Employee-Executive Engagement

Speaker Script Click StepsScenarioPatti Fernandez is the CEO of Contoso Electronics, a leading retail chain that manufactures and sells a variety of electronics equipment and accessories. Yammer is a great place to drive cross-organization engagement, because it is easy and engaging to use, and it works well with other Office 365 services and apps. Patti and her communications team have created a Leadership Connection connected group in Yammer to foster that engagement with the wider employee base.

Talking points only.

Notify employees with important announcementsWithin the group, there are distinct types of content—for example, imagery, videos, and animated GIFs. This variety keeps the feed engaging and interesting, as opposed to just having a series of text-based messages.Announcements, like this call for questions, are especially useful. Patti and her team can post important announcements, which then triggers a notification and shows up in group members’ inboxes.Host live events with Skype Meeting Broadcast integrationSwitching to an employee’s perspective, Isaiah, who is on Contoso’s Marketing team, navigates to his Yammer inbox. Here, he can see all recent important announcements, including the one about the Call for Questions. Clicking through to the conversation, he sees the link for the Skype Meeting Broadcast and joins

1. In Patti's Yammer browser tab, in the Leadership Connection group, scroll down and up to show different messages from the CEO and Leadership Team.

2. At the top of the group, point to the announcement about the Call for Questions, including the questions in replies and link to the Skype Meeting Broadcast.

3. Switch to Isaiah’s Yammer browser tab.4. At the top left, click the mail icon (to the right of the

Home icon) to show Isaiah’s Inbox.5. In the Unread view, point to and then click the Call

for Questions announcement.6. Scroll down (if necessary) and then click the Skype

The Yammer pane at the right pulls in the same feed that was shown earlier in the Leadership Connection group, allowing Isaiah to see what questions have been asked. He can raise some of his own, like this one about camera sales targets. Thus, the conversation can continue before, during, and after the Q&A session.Patti shows Isaiah appreciation for his question by liking his post. This will encourage other employees to engage with her team by raising questions both before and during the Skype Meeting Broadcast Q&A sessions.

7. In the Yammer pane to the right, in the What are you working on box, type What is our camera sales target for the upcoming fiscal year?

8. Click Post.9. Switch back to Patti’s Yammer browser tab.10. If necessary, click Click to see 1 new message

to see Isaiah’s question.11. In that message, click Like.

Get a quick organizational pulse with polls and praisePolls and praise are another way to drive engagement between executives and employees. For example, Patti and her team want to add a keynote speaker for Contoso’s company meeting. They use a poll to solicit responses from the employees, which gives them a chance to help develop the meeting’s agenda. When voting for the first time or changing a vote, Patti can see the real-time results. She gets a quick pulse for the different initiatives she is running. This praise from Miriam about Debra highlights the hard work that goes into organizing an event. Patti and her team can recognize Debra’s extra effort, inspiring others to go that extra mile on their projects. These examples show that Patti is in tune with her employees, and has a better understanding of the great work being done across the company.

12. Scroll down to show the poll from Patti about an additional keynote speaker.

13. If you have already voted, click Change vote.14. Click any option, and then click Vote.15. Point to the up-to-date poll results.

16. Scroll to the praise from Miriam about Debra.17. Click Like.

Share videos securely with Microsoft Stream integration

18. Switch to the Stream browser tab.

8

Speaker Script Click StepsYammer is integrated with Microsoft Stream, the Office 365 service that allows users to create, discover, and share videos securely across the organization. To give group members better insight into how Contoso helps solve customers’ business problems, Patti wants to share a product video with them. She can curate videos in her own Stream channel, or leverage content from another channel. In this instance, there is an existing Products channel with a video about Contoso’s 3D printers. Social media controls above the video player allow Patti to include a message and share that video directly to a Yammer group, such as her team’s Leadership Connection group. She could easily share this video with any of her other groups as well.

Integration with Stream allows for internal communications to be securely shared, right in the feed. She can view video stats, such as how many users have added it to their watch lists, and she can play the video directly from the Yammer feed.

19. Scroll down to show the Popular Channels area.20. In the Products channel card, click Why 3D

Printers.21. In the social media controls area above the video

player, click Share.22. In the dialog that starts, below the Share on

social media text, click Share.23. In the browser session that starts, click after the

URL in the message box, press Enter, and then type Great context for everyone on how our 3D printers solve customers’ business problems.

24. Click the X to clear All Company, if it appears.25. In the Add a group and/or people box, type

lea.26. In the list of results, click Leadership

Connection, and then click Post.27. If prompted to close the browser window, click

Yes.28. Switch back to the Yammer browser tab.29. In the conversation just posted, in the video,

pause on (but do not click) the view/like counters, Add to watchlist, and Like.

30. Click the player to play the video directly in Yammer.

Create a rich, connected SharePoint siteSince the Leadership Connection group is a connected Yammer group, it includes some additional Office 365 resources that enhance executive-employee engagement. One such resource is the SharePoint site. It includes native document libraries, where Patti and her team can securely share resources, like the

31. In the Office 365 Resources area to the right, click SharePoint Site.

32. In the left navigation, point to Documents.

9

Speaker Script Click StepsStrategic Objectives deck that was shown during the Skype Meeting Broadcast.Patti and her team can also publish news articles, which would be similar to a CEO blog of top-of-mind items like field visits or company news. Articles can contain pictures, as shown here, along with documents, videos, Yammer group feeds, and much more. The connected SharePoint site then offers a rich interface to explain broader company initiatives.Reporting optionsAdmins can navigate to the Office 365 admin center to see group activity reporting across all of Yammer. Community managers can also see the health of different groups, based on posts, reads, and likes. For more information on the Office 365 usage reporting dashboard, check out the following demos at https://demos.microsoft.com:

Community of Interest/Practice

Speaker Script Click StepsScenarioEmily Braun is a new employee at Contoso Electronics and is learning to find her way around the organization.

Talking points only.

10

Speaker Script Click StepsShe uses Yammer to connect with co-workers, discover information related to her interests and work, and even provide insights for colleagues. This helps accelerate the onboarding process for her and other new employees.

Discover relevant people and informationThe Discovery feed is the first thing Emily sees when she comes into Yammer. It includes content that is relevant to her, based on groups to which she belongs, conversations in which she is included, people she is following, and other signals from the Microsoft Graph. While reviewing conversations in the feed, she notices one from Isaiah, who has been assigned as her onboarding buddy. Pausing on his name brings up his contact card, which displays his contact information and groups for which he is a member. From here, she can send him a private message or start following him, which will allow her to get alerted on his subsequent posts. Clicking his name in the contact card takes her to his profile page. Here, she can see his conversations, files, groups, followers, and other information that may be of interest to her.

1. Start on the Yammer home page, as Emily.2. Scroll up and down to show relevant conversations.3. Within the Discovery feed, locate a post or reply

from Isaiah Langer, and then pause on his name.4. In his contact card, pause on Send Message and

Follow, and then click Follow.5. With the contact card still displaying, click the Isaiah

Langer link on that card.6. Scroll down and up to see conversations that Isaiah

has started or to which he has replied.

Search across people, conversations, and informationAt the top left, Emily can search across her entire network to find conversations, files, and other content relevant to a new employee. When she types new in the search box, she sees a preview of items organized by different categories. Clicking through to all search results allows her to view the full conversations. Within the conversation view, Yammer shows replies that contain her search term, even if that term was not included in the original post.

7. At the top left, in the Search box, type new.8. In the results preview, note how results are

organized.9. In the results preview, click See All Search Results.10. In the Conversations view, point to the reply

from Nestor, where “new” was not mentioned in the original post from Diego.

11. At the top, point to the filtered views for Groups and Files.

11

Speaker Script Click StepsEmily can filter her search results by users, groups, files, and notes. When she switches to the groups view, she discovers a group dedicated to new hires. Just like with people, when she pauses on the group name, a contact card appears. She can click the link in the card to navigate directly to the group.

12. Click the Groups view.13. In the list of groups, pause on New Hires to see

details in the group card.14. In that card, click the New Hires link to navigate

to the group.15. At the top of the group, if not already selected,

click the All Conversations tab.

Easily pick and share filesThe New Hires group is particularly relevant in Emily’s case, since she is a new hire herself. Here, she can connect with a community of other new hires, see what questions they have been asking, and discover other relevant content. She can also seamlessly share content with the group, leveraging the file picker at the right of the message box to select files from SharePoint, Yammer groups, and even her desktop. As a member of a benefits v- team, she has been working on a benefits analysis seminar deck, which she thinks would be useful for all employees, but especially for newer ones. She can easily browse SharePoint and attach that deck from a connected document library. Now everyone in Contoso’s new hire community can plan for the weekly seminar.Pin documents and links for easy referenceDocuments and links that are especially important are usually pinned for easy reference by a group admin. Emily can see here that the employee handbook and career planning documents are both available in that area.

16. At the top of the group, in the Share something with this group box, click the attachment icon at the right.

17. Pause on each of the attachment options: GIF, SharePoint, Yammer, and upload.

18. Click the SharePoint icon.19. In the Select a file dialog, click the Benefits

Analysis Seminar.pptx file, and then click Select.20. In the message box, type Thought you’d like

to know that there is now a weekly benefits seminar. All employees are welcome to attend, though it is geared toward new hires.

21. Click Post.

22. In the Pinned area to the right, point to the Employee Handbook and Contoso Career Planning documents.

12

Speaker Script Click StepsSecurely share and access videos with Microsoft Stream integrationYammer is integrated with Microsoft Stream, the Office 365 service that allows users to create, discover, and share videos securely across the organization. Videos posted to the group can be played directly in the browser from here, such as this privacy video shared by Nestor. Now, Emily meets Contoso’s compliance requirements. In the Pinned area, Emily can see there is a link to onboarding videos. Clicking that link takes her to the Stream Human Resources channel. Within the channel, she clicks the Biking to Work video, which piques her interest because she does not have a car. Social media controls above the video player allow her to share that video with other people and/or groups that have a common interest. In the share dialog, she can post the video content directly to a Yammer group, such as the Finance group. Again, once she posts a video, anyone can then play it directly in the browser from the Yammer group feed.

23. Scroll up (if necessary) to see the post from Diego about the required privacy video.

24. Click the player to play the video directly in Yammer.

25. In the Pinned area to the right, click the Onboarding Videos link.

26. In the new browser tab that starts, click the Biking to Work video.

27. In the social media controls area above the video player, click Share.

28. In the dialog that starts, below the Share on social media text, click Share.

29. Click the X to clear All Company.30. In the Add a group and/or people box, type

fin.31. In the list of results, click Finance, and then

point to (but do not click) Post.

Take shared notes using OneNote in YammerBack in Yammer, in the Office 365 Resources area to the right, the community has contributed shared notes in OneNote, with best practices to help Emily with onboarding. She can even give back to the community if there are useful tips she gleaned from her first days at the company.

32. Switch back to the Yammer browser tab, in the New Hires group.

33. In the Office 365 Resources area to the right, click OneNote.

34. On the Checklist page, place the cursor at the end of the last numbered item, and then press Enter.

Empowering Firstline Workers

Speaker Script Click StepsScenarioLee Gu is the Director of Manufacturing at Contoso Electronics and works in its main office. Johanna Lorenz is an engineer at the same company, but works at a plant in a different state. Johanna does not have a lot of face-to-face interactions with Lee. To better connect with Johanna and other firstline staff while also providing a forum to share ideas, Lee created a Production Line connected group in Yammer. Johanna and other firstline workers then use the Yammer mobile app to share and consume content.

Talking points only.

Easily connect to Yammer through the mobile appYammer's mobile app helps Johanna easily connect into the company, so she can quickly escalate production issues, learn or communicate best practices for equipment, ask questions, and get important information from the main office. From her Groups tab, she sees all the groups for which she is a member, with the more recently visited groups bubbling to the top. Now, production line conversations are top of mind for her.

1. Start on the mobile phone, as Johanna.2. In the Yammer app, in the Groups tab, swipe up and

down to show joined groups.3. Tap the Production Line group.

4. At the top right, tap the pen icon to start a new 14

Speaker Script Click StepsPost photos to visualize firstline worker concernsIn Johanna’s plant, space is becoming sparse. She raises a question about how to best store materials used and produced by fellow firstline workers. To help visualize the concern, she includes a photo taken earlier from her phone that shows the diminishing shelf space.

Once she posts the question and picture, someone from another plant who is connected through the group will see the message and subsequently reply with a helpful suggestion.

8. Tap the storage photo, and then, at the upper right, tap Done.

9. Back at the group message, at the upper right, tap Post.

Share best practices using videoJohanna works with hydraulic systems and has been studying ways to improve their efficiencies. Some of her findings are worth sharing with other firstline staff, but putting together helpful documentation for them may take several months. Instead, she illustrates a complicated process by making a video of it directly from her phone. She can share this video instantly with the group, and now other firstline workers can leverage her expertise to improve their processes.

10. At the top right, tap the pen icon to start another new post.

11. Tap the camera icon.NOTE: If prompted about accessing the camera, tap OK.

12. At the bottom, tap Video.13. Tap the large, red record button at the bottom,

He can also seamlessly share important information with his firstline workers. He has just put the finishing touches on a safety training document, which he has saved to his desktop. As an admin for the Production Line group, he can post an announcement, which will get pushed to all group members’ inboxes. In this case, the safety training document is mandatory reading material for all firstline workers, so he attaches it to his announcement.

17. Switch to your local machine’s browser session, signed in to Yammer as Lee.

18. In the Production Line group, point to the new posts from Lidia.NOTE: You may need to click Click to see 2 new messages for those messages to appear.

19. At the top of the group, click Announcement.20. In the What do you want to announce box,

type Safety Training.21. In the message box, type Please take a

moment to review the most updated safety training attached.

22. At the far right of that box, click the Upload a file from your computer icon.

23. Navigate to your desktop, where you downloaded and extracted Safety Training.pptx in the Post-Install Steps, and then double-click that PowerPoint file.

24. Click Post.

Keep updated through inbox and notificationsAt the plant and securely from her phone, Johanna finds all her important Yammer content aggregated in one place, her inbox. Here, she can see private messages, conversations where she has been @ mentioned, conversations she has chosen to follow, and announcements. Lee’s safety training announcement shows up at the top of her inbox. She can tap the document to review the content directly in her app, without having to go to a computer.Johanna can also review her notifications, which help identify how other people are interacting with her and her content. She can see who has started following her,

Cross-Organization Ideation and Innovation

Speaker Script Click StepsScenarioLidia Holloway is a Product Manager at Contoso Electronics. Lidia created the DG-2000 Feedback Yammer group to crowdsource ideas from across Contoso about its flagship camera.

Talking points only.

Create and edit documents directly in YammerUsing the DG-2000 Feedback connected Yammer group, Lidia has cultivated suggestions, comments, and other feedback from a wide variety of Contoso employees. She can also use the group to build out and collaborate on documents that identify the camera’s feature roadmap, or report R&D findings about specific innovations. To create a document, in the Group Actions area to the right, she clicks Create a File. From here, she can start a Word document, PowerPoint deck, or Excel workbook directly in the group.

Seamlessly share documentsLidia’s team also built out a product specification, which needs to be presented to the Engineering team. Since the DG-2000 Feedback group is a connected Yammer group, it includes some additional Office 365 resources that augment the group collaboration experience. One such resource is the SharePoint document library. From here, Lidia can use native SharePoint functionality to share the specification with other users or groups. Now, the Engineering team can review that document directly in Word Online ahead of Lidia’s presentation.

12. In the Office 365 Resources area to the right, click SharePoint Document Library.

13. In the document library, click to the left of the DG-2000 Product Specification.docx document to select it.

24. Click Save, and then close the Connectors for DG-2000 Feedback dialog.NOTE: If you received an error in Step 19, then just return to the Yammer browser tab.

Include external users in conversationsLidia can bring an external user into a conversation easily by simply adding his email address. In this case, her team is working with Litware, an external research partner that is collecting consumer insights. She includes her Litware contact, Bob, in this new conversation about customer feedback. When she adds his email address, note the warning about adding people from outside the network. After she posts the message, a globe icon at the top right of the conversation makes it clear to everyone that external participants are present, so someone on the team does not accidentally share information that is meant to be internal only.
