Purpose of the manual:

The purpose of the manual is to provide the user with information on the various menu options in Thermax Power Solutions with navigational help required at screen level . It will help user understand the functionality & operational requirement of the Thermax Power Solution system, hereafter referred as TPS. Who can access the application: Users from Power division with authorized User id and password can access the system. How to access : The module can be accessed as given below Click on the icon Thermax Power Solutions provided on the desktop Enter Username and Password provided to you when the login screen appears after a while. If you have not been provided with a username/password, please contact your Coordinator for the same.

Press Enter or click on the Connect button.

NOTE: To maintain the system security, a facility of changing the password is provided. It is recommended that users should change the password every month. Password should be Alpha numeric with minimum 7 characters and should not be repeated.

Change Password : Press Button Change Password provided in the login screen. Enter your Username, Old Password and New password. Once password is updated, enter new password and log on to the system.

Forgot Password : If you forget your password, click on the Forgot Password button provided in the login screen. You are prompted to enter your Username and if correct username is provided then your password is mailed to you to your e-mail address as specified in the system.

After successful login, the Main screen as below with restricted access will appear.

For Desktop Users( LAN / WAN Users Regions/site )

Click on the CiTRIX icon on your desktop. Enter user name/password of CiTRIX. If you have not been provided with this information, contact Local ISG - Helpdesk person for the same.

After successful login of CiTRIX screen, double-click on the TPS icon available on the desktop.

Enter Username and Password provided to you when the login screen appears after a while. If you have not been provided with a username/password, please contact BTG coordinator for the same.

Press Enter or click on the Connect button.

Following is the screen shot that appears after the user logons on to TPS. The menu options are seen on the left side under the Security Menu. Users will restricted menu items i.e only those where access is provided. Your can choose your frequently used menu options and push them to the right side under the option My Favourites.

General Information : Please note that the fields with yellow background are mandatory and with red asterisk indicate that list of values are attached to the field. Pick lists are attached with the fields wherever possible. On clicking a field, if the text List of Values appear at the bottom bar, that indicates the field contains a pick list or list of values. Press F9 to select from the master list Various buttons are provided on the right side of the screen

Save Saves the current transactions

Clear Clears the data from the current form.

Cancels Cancels the document.

Exit Exit from the session.

Following are the menu options with screen layouts for ready reference

1. BOM Upload from Excel to Oracle Apps : This option which allow the user to upload the BOM from excel file to Oracle Apps BOM. The excel file generated is the output of the Smart Plan which is an engineering standard software . This process needs to be carried out in two steps, (a) upload file in TPS and (b) run the request in Oracle Apps to transfer the details.(a) BOM Upload from Excel in TPSNavigation menu:

Login in to TPS. Navigate to Post Sales ( Engineering ( Tools ( BOM Upload from excel.Steps

1. On selecting the menu option enter the required inputs

2. Select the excel version viz. Excel 97, 2000 depending on the version on your desktop.3. Next click on the icon and select the file to be uploaded. You can browse through local directory and select the file from your hard disk or mapped drives.

4. Check on the following points in the excel file before uploading a. The first row should contain the field labels

b. From the second row onwards the data begins

c. The 21st column in the excel contains the part numbers to be uploaded.

d. Part numbers are already created in the oracle apps.

e. There are no hidden columns and rows. f. No macros are set in the excel file. 5. Next select the OC No. to be imported. The approved project list will appear.

6. Enter the assembly code wherein you need to upload the BOM. Ensure that the assembly code selected is component / child item in the Bill of material for the selected OC.

7. Click on the Import button . The data will get populated in the lower block . Please note that each row in the excel file will be treated as a single line and if the item repeats it will be summed up at item level.8. Click on the Save Button to save the data imported.9. System will validate the data and displayed appropriate messages if case of failure or completion of process.10. Refer screen shot for more details

B : BOM Transfer from TPS to Oracle Apps :

After the user successfully uploads the excel file in TPS, the next step is to a request in Oracle apps to transfer the BOM data. Navigation menu :

Login in to Oracle Apps .

Enter your user name & password

Select the responsibility for Bill of Material (Power)

Steps

1. Run the request through the following option View (Request -( submit a new request

2. Select from the list the request name Process BOM

3. Enter the following Parameters

a. Project ID

b. Assembly code to which the BOM is to be uploaded

c. Type whether PBOM Procurement BOM, Tree BOM Select PBOM

4. Submit the request

5. Refresh the data and check for the status of the request

6. The status of the request Complete indicates that the processing is complete

7. Click on the button Output file to view the status of the request. It is essential to view the output file in case the status of the request is Error

8. To view the uploaded data, you can query the BOM in the bills 9. In case the BOM selected for uploading is already exists in oracle apps, it will first update all the child items with end effectively date and upload all the child items from the excel with. The current BOM items will have todays date as new effectively date.

Site Receipt:

The process starts with the receipt of material at site against TL GRN made at H/O in Oracle Apps. In case the material received at site is in short/excess, a Material discrepancy report will be generated. In case the material received at site is rejected due to some reasons, the details can be entered in actual receipt quantity. In case material is in damage condition, System will send email notification to concern buyer.

Steps

1. Select (Press F9 key for pick list you will get pending TL OC numbers) or enter TL OC number for receiving material at site.

2. Select or enter TL GRN. By pressing enter key, system will show PO number, PO date, Supplier code, name, address, GRN date, buyer name, excise invoice number, date, LR number, LR date, item description, unit and receipt quantity. Also TIL OC number appears in TIL OC column, if earlier it was linked with TL OC.

3. Enter TIL receipt date, default date appears todays date.

4. Enter the excise invoice number, default appears from TL GRN.

5. Enter the excise invoice date (dd-mm-yyyy) default appears from TL GRN.

6. Enter the excise amount, Cess, S& H Cess and CST amount.

7. Enter the remark if applicable.

8. Enter Actual receipt quantity, default is receipt quantity user can change depends on actual receipt

9. Enter damage quantity if applicable.

10. Select the storage location.

11. Select DU-BOM applicable flag for captive package items viz ESP, WTP and Boilers.

12. Press DU-BOM button for receiving dispatch able units against DU-BOM.

13. Select division Enviro for ESP, WWS for WTP and TBW/ESD for Boilers and enter OC number as applicable for the project.

14. Press Display button and press Explode all button.

15. Select items (Indicated in black colour) which are to be received.

16. You can search items sorting by LR by pressing Search LR items button.

17. Enter LR number and press Show LR items button. System will automatically identified/select the items against that LR. Press OK button to confirm Cancel to back Supplier BBU Link with deliverables screen.

Press OK button to confirm identification of items to be received.

18. System will display DU-BOM details screen.

19. Enter the physical receipt quantities. As per following cases

a) All items received as per challan quantity in good condition.

b) Items received but partially in damage condition.

c) Actual receipt is short against challan quantity.

In above cases actual receipt, damage quantity (if any) need to be entered. Press OK button

to confirm, Cancel to clear DU-BOM list and back to screen and Exit to exit from screen and

Go back to main menu.

Receipt from Customer

Draft Customer Receipt:

Navigation: Material Management Site Receipt Details Receipt from

Customer

Steps

1. Select OC number for receipts from customer.

2. Enter customer receipt date, default date appears todays date.

3. Select Receipt type from pick list.

4. Prepare by, system will show the default login name. You cannot change it.

5. After save button pressed system will generate receipt number and shows 0in receipt no filled.

6. Accept date will appear in accept mode of customer receipt.

7. Enter challan number, challan date, LR number, LR date, transporter and remark if applicable.

8. Enter item code, UOM, item description and receipt quantity.

9. Stock will show the system if item code exists in stock.

10. Enter rate if applicable.

11. Press save button to confirm. System will generate receipt document number.

Approve Customer Receipt:

Navigation: Material Management Site Receipt Details Receipt from

Customer

Steps

1. Select OC number for receipts from customer.

2. Enter draft receipt number and press enter. System will display the all details from draft receipt.

3. Enter accept date, default date appears todays date

4. Enter Accept quantity, default quantity appears from receipt quantity.

5. Press save button to approve customer receipt.

Issues

Draft Issue Note:

Navigation: Material Management Issue

Steps

1. Select or enter OC number for issue material to site.

2. Once OC number entered customer name will displayed automatically.

3. Enter draft issue date, default date appears todays date

4. Enter the remark if applicable.

5. Press On Hand stock button for available stock detail against selected OC number (see following screen)

6. User can select the required items and press the ok button back to main screen.

7. All selected item will get populated on main screen. You can enter Issue Quantity and select task name if applicable.

8. Tick on select item line for issue the material.

9. Press Save button to save draft issue details. System will generate the draft issue document number.

Approve Issue Note:

Navigation: Material Management Issue

Steps

1. Select or enter OC number for issue material to site.

2. Once OC number entered customer name will displayed automatically.

3. Enter draft issue number and press enter. System will display the all details from draft issue.

4. Enter approve date, default date appears todays date

5. Enter issue quantity, default quantity appears from draft issue quantity.

6. Press save button to approve issue. After approve the issue on hand quantity will get reduced.

Store Returns

Draft Store Returns:

Navigation: Material Management Store Returns

Steps

1. Select (Press F9 key for pick list you will get OC numbers those having material issue at site) or enter OC number for store return material from site.

2. SRN number will get auto generated.

3. Enter draft store return date, default date appears todays date.

4. Enter challan number, challan date, LR number, LR date, transporter and remark if applicable

5. Select (Press F9 key for pick list you will get all item against selected approved issue number) or enter valid item code.

6. Enter receipt quantity, default it appears issued quantity.

7. Accept quantity can be enters in accept mode.

8. Press Save button to save draft store returns. System will generate the draft store return number.

Approve Store Return Note:

Navigation: Material Management Store Returns

Steps

1. Select (Press F9 key for pick list you will get OC numbers those having draft store returns) or enter OC number for store return material from site.

2. Enter draft store return number and press enter. System will display the all details from draft store return.

3. Enter approve date, default date appears todays date

4. Enter accept quantity, default quantity appears from draft store return.

5. Press save button to approve store return. After approved the on hand quantity will get increased.

Cash Purchases

Draft Cash Purchase:

Navigation: Material Management Cash Purchases

Steps

1. Select or enter OC number for cash purchases at site.

2. Enter draft cash purchase date, default date appears todays date.

3. Cash Purchase number will get auto generated.

4. Enter challan number, challan date, LR number, LR date, transporter and remark if applicable

5. Select (Press F9 key for pick list) or enter item code. If item code is already available in system then system will show the uom and item description. If item code not available system will allow entering uom and iteming description.

6. Enter receipt quantity.

7. Press Save button to save draft cash purchase store returns. System will generate the draft cash purchase store return number.

Approve Cash Purchase:

Navigation: Material Management Cash Purchases

Steps

1. Select (Press F9 key for pick list you will get OC numbers those having draft cash purchase store returns) or enter OC number for approve cash purchase store return note.

2. Enter draft cash purchase store return number and press enter. System will display the all details from draft cash purchase store return.

3. Enter approve date, default date appears todays date

4. Enter accept quantity, default quantity appears from draft cash purchase store return.

5. Press save button to approve store return. After approved the on hand quantity will get increased.

Road Permit Tracking : Road permit tracking menu option will allow the user to keep track of road permit received from the customer against particular project number.

Navigation menu:

Post Sales ( Project Management ( Road Permit Issue

Steps to be followed

1 Select OC No, Press F9 to get list of order registered.

2 Enter Road Permit no.

3 Enter Road Permit Received Date.

4 Enter Road Permit Received By.

5 Enter Issue date

(Issue By will be the name of person who logged in the system)

6 Enter Issue to (Enter name of person to whom you issue the Road Permit)

7 Select Department, Press F9 to get list of Department.

8 Enter Vendor name, (Vendor issue and inter division issue should be maintained

Separately)

10 Click Save button to save transactions.

Other Options/buttons Provided

Find Road Permit : Enter road permit no you want to search and press Find

Button. The Cursor will go to entered Road Permit no.

Multi Road Permit Entries

1. Enter Prefix (WB00, RJ, OR01 etc).

2. Enter Starting and ending number (1, 10) in R.Permit From and R.Permit to Field respectively

3. Enter Received By.

4. Enter Received Date.

5 Select Department, Press F9 to get list of Department.

Delete Record This is used to delete the selected plan entry for given billing Schedule Item.

Clear - This will clear the details on screen and control will go to OC No.

Invoice Planning : Invoice planning option is used to keep track of the monthly planned invoicing at each billing schedule item level for a given OC. The user to enter the planned amount for a given month. Once the month is done, the system will calculate the Backlog, Actual and Surplus Invoice entered. The invoice cannot be planned for closed months, only opened and future month can be planned.

Navigation Menu : Post Sales -> Project Management ( Invoice Plan Entry

Steps to follow

1 Select OC No ,Press F9 to get list of order registered .

2 Select Package(like BBOP, STG etc) ,Press F9 to get list of Package registered

3 Select Main group ,Press F9 to get list of Main group for given OC and

Package.

4 Select Sub Group ,Press F9 to get list of Sub group for given OC ,

Package and Main Group .This is optional field.

5 Select Plan Details, The options are All ,Planned and Balance .

By selecting All will display all the item .

By selecting Planned will display only Planned item ( For which planned is

entered).

By selecting Balance will display only Balance item ( For which planned is

not entered).

6 Entered Plan From date and To Date, this field only be editable if you select

Planned option in Step 5

7 Select Invoice details , , The options are All ,Invoiced and Balance .

By selecting All will display all the item .

By selecting Invoiced will display only Invoiced item ( For which Invoice is

done).

By selecting Balance will display only Balance item ( For which Invoice is

not done).

8 Click on Display Button to view the details.

9 Go to Invoice plan details Section , Enter any date of the month for which

You want to planned.

10 Enter planned value , the planned value cannot be greater than balance value

( Balance = Billing schedule amount Invoice amount- Planned/ Revised

Amount, for given item)

11 Press Tab key for going to next record , and then repeat Step 9 and 10.

12 Click on save button to save the Plan.

Invoice Details Section

This section will show the Invoice details for the selected Billing schedule

Item.Other Option

Delete Plan This is ued to delete the entire plan for given billing schedule

Item.

Delete Record This is ued to delete the selected plan entry for given billing

schedule Item.

Clear Form - This will clear the entire form and control will go to OC No.

Drawing & Document Number Generation & Transmittal

Steps

1. Enter the OC No

4. Enter the Drawing Type Select from the master list.

5. The system will display the 10 digit drawing number. (refer screen shot) User to click on Save Button to save the record.

Drawing/Document Revision : This menu option will allow the user to generate the next revision number and update the reason for revising the document / drawing.Navigation menu :

Steps

1. Enter the OC No Mandatory field

2. Click on the radio button Select Drawing or Document Mandatory Field.3. Enter the Category / Drawing type Optional Field

4. Click on the check Box - System will generate the revision number and this will be controlled depending on the status of Drawing i.e. before RFC (Released for Construction) it will be 01,02,03 and after RFC it will be R0,R1,R25. click on the Button Get Data

6. Select the revision code for revision of document / drawing

Internal Transmittal : This menu option will allow the user to create a internal transmittal i.e. within the division. An email notification will be triggered to the recipient about the transmittal details. Navigation menu :

Login in to TPS. Post Sales ( Drawing & Document Management ( Drawing Transmittal ( Internal Transmittal ( Create Internal Transmittal.

Steps

1. Enter the OC No Mandatory field

2. Transmittal Number will be auto generated. Internal Transmittal number will begin with I followed by auto incremented number. For every OC the transmittal number will begin with 001.

3. From Dept Select from the master list4. From user default user will be the logon on user, however the name can be changed

5. To Dept Select from the master list

6. To user - Select from the master list

7. Click on the CC Button to select the list of persons

8. Doc type or category or drg/doc type to be selected Optional field

9. Drawing numbers / document numbers will be displayed or user can select the drawing or document number. User needs to select the reason for transmittal 10. click on the check box for selection of the document/drawing.

11. Click on the Save button and the drawing transmittal will get saved with an e-mail notification triggered to the recipients of the transmittal

Print Transmittal : This menu option will allow the user to print the transmittal generated.

Navigation menu :

Login in to TPS. Post Sales ( Drawing & Document Management ( Print Transmittal.Steps

1. Enter the OC No Mandatory field

2. Click on the radio button internal / external / all transmittal

3. Enter the Transmittal No Range can be entered.

4. Click on the view button to display the report

5. Once the data is displayed on the screen, click File (print to get the print of transmittal

6. Click on Generate PDF File to save the output in pdf file. Ensure that the path and file name is entered with an extension of .pdf.

Reports : This menu option will allow the user to print the transmittal generated in excel format. The user can keep track of the various drawings/document transmitted for a given OC No.

Navigation menu :

Login in to TPS. Post Sales ( Drawing & Document Management ( Drawing transmittal Reports.

Steps

1. Enter the OC No Mandatory field

2. Enter the Range of Transmittal numbers Optional Field.

3. Enter the range of Dates , Dept, category, Drawing/Document Type, Drawing / Document Number. All the fields are optional

4. Select the excel version depending on the excel version on your desktop

5. Click on the Save button to generate the output to excel file. ( refer screen Shot)
