours 08h00-18h00 prior to event if available in each venue. The venue hire fee covers the venue for a day (8 hours)

• Extensions can be made at a fee of R2160 per hour as well as the additional hours for waiters and barmen will be charged.

• Kleinkaap reserves the right to show a venue to potential customers during the set-up time of all private functions. K

Cancelation policy

[In terms of chapter 2, section 1 of the consumer protection act 68 of 2008, Kleinkaap is committed to best practice and as such has aligned its refunds policy to be in line with the consumer protection act [section 17]

A) any event cancellation made more than 12 months before the set date will be subject to a cancellation fee equal to the deposit amount.

B) any event cancellation made within 4 months of the set date will be subject to a 50% cancellation fee of the total function charges.

C) any event cancellation made within 2 months of the set date will be subject to a 75% cancellation fee of the total function charges

D) in the case where a function is cancelled within 1 month or less from the set date will be subject to a 100% cancellation fee of the total function charges.

E) all changes and cancellations must be confirmed in writing.

F) in the event of non-payment of the venue hire fees within the time specified, Kleinkaap shall be entitled to cancel a booking without further notice or liability to the client.

G) should the event be postponed within 6 (six) months of the set date, the deposit will be subject to a cancellation fee equal to the deposit amount.

Furniture and equipment

• Any décor and props not removed within 7 days of being placed in storage will be discarded. Kleinkaap does not accept liability for loss or damage of any item during this period. No permanent alterations are allowed, that includes damage to property, plants, flowers, nails and hooks in the walls, roof or frames.

• Flowers may not be arranged on the premises, and must be brought in their containers and placed.

• Please note that your DJ must have a music licence.

• Each venue has been fitted with a sound monitor to ensure that an acceptable level of sound is maintained during the function.

• Music can be played till 24h00 but from 23h00 music must be exceptionally softer and be kept under 60 decibels, seeing that Kleinkaap is in a residential area.

• Patio doors will be closed from 22h00 to avoid sound from travelling to neighbouring properties.

• No live animals will be allowed at Kleinkaap property.

• Any damage to Kleinkaap property including linen, beyond reasonable wear and tear, will be charged accordingly and deducted from the deposit.

• Candles may not be placed directly on linen. Candleholders must be wide enough to ensure no wax falls on the linen and Kleinkaap has the right to remove the candles if necessary. Damages will be charged accordingly and deducted from the damage fee.

• Please ensure that any equipment requirements are requested well in advance of your event. Any additional items should be supplied or hired by the client at the client’s cost. This will be confirmed and charged for two weeks prior to the event date.

Risk/loss/damages/general

• No Chinese lanterns with candles may be released on the property due to the fire hazard they cause with the overlying trees.

• No sparklers or fireworks are allowed to be used. These cause undue damage to the table linen and are a fire hazard in the venue.

• While Kleinkaap does feature emergency water tanks and a full backup generator installation, we shall not be held liable for interruptions of services (water, electricity, sanitary services).

• Whilst every precaution will be taken to ensure the safeguarding of your belongings, Kleinkaap will not be liable for loss or damage to any property whatsoever. We recommend that all personal and valuable property be removed directly after the event.

• Draping of the banqueting halls may only be done by our preferred suppliers. In the case of draping a certificate of flame retardancy must be provided.

• Please note that draping that has not been removed at the end of the event will be taken down. Kleinkaap does not accept liability for loss or damage of any item during this period.

• Should the Kleinkaap hotel, hall, surrounding gardens, décor or linen be damaged during the set-up, the course of the event or break down operations, the client shall be held responsible and will be charged accordingly.

• The customer shall not be entitled to: paint, affix or attach any matter to the walls in the function room & the drive into the walls, floor, partitions, doors of the function room any screws, nails or the like.

• Kleinkaap, and its employees or any person employed at any event will not be held liable for any loss or injury to persons, due to negligence or any other cause whatsoever.

• Kleinkaap reserves the right to refurbish and upgrade the venues from time to time.

• Kleinkaap reserves the right to cancel any booking forthwith and without liability on its part in the event of any damage to, or destruction of the venue by fire, shortage of labour, strikes, industrial unrest, or any other cause beyond the control of Kleinkaap, which shall prevent it from performing its obligations. In these circumstances every effort will be made to find an alternative venue.
