    Internship regulations The regulations require internships to be carried out compulsorily after the second year of study (2nd year of BSc).

    Duration: minimum 9 consecutive months maximum 12 consecutive months

    Students can perform the internships in architects’ offices, craft workshops, research centres, etc., provided the destination is agreed with the person in charge of professional practice. Students who have to complete the internship period number on average 120/130 each year + 20 students from other universities and those enrolled in the MSc program.

    During the internship period, students remain enrolled in the Academy

    and pay reduced annual fees of CHF 400

    Art. 18 External practice

    1. To obtain the BSc Arch. USI, and access the MSc arch. USI, it is necessary to have completed a total of at least 9 consecutive months of full time internship over two semesters in an architectural firm approved by the head of internships.

    2. As a rule, internships are conducted after the second year of the BSc course over two consecutive semesters.

    3. During the internship period the student remains enrolled and pays a reduced fee.

    4. The program of the practice period has to be submitted for approval.

    5. At the end of the practice period, the student has to take an oral examination and present a portfolio to the head of internships with a certificate recording the work done. The head of internships approves or rejects the period of work experience.

    6. Students who have already completed a period of work experience before enrolling at the Academy

    may submit the work done to the head of internships, who will assess its relevance to the Academy Regulations.

    7. Students who enrol in the MSc degree with a BArch from another university and who have to

    perform the internship, will usually do so after the first year at the Academy.

    8. Students may apply for a supplementary period of practical experience between the end of the BSc and beginning of the MSc. The head of internships will assess the merits of each application.

    9. During the practice period, the student may take examinations in courses attended in previous years

    in keeping with Art. 8, par. 4.

    Procedure for internships

    1. Students attend a collective informative meeting

    2. Each student prepares a portfolio, thinks about the goals of the internship, and perhaps contacts host firms they know personally.

    3. The student uses the internship management form on the virtual secretariat to make an appointment with the head of internships, request practices and verify those already contacted

    4. Interview with the head of internship on the date agreed

    5. The student contacts the host firms agreed on

    6. After confirmation by the practice (work contract) and completing all the documents, the student records the internship on the virtual secretariat.

    7. Acceptance of the internship by the head of internships

    8. The student performs the internship

    9. After the internship, the student takes a compulsory interview, presents the necessary documents and completes the process on the virtual secretariat.

    Procedure for internships

    Interview with head of internships:

    All students must attend an interview The interview is individual and will be fixed by appointment on the virtual secretariat There is just one interview The interview will discuss the portfolio, the architectural firms indicated and the goals set by the student

    Procedure for internships

    When you submit the interview application form, you can change the information entered up to 4 days before the interview itself, after which it will no longer be possible to make changes. The head of internships can refuse an interview if some information is missing (e.g. incomplete portfolio) You cannot cancel the interview on the virtual secretariat but only by email: this is the only case when email may be used.

    Procedure for internships

    After the interview, you must organise your portfolio before submitting it and upload it on the dedicated section of the Virtual Secretariat. You should then contact the host firms, requesting a reply by email and telephone. It is essential to make yourself available for a personal interview with the head of the firm. If a host firm refuses your application you can request further contacts to apply to.

    The “Professional Practice” module on the virtual secretariat will be active starting from:

    From this date you can book your interview and fill in the information as indicated in the previous slides.

    Once the internship is registered, depending on the country where the host firm is located and your status (Swiss-based or cross-frontier student, student from a third country, etc.), the documents required are automatically indicated, some of which must be uploaded to the virtual secretariat

    NB. Work contracts should not be submitted since they are personal and only concern the student and the employer.

    Before the new academic year begins in September, the head of Internships, together with an internal Examination Board, will interview each student individually to verify the quality of the internship.

    All students will be notified by email of the date of the interview.

    For this reason you must check your Academy mailbox at least once a week.

    Each student will be assessed on the work done during the previous 9 months.

    After the internship

    The post-internship interview is an examination in every respect and as such recorded on your academic transcript.

    It is necessary to pass this examination to be admitted to a BSc degree.

    Each student will be officially enrolled in the examination. Therefore it is not possible to change the date communicated in advance by email.

    Documents to be presented compulsorily during the interview:

    • Original copy of the Internship Certificate with the host firm’s signature and stamp

    • Paper portfolio of the work done in the firm

    The original must be presented on the day of the interview in September and uploaded in PDF format on the virtual secretariat.

    Other documents similar to this one are not accepted (such as certificates issued by the host firm).

    Post-internship portfolio General information:

    • Recommended formats: A4-A3 (landscape/portrait format)

    • You should select some of the most significant projects worked on and developed during the internship. You can include study material (even if you did not produce it), if it is essential to understand a project.

    • If the host office does not allow the disclosure of the material the head of internships must be immediately informed.

    • You may create a section devoted to travel and your experiences during the internship.

    • Do not have the certificate of practical work bound in with the portfolio because this document will be kept by the University

    • The paper portfolio will not be kept by the University but it must be uploaded in PDF format to the virtual secretariat.

    Students on Erasmus Studies Students who have been selected for Erasmus Studies following the internship, will take the interview in September together with all the other students.

    You are reminded that the post-internship interview is an examination in all respects and will be recorded on your academic transcript.

    For this reason you are urged to prepare for it in good time.

    Internship grants Erasmus internship grants with the SEMP program

    Switzerland participates directly in the Lifelong Learning LLP European training and education programs. It enables you to receive a study grant to work in many European countries (next page). The grant is paid regardless of academic performance, any other scholarships held and your financial position.

    The Erasmus internship scholarship under the SEMP program applies only to students who gain work experience in one of the following states:

    - 27 EU member states (including overseas territories): Austria, Belgium, Bulgaria, Cyprus, Denmark, Estonia, Finland, France, Germany, Greece, Ireland, Italy, Latvia, Lithuania, Luxembourg, Malta, the Netherlands, Poland, Portugal, the United Kingdom, the Czech Republic, Romania, Slovakia, Slovenia, Spain, Sweden, Hungary.

    - EFTA States Iceland, Liechtenstein, Norway

    Regulations: Applications for the grant are dealt with in the internship process on the virtual secretariat, which will decide, depending on the geographical location of the host office, whether you are eligible for the grant.

    Duration: minimum 3 consecutive months - maximum 12 consecutive months

    Monthly value of the grant: CHF 440 To obtain the grant, the student must remain at all times in the same host office. Students who abandon an internship will be required to reimburse part of the grant. The sum to be reimbursed will be calculated on the basis of the months of work done as a proportion of those agreed.

    Regulations: It is possible to change host office and retain the grant only if it is the work is done at two different branches of a single firm.

    If the internship is interrupted, it is NOT POSSIBLE to request a new internship grant in the following years at university.

    During the period of study the student can request only one Internship grant.

    IT IS NOT POSSIBLE to request the grant after starting the internship.

    Students ineligible for a Grant: Students who plan to do the internship in non-European countries are not eligible for a Grant and so need not present any of these specific documents.

    Students who plan to do their internships in Switzerland are not eligible for a grant because they have a paid contract with the host office and so need not present any of these specific documents.

    Students cannot do the internship in their country of origin except for holders of “Permit B”. Specific cases will be assessed.

    False statements will entail the return of the whole Grant.

    • Declaration of honour: between the student, the Academy and the host office.

    The document for the grant (Declaration of Honour), completed in all its parts, must be uploaded to the relevant section of the Virtual Secretariat.

    Incomplete documents will not be accepted.

    After submitting the documents the student will receive 80% of the grant. An email from the USI Lugano will confirm the bank transfer.

    After the internship

    No specific document is needed for the Grant but the Internship Certificate will be considered the official relevant document, to be uploaded to the Virtual Secretariat and presented with the original during the interview.

    Each student must also complete a compulsory final report, for statistical purposes, which is available on the Virtual Secretariat.

    After the internship

    If you decide to extend your internship with the host office, you need not send any documents to the Academy.

    At the end of the internship the monthly payments will be verified based on the dates shown on the internship certificate. Possible cases are as follows:

    - = on departure: final 20% - > with respect to departure: 20% final + x months - < with respect to departure: calculation of

    monthly sums to be reimbursed (the final 20% might therefore not be paid)

    After the internship

    After uploading the document (Internship Certificate) the student receives the final 20% of the grant. An e-mail from USI Lugano will confirm the bank transfer.

    Applicants for SEMP grants must upload this document within 1 month from the end of the internship.
