Employee confrontations are never a favorite part of the job, but these 5 steps can help you maneuver the rough waters with team members and have them like it.One task every single manager or supervisor must tackle at some point is correcting or disciplining team members. The task can seem daunting, and it’s not uncommon to worry about the confrontation—even losing sleep over fears that the conversation could turn unpleasant or may not even end up resolving the problem. We’ve all been there. Here are five basic steps to effective workplace discipline to ensure you run a tight ship, crewed by happy employees.

1. ASK YOUR TEAM MEMBERS HOW THEY PREFER TO HANDLE PROBLEMS. Start on the very first day, before there’s even a hint of a problem. If you acknowledge that problems may arise, and if your goal is handling these problems with minimal drama and maximum results, you set the tone for your office. Just ask the question: “How should I bring things to your attention?” or “How do you prefer to deal with problems that arise?” If you involve your team from the beginning, you’ll derive two main benefits—first, you’ll learn what style of confrontation they prefer, and second, you’ll have a plan in place before a problem occurs.

2. DOCUMENT THEIR PREFERENCES AND KEEP RECORDS IN THEIR FILES. You may be surprised at the variety of responses you’ll get. Some folks prefer direct and immediate correction. Some staff members will prefer private off-site meetings to avoid office gossip. You may find that some persons like to finish the workday and wrap up with a private meeting in the boss’s office. The point is that one size does not fit all here. Good managers learn how to handle each employee individually, in the way that gets everyone back on track as quickly as possible.

3. WHEN A PROBLEM ARISES, USE THE TACTIC YOUR TEAM MEMBER PREFERS. Whether it’s an early morning meeting or an email detailing the issue, call attention to the fact that you’re respecting your employee’s wishes. When your team knows that you respect them enough to modify your methods, they’re much more open to hearing what you have to say. It’s far better for them to hear your message rather than getting stuck on

the way you deliver that message. Explain the situation—inappropriate behavior, insufficient progress toward a goal—and if you’ve primed your staff to expect that difficult matters will be handled calmly and in a way that makes them feel comfortable, you have the best shot at actually resolving the problem.

4. DOCUMENT THE INCIDENT. If your administrative assistant got busted for updating his/her Facebook profile on the job, you may not need to make a record of it. If that admin cursed at a client, though, you should start creating your paper trail. Write up a quick summary of the meeting about the problem, have the team member sign the summary and get ready to move on to resolving the issue. It’s impossible to overstate the importance of documenting important incidents; it’s worth taking the time to protect the company from frivolous lawsuits and illegitimate unemployment claims down the road. It also indicates to your team that you’re serious about requiring appropriate behavior and excellent performance.

4. DISCUSS THE CONSEQUENCES AND REMEDY, AND SCHEDULE A FOLLOW-UP. Depending on the type of incident, the best way to prevent future problems is to check back in with your eteam member to ensure that problems have been corrected. If a sales representative is having trouble making goals, schedule a follow-up meeting to assess his or her progress. If there’s an attendance problem in the warehouse, agree to meet again in two weeks to review your team member’s time card. The point is to move beyond simply identifying a problem to working through a solution. If a project was completed but was littered with errors, make time to review it again with the employee and reinforce the correct way to do business.

The fact is that confrontation is inevitable. You will have to discipline employees from time to time, but the good news is that these confrontations can be conducted without drama and focus on solutions. Letting your team members know that you’re thoughtful enough to respect their preferences and be constructive in your criticism is essential in addressing problems and moving forward.

SPOTLIGHT ON

BARTENDER: BEACHES NEGRIL1. TELL US ABOUT YOURSELF. I’m a friendly, jovial and easy going person. I am currently training to become a butler and I’m also doing a Food and Beverage Management course with AHLEI. My ultimate career goal is to become a Food and Beverage Manager. I am also the captain of the Beaches Negril Football Team.

2. WITH BEACHES NEGRIL RECENTLY WINNING THE WESTMORELAND FOOTBALL ASSOCIATION’S CAPTAIN’S BAKERY AND GRILL MAJOR LEAGUE COMPETITION, AS THE TEAM CAPTAIN, WHY DO YOU THINK YOUR TEAM WON AND HOW DOES IT MAKE YOU FEEL? My team won the Major League because of our hard work, consistent training, listening to the coach’s instructions and playing for each other on the field. It makes me feel really great - words can’t explain how I feel.

3. HAVING LED YOUR TEAM TO VICTORY IN THE MAJOR LEAGUE, WE KNOW IT MUST NOT HAVE BEEN EASY, WHAT WORDS OF ADVICE DO YOU HAVE FOR OTHERS WHO MAY BE PURSUING A PARTICULAR GOAL? Stick to the three D’s - discipline, determination and

dedication - that’s my main advice, whether to young players who wish to win the Major League or others who want to achieve any other goal.

4. WHAT’S NEXT FOR YOU AND THE REST OF THE BEACHES NEGRIL FOOTBALL TEAM? We’ve now been promoted to the Super League so we have to resume training in a few months in preparation for that.

5. APART FROM FOOTBALL, WHAT ARE YOUR OTHER HOBBIES?My other hobbies include listening to music, hanging out with friends, playing pool and cricket.

6. IF A MOVIE WAS MADE OF YOUR LIFE WHAT GENRE WOULD IT BE, WHICH ACTOR WOULD PLAY YOU? Comedy. Chris Rock

7.IF YOU COULD GO ANYWHERE IN THE WORLD, WHERE WOULD YOU GO AND WHY? I would want to go to England to watch my favourite team, Manchester United, play the beautiful game of football.

8. IF YOU COULD WITNESS ANY EVENT PAST, PRESENT OR FUTURE, WHAT WOULD IT BE? I would want to witness my first DaCosta Cup finals in which I played for Frome Technical High against Glenmuir High in 2006. (Glenmuir won on penalties, so I would want to see where my team went wrong.)

9. WHAT DID YOU DO GROWING UP THAT GOT YOU INTO TROUBLE?I went to the beach with friends, after I was told not to.

10. IF YOU COULD LEARN TO DO ANYTHING, WHAT WOULD IT BE?I would want to learn how to build airplanes.

WORDS CAN’T EXPLAIN HOW I FEEL...

HAVE YOU MET...THE 2014

MANAGEMENTTRAINEES?After two weeks of orientation, team building and training, the 26 members of the 2014 cohort of Sandals Resorts International’s Management Trainee Programme are now ready to take up their assignments throughout the region.

The group, consisting of previous employees and

new recruits from Jamaica, St. Lucia, The Bahamas,

Barbados, Grenada, Antigua, Turks and Caicos and

Trinidad & Tobago will participate in the intensive

two-year training and development programme

which gives promising young leaders an opportunity

departments throughout various resorts across the

region and ultimately secure a coveted management

position within the company.

Speaking at the orientation’s final dinner, Wayne

Cummings, director of business processes and

administration at Sandals Resorts International

encouraged the trainee managers to remain devoted

and exercise humility. He said, “I urge you to stay the

you can enrich the lives of others. Remain close and

remain a family.”

Andre Cleghorn, one of 16 Jamaicans recruited,

expressed joy at the opportunity. He said, “The

Management Trainee Programme is an opportunity

is also an avenue for upward mobility and economic

development.”

The Management Trainee Programme was originally

introduced in the mid 1980’s and is an integral

component of Sandals’ overall training thrust and

succession planning strategies. Other training
