Dear Parents, The inherent value of volunteers cannot be debated. One of the things that makes CDS so special is that there are so many people who are willing to give their time and energy to volunteer for our children’s sake. I heard an anonymous quote recently that supported the beliefs that I hold regarding volunteers. It said, “ Don’t ever question the value of volunteers. Noah’s Ark was built by volunteers; the Titanic was built by professionals.” I smile every time I read this message. I would like to thank the legions of parents who help us provide wonderful activities at CDS. They are at the school every day, serving lunches, attending meetings, providing hospitality, setting up for plays, activities or events, copying, stuffing envelopes, and a variety of other tasks. The hours donated are given from the heart and they are performed with love. The Board, the PTO, the Dads Club, Booster Club, Green Committee, Steering Committee for the Capital Campaign and many other parent led groups are dedicated and determined to make CDS the best school that it can be. If you are able to volunteer, please remember that you are truly appreciated even when we don’t see you in action or we forget to stop you that day to tell you. You are a very important part of our school community. Additionally, the children are also very proud when they see their parents involved and helping at their school. Each section describes activities so that parents can consider their level of involvement and time commitment, month by month, throughout the school calendar year.

Getting  Started:  Guidelines  &  Policies  As you review the opportunities presented in this handbook, you may develop questions about a particular activity or volunteer position. The following is a list of parents and staff who can give you answers to help you decide how you would like to participate. Parent Volunteers are always welcome at any of our school campuses. Here are a few guidelines to ensure your volunteer time is productive:

Please park in the parking lot to keep lanes at and near the schools’ entrances clear in accordance with school safety policies.

Before you join in your activity, please be sure to go to the front desk and sign in so that the staff will know where you are in the building, and take a name tag so everyone else knows you are checked in.

Please respect that classes may be in session and should not be interrupted without prior notice from the front desk.

Be mindful of your dress as it should be comfortable and appropriate to be working on projects and/or interacting with young students.

Please refer to the CDS Student Handbook for further specific school policies regarding visitors on campus.

Have fun! Know that no volunteer effort is too small, and your taking an active part at CDS contributes on many levels to helping our school provide a quality education in an exciting, nurturing environment.

Early  Childhood  Campus  

YEAR-­‐ROUND  VOLUNTEER  OPPORTUNITIES   Library assistance - parent volunteers help maintain our ECC library with many

tasks including, bar coding and laminating new books, checking in/out of kindergarten books, monthly alphabetical auditing of book shelves and returning books to shelves from the book drop.

Staff meeting coverage - Staff meetings are scheduled on Wednesday mornings from 7:45 AM - 8:45 AM; parent volunteers watch early arrival children so that all teachers and staff can attend the meetings.

FALL   Dads’ Day - Fall – Dads’ Day at the early childhood campus is held on a Saturday

morning in October or November. Students and their dads (or any special adult) come for the morning to play and have snacks together. Volunteer moms set up and clean up, run the various activity stations, take pictures, and face painting.

Paint the Campus Pink - October - Parent volunteers join in school wide event honoring loved ones lost to cancer as well as survivors; pink ribbons are hung around campus, pink flowers are planted and signs are painted and posted. The children make pink crafts and interact with high school students.

Homecoming Activities - October - ECC takes an active part in Homecoming by hosting the spirit events on the day of the football game:

o Parent volunteers help children paint a banner and make crafts o Help set up as well as clean up o Collect entry fee at the front entrance as well as guard side entrance o Sell food and refreshments in the snack shop o BBQ hamburgers and hotdogs o Help with childcare for children who's parents are volunteering. o Do face-painting o Help sell school paraphernalia

WINTER   Winter Party - December - The Winter Holiday Party is a gift from the CDS staff to

the students and families. This event takes place on a Saturday morning during the winter months. Children and their families are invited to enjoy games, crafts, storytelling and refreshments. Parent volunteers stay to help clean up.

Patriot Run - Families participate in a school wide fundraising run; volunteers are enlisted to help with preparations as well as Event Day support:

o Distributing flyers and registration forms, t-shirts, goodie bags o Set up and tear down o Registration and check-in o Help with child care o Race course marshals

International Night - An evening of school-wide celebration of our cultural diversity, volunteers help plan and set up exhibits of the nationalities shared by the parent community. Subcommittees coordinate the planning in three aspects:

o Organization of booths that will display items for each nationality. o Foods shared by everyone from respective countries o Cultural performances - music and dance

*Auction - February - - PTO’s biggest fundraising event, parents enjoy a fun evening of company in a themed setting with chances to bid on interesting items.

o Volunteers from each class create two (2) items for auction: a class craft project and a themed auction basket. Planning for these projects starts in the early months of the school year.

o Volunteers may join the PTO Auction Committee to help plan and prepare for the event. (See PTO leadership, page 38)

SPRING   Art Show - April - This annual spring event is a must for all families at the early

childhood campus. The school is transformed into a gallery of masterpieces created by the students. It is a celebration of children and their art. Parent volunteers help with clean-up.

Booster Club Family Fun Basketball Game & BBQ - Along with the student-faculty basketball game, the evening includes grade-specific games for all students to play. Parent volunteers help with supervising the games, serving food, helping with clean-up, etc.

*Teacher Appreciation - May - Through the help of the room representatives, this event is organized to say “Thank You” to our staff and faculty. Parent volunteers help room reps with the preparations, including creating calendar gifts, planning a luncheon celebration, setting up and cleaning up.

*Uniform Exchange – May – Parent volunteers join together at the end of the school year to help sell used uniforms for CDS families as well as for CDS donations. Volunteers help with collecting and arranging clothes, assisting families, and receiving payments. Time involved is based on the volunteer’s availability.

Elementary/Middle  School  Campus  

YEAR-­‐ROUND  VOLUNTEER  OPPORTUNITIES  

Field Trips – Specific to each grade, classes may need chaperones or drivers

Lunch Volunteers – Volunteers are scheduled by days per month (e.g. 2 Monday’s per month) to help serve food and assist young students. 4 volunteers are needed each day, and they will get lunch credits for their children.

Bake Sale - Benefiting various causes, a bake sale is hosted by each of the grades in rotation. Parents help sell baked goods at lunch for 2 scheduled days.

Author’s Conference - Every other year (odd years) authors and professionals in journalism are invited to CDS to speak to the students; parents help with greeting & escorting, book sales and traffic flow around campus.

Copying services - Parent volunteers are regularly scheduled to help with copying needs of any faculty member.

Assist in the Library - Parent volunteers are regularly scheduled to check books in and out, shelve books and cover books.

The following summary of volunteer opportunities is chronicled by season and approximates the time of year when the activities are scheduled. Some event dates will be determined as the school calendar and construction developments accommodate them.

FALL   *Dads’ Day - September - A morning of opportunities for students grades 1 thru 8

to spend time with their dads. Games and sports are set up in the school lobby and in the fields. Volunteer moms serve breakfast.

*Fall Festival - October – An afternoon of fun when a collection of old fashioned-carnival games take over the campus fields! The games and booths are created by each class. Volunteers from the classes attend the booths for the students to enjoy (1/2 hour shifts). (In 2011 this will be held in the morning due to construction.)

*CDS Book Fair – Always a successful fundraising event, volunteers help sell books selected by the CDS staff.

Shakespeare Festival - November - Middle School only - Volunteers help transform the Dining Room for a medieval feast, decorating the tables and walls, and serving a fun meal to the “ladies and gentlemen of the court”.

WINTER   Patriot Run - December - Families participate in a school wide fundraising run;

volunteers are enlisted to help with preparations as well as Event Day support:

o Distributing flyers and registration forms, t-shirts, goodie bags o Set up and tear down o Registration and check-in o Help with child care o Race course marshals

Winter Treat – At the discretion of each teacher and coordinated by class room reps, volunteers may bring in a winter treat for the class

*Father Daughter Dance - Volunteers help plan, set up and decorate for a special evening dedicated to fathers and daughters.

*Auction – PTO’s biggest fundraising event, parents enjoy a fun evening of company in a themed setting with chances to bid on interesting items.

o Volunteers from each class create two (2) items for auction: a class craft project and a themed auction basket. Planning for these projects starts in the early months of the school year.

SPRING   *Grandparent’s Day - March – A favorite occasion for grades 1 thru 8, PTO hosts a

morning celebrating our students’ grandparents. A Volunteer committee plans the event, while other volunteers, on the day of the event, welcome guests, help decorate the lunch area, provide breakfast, take souvenir pictures, and offer memorable moments for grandparents to enjoy.

Funtastic Friday – Volunteers help P.E. coaches with outdoor fun and games before a noon dismissal (could be a wet one!)

*Mother-Son Bowling - Volunteers help plan and organize prizes for a special afternoon for mothers and sons.

Booster Club Family Fun Basketball Game & BBQ - Along with the student-faculty basketball game, the evening includes grade-specific games for all students to play. Parent volunteers help with supervising the games, serving food, helping with clean-up, etc.

Spring Fling – Volunteers help the art teachers prepare artwork for display and set up exhibits around the lunch area and lobby.

8th Grade Celebration - 7th grade volunteers plan and prepare a cake and beverage reception for an evening celebrating the achievements of the 8th grade class.

*Uniform Exchange – May - Parent volunteers join together at the end of the school year to help sell used uniforms for CDS families as well as for CDS donations. Volunteers help with collecting and arranging clothes, assisting families, and receiving payments. Time involved is based on the volunteer’s availability.

High  School  

YEAR-­‐ROUND  VOLUNTEERING  OPPORTUNITIES   Performing Arts - Weeks of preparation go into the production of our school art

and musical performances. During that time, a pool of volunteers is enlisted to help make costumes, props, and sets. On the evenings of the performances, volunteers help with concessions, ticketing, and take down.

Career Workshops - Volunteer opportunities involve parents talking with students and/or giving presentations about the careers they pursued, how they chose courses in college, etc.

College Ambassador - College alumni parents volunteer as liaisons to their colleges and help students by conducting practice interviews.

Copying services - Parent volunteers are regularly scheduled to help with copying needs of high school staff or faculty.

Snack Shack volunteering -

o Coordinator - A parent volunteer is responsible for organizing the daily schedule of volunteers to cover the sales of snacks and beverages in the Athletic building. Proceeds benefit the Athletic programs.

o Volunteers sign up for specific number of days in a month to sell snacks and beverages to high school students during lunch time. The 40-minute time commitment includes controlling the money box, as well as maintaining organized supplies and stocking the shelves and refrigerator.

FALL   NHS Garage Sale - October - Volunteers assist National Honor Society students

organize and prepare donated items for sale. The money raised from the Garage Sale helps support chapter events and projects including the induction event, underwrites t-shirts, and most importantly, funds an annual Senior Scholarship.

Paint the Campus Pink - Parent volunteers join in school wide event honoring loved ones lost to cancer as well as survivors; pink ribbons are hung around campus, flowers are planted and signs are painted and posted.

Homecoming Dance - Parent volunteers assist the Student Council with planning of semiformal dance, helping with venue selection and reservations, decorations, beverages, etc.

Dads’ Lunch - January - Students spend lunch time with their fathers; Volunteers bring in desserts and one volunteer takes memento photos

Breakfast Break - Students start a cool, winter day with the inviting smells of breakfast; Volunteers provide breakfast food items and set up and serve a morning meal.

International Night - An evening of celebration of our cultural diversity, volunteers help plan and set up exhibits of the nationalities shared by the parent community. Subcommittees coordinate the planning in three aspects:

o Organization of booths which will display items for each nationality. o Foods shared by everyone from respective countries o Cultural performances - music and dance

Sweetheart Dance - February - Parent volunteers assist the Student Council with planning of semiformal dance, helping with venue selection and reservations, decorations, beverages, etc.

Valentine Treat - Coordinated by class advisory reps, volunteers bring in Valentine sweets for students to enjoy during study hall.

*Auction – PTO’s biggest fundraising event, parents enjoy a fun evening of company in a themed setting with chances to bid on interesting items.

o Volunteers create 2 items for auction: a class craft project and a themed auction basket. Planning for these projects starts in the early months of the school year.

SPRING   March Madness Sub or Pizza Lunch - Celebrating their favorite champion teams,

students enjoy a lunch served by parent volunteers who bring in assigned food items and help set up and serve.

Prom - April - Parent volunteers assist the Student Council with planning of semiformal dance, helping with venue selection and reservations, decorations, beverages, etc.

*Ice Cream Social - Funded by PTO, volunteers bring in assigned ice cream fare items, and help set up/serve students at an afternoon break in the outdoors.

Senior Farewell Lunch - Parent volunteers support the Booster Club by helping with set-up, serving and clean-up of a parting lunch for senior students.

Senior Honoring Event - Parent volunteers of the junior and senior classes help with a number of preparations for this special event honoring senior students:

o collect and organize photographs for slideshow o prepare senior pictures for signing display o decorations o plan refreshments o assist with set up and clean up.

Booster  Club     The CDS Booster Club is a spirit support group made up of both parent and staff members. Their role is to promote and exemplify CDS Patriot spirit on campus and at the various sporting events, and through the volunteering efforts described below.

Concession Stand - Serve food, and beverages from the concession stand at the football/soccer field, or in the gym at the TBBCC. Volunteers are asked to work at least half of the game to which they are assigned. Full game volunteers are also welcome.

Spirit Store - Sell spirit items from the Spirit Store. Organize and inventory new items when delivered. Volunteers also set up and sell items at a partial store at home games on the football/soccer field. The Spirit store is open Tuesdays and Thursdays from 7:35 AM - 8:35 AM and 2:00 PM - 4:00 PM.

Game Day Ticket Collections - Collect admission at the gate for varsity and middle school sporting events. Volunteers are asked to work from before game time until about 2/3rds of when the game is over. Depending on the event, this is about 1-11/2 hours.

Grillmaster - Cook and wrap hot dogs, hamburgers, and cheeseburgers. Volunteers are asked to work half of each home game. First half will set up and warm up grill. Second half will turn off and clean grill. Full game volunteers are welcome.

Concession Set up - Volunteers stock concession stand with all items needed including: food, beverages, cash box, grill supplies. The time commitment varies depending on which event you are assigned.

Patriot Run - Many different volunteer opportunities available from: starters, marshals, concession stand, check-in, kid play area, set up, clean up, etc.

Alumni  Relations  As our alumni base continues to grow, so will our need for volunteers within the Alumni Relations program. Currently, the development office hosts an alumni tent at the Homecoming Game each October. We welcome ideas for additional alumni events, as well as an individual or group to take on the responsibility of updating alumni contact information and collecting/communicating alumni news.

PTO  Leadership  

CARROLLWOOD  DAY  SCHOOL  PARENT  TEACHER  ORGANIZATION    Some parents seek opportunities to be volunteer leaders in the school community. The following descriptions outline the responsibilities of volunteer positions that make up the PTO Board of Leadership. The PTO leadership is made up of enthusiastic and dynamic parents, along with faculty and staff volunteers, who carry out their responsibilities as both committee chairpersons and individual leaders, managing projects and programs that support the CDS families and faculty, as well as school-wide. Volunteers are asked to hold these positions for a 2-year term. The responsibilities may include organizing special events, providing a reliable communication network among parents and teachers, coordinating parent volunteers in classroom activities and conducting fundraising events and programs. The Board is organized according to three dimensions of support, overseen by an

Executive Committee:

PTO  ORGANIZATIONAL  CHART

PTO  EXECUTIVE  COMMITTEE   D President

Description:

Oversee the leadership of the organization’s activities

Organize and coordinate the PTO Coffee and Volunteer Affair at the beginning of each school year.

Develop agendas and conduct Executive Committee and General PTO meetings

Develop and provide to the leadership updated handouts on PTO organization and contact information.

Work with school administration to facilitate calendar of PTO events for the school year

Establish communication lines among PTO leaders

Collaborate with Treasurer and Business Office to develop PTO’s financial accountability

Assist Secretary in publishing meeting minutes

Collaborate with Marketing Manager to develop promotional information (e.g. signs, PTO favors) to encourage parent involvement.

Ensure that comprehensive communication and networking with parents is done with approval and monitoring by the school administration.

Provide PTO board members with updated communicative information and guidelines to support their leadership responsibilities.

Promote the continued growth and development of the PTO organization, forming task groups to generate discussion of issues and topics that propose new ideas supporting the parent community and volunteering at CDS.

Skills Utilized:

Organizational skills to develop communication lines, meeting agendas, calendar of events, etc.

Leadership and public speaking ability to conduct meetings

Good people skills to address the parent community and encourage involvement.

Computer skills in using spreadsheet programs, Internet communications, charting formats, etc.

Training & Resources:

PTO Manual; Support from outgoing president; guidance from school

administration

Time Commitment:

2 -3 hours/week, 11 months of school year; some time over the summer break

Most enjoyable part of being this volunteer: Collaborating with the caring, bright parents who are giving their time and support to CDS.

D Vice President - Parent & Family Support

Description:

Facilitate the growth and development of activities and programs that will support and enrich CDS parents and families.

Foster a good communication network among the leaders in Parent & Family Support

Collaborate with school administration to ensure accurate and thorough communication with the parent community.

Communicate to the PTO Board on progress and successes of the division’s activities and programs conducted throughout the year.

Skills Utilized:

Organizational skills to establish and maintain communication with parent volunteers so that everyone is regularly informed of schedules and activities.

Leadership and public speaking abilities to conduct meetings.

Good people skills to interact with parent volunteers and support their involvement.

Computer skills in developing and sharing automated information from both the school and fellow parent volunteers.

Training & Resources:

Support from PTO President; resource material being developed in this first year with this volunteer position.

Time Commitment:

A few hours a week, sometimes more if there is an upcoming PTO event.

Most enjoyable part of being this volunteer:

Being involved in activities that directly support our CDS community; contributing to the family atmosphere of our school community.

D Vice President - Teacher & Classroom Support

Description:

Improve and develop the communication network among room reps and parents at all campuses.

To communicate to the PTO Board on progress made by classroom representative coordinators and their parent’s involvement in lending support to teachers and their planned learning events.

Collaborate with school administration to ensure accurate and thorough communication with the parent community.

To assist in Staff Appreciation event

To assist in Auction baskets and projects

Facilitate the growth and development of activities that support faculty and students.

Skills Utilized:

Organizational skills to establish and maintain communication with parent volunteers so that everyone is regularly informed of schedules and activities.

Organizational skills to facilitate the planning and execution of activities for the teachers and classrooms that need volunteer support

Leadership and public speaking abilities to conduct meetings.

Good people skills to interact with parent volunteers and support their involvement.

Computer skills in developing and sharing automated information from both the school and fellow parent volunteers.

Training & Resources:

Support from PTO President; Resource material being developed in this first year with this volunteer position. Previous experience in being a room rep and a PTO member desired.

Time Commitment:

A few hours a week, sometimes more if a major event is planned

Most enjoyable part of being this volunteer:

Working with other caring parents and staff that all have the good of the CDS students in mind when carrying out the year’s planned events.

D Vice President - School wide Support & Fundraising

Description:

Oversee the leadership of activities and programs conducted for PTO fundraising and school-wide support.

Facilitate the growth and development of PTO activities and programs that will benefit the CDS school budget.

Foster a good communication network among the leaders in School Support & Fundraising.

Collaborate with school administration to ensure accurate and thorough communication with the parent community.

Ensure fundraising members take proper steps when proposing/changing a fundraising activity, i.e., submitting a fundraising form to the Development Office.

Communicate to the PTO Board on progress and successes of the division’s activities and programs conducted throughout the year.

Provide accountability to the Development Committee on PTO fundraising activities and successes.

Skills Utilized:

Organizational skills to establish and maintain communication with parent volunteers so that everyone is regularly informed of schedules and activities.

The Hospitality Committee is a welcoming and facilitative function of the PTO Executive Committee. The Chairperson and team members provide hospitality services for the various PTO events as well as other specified events held for parents. The duties include:

• Tending to the hostess details of meetings, open house, and events. This includes understanding the needs of an event -- scheduling the time and date of the meeting place, filling out forms for each event, indicating the set - up of tables, knowing the number of guests attending, preparing a caterer to assist or providing the food and beverage items.

• Collaborating with school administration to purchase paper goods and table supplies for the year’s events.

within budget and use SCRIP gift cards when possible. o Coordinate volunteers (with the help of the Room Reps) to assist during the

event. Volunteers are needed to help serve food, make and serve coffee, oversee crafts, and set up and take down tables.

o Obtain high school volunteers to do face painting. Purchase face painting supplies.

o Order plates, cups, tableware, napkins, etc. as needed. o Set up and take down before and after the event. o Develop a flyer (must be approved by Marketing Department) to be sent out via

TEACHER/CLASSROOM  SUPPORT   Room Representatives (a.k.a. class moms, room reps, advisory group reps) and their Coordinators represent the networking anchor to the CDS parent community. Coordinators for each campus provide leadership to the class representatives, who assist the teachers in establishing communications and encouraging involvement from each parent in their respective children’s classes. This organized group of parents also provides a most important component of items for bidding at our annual auction, the class baskets and craft projects.

SCHOOL  SUPPORT  &  FUNDRAISING  Throughout the year, the PTO sponsors a number of school-wide fundraising events and programs, featuring our major PTO fundraiser, the Annual Auction.

Goals of fundraising are directed toward raising money for tangible items that enhance the operation of the school and the learning experiences of the students, as well as providing funding for parent and faculty education.

The PTO facilitates volunteer help at many other school events in collaboration with other parent organizations in the school such as Booster Club and Dads Club.

D Auction Committee Chairperson(s)

As project managers, chairpersons are responsible for all aspects of a successful benefit auction event:

Description:

Acquisitions – Responsible for getting items for the auction, sending out letters to potential donors, and following up to make sure items are coming in. Communicate with Data Entry to make sure all items are accounted for and printed in auction book. (2 people) (Any person can help acquire donations at any time)

Sponsorships – Help acquire sponsors. Responsible for keeping track of ticket reservations, signage, and ads for the auction book for all sponsors.

Communicate with Data Entry. (1-2 people) (Any person can help acquire sponsors at any time)

Data Entry – Volunteers enter items into Auction Program for donations, sponsors, quest information, etc. (Training will be provided) (2 people)

Class Baskets & Projects - Collect descriptions of baskets & projects by class. Monitor approval of themes; Ensure baskets & projects are properly created and assembled; Manage the collection of all items the week before auction. (1 person for lower campus, 1 person for upper campus)

Check–In – This group helps organize and stuff bid packets. Responsible for making sure all guests are in the Auction Program and ready to be checked in at arrival. Pre-Register Credit Cards (Training will be provided) (5-6 people)

Check–Out – Responsible for closing out bidders and collecting money for items.

Pass out bidders certificates. All check-out committee members will be trained in the check-out process by CM Benefit Auctions. (5-6 people)

Silent Auction Closers – Closers circle the top bid amount and bid number at the closing of the silent auction. They then collect the top copies and return them to the cashiering station. (5 -6 people)

Set Up – Volunteers help bring auction items to auction location or help to unload items from the bus. The items are to be placed on tables with corresponding bid sheets. (Anyone available)

Clean Up – Auction Committee members stay after the auction and help make sure nothing is left behind. All leftover items must leave the building, decorations or signage must be taken down. (Anyone Available)

Drawings – Responsible for Tuition Credit, Send Your Teacher packing and other drawings. Tickets are to be sold in carline 2 weeks before auction and at check-in time at the event. Responsible for acquiring volunteers. (1 person upper, 1 person lower)

Teacher Donations – Distribute donation forms to all teachers. Confirm dates, times, number of children involved etc. Report to Auction Co-Chair. (1 person upper, 1 person lower)

Volunteer Coordinator – Responsible for gathering volunteers when needed in a specific area at a specific time. (1 person)

Letters/Flyer - Coordinate with Auction Co-Chairs and produce letters or flyers to be distributed to all campuses and possible mailings. (1 person)

Clip Art – Design clip art for auction items and produce cards to be displayed at auction. (1 person)

Event Planning – Coordinate menu planning, decorations, entertainment, designing the event’s layout, and managing the course of the evening. (1-2 people)

D Book Fair Chairperson

Description:

• Volunteer Fair - to sign up parents for working at the Book Fair.

• Organize teacher readings & activities.

• Meet with book merchant to plan the event.

• One month before - Send out first flyer, then weekly until Fair begins.

• 2 weeks before - Sell Scrip

Skills Utilized:

• Computer skills to email volunteers, design flyers

• Marketing - banner at school during Book Fair

Training & Resources:

There is a binder full of material on how to run the Book Fair that is passed on to subsequent chairpersons.

Time Commitment:

20 hours/week Every day for 2 months -- mid September thru beginning November

Most enjoyable part of being this volunteer:

It is a lot of fun working at the Book Fair. It’s great to see the kids come and pick out books for their teachers.

✤ Book Fair Committee

Description:

Parent volunteers work during the book fair in 2-hour shifts

Assist customers with locating items.

Help maintain teacher wish lists to avoid duplication of purchases.

Help unload and organize delivered books.

books! D Patriot Run Coordinator (co- with Booster Club)

Description:

• Oversee all aspects of the event

• Create marketing materials

• Solicit sponsorships

• Solicit In-kind sponsorships/donations for the race bags

• Manage entry forms

• Maintain communication with sponsors, participants, volunteers

• Collaborate with Coaches/Booster Club on course design and measurement and concessions

• Work with event day volunteers

Skills Utilized:

• Organizational skills to plan and execute event

• Written communications skills for marketing materials/correspondence with sponsors/participants, etc.

• Computer skills to manage spreadsheets, budgets, participant database.

Training & Resources:

Support from current Patriot Run Co-chairs, coaches and Booster Club

Time Commitment:

Approximately 10 hours per week on average throughout the fall semester, approximately 20 hours per week one month prior to the event.

D Scrip Coordinator

Description:

The Scrip coordinator facilitates the orders for gift cards that people place to www.shopwithscrip.com. A percentage of purchases is given back to the school. They will receive notification on line that an order has been placed. Once verified, they will send it through, sending a copy of the order by email to Maureen Clement. All orders are shipped to the school. When it is received at school, verify that the order is intact, place it in an envelope, send the scrip home through one of the children at the school, and give Maureen Clement the shipping forms.

• Internet skills to monitor online orders

• Organizational skills to collect data and report on school profits

Variable to volume of purchases; much of the work can be done from home.

DBox Tops Coordinator

Description:

• Send the box tops information that comes to you through email to Erma Ruffkess so that she can mass email it to all the families.

• Over the summer before school starts, compose a letter with envelope to send to the new families to introduce them to the program and remind them to collect box tops. (Cayce French provides the list of new families). The envelope needs to have the art design and magnet on the back. These need to be put together so that you can attach the letter to it and then put them in the child’s home room teachers box so the new families will have them. Or you can prepare them before the mailings go out from CDS and put them in with the other information that the family will receive from the school during the summer.

• Monitor the main pink box in International Square where students can drop off box tops. (Mrs. O’Neill has been helping with this over the past years)

• Cut and group 50 box tops in zip loc bags. Mrs. O’Neill has helped with this process and if she is willing to continue, all you have to do is send them out once or twice a year.

• Enlist a volunteer from the early childhood campus to coordinate the box tops collection at the lower campus and after those are also put in bags of 50, they need to be brought up to combine with the upper campus.

Training & Resources:

All the material will be on line through the Box Tops web. There is a section to register as a coordinator and they will email from time to time reminding you of information that you need to know.

Time Commitment:

Most of work can be done at home. You collect, bag and send once or twice a year.

DCampbell Labels for Education Coordinator

Description:

• This is an on-going fundraiser in which the points carry over year-to-year. It

requires that families be aware of the eligible products and, if they use those

products, to clip and save the UPC barcodes or collect the bottle caps and deposit

them in the Campbell's boxes at school. The school also has the opportunity to

generate 2,000 bonus points per school year by participating in school-generated

community events, e.g., “Paint the Campus Pink”, etc.

• There are two boxes ~ one located at the ECC front office and one in International

Square at the Bearss Avenue Campus.

• The accumulated points may be used at any time to purchase educational or

sporting items from the Campbell's current on-line catalogue.

Coordinator’s Role:

• Prepare and tend to a booth at the Volunteer Fair at the beginning of the school

year. This involves creating a display board featuring eligible products, displaying

some sample products and educating parents about the program.

• Communicate with Erma Ruffkess regarding Campbell's updates, so that the

information can be posted in the Thursday Folder.

• Print and forward the 4 blank Community Event Forms to Mrs. Buscemi so that they

can be distributed to the coordinating faculty members.

• Check the boxes on a regular basis and collect any UPC codes or caps.

• Clip the UPC codes, if necessary.

• Discuss with Mrs. Buscemi which department needs to compile a "Wish List".

• Sort and tally up the UPC codes and caps, and prepare the Banking Form for

submission to Campbell's before the school year-end.

• Prepare and submit an Order Form to Campbell's when ready to order items.

Skills Utilized:

• Social skills for communicating with faculty and parents.

• Creative skills for displays and flyers.

• Organizational skills.

• Basic computer skills for navigating the Campbell's website.

Time Commitment:

Approximately 10-20 hours per school year for Volunteer Fair preparation and

attendance, PTO meetings, communicating, collecting, clipping, counting and

submitting forms.

Most enjoyable part of being this volunteer:

• Socializing with the parents and faculty

• Being able to create my own schedule within the program parameters

• Educating the parents to the fact that this “Everyday Free” fundraiser can provide

the school with valuable educational resources, without having to give money! DBooster Club Liaison

Description:

• Facilitate mutual support between the PTO and Booster Club as they collaborate in events

to encourage parent participation and promote school activities and athletic programs

• Coordinate PTO volunteers to assist with Booster Club and athletic events.

• Ensure effective communication between the 2 groups by attending their meetings.

• Be a strong advocate for our athletic programs

Volunteer  From  Home   The following activities afford parents opportunities to be involved by helping from home.

Volunteer Form Data Entry

The Admissions Office collects Volunteer Forms submitted by parents when they enroll their students to CDS. A parent volunteer does all of the electronic data entry on each form where parents indicated they are interested in helping with the many school activities. Reports and spreadsheets can then be generated to help the volunteer leaders network and enlist their team of volunteers. The data entry volunteer must be familiar with the Macintosh Numbers software program. Data entry can be done at home.
