IntroductionEMC SourceOne Email Supervisor allows you to sample messages based on definedpolicies. The messages are then available to go through the review process.

Messages can be reviewed for compliance with NASD/SEC regulations or corporateelectronic communications policies. Messages can then be processed as conforming tothese guidelines or flagged for closer scrutiny. Information about each sampled messageand the actions that a Reviewer performs are stored in a SQL database and kept for aspecified period. After the specified period, the message and the actions that are takenare automatically deleted from the system.

ComponentsEMC SourceOne Email Supervisor includes the following components.

l EMC SourceOne Email Supervisor Server

l EMC SourceOne Email Supervisor Databases

l EMC SourceOne Email Supervisor Manager

l EMC SourceOne Email Supervisor Web Application (Reviewer and Reports)The EMC SourceOne Email Supervisor Web Application typically resides on the EMCSourceOne Email Supervisor Server.

l EMC SourceOne Email Supervisor end user clientsYou can install EMC SourceOne Email Supervisor Manager on EMC SourceOne EmailSupervisor end user clients. EMC SourceOne Email Supervisor end user clients accessthe EMC SourceOne Email Supervisor Web Application by using a supported webbrowser.

Planning considerationsEMC SourceOne Email Supervisor is a supplementary product that is used with EMCSourceOne Email Management or EMC EmailXtender® to sample indexed messages frommessage stores and present them for review.

Note

EMC SourceOne Email Supervisor can be configured to work with either the EMCSourceOne Email Management message archive or the EMC EmailXtender messagearchive. References to the message archive in this guide focus on the EMC SourceOneEmail Management message archive.

Confirming EMC SourceOne Email Supervisor purposeEnsure that you have identified the reasons for using EMC SourceOne Email Supervisor, such as implementing the application to monitor compliance with external regulations. These external regulations include NASD Rule 3010, other corporate policies, or both.

Before configuring EMC SourceOne Email Supervisor, you must have the expertise withinyour organization to interpret, document, and collaborate with your EMC SourceOneEmail Supervisor implementation team. Confirm that you have the expertise to establish

Page 12: EMC® SourceOne™ Email Supervisor 7.2 Installation Guide

the directives that are described in external regulations or corporate policydocumentation that you intend to monitor.

Identifying key playersEMC SourceOne Email Supervisor requires organized human interaction to produceintended results. You must understand who the key members are in your organizationand train them to perform their respective roles.

Typical members include Administrators, Supervisors, Reviewers, individuals, andfunctional groups within your organization and your organization’s managementstructure.

Defining monitor objectivesTo define what your monitoring objectives are, decide who to monitor and how.

Consider which users should receive a higher level of scrutiny that is based on the higherdegree of risk inherent in the nature of their daily communications. Segmenting yourusers by function to determine the level of monitoring forms the basis for creating ReviewGroups. After you establish how you intend to group users, you can decide which specificBusiness Policies are applied to each Review Group.

When developing Business Policies, you must decide whether you will randomly samplemessages, flag them for certain content, or use a combination of both:

l To randomly sample messages, identify the percentage of messages you want tosample. You must understand the typical messaging traffic for users whose mail youintend to sample. This information can typically be found by working with your emailsystem administrator to obtain statistical information about the volume of mail that isgenerated by groups of users.

l To configure content-based flagging, you must identify the specific information thatyou will flag. For example, consider looking for proprietary content that is being sentoutbound, certain terminology, or abusive language. Consider the specifics of what toflag to develop effective Queries and Lexicons that accomplish your goals with aminimum number of false positives.

l To use a combination of random sampling and content-based flagging, be sure tounderstand lexicon-weighted sampling in EMC SourceOne Email Supervisor, whichhas some unique considerations to achieve expected results. The goal is to present areasonable number of messages for your Reviewers while still achieving yourcompliance objectives.

As part of defining your monitoring goals, consider the following:

l The duration of the sample period.

l The number of days that are allowed for review.

l The domains in your company that are considered internal.

Setting up the Supervisor organizationSupervisors are responsible for interpreting the monitoring objectives for EMC SourceOneEmail Supervisor and configuring the system to meet those objectives. The number ofSupervisors that are required to configure and manage EMC SourceOne Email Supervisoris related to the size of your organization and how you organize the users you intend tomonitor into Review Groups.

In a typical configuration, each Supervisor is responsible for several Review Groups. EachSupervisor can share configurable elements that make up Business Policies in EMCSourceOne Email Supervisor such as Lexicons, Queries, Supervisory Codes, and

Before You Begin

12 EMC SourceOne Email Supervisor 7.2 Installation Guide

Page 13: EMC® SourceOne™ Email Supervisor 7.2 Installation Guide

Registered Documents. Therefore, Supervisors should work together as a functional teamto develop, manage, and share common Business Policies or the configurable elementsthat comprise Business Policies where it makes sense to do so.

Setting up the Reviewer organizationAn effective Reviewer organization is the key to meeting compliance and policyadherence objectives.

Consider the following questions when determining the scope of the Reviewerorganization:

l Who are your Reviewers? Are they a separate organization or are they composed ofpeople within your company’s overall organization?

l Are your Reviewers trained or certified in compliance and policy rules?

l How many Reviewers are in the organization?

l How do you intend to organize your Review Groups and balance the workload acrossyour Reviewers?

l How many users should be in each Review Group?

l How many Reviewers do you want to assign to each Review Group and whichReviewer role will they fulfill (standard or escalated)?

l Are the typical number of messages for review that are generated by the users in aReview Group based on:

n The number of messages each Member generates?

n Your sampling and flagging criteria?

l Can each Reviewer reasonably review the expected number of messages?

l Are your Reviewers dedicated full-time to reviewing messages, or do they have otherroles and responsibilities?

l How long does a Reviewer have to review and process a message?

l Who is responsible for communicating with Reviewers who fall behind?

l To whom do Reviewers report compliance or policy violations? What is the method ofcommunication?

By answering these questions beforehand and combining this information with otherconsiderations, you can better predict whether EMC SourceOne Email Supervisor willpresent a manageable number of email messages for each Reviewer to process.

Establishing communicationIt is important to encourage and formalize the means for communication between theSupervisor and Reviewer organizations.

Supervisors and Reviewers should constantly provide feedback to one another. Forexample, if a Reviewer notices that message content is flagged in many messages, yetthe content does not represent a compliance violation, the Reviewer should relay thatinformation to the Supervisor of the Review Group. The Supervisor can then update theEMC SourceOne Email Supervisor configuration to eliminate this issue and communicatethe change to other Supervisors and Reviewers.

It is important to note that a flagged message does not necessarily indicate a policyviolation. It is merely a first step to identify a possible violation. Reviewers must use theirjudgment to make the determination whether the flagged message is indeed a violationof defined external regulations or corporate policies.

Setting up the Reviewer organization 13

Page 14: EMC® SourceOne™ Email Supervisor 7.2 Installation Guide

Ultimately, a Supervisor should fine-tune EMC SourceOne Email Supervisor over time sothat most of the messages that are flagged by the system represent compliance or policyviolations.

Providing trainingTo ensure a smooth implementation of EMC SourceOne Email Supervisor to affectedorganizations, schedule targeted training for administrators, Supervisors, your internalhelp desk, and Reviewers.

Also develop communication plans for your entire organization which describe how EMCSourceOne Email Supervisor functions and how its implementation benefits yourorganization.

Conducting testsBefore implementing EMC SourceOne Email Supervisor across your entire organization, conduct tests on a small scale. Small scale tests ensure that the EMC SourceOne EmailSupervisor system is delivering expected results.

n Greater than 3,800 total mailboxes

n 133,000 total messages per day

Installation and Configuration

22 EMC SourceOne Email Supervisor 7.2 Installation Guide

Page 23: EMC® SourceOne™ Email Supervisor 7.2 Installation Guide

n Average message size is more than 200 KB including attachments

If a configuration exceeds these parameters, then specify different servers for theEMC SourceOne Email Supervisor server and database components during the EMCSourceOne Email Supervisor setup.

l Determine whether the configuration is to include a Network Load Balancer (NLB). Ifyou are deploying an NLB device in front of one or more instances of the EMCSourceOne Email Supervisor Web Application, then the following additionalconfiguration is necessary.

n Use IIS Manager to disable the ValidateRefererHeader application setting for theEMC SourceOne Email Supervisor Web Application.

The ValidateRefererHeader application setting determines whether the EMCSourceOne Email Supervisor Web Application is to validate that the address URLmatches the HTTP_REFERER HTTP header value. Disable theValidateRefererHeader application setting in a web farm configuration becausethe URL address of the NLB can differ from the address of the servers behind theNLB.

n Before installing the EMC SourceOne Email Supervisor Web Application, determine whether you plan to configure SSL Offloading on the NLB device. If youare planning to enable SSL Offloading on the NLB, then clear the Require SSLcheckbox when installing the EMC SourceOne Email Supervisor Web Application.

Clearing the Require SSL checkbox, causes the EMC SourceOne Email SupervisorWeb Application to disable a validation that ensures all requests are from anencrypted connection. When enabled, the SSL Offloading setting directs the NLBdevice to terminate the SSL connection at the NLB, and pass all requests asunencrypted to the EMC SourceOne Email Supervisor Web Application instances.Passing all requests as unencrypted removes the encryption and decryptionprocessing burden from the web server instances, and also allows advanced NLBfeatures to operate that require deeper inspection of traffic. EMC recommendsthat if you are using SSL Offloading on the NLB, then you ensure that the networkbehind the NLB is secured correctly.

Procedure

1. Log in to the EMC SourceOne Email Supervisor server with local Administrativeprivileges, then double-click ES1_SupervisorSetup.exe.

2. In the Welcome to the InstallShield Wizard for EMC SourceOne Email Supervisorscreen, click Next.

l If the configuration uses an IBM Domino server, then ensure that you know the IBMNotes Password.

l Ensure that you know the domain, username, and password of the Service Account.

l Ensure that Internet Information Services (IIS) is installed on the EMC SourceOneEmail Supervisor Web Application server.

l Determine whether the configuration is to include a Network Load Balancer (NLB).
