EMC SourceOne Email Supervisor Web Application introductionEMC SourceOne Email Supervisor allows organizations to monitor inbound and outboundmessages for compliance with organizational policies, Financial Industry RegulatoryAuthority (FINRA) regulations, and governance mandates. EMC SourceOne EmailSupervisor also reduces liability risks including disclosure of intellectual property, lack ofdiscretion, or unsatisfactory Customer Support interactions.

The EMC SourceOne Email Supervisor Web Application presents messages, includingattachments, that are flagged due to regulatory or compliance policies for review. Theindividuals that are responsible for reviewing flagged messages, access the EMCSourceOne Email Supervisor Web Application by using a device that has a web browser.The individuals then review these messages and add comments as necessary.

The EMC SourceOne Email Supervisor Web Application also includes reporting featuresthat provide evidence of systematic compliance with external regulation and corporatepolicies. Reporting features also exist to ensure that the application is running effectively,and to monitor user performance.

TerminologyThis section includes descriptions for some of the terminology that appears in latersections.

AdministratorsAdministrators are responsible for installing and maintaining the EMC SourceOneEmail Supervisor system. Administrators also perform configuration tasks.

Business PoliciesBusiness Policies define the parameters that are used for message flagging.

DomainsA group of devices on a network that are administered under the same protocol.

Domain GroupsThe Domain Groups feature allows Supervisors to refine what constitutes inboundand outbound correspondence by allowing one or more Domains to be configured asinternal.

EMC SourceOne Email Supervisor ManagerAdministrators and Supervisors configure EMC SourceOne Email Supervisor WebApplication settings in EMC SourceOne Email Supervisor Manager. The EMCSourceOne Email Supervisor Administration Guide includes more information aboutEMC SourceOne Email Supervisor Manager.

LexiconsIn the message flagging process, sampled messages and attachments are matchedagainst Lexicons that are composed of keywords or phrases. Exclusion Lexicons filterunwanted messages.

MembersMembers represent the individuals whose mail requires review.

Message flaggingMessage flagging is the process of capturing messages from Members of a ReviewGroup throughout a sample period. There are random and Lexicon flagging methods.When the Lexicon flagging method is used, flagged messages contain highlightingthat illustrates the reason why the message was flagged. Random messages have nohighlighting. Lexicon message flagging occurs throughout the work day. Randommessage flagging occurs at midnight at the end of the sample period.

Message typesSupported message types include the following:

l IBM Domino messages

l Microsoft Exchange messages

l SMTP messages

l Bloomberg Mail

l Instant messages

QueriesQueries identify messages for specific content.

Registered DocumentsThe Registered Documents feature provides the ability to identify attachments toexclude from Lexicon scans.

Review GroupsSupervisors define Review Groups to identify one or more users, referred to asMembers, whose messages are flagged for review based on the Business Policiesthat are associated with the Review Group. Supervisors assign to each Review Groupone or more Reviewers, who are responsible for reviewing messages.

ReviewersReviewers are responsible for reviewing and processing messages in the EMCSourceOne Email Supervisor Web Application.

SupervisorsSupervisors are responsible for creating and maintaining:

l Business Policies

l Lexicons

l Queries

l Supervisory Codes

l Domains

l Domain Groups

l Registered Documents

l Review Groups

Supervisors also perform reporting tasks.

Supervisory CodesSupervisory Codes enable Reviewers to perform actions against messages.

Logging in to EMC SourceOne Email Supervisor Web ApplicationUse the following procedure to log in to the EMC SourceOne Email Supervisor WebApplication.

Before you begin

l Ensure that you are using a web browser that is supported with the EMC SourceOneEmail Supervisor Web Application. The EMC SourceOne Products Compatibility Guideincludes information about supported browsers.

l Ensure that you know the EMC SourceOne Email Supervisor Web Application URL. Ifyou do not know the URL, then contact an EMC SourceOne Email SupervisorAdministrator.

Procedure

1. Open a web browser, and type the EMC SourceOne Email Supervisor Web ApplicationURL.

The log in page appears.

2. Type your log in credentials.

Note

In IBM Domino environments, you can use your first name or last name to log in whichmeans that the Username may not be unique.

3. Click Log in.

Note

In IBM Domino environments, an invalid username or password message can occur ifthe IBM Domino server is too busy to respond to an EMC SourceOne Email SupervisorWeb Application authentication request. Wait several minutes and try to log in again.

The Filter Messages dialog box appears the first time you log in. You can hide theFilter Messages dialog box from appearing when you log in, by clearing the Show thisdialog when the application starts checkbox.

4. If the Filter Messages dialog box appears, specify filter messages preferences, thenclick OK.

If the EMC SourceOne Email Supervisor Web Application displays a page cannotbe displayed message, contact an EMC SourceOne Email Supervisor

Administrator.

Protection against brute password guessing attacksThe EMC SourceOne Email Supervisor Web Application includes protection against bruteforce password guessing attacks for both Microsoft Windows and IBM Domino platforms.

Users are allowed 5 login failures within 30 minutes. If a user exceeds 5 failures within 30minutes, then the following message appears in the Log in page:

You have exceeded the maximum number of allowed login attempts. Please try again after 30 minutes.

The user is then prevented from logging in until 30 minutes has expired.

Understanding the interfaceThis section includes information about the components of the EMC SourceOne EmailSupervisor Web Application interface.

Reviewer and Reports pagesThe EMC SourceOne Email Supervisor Web Application interface includes a Reviewerpage and a Reports page.

Reviewers can use the Reviewer page to review and process messages that appear in themessage list.

The Reports page includes all the EMC SourceOne Email Supervisor reports thatSupervisors use. The Reports page only appears for Supervisors. Reviewers that havereport access must use the Reports button that appears in the menu bar to accessreporting features.

Note

The Mark Selected, Comment Selected, and Apply to All Items menu options only appearwhen an Administrator enables the multi select feature. The Reports button only appearswhen an Administrator grants access.

Status barUse the status bar to perform the following tasks.

l View the total number of messages.

l View the total number of selected messages.

l Clear the checkbox for any selected messages by using the Clear selection button.

l Open the Field Chooser dialog box by clicking the Field Chooser button.

Message list paneThe message list pane displays the messages that Reviewers are responsible forreviewing.

You can click a message to view it in the preview pane.

You can also double-click a message to display that message in its native format.

The message list pane includes the following columns:

l Checkbox — The checkbox column enables you to select a record or multiple records.You can also clear the selection of a record or multiple records.To select multiple messages automatically, hold the Shift key down while selectingtwo or more messages in the message list. For example, if you select the first

message, hold the Shift key down, and select the tenth message, then messages twothrough nine are selected automatically.

The checkbox column is disabled by default. To enable the checkbox column, anAdministrator must grant a Reviewer multi select access.

l Current Message Status — Displays the review status of a message.Figure 15 Current Message Status icon

The following list includes the message status indicators that can appear and adescription of what they indicate:

n Blank — An unreviewed message. The message does not have a Supervisory Codeor a Comment.

n Exclamation mark — A partially reviewed message.Figure 16 Partially reviewed message icon

The following are examples of partially reviewed messages:

– A message has a Comment but does not have a Supervisory Code.

– A message has a Supervisory Code for one or more Business Policies, but notall Business Policies.

– A message does not have a final Supervisory Code for all Business Policies.

n Check mark — A completely reviewed message.Figure 17 Completely reviewed message icon

A completely reviewed message has a final Supervisory Code for all associatedBusiness Policies.

In addition to the Current Message Status column indicators, font color, and stylesalso indicate the review status of a message. The following list includes the fontcolors and styles that can appear and a description of what they indicate:

n Normal font — Unread messages.

n Italic font — Partially reviewed messages.

n Gray font — Read messages.

n Red font — Overdue messages.

l Comment Flag — Indicates whether a Comment is attached to a message.Figure 18 Comment Flag column icon

If a Comment is applied to a message, or a Supervisory Code with a Comment isapplied to a message, then the following icon appears in the column.

l Attachments — Indicates whether a message contains one or more attachments.

If a message has one or more attachments, then the following icon appears in thecolumn.

l Name — Displays the name of the Member who authored or received the message.While there may be other names in the message, only the name of the Member of theReview Group appears. If two or more Members of the Review Group are in theaddress list, then the word multiple appears in the column.

l Subject — Displays the subject line of the message.

l Message Date — Displays the time and date within the body of the message.Typically Received date.

l Review Due — Displays the due date for message review. If a message is not reviewedbefore this date, the review is considered overdue. Overdue messages arehighlighted in red. If a Supervisor has configured overdue alerts for the Review Group,then Reviewers receive email message reminders that messages require review.

l To — Displays the name of the Member who received the message. While there maybe other names in the message, only the name of the Review Group Member appears.However, if two or more Review Group Members are in the address list, the wordmultiple appears in the column.

l Actions — Use the buttons that appear in this column to perform tasks. The followinglist includes information about the buttons that are available:

n Mark Message - Use to mark a message by assigning a Supervisory Code to themessage for a Business Policy or all Business Policies.

Sorting in the message list paneWhen the message list pane is sorted by the Current Message Status or Comment Flagcolumns, if a Reviewer adds a Comment to a message, or marks a message whichchanges the current message status, then the message list sort order is not updated to

reflect the change. The message stays in the same location in the message list until theuser manually issues a sort command again.

Business Policy list paneThe Business Policy list pane displays the list of Business Policies that caused theselected message to be flagged for review. Each Business Policy has its own row.

The Business Policy pane includes the following columns:

l Checkbox — Enables and disables highlighting of the Lexicon matches for theselected Business Policy. Each Business Policy is highlighted independently. If themessage was randomly flagged by a Business Policy, then the checkbox is disabled.For Lexicon matches, each Business Policy is highlighted with a different color.

l Business Policy — Displays the Business Policy Name that flagged the message.

l Assigned codes — Displays the Supervisory Code that was most recently applied tothe current message. If no Supervisory Code has been applied to the current messagefor a Business Policy, then this column is blank.

l Location — Displays a left-arrow button and a right-arrow button, which you can useto browse the highlighted matches. The Reviewer application displays the arrows onlywhen the Highlight checkbox is selected.

To sort the Business Policy list pane, click one of the column headings. A small triangle inthe column heading indicates the sort order of the list.

Preview pane for messagesThe preview pane shows the header and the body text of the message.

If the messages that appear in the pane were flagged from a Lexicon, then words arehighlighted with the color and font style that corresponds to the Business Policy thatcaused the message to be flagged.

If the body of the message contains graphical content that content is not shown. You canview IBM Notes or Microsoft Outlook messages natively in their respective mailapplications.

Preview pane for attachmentsYou can click an attachment in the attachments list pane to view it in the preview pane.

The preview pane highlights any Lexicon matches for the attachment.

If an attachment is not available for viewing in the preview pane, then the followingmessage appears:

The selected item is not available for viewing in the preview pane. Double-click the item to open it for native viewing.

To preview the message that is associated with the attachment, press the Back tomessage button.

Microsoft Office documents, such as Word, Excel, Project, and PowerPoint, might open inMicrosoft Internet Explorer, depending on your browser settings. You can modify yourbrowser settings to open documents in a native Microsoft Office program instead. TheMicrosoft Knowledge Base article KB162059 provides more information.

Attachments list paneThe attachments list pane displays the attachments that are associated with the selectedmessage in a grid.

l Attachment Name — Displays the name of the attachment.

l Reason — Displays one of the following reasons why the attachment was flagged forreview:

n Blank — The attachment did not cause the message to be flagged for review.

n Content — Text that is contained within the attachment caused the message to beflagged for review.

n Name — The name of the attachment caused the message to be flagged forreview.

n Content and Name — Both the text that is contained within the attachment andthe name of the attachment caused the message to be flagged for review.

n Unindexable Attachment — The message was flagged for review because theattachment is not indexable.

If an attachment was flagged with a Lexicon, the words matching the Lexicon arehighlighted in the preview pane for the attachment, when you select the Business Policythat is associated with the Lexicon.

To view an attachment in its native format, double-click the attachment.

Split barsSplit bar controls enable you to adjust the size of the panes that appear.

To change the size of a pane, drag the associated split bars until the pane size reachesyour viewing preference.

Using split bars to hide or show panesPerform the following steps to hide and show panes.

Procedure

1. Double-click a split bar to hide a pane.

2. To show the pane again, double-click the split bar.

Sorting grid dataYou can sort data that appears in grids.

To sort data in ascending and descending order, click a column heading:

l After you click a column heading, the pane refreshes and a small triangle appears inthe column heading indicating the sort order.

l A down-arrow indicates ascending, while an up-arrow indicates descending.

Dates and timesAll dates and times that appear in the interface are in the local time of the EMCSourceOne Email Supervisor database server.

The dates and times do not appear in the local time zone of the web server or the timezone of the web browser.

Multiple browser tabs and multiple browser windowsThis section includes information about using multiple browser tabs and multiplebrowser windows.

EMC supports using the EMC SourceOne Email Supervisor Web Application in multipleweb browser instances simultaneously with the same account.

EMC does not support using the EMC SourceOne Email Supervisor Web Application inmultiple browser tabs or windows within the same web browser instance for the sameaccount.

Improving performanceReviewers can make the EMC SourceOne Email Supervisor Web Application performbetter by keeping Supervisors aware of certain situations. Supervisors can then configurethe system to improve overall performance.

An example of how to improve performance is when a new spam message startsappearing in the message list. The Reviewer can report the spam message to aSupervisor. The Supervisor can then make configuration changes in EMC SourceOneEmail Supervisor Manager to exclude the message from appearing in the message list.Reviewer feedback is critical for optimizing message flagging and Reviewer load.

Restoring default settingsUse the following procedure to restore the EMC SourceOne Email Supervisor WebApplication default settings.

l Escalated messages — Select to view all messages that have been marked with aSupervisory Code of Escalated. A Reviewer that is responsible for reviewing escalatedmessages can use the Escalated messages checkbox to display only escalatedmessages.

l Messages dated between — Select to view messages for review that fall within thedate range that you specify.

l Review groups — You can select the checkbox in the first column heading to viewmessages for all Review Groups. The checkbox that appears next to a Review Groupenables you to filter on that specific Review Group.

l Show this dialog when the application starts — Select this checkbox to have theFilter Messages dialog box appear when you log in to the application.

Filtering messages considerationsSelect the Review complete, messages dated and Escalated messages checkboxes tosee a list of all the messages that are marked with a final Supervisory Code or areconsidered review complete.

Note

Escalated is a special code. While Escalated appears to act as a final Supervisory Codefor a Reviewer who is escalating messages, it is considered a partial Supervisory Code inthe EMC SourceOne Email Supervisor database.

EMC SourceOne Email Supervisor keeps a duplicate copy of the archive files that areassociated with flagged messages in the EMC SourceOne Email Supervisor database untilthe review period is over. At that time, the duplicated archive copies that are associatedwith fully reviewed messages are deleted from the EMC SourceOne Email Supervisordatabase.

These files remain in the EMC SourceOne archive. The metadata for these messages iskept in the EMC SourceOne Email Supervisor database. When you set the filter to showonly those messages that are review complete and have also been deleted, the messagesappear in the preview pane in the usual manner. If you double-click a message to view itnatively, EMC SourceOne Email Supervisor takes longer to display the message as it mustretrieve the message from the EMC SourceOne archive.

Refreshing the Reviewer pageIf there are multiple Reviewers marking messages in a Review Group then it may benecessary to refresh the information that appears.

Consider the following:

l To refresh the information that appears, click the Refresh button. The Refresh buttononly refreshes the data.Figure 37 Refresh button

l If you press F5, then the browser refreshes the entire EMC SourceOne EmailSupervisor Web Application.

Viewing messages and attachments nativelyYou can view IBM Notes or Microsoft Outlook messages natively instead of in the previewpane. You can also view attachments in their native application instead of in the previewpane.

Perform the following:

l To open a message natively, double-click a message in the message list pane.

l To open an attachment natively, double-click the attachment in the attachments listpane.

When viewing a message or attachment natively, you can open or download the item.

Opening messages and attachments considerations and limitationsThe following are considerations and limitations regarding opening messages.

l To open a message natively, the native application must exist on the host where theweb browser is accessing the EMC SourceOne Email Supervisor Web Application. Youmay have to associate the correct native viewer to the attachment to ensure theattachment displays correctly.

l To view attachments, the native application must exist on the host where the webbrowser is accessing the EMC SourceOne Email Supervisor Web Application. You mayhave to associate the correct native viewer to the attachment to ensure theattachment displays correctly.

l Messages and attachments are read-only when opened.

l The ONM Viewer does not support the viewing of repeating Notes Notices. If you try toview a repeating Notice, the following error message appears:

Restore or viewing of repeated Notes messages from the archive is not currently supported

l When a user tries to download an IBM Notes message, a dialog box appears with alink to the ONM Viewer. If a user selects the Don't ask me to install the ONM Vieweragain checkbox and closes the dialog box, then the dialog box does not appear againuntil a new ONM Viewer version is installed on the EMC SourceOne Email Supervisorweb server.

Installing the ONM viewerYou can use the EMC SourceOne ONM Viewer to open IBM Notes messages. Perform thefollowing steps to install the ONM viewer.

Note

A system administrator must grant users the authority to install the EMC SourceOne ONMViewer.

Procedure

1. Click the Question Mark button.

2. Select About.

The About dialog box appears.

3. Click the download link that appears next to the ONM Viewer version in the Aboutdialog box.

4. Complete the install by following the downloading files instructions for the browser.

Commenting on messagesReviewers can add Comments to messages.

Consider the following when adding Comments to messages:

l Comments can be added to a message before or after a message is marked with aSupervisory Code.

l If a Reviewer adds a Comment to a message before the message is marked with aSupervisory Code, then the message is considered to be partially reviewed.

l Message Comments are message specific, for example, if a Reviewer adds aComment to a message and the same message appears in a second Reviewersmessage list, then the second Reviewer can see the Comment.

l The EMC SourceOne Email Supervisor Web Application provides the following ways toadd a Comment to a message:

n One at a time

n Multiple messages simultaneouslyA Supervisor can decide whether a Reviewer can Comment on multiple messagessimultaneously. If a Supervisor decides that a Reviewer can Comment on multiplemessages, then an Administrator must enable the multi select feature for theReviewer.

Adding a Comment to a messageTo add a Comment to a message, use the following procedure.

Procedure

1. In the message list pane, select the Add Comment button that appears in the row ofthe message that you want to add a Comment to.

Use the following procedure to add Comments to one or more messages when the multiselect feature is enabled.

2. In the menu bar, select Comment Selected.

3. In the Add Comment dialog box, type a Comment.

4. If you selected more than one message, then specify whether to apply the Commentto remaining items by selecting or leaving clear the Apply to remaining itemscheckbox.

5. Click OK.

Applying Comments to all items when the multi select feature is enabledUse the following procedure to apply Comments to all items when the multi select featureis enabled.

Procedure

1. In the menu bar, select Apply to All Items.

2. Select Comment All.

A Confirmation dialog box appears. The Confirmation dialog box includes thefollowing:

This action will be applied to all items in the message list, not just the selected items. Are you sure you want to apply this action to all <#> items?

3. Click OK.

4. Type a Comment.

5. Click OK.

Marking messagesThe Supervisory Codes that you use to mark messages are defined in the Business Policyand can change depending on the Business Policy that is used.

Note

The Review Group Supervisor develops and implements these Supervisory Codes.Contact the Review Group Supervisor with any questions about the Supervisory Codes.

Mark each message with a Supervisory Code and add Comments as necessary. Formessages that are flagged by multiple Business Policies, mark the message with aSupervisory Code for each Business Policy.

While marking messages, the Add Comment dialog box may or may not appeardepending on whether the Show this dialog only when SHIFT key is down checkbox isselected or clear:

l If the checkbox is selected, then hold the SHIFT key down to have the Add Commentdialog box appear.

l If the checkbox is clear, then the Add Comment dialog box appears automatically.

The EMC SourceOne Email Supervisor Web Application provides the following ways tomark a message:

l One at a time

l Multiple messages simultaneously

A Supervisor decides whether a Reviewer can mark multiple messages simultaneously. Ifa Supervisor decides that a Reviewer can mark multiple messages simultaneously, thenan Administrator must enable the multi select feature for the Reviewer.

Note

If you cannot select multiple messages in the message list pane, or do not see any menuitems in the menu bar, then you do not have access to the multi select feature.

Tips for viewing or handling multiple Reviewers per Review GroupIf two or more Reviewers are responsible for reviewing messages in a Review Group, themessage list pane does not automatically refresh to show the latest Supervisory Codesthat have been applied. To prevent a message from being coded more than once byReviewers, you can institute review methods to avoid refresh-related problems.

The following are examples of review methods:

l Click the Refresh button in the menu bar to refresh the information that appears inthe Reviewer page.Figure 40 Refresh button

l If two Reviewers in a Review Group are responsible for marking unreviewedmessages, then you can have one Reviewer start from the top of the list and the otherReviewer start from the bottom of the list.

l A Supervisor can create two Review Groups, where one Reviewer reviews messagesfor Review Group Members with last names that begin with A through L, and the other

Reviewer reviews messages for Review Group Members with last names that beginwith M through Z.

l If you have more than two Reviewers in a Review Group, you can use the messagetimestamp to divide up responsibilities, for example:

n Reviewer A reviews messages between 8:00 a.m. and 10:59 a.m.

n Reviewer B reviews messages between 11:00 a.m. and 1:59 p.m.

n Reviewer C reviews messages between 2:00 p.m. and 5:00 p.m.

Marking a messageTo mark a message, use the following procedure.

1. In the message list pane, select the Mark Message button that appears in the row ofthe message that you want to mark.

A list box appears with the Supervisory Codes that are available for selection for eachBusiness Policy.

2. Select a Supervisory Code.

3. (Optional) In the Add Comment dialog box, perform the following steps:

a. Type a Comment.

b. Click OK.

The Add Comment dialog box might not appear depending on whether the Show thisdialog only when SHIFT key is down checkbox is selected or clear. If the checkbox isselected, then hold the SHIFT key down to have the Add Comment dialog box appear.If the checkbox is clear, then the Add Comment dialog box appears automatically.

Marking one or more messages when the multi select feature is enabledUse the following procedure to mark selected messages when the multi select feature isenabled.

Note

If the message list filter is set to display only review incomplete messages, then amessage is automatically removed from the message list when it is marked with a finalSupervisory Code for all Business Policies. The message is also removed when it ismarked with the Supervisory Code of Escalated.

Procedure

1. Select one or more messages.

2. In the menu bar, select Mark Selected.

A list box appears with the Supervisory Codes that are available for selection for eachBusiness Policy.

3. Select a Supervisory Code.

4. Click OK.

Escalating messagesStandard Reviewers can mark messages that require further review using an EscalatedSupervisory Code. These escalated messages are then reviewed and processed by aReviewer that is defined by the organization as an Escalated Reviewer.

Reviewing escalated messagesTo review escalated messages, use the following procedure.

Procedure

1. In the menu bar, select the Filters button.

Generating a Reviewer Activity Report in the Reviewer pageTo generate a Reviewer Activity Report in the Reviewer page, use the followingprocedure.

Procedure

1. Click the Reports button.

2. In the reports menu, click Reviewer Activity Report.

3. In the report wizard, specify a date range, then click Next.

4. Select the Review Groups to include in the report, then click Next.

5. Select the Reviewers to include in the report, then click Next.

6. Specify one of the following column order preferences:

l Reviewers in column 1, Business Policies in column 2

l Business Policies in column 1, Reviewers in column 2

7. Click Finish to generate the report.

Report times outThis section includes information about when a report times out.

When a report times out during processing, the following error message appears:

The request time out before the report processing could complete. Refine the report criteria and try again, or contact the administrator for further assitance.

An Administrator can increase the timeout value.

Using keyboard navigation and shortcutsYou can use a keyboard instead of a mouse to perform all tasks in The EMC SourceOneEmail Supervisor Web Application. This section includes information about using akeyboard to perform tasks.

Web browser focusWeb browsers have a focus style that indicates a focused user interface element. Thefocus style differs depending on the web browser being used.

Before performing any task using a user interface element, ensure that the web browserfocus is set on the user interface element.

The web browser focus can only be set on one user interface element at a time. It ispossible to have no web browser focus on any user interface elements, for example, onthe initial load of a web page.

Tab, Shift+Tab, and arrow keysTo browse forward through user interface elements in a web browser, use the Tab key.

To browse backward through user interface elements, use the Shift+Tab keys.

You can use arrow keys to browse inside user interface elements such as menus, listboxes, or grid controls. You can also use arrow keys to scroll up or down when there is ascrollbar.

Browse sequence for user interface elementsThe browse sequence for user interface elements uses the following hierarchy.

1. Parent to children.

2. Top to bottom.

3. Left to right.

Within a user interface control, the application remembers the last web browser focus ona child when you browse away by using the Tab key. When you return back to the userinterface element from other user interface controls, the web browser focus on the childoccurs automatically.

The Tab key sequence loops endlessly. If you reach the last user interface control andthen press the Tab key again, the web browser focus shifts to the first user interfacecontrol.

Browser barsFor most browsers, the browser bars such as the Address Bar, Tab Bar, or Status Bar alsooccupy a spot in the tab sequence, which means that you need to press an additional twoor three tabs to start over from the first user interface control in the web page.

Menus, list boxes, and buttonsYou can use the following keys for menus, list boxes, and buttons.

l Use the Enter or spacebar keys to open menus, list boxes, or to press a button.

l Use the up-arrow and down-arrow keys to browse items in a menu or list box,.

l To select an item in a menu or list box, ensure that the focus is on the item, thenpress the Enter or the spacebar key.

Grid sub controlsThe message list pane, Business Policy list pane, and attachments list pane arepresented in the form of a grid. Grids can have sub controls.

The following is a list of the sub controls that can exist within a grid:

l Column header control

l The Tab key sequence between the sub controls is Column header control > Rowheader control > Cell control.

l Inside the sub controls, use a keyboards arrow keys to browse between user interfaceelements. For example, when the web browser focus is in the column header controlor a cell control, use the left-arrow and right-arrow keys to browse grid columns.When the web browser focus is on a row header or a cell control, use the up-arrowand down-arrow keys to browse grid rows.

l Use the spacebar to select or clear checkboxes. You can also use the spacebar to sorta column.

l To set the web browser focus on a button within a cell, browse to the row thatincludes the button within a cell, then press the u key. When you press the u key, theEMC SourceOne Email Supervisor Web Application determines the row that the webbrowser focus is on and then places the focus on the first available element within acell in that row. Within the message list pane, use the arrow keys to browse buttons

l Depending on the user interface element within a cell that is in focus, you can use thespacebar or Enter keys to launch a dialog box, display a list box, or to browse withinthe preview pane. To return the web browser focus back to the button within a cellfrom a list box or from the preview pane, press the Esc key.

l In the attachments list pane, select an attachment to preview in the preview pane byusing the Space key. To return to the message preview, ensure that the focus is onthe Back to message button, then press the Space key.

Calendar controlsThe following controls are available for use within a calendar.

l Use up-arrow, down-arrow, left-arrow, and right-arrow to select a date.

l Use PgUp and PgDn to select a month.

l To select a year:

n In Mozilla Firefox and Microsoft Internet Explorer, use Ctrl+PgUp and Ctrl+PgDn.

n In Google Chrome, use Alt+PgUp and Alt+PgDn.

l Use Home to select the first day of the month.

l Use End to select the last day of the month.

Shortcut keysThe EMC SourceOne Email Supervisor Web Application supports shortcut keys for severaltasks.

The following list includes the shortcut keys that are available for use:

l m — When the web browser focus is on a message, use m to assign the SupervisoryCode of OK to the message for all Business Policies.

l j — Use to browse forward through highlighted items that appear in the preview pane.

l k — Use to browse backward through highlighted items that appear in the previewpane.

l h — Use to toggle the state of a Business Policy checkbox that appears in theBusiness Policy list pane.

Before using any shortcut keys, be aware of where the web browser focus is. When theweb browser focus is on a specific Business Policy in the Business Policy list pane, theshortcut keys are available for that Business Policy only. If the web browser focus is onthe message list pane, then the shortcut keys apply globally. For example, consider thefollowing scenario.

Scenario details:

l Two Business Policies that are named BP1 and BP2 appear in the Business Policy listpane.

l The web browser focus in on BP1 in the Business Policy list pane.

In this scenario, the j and k keys can be used to browse only highlighted items that areassociated with BP1. The h key can only be used to toggle the display of highlighteditems for BP1. To use the j, k, or h keys for BP2 the web browser focus must be placed onBP2. If the web browser focus is placed on the message list pane, then the shortcut keysare applied globally to BP1 and BP2.

Overview of the Reports pageSupervisors can use the Reports page to create, view, and print EMC SourceOne EmailSupervisor reports.

The Reports page only appears for Supervisors. Reviewers that have report access mustuse the Reports button that appears in the menu bar to access reporting features.

EMC SourceOne Email Supervisor reports are used to:

l Provide proof to regulators that user messages are being reviewed.

l Help determine if Reviewers and Business Policies are effective.

l Identify habitual offenders of established Business Policies.

To access EMC SourceOne Email Supervisor reports, click the Reports tab that appears inthe page header. The reports that are available for you to use appear in the report menu.

You can configure reports by using the Report wizard.

EMC SourceOne Email Supervisor does not retain historical information aboutSupervisors that are associated with Review Groups. Therefore, the Supervisor field inthis report displays the current Supervisor for a Review Group, regardless of the specifieddate range.

Generating a Configuration ReportTo generate a Configuration Report, use the following procedure.

Procedure

1. In the page header, click Reports.

The Reports page appears.

2. Ensure that the Configuration tab is selected in the report menu that appears on theleft.

3. In the report wizard, specify a date range, then click Next.

4. Select the Review Groups to include, then click Next.

5. Specify whether the report is to include All details or is to Exclude addresses forReviewers and Members, then click Finish.

The Configuration Report appears.

Message Detail ReportThe Message Detail Report displays details about the history of reviewed messages forthe Review Groups, Supervisor Codes, and date range that you specify. The report alsoshows the actions that Reviewers performed.

Procedure

1. In the page header, click Reports. The Reports page appears.

2. In the reports menu, click Message Detail.

When a report times out during processing, the following error message appears:

The request time out before the report processing could complete. Refine the report criteria and try again, or contact the administrator for further assitance.

An Administrator can increase the timeout value.
