October 7, 2017 Auction Guidelines

1. SILENT AUCTION begins at 4:30 p.m. and runs until 8:15 p.m. It consists of written bids on available items that are sold to the highest bidder at the close of each section.

2. LIVE AUCTION will be held from the podium at 6:45 p.m., and 7:30 p.m. Use your “Registration Card” with the large yellow square on it as your BID PADDLE to make your bids. LIVE AUCTION items are located near the podium for your inspection.

3. Each item is prominently displayed with its ITEM # and can be located by that number in your catalog.

4. Table monitors are present at each table to assist in answering questions.

a. Bids will be accepted on each item until the table section closes. The four sections of auction tables will close at different times. The Master of Ceremonies will announce closing of each section.

b. SECTION “A” will close at 6:00 p.m.

c. SECTION “B” will close at 6:45 p.m.— Followed by live auction

d. SECTION “C” will close at 7:30 p.m.— Followed by live auction

e. SECTION “D” will close at 8:15 p.m.

5. TRIPS: Trips will remain available until 8:00 p.m. The price of each trip is stated (no bidding necessary) and duplicate trips may be purchased. The TRIP TABLE is located near the podium for your inspection and purchase. A Rotarian will provide more information and will assist you with your purchase.

Trips may also be purchased after the auction no later than 5:00 October 15 by contacting Rotarian Kathy Eaton at 575-538-0958.

6. All auction items will have bid slips nearby. If you wish to bid, clearly print your BID NUMBER and AMOUNT OF BID on the next available line.

7. Each bid slip will indicate the VALUE of the ITEM, the MINIMUM STARTING BID and the MINIMUM BID INCREMENT. Only bids in authorized increments (or more) will be recognized.

8. All values are established by the donor of the item and not by the Rotary Club of Silver City.

9. Auction officials will verify the validity of all winning bids for each item at the time of closing. The highest valid bid will be declared the winner. Bid slips will be collected at the closing of each section. If at the time two or more people are engaged in competition, there will be a small verbal auction among the remaining bidders.

10. Approximately 15 minutes after each table closes, a list of winners will be generated and posted on the “Tote-board” located just outside the Cashier’s Station. The “Tote-board” will indicate Item # and Winning Bidder #. AT THIS TIME YOU MAY PAY FOR YOUR ITEMS, OR WAIT UNTIL ALL TABLES HAVE CLOSED TO PAY FOR ALL YOUR PURCHASES AT ONE TIME. THE CASHIER WILL KEEP TRACK OF YOUR WINNING BIDS.

11. The Cashier Table will be open from 6:00 p.m. until closing. Payment for auction items in Sections A, B, C, D and the live auction will be taken by the Cashiers. Cashiers will accept CASH, CHECK, VISA, or MASTERCARD.

12. Upon payment, you will be given a receipt from the Cashier.

13. Items may then be picked up at the REDEMPTION TABLE. Volunteers will be available to assist with carrying and delivering items if necessary.

14. ALL PURCHASES MUST BE PAID FOR AND REMOVED FROM THE FACILITY AT THE END OF THE EVENT. ALL SALES ARE FINAL.
