BABIES 0-3 year olds are classed as babies: No charge.

CHILDREN

4-12 year olds are classed as children: 40% of package price and soft drinks at scheduled times – i.e. reception drinks and during the meal.

CHILDREN’S MENU

The principal rule for children (4-12 year olds) is that they will be charged 40% of the package price chosen. In terms of menu we can “bespoke” the items.

TEENAGERS

13-18 year olds are classed as teenagers: Full Price and soft drinks at schedule times – i.e. reception drinks and during the meal.

VEGETARIAN/DIETARY REQUIREMENTS

We cater for these however they will be charged at the same package price and must be pre-ordered.

BEDROOMS We offer a special wedding rate of £120.00 Bed & Breakfast per room per night based on Standard Bedrooms.

We would be happy to discuss upgrades with you. We are happy to guarantee the rate to:-

By Train

Thameslink operate a direct service between St Pancras. International and St Albans station. Fast and semi-fast train call at West Hampstead station before St Albans and the journey time is approx.15 minutes. Look for either BEDFORD service or ST ALBANS service. There is also a local service from Kentish Town, West Hampstead, Cricklewood, Hendon, Mill Hill Broadway, Elstree & Borehamwood, and Radlett. On arrival at St Albans station there is a taxi rank outside and the journey to Sopwell House is 5-10 minutes depending on traffic.

TERMS & CONDITIONS 1. DEFINITION "The Client" refers to the person or organisation making the booking and "the Hotel" refers to Sopwell House Hotel Country Club & Spa. 2. CONTRACT When the booking is confirmed by the client in writing, a contract is deemed to exist. 3. CONFIRMATION The Hotel will hold a provisional wedding/event booking for a maximum of 14 days unless otherwise agreed in writing by The Hotel. A Provisional booking puts neither party under any obligation to confirm the event. During this time, should a further enquiry be received, The Hotel reserves the right to ask for immediate confirmation from The Client by way of a signed contract or the enquiry made by the client may be released. 4. CHARGES & PAYMENT a) A non refundable deposit of £1000+VAT must be paid on confirmation along with a signed copy of the contract and Terms & Conditions. 50% of the contracted “Function Estimated Grand Total” is due 60 days prior to the event. The balance of the total anticipated charges must be paid 14 working days prior to the event. Any numbers less than the contracted “Minimum Numbers” at this date will be charged at full price – no refunds or transfer of monies are possible. Any outstanding balance will be payable prior to departure. b) Prices quoted are subject to variation up to 3 months prior to the function, after which they may vary due to Chancellor's budget, value added tax, excise duty, currency variation, or other reasons that are outside the management's control. 5. AMENDMENTS BY THE CLIENT a) Reductions in the duration or contracted value of the booking shall be subject to the Hotel's cancellation policy. b) Unless stated otherwise in writing, no charges will be made for any reductions in the numbers of less than 5% from those stated in the contract, providing they are received in writing at least 14 working days prior to arrival. c) The Client will adhere to the timetable agreed with the Hotel and completely vacate the premises at the agreed time. Banquets, where the meal commences over 30 minutes after the agreed time, will be liable for additional charges for staffing costs at the discretion of the Hotel. d) Should a reduction in numbers of 5% or more be made at any time prior to the event, and the released facilities and services cannot be resold, then any the reductions will be chargeable and subject to the Hotels Cancellation Policy. 6. EVENT CANCELLATION BY THE CLIENT a) Cancellation fees are VAT Exempt. b) In the circumstances that the client has to cancel or postpone all or part of the confirmed booking at any time prior to the event, The Hotel will make every effort to re-sell the facilities on the client's behalf. In the event that the released facilities and services cannot be resold, then any reduction shall be subject to the Cancellation policy noted below c) Any cancellation or postponement must be confirmed in writing. Unless we resell the space and secured the same rates, the cancellation fees will be based on the noted schedule below: More than 180 days before the wedding date Loss of deposit Between 180 and 121 days of the wedding date 25% of total anticipated charges, based on min. numbers required Between 120 and 91 days of the wedding date 50% of total anticipated charges, based on min numbers required Less than 90 days of the wedding date 100 % of total anticipated charges, based on min numbers required d) The above cancellation policy is based on all pre-booked services booked by the client and includes but is not limited to rooms, meals, breakfast, drinks and event space. e) Rooming lists must be received two weeks prior to the arrival date. After this time cancellations from this rooming list or the events contract will become chargeable unless The Hotel can re sell the cancelled accommodation. f) All cancellations must be received in writing and the calculation of cancellation charges shall begin from midnight on the day the written cancellation is received by The Hotel. g) The cancellation charges will be calculated from: contracted numbers of attendees, the package price, additional contracted miscellaneous items and any holding bedroom blocks. h) A schedule of maximum anticipated gross revenue chargeable, as invoice will be issued at the time of cancellation. However a final invoice of cancellation charges will be raised after the event date, adjusted for revenues recovered through re-selling.

7. BEDROOM CANCELLATION BY THE CLIENT a) Cancellation fees are VAT Exempt. b) Less than 4 bedrooms we require 24 hours notice from 2 pm GMT the day prior to arrival 5 rooms up to 14 rooms we require 7 days notice 14 rooms up to 35 rooms we require 14 days notice 35 rooms or more a different term will apply subject to the number of rooms . c) Guests with confirmed reservations who do not arrive will be considered no shows and charged at the applicable rate. 8. ARRIVAL/DEPARTURE The bedroom accommodation is available from 3.00pm on the day of arrival and, unless requested otherwise and agreed by the hotel, must be vacated by 11.00am on the day of departure. Failure to do so will incur a surcharge. Luggage can be stored if so required 9. FOOD AND BEVERAGES a) The Client will ensure that no food or beverage of any kind is brought onto the Hotel premises, except wedding cakes, or with the Hotel's written agreement. Should beverages (alcoholic/non-alcoholic) be brought onto the Hotel premises on the day of the event, our team will ask you to remove them and for those beverages consumed that were brought onto the premises a charge will be added to your final invoice. b) The Client takes full responsibility to provide the Hotel with any dietary requirements that might be needed including any kind of allergy. c) The Hotel will happily cater for individual dietary requirements; we cannot however guarantee that any menus produced are completely free from nut traces. d) No outside beverage is allowed within The Hotel. e) No outside food is allowed on the premises without consent of the management. If permission is granted a service charge will be levied and an outside catering disclaimer form must be completed. f) The Hotel reserves the right to increase menu prices in line with seasonal fluctuations of ingredients. Should this be necessary, we will inform you in writing with as much notice as possible. g) In the situation of different menu items for different guests – i.e. dietary or otherwise – the client is responsible clearly indicating this on their subsequent table plan. 10. AMENDMENTS OR CANCELLATIONS BY THE HOTEL a) Should the Hotel for any reason beyond its control, need to make any amendments to your booking, we reserve the right to offer any alternative choice of facilities b) Should the Client make significant change to the programme or the expected number of guests, this may result in amendments in the applicable rates and/or facilities/function room offered by the hotel. c) The Hotel may cancel the booking due to any of the following: If the booking might, in the opinion of the Hotel, prejudice the reputation of the Hotel If the client is more than 30 days in arrears of previous payments. If the Hotel becomes aware of any alteration in the client's financial situation d) The Hotel will not be liable for any failure to provide or delay in providing facilities, service, food and beverages as a result of events or matters outside its control. 11. HEALTH & SAFETY The Client agrees to take "reasonable" precautions to ensure that no damage occurs or injury to any person. He is responsible for the actions of his guests and contractors for the damage or injury caused. 12. DANCE FLOOR Drinks are not allowed on the dance floor 13. ORDERLY CONDUCT a) The Client will conduct the event in an orderly fashion, ensure that no nuisance is caused, comply with any request of the Hotel management and abide by all applicable rules and regulations. b) If in the opinion of the hotel’s management it is felt that additional security procedures are required including but not limited to the provision of 3rd party personnel, the hotel reserves the right to enforce these measures and will notify the client prior to the event’s commencement. Any such costs involved will be to the account of the client c) In conjunction with the foregoing paragraphs, the hotel may require a security deposit by way of cash or pre-authorised credit cards. This security deposit will be up to the perceived value involved with the damages and or security clauses. This security deposit will be returned to the client should it not be required. The decision to return the security deposit will be made by the hotel management following the event. 14. DAMAGE a) The Client agrees to take reasonable precautions not to damage nor injure the Hotel property nor staff and is responsible for the actions of his guests and contractors for any such damage. The client shall be held responsible for any damage caused to the premises, utensils or equipment, whether wilfully, neglectfully, by default or otherwise, and will be liable for the cost of repairs and damages arising there from. This includes but is not limited to walls, wall coverings, floors, equipment and decorative items. b) The hotel accepts no liability for damage or loss to any goods, i.e. wedding presents that are brought into the Hotel c) At the end of the function please clear all personal effects as the hotel cannot accept any responsibility for the safekeeping of such items

15. ADDITIONAL GOODS AND SERVICES a) The Client agrees to pay the Hotel charges for any extra goods or services provided at the request of himself or any person purporting to have the requisite. b) It is a term of letting that goods and services cannot be bought or sold on the premises, and no tickets may be sold at the door – unless written exception has been given by The Hotel. c) No third party contractor will be permitted to operate in The Hotel, without first providing a written risk assessment and copy of public liability insurance with cover to the value of 2 million. Evidence of safety testing of electrical equipment will also be requested by the Hotel. 16. EXHIBITIONS AND DISPLAYS No stands or displays or signs may be erected on the premises, without prior written agreement. 17. EQUIPMENT a) The Client must obtain the Hotel's written agreement to the use of all materials brought onto the premises by him or a third party. Equipment must comply with all current regulations. The Client will be liable for any damage or injury, which arises out of the use of his equipment. b) The Client agrees to pay the Hotel charges for all electricity used additional to normal heating and lighting arrangements, telex, computer and fax lines. c) The Hotel cannot accept responsibility for the Client's equipment. d) No incendiary or explosive device may be activated under any circumstances within the Hotel or its ground. 18. CLIENT PROPERTY The client acknowledges that any such objects, equipment, furniture, stock or other property of any sort brought onto the premises will remain under the control and care of the customer and that the customer is in the best position to insure the property and accordingly it is reasonable for the company to exclude liability for such property to the extent excluded hereby. 19. ADVERTISING Any publicity for functions at the Hotel must be agreed by the management and should be of a standard to reflect the quality of the establishment. 20. FORCE MAJEURE If the Hotel is prevented or hindered from carrying out its obligations hereunder by circumstances beyond its reasonable control including (without prejudice to the generality the foregoing) government intervention, strikes, labour disputes, accidents, Acts of God, national or local disasters or war, then the Hotel's liability to the Client shall be no greater than the amount paid by the Client to the Hotel in respect of the function. If for any reasons beyond the Hotel's reasonable control the accommodation reserved cannot be made available to the Client the Hotel reserves the right to substitute similar or comparable accommodation for the function and such a substitution shall be accepted by the Client as satisfactory performance by the Hotel of its obligations hereunder to provide the accommodation so reserved. 21. AGREEMENT NON ASSIGNABLE The benefits under this contract are personal to the Client and shall not be assignable or transferred by the Client. 22. AGREEMENT GOVERNED BY ENGLISH LAW English Law shall govern this contract in all respects. 23. SERVICE OF NOTICES Any notice of invoice hereunder shall be duly served on either party if delivered to their address as last notified in writing to the other party hereunder. 24. VARIATIONS No oral representatives or agreements are recognised by the Hotel and by the conditions of this contract can be modified only by a supplementary written contract.
