Oklahoma is a leading education and research institution. Their 30,000 students and 6,000 faculty expect to use the latest technology and devices to learn, share and collaborate. This includes sensitive research data as well as HIPPA, PCI and FERPA related data. They have embraced O365 as a way to enable users and have adopted advanced security to protect their users, accounts and data.

OU’s campus-wide move to Office 365 required a new security approach to not only protect the users and devices of the university community of faculty, staff, and students, but to also ensure the safety and compliant use of its highly sensitive and regulated data in the cloud. In adding Cisco Cloudlock and Cisco Umbrella to its security architecture, OU strengthened both its campus and cloud-based security while preserving the fundamental openness that drives the university’s mission-critical exchange of ideas.

When the university moved to Office 365, OU grew concerned about the possibility of account compromises. By quickly identifying anomalous user activity that is indicative of after a compromise has occurred, Cloudlock has

allowed OU to quickly pinpoint its source and confidently block and reset affected accounts to keep problems from spreading. Soon after deployment they found almost 200 compromised accounts and were able to quickly suspend access and remediate. “Cloudlock enables quicker investigations and remediation, so fewer users lose access and require help desk support” - Aaron Baillio, Managing Director

OU also recognized a need for more visibility into its cloud environment in order to protect its sensitive research data, as well as HIPAA and PHI information. By enforcing a set of prebuilt policies and customizing some more environment-specific data protection policies they are able to remove inappropriate content from multiple cloud platforms. In O365 they were able to educate users on improper postings, alert administrators on policy violations and even remove collaborators or revoke specific shared files if necessary. “Cloudlock helps ensure regulatory compliance in cloud apps like O365 and Dropbox, in which it prevents us from accidentally posting HIPPA regulated data or other sensitive information,” stated Mr. Baillio. This level of control has helped comfort OU legal team and given their faculty, staff and students more confidence in adopting cloud services.
