1 Introduction

Pcounter is a flexible and easily scalable, server-based network print accounting and management solution providing a wide range of applications of cost control and billing across networks. The modular structure allows an optimal adaptation to requirements of a modern print management solution. Pcounter embedded enables the integration of TOSHIBA multifunction devices in the Pcounter Accounting solution using the "Open Platform" by Toshiba. In addition to print jobs now all functions of the MFP (Print, copy, scan, fax) will be recorded and assigned to users. The entire user interface (GUI) is performed via the touch panel of the MFP.

1.1 System Setup

1. Users printing to Pcounter server, spooling the print jobs. Option: client popup can be used to authenticate the jobs or enter Clientcode/billing codes. 2. Pcounter embedded authenticates users againsti A.D., eDirectory or PcounterUser-Database 3. Pcounter embedded authenticats users and takes control of MFP function – e.g. enabling of MFP functions, retrieving job counters, show the print job list, etc. 4. Pcounter embedded records all Job results to a central Pcounter Transaction log.

2 Installation – overview

Step Action Comment

1 Install Pcounter PRO Install the curren verson of Pcounter PRO. Make sure Pcounter is fully configured and operational.

2 Add a Pcounter Queue for each MFP and – if required – one or more pull queue(s)

Make sure - to use „Pcounter Port“ - accounting mode of queues is set to None and Super Pause is selected - prices for the pull queue/s is/are configured

3 Preparing the MFP In TopAccess: - create a directory service for Pcounter - import Pcounter RBAC.xml - activate LDAP Authentication - activate the CardReader (if required)

4 Install Pcounter embedded

Run ToshibaSetup.exe and follow the instructions

5 Configure Pcounter Gateway

Run Pcounter embedded Management. Select Pcounter Data Server.

6 Add MFPs to the device list Add the devices (IP) to the MFP list - assign the appropriate pcounter queue to each MFP - select the accounting mode - configure prices

3 System requirements Before installing Pcounter embedded for Toshiba the Pcounter software must be installed and ready for use. In this manual we describe only a short setup of Pcounter and the settings required by Pcounter embedded. For further and more detailed information on Pcounter installation and administration please refer to the Pcounter Manuals Pcounter for Windows and Pcounter Configuration Guide. Pcounter software and Pcounter embedded is available in the download area of http://www.pcounter-germany.com – http://www.pcounter.de

ATTENTION Before installing / updating Pcounter embedded make sure the Maintenance of your Pcounter PRO is NOT expired.

For the installation of Pcounter embedded a basic knowledge of Windows, Networking and Pcounter is assumed.

4 Pcounter (install)

Before you can install Pcounter embedded, Pcounter must first be installed an operational. In the following chapters the essential steps for the Pcounter installation and the settings required for the Pcounter embedded will be described. For detailed information on Pcounter installation and administration please refer to the Pcounter Manuals Pcounter for Windows and Pcounter Configuration Guide.

4.1 Installing Pcounter

Start Setup.exe and confirm the default settings.

4.2 Pcounter setup

Start Pcontrol, go to "Network view" and select the local Pcounter Server.

Go to PcounterConfigure Pcounter serverData Server and create a new local Data server.

Got to the Services/Ports Tab. (Pcounter Pcounter Configure serverServices/Ports)

Install the services „Printer Control service", "Data Server service" and "Port Monitor". Then start the "Printer Control service" and "Data Server service".

Tip:

The symbol leads you quickly to the requested configuration windows, either for the Pcounter server or for the printers.

4.3 Printer setup

Create local printer using the Pcounter Port:

If the printer is not visible in Pcontrol perform a ServerRefresh or restart Pcontrol.

. Please Note make sure that all printers are using the Pcounter port monitor. In a Win XP environment some registry modifications have to be performed. This is automatically done when selecting the "Printers"-Tab in Pcontrol.: When leaving the Printers tab, the system will prompt you to do perform the registry update..

4.4 DocuAnywhere

DocuAnywhere allows users to release their printjobs to any (compatible) printer on the network allowing the printjobs to follow the users to the printers where they login. If DocuAnywhere is NOT used, the "real" print queues must be shared, so users can have access to them. WITH DokuAnywhere the users print to a special "Pull-Queue". The "real" print queues are no longer accessible for the client PCs, and therefore must not be shared. Depending the MFP a user logs on to, his print jobs will be moved from the pull queue to the real queue of the current MFP. 4.5 Setup of a Pull-Queue The setup of a Pull-Queue corresponds to the setup of a "regular" queue. Host name and queue name are arbitrary.

All users are printing to the Pull-Queue. The print jobs will automatically be forwarded to the "real" printers, where the users are logged in.

Please Note It is important to select a printer driver compatible to the "real" printers.

4.6 Setup of Accounting Pcounter embedded retrieves the accounting information directly from the MFP. To avoid "double counting" the built in Pcounter “Accounting” must be switched off. For all MFP select Accounting "None". To keep the jobs spooled on the Pcounter server the item "Pause all jobs" must be set to "Super Pause". “Count jobs in advance for display” have to be set to get costs of print jobs.

Please Note In case of DocuAnywhere "Super Pause" is required only for the Pull-Queue(s).

Please Note To allow Pcounter ebedded to check the print job cost against the user´s balance, Pcounter has to calculate the print job cost when receiving the jobs. Therefore prices for the incoming ('pull-queue') have to be determined. In addition the "Count jobs in advance for display" flag has to be checked.

4.7 Pcounter Administrator

Pcounter Administrator must be launched once to select a domain or computer from where Pcounter will retrieve the user information.

Please Note The tag (checkbox) for [Set balances to default values on startup/refresh] must be set. Pcounter

embedded requires balance information (even if it is 0).

Attention Finally the balance for at last one account (e.g. Administrator) must be saved manually. Now the user information files required by Pcounter embedded will be created.

5 Preparing the MFP To run Pcounter embedde for Toshiba EWB needs to be enabled on the MFP. EWB is provided by Toshiba. The USB-dongle is named GS-1020.

Note Firmware 111 or higher needs to be installed on the MFP. (12A for series e-STUDIO4520c und e-STUDIO6530c in combination with ID-GATE V2.0).

5.1 Activate USB Card Reader (TWN3 type) In case login shall be performed by RFID cards the USB port needs to be enebled to support TWN3 readers.

Start the MFP in service mode (08)

Enter 1772 (3500 at eBridgeX) Press Start-Button

Enter 30001 and press the Start-Button (90001 for ID-GATE V2.0)

You now have added the Card reader to TopAccess

Press the MAIN POWER Button and keep it pressed. MFP will beep and shut down.

Start up MFP.

6 Installing Pcounter embedded To install Pcounter embedded run the installer program setup.exe and follow the installer instructions. Accept the licence agreement and click to Next… In case of an update to current version of Pounter embedded make sure that nobody is logged in on any MFP, then stop the VDServer service and the Apache Tomcat webserver service. This will avoide a restart of your computer after the installation has completed.

If available use port 8080 (default)

Select installation folder and click to Next...

Choose start menu folder and click to Install.... If required, installer will prform required modifications to the firewall...

.. and startup VDServer. Click to Next> once the install is completed. Pcounter embedded Management is a Web-Application, using JavaScript.

Attention Microsoft Internet Explorer (up to 7) does not fully support the features required by the Management application. It is recommended to install another web browser.

If you do not have installed an alternative browser on your system, you now can install one .. ..or click Next >

Done !! Pcounter embedded for Toshiba is fully installed.

Click to Finish to terminate the install process.

7 Preparing the MFPs

To run Pcounter embedde for Toshiba EWB needs to be enabled on the MFP. EWB is provided by Toshiba. The USB-dongle is named GS-1020.

Note Firmware 111 or higher needs to be installed on the MFP. (12A for series e-STUDIO4520c und e-STUDIO6530c in combination with ID-GATE V2.0).

7.1 auto run EWB Newer eBridge firmware versions (since 04/2011) allow to set EWB as priority screen and automatically start EWB after the user has successfully logged on to the MFP. This will ease to request for a client code before user selects any other MFP function (copy, scan, fax) The setting of the priority screen can be performed using code 08-331. For eBridgeX devices use code 08-9132. 08-331: Default setting of screen 0: COPY <Default> 1: FAX 2: SCAN 3: BOX 4: PRINT 5: TEMPLATE 6: MENU 7: JOB STATUS 8: EWB (New) 99 EWB for eBridgeX

Attention 08-331 can only be set to 8 (EWB) if the EWB setting is enabled. 08-9132 can only be set to 99(EWB) if the EWB setting is enabled.

7.2 LDAP configuration Logon as “Administrator” to the MFP web site (TopAccess)

Change to Administration Maintenance Directory Service

Klick to New to add a new directory service.

*Directory Service Name Enter a name for the new directory service - e.g. Pcounter embedded

*Server IP Address Enter the IP address of the Pcounter Server.

*Port Number Enter Port 10389

Authentication Select "Auto"

Search Base Enter dc=cs,dc=local

User Name Enter uid=pcounter_admin,dc=cs,dc=local

Note In rare cases the log in lasts over 10 seconds with the setting Authentication = “Auto”. Change the value to “Simple Bind” then.

7.3 Role Based Access (RBAC) To enable the administration of MFP access permissions for users and/or security groups the RBAC.xml file must be uploaded to each MFP. This file contains all user roles required.

Change to User Management User Confirm/Create/Modify Role Information

Click to Export/Import Select Import Select the file RBAC_pcounter_embedded.xml and click to Import By default the .xml file is located in the install directory c:\Program files\Toshiba Pcounter Embedded\

The MFP website should now look like below..

Role Based Access (RBAC) for eBridgeX devices To enable the administration of MFP access permissions for users and/or security groups two .xml files must be uploaded to each MFP. These files contain all user roles required.

Change to User Management Export/Import Import

At Combined (User Information + Role + Group) you have to import the .xml file USER_ROLE_pcounter_embedded_eB-X.xml and after this import at LDAP Role LDAP_pcounter_embedded_eB-X.xml

7.4 enable LDAP In the next step LDAP needs to be enabled, so Pcounter can authenticate User login and control the MFP.

Change to User Management Authentication

Click to User Management Setting

Now follow the instructions of User Management Setting... Select LDAP Authentication Select ON for “User Authentication Enforcment”

Now, select the LDAP server created for Pcounter. (Pcounter embedded) Enable LDAP Server (Other than Windows Server) ..and enter uid for “Attribute type of User name”.

Click to Detail Settings

Role Based Access Setting: Enable LDAP Server: select the Pcounter embedded Server.

Clicken to Next ..

In case a Cardreader is connected to the MFP and the CartReader configuration (08 menue) is activated the Card Authentication Setting appears. LDAP Server: Select the Pcounter Server

Select: Setting Address is searching from 'User Name' of LDAP. Attribute type of 'User Name': uid Mail Domain Name: your Email-Domain-Name

Click to Finish to save the current settings.

Enable LDAP for eBridgeX devices In the next step LDAP needs to be enabled, so Pcounter can authenticate User login and control the MFP.

7.6 EWB Setting for eBridgeX devices

Change to Administration Setup EWB

Enter the following URL to the fields „Home Page” and “Server Registration Setting” http://Pcounter_Server_IP:8080/toshiba/dev.

Don´t forget to save the settings. Click to Save at the top of the websit.

The MFP is now prepared to work with Pcounter embedded.

8 Pcounter embedded Management

The following instructions will guide you step-by-step through the configuration of the Pcounter embedded. Pcounter embedded Management is a web based service and can be performed from any computer in your site.

Note Some settings can not be performed from a remote client. Pcounter embedded Management needs to be launched locally on the Pcounter server.

Open a webbrowser and enter the URL http://Pcounter_Server_IP:8080/toshiba/ At first startup you will be prompted to accept the licence agreement.

Select the platform/versin of your Pcounter PRO Server.

Enter a password for Pcounter embedded management.

Press show dialog to lauch the Pcounter Gateway Configuration. This will only work on the local

Pcounter server.

8.1 General Settings Here you have access to some general settings that need to be done.

8.1.1 Settings Pcounter

In this menu the Pcounter PRO DLL can be selected according the Pcounter version / environment (Windows or Novell). The Pcounter Gateway configured (accessible on local system only) can be modified if required.

The Button “Show dialog” will open the Pcounter accounting configuration window. Select the Pcounter Data server (by default this is the local Pcounter server) Select if the filenames of the print jobs shall be logged to PCOUNTER.log file or not.

8.1.2 Settings Applikation

Allow Card selfasignment If selected a new card with unknown card ID will be assigned to the user. The user has to change to EWB site to perfom the Card selfassignemt. Keep Jobs after printing (not with QuickPrint) If this option is selected, print jobs will not automatically be removed from Pcounter server, after being printed.

Attention In case QuickPrint is activated for a MFP Jobs will always be deleted after print. Jobs will always be deleted after the auto-delete time (setup in Pcontrol) has expired.

Decimal setting.. Select the number of decimals according the Pcounter settings. Paper format Internally the MFP only knows 'regular' and 'large' paper. Here you can select the paper formats that are linked to 'regular' and 'large'. Max. print job size for preview Depending the size of the print file, generating the preview may take some time. By default the file size is limited to 50.000 kB (50 MB).

Pcounter Authentication

Hint This section gets accessible only if a LDAP server is configured and activated in the LDAP settings tab. See also chapter "LDAP settings"

In case the authentication of users to one (or more) additional LDAP server is enabled you can select the sequence of authentiation here. By default the application tries to authenticate the users against Pcounter first. In case this fails the query is forwarded to the additional LDAP server(s). Enable TeamPrint The TeamPrint function of Pcounter embedded is able to determine the print jobs of other users belonging to the same group(s) as the user that actually is logged in. By default Pcounter embedded is checking all groups a given user is belonging to. Example: User _1 (member of group A) is logged in: He now has access to the Jobs of users User_1 (himself), User_6 and User_7 User_4 (member of groups B & C) is logged in: He now has access to the Jobs of users User_3, User_4 (himself), User_5, User_6, User_7, User_8 and User_9 User_7 has access to all jobs.

Attention To use TeamPrint functionality additional LDAP setting needs to be configured to retrieve e.g. group membershib of the users (even if the application is running in a sole Active Directory environment.) In this case user import must not be configured. Please refer to the LDAP settings section for furhter information on it´s configuration

Disable SNMP Trap accounting for print jobs By default the MFPs are configured by Pcounter embedded to provide accounting information via actively sending Trap messages to the server. The Trap-message includes the username that originally created the job. In case you are using TeamPrint or users change the job owner via Pcounter PopUp the job´s username might not match the user logged in to the MFP.

Tip disabling SNMP Trap accounting will return to SNMP polling mode. All jobs released will be charged to the user that is currently logged in, independent the original job-owner.

8.1.3 Settings EWB Terminal-Login

The EWB Terminal-Login provides a user login when the EWB browser is launched. It is intended for a sole Pull Print environment (DocuAnywhere) where the MFP-built in login (configured in TopAccess) for the general use of the MFP (e.g. for copy and scan) is not enabled/required. The general use (for copy, scan, etc.) of the MFP is allowed without user authentication. Users only need to login if they want to retrieve their print jobs from the Pcounter server.,

Attention If regular LDAP-Authentication of the MFP is used, EWB-Login must not be enabled. When EWB PPT is enabled, the accounting feature of Pcounter embedded is stopped. This means Pcounter embedded does not track copies, scans, prints. In case print shall be tracked, this needs to be enabled in Pcontrol Pcounter configuration of the appropriate printer.

[ ] activate EWB Pull Print Terminal This option will enable the EWB PPT function. Once you click to the activate, accounting for print, copy, scan, fax will be disabled.

Lopgin type This will define the type of login data the users have to enter to access the EWB Pull Print Terminal. [ ] user name [ ] user name and password Users need to enter their Username / Username & Password to login. [ ] ID (alpha) [ ] ID (alpha) and PIN Users need to enter their ID / ID & PIN to login. [ ] ID (numerical) auto-login [ after n. digit ] In case the ID is numerical only. 8.1.4 Settings Accounting

This menu defines the general accounting method of Pcounter embedded. You are able to switch on/off accounting for printing, copying and scanning. [ ] Do accounting for each print job individually This option is required if

- each print job needs to be tracked individually - client codes are assigned to each print job - user´s balance should not go negative due to print release

[ ] Use low balance limit This option defines if the user´s 'low balance limit' is taken into account on calculating his available balance or not. E.g. if a user has a balance=5 and a low-balance-limit=4 he will not be able to release jobs that cost more than 1, if this option is selected. In case this option is not selected, the low balance limit can be used for other purpose (e.g. email notification that balance is going low) [ ] Allow login at zero balance If this option is selected, the users will be able to login, even if their available balance is 0. This option is useful in "accounting only" environments. [ ] Check balance after print job selection If this option is selected, Pcounter embedded is calculating the total session cost by adding the selected print job cost.

8.1.5 Settings Client Codes

Here you can select the how Pcounter embedded shall support Client Codes.

Enable Client codes for Copy and Scan at MFP Enable Client codes for printing at MFP This option enables the Client code entry in the Extension Menu. The user can select from a client code list or enter the client code via the embedded keyboard Show only user assigned client codes This option will only show the client codes that have been assigned to the user´s account. Use Pcounter Administrator to assign client codes to a user account. Client codes only from list If this option is selected, the client codes must be 'member' of the Pcounter client code list. Allow empty client code If checked, the client code entry can be optional (stay blank) Allow subcodes In case subcodes are associated to client codes, the user gets prompted to enter/select a subcode. Enable numeric Client Code search This option allows to use the numeric hard keys for searching a numeric client code. Each keystroke will reduce the list of 'matching' client codes.

Attention The entry of client codes for copying/scanning is voluntarily. Users need to switch to Menue Extension to select/enter the client code.

Tip To 'force' users entering a client code / subcode it is recommended to make EWB the default screen after login. Therefore change the setting of 08-331 from "0" (Copy) to "8" (EWB). For eBridgeX devices you have to change the setting of 08-9132 from “0” (Copy) to “99” (EWB)

8.1.6 Settings User permissions

Pcounter embedded allows setting different levels of access rights to users. E.g. "ALL" users are allowed to print, copy and scan. The user "guest" is only allowed to do B&W copies. He's not allowed releasing print jobs or doing scans. In this menu User permission templates can be administered.

Click on "default" to edit the default User permission template. Clicking on "new" allows crating a new permission template.

Note Modifying permission templates can only be performed on the local Pcounter embedded server.

Clicking on the template name will open the Permission form. Now you can add users or security groups. Double click to the user and tag/untag his permissions.

Hint Access permissions can also be assigned to Active Directory (A.D.) security groups.

8.2.2 User Access permissions

In addition to the user permission profiles Pcounter embedded allows to individually set different access permissions to users per MFP. E.g. "ALL" users are allowed to print, copy and scan. The user "guest" is only allowed to do B&W copies. He´s not allowed releasing print jobs or doing scans. There fore run the "queue" link in the MFP list and select "Access permissions" in the MFP´s device configuration window. select "Access permissions" A new window appears where you can add users. Double click to the user and tag/untag his permissions.

8.2.3 Quick Print

Quick Print When this option is selected, all print jobs of a user will be automatically released after his log on.

Toshiba embedded is offering two License types. Standard: full support of all Toshiba embedded features Light: EWB of the MPFs is not supported. - No client code support (can not be entered/selected without EWB) - No print job selection (can not be selected without EWB) - Printing mode is automatically set to QuickPrint The license types can be mixed. 8.3 Card reader Standard login method is the keying in of the user login data via the MFP´s touch panel. As an option the user can login by using an RFID card. The CardID has to be assigned to the user account in Pcounter Administrator. Assigning card ID to accounts canbe done manually in Pcounter Administtrator or by Card Selfassignment. (see below user instructions) Pcounter embedded allows performing string operations on the data sent from the card reader attached to the MFP. The operations are defined in card reader profiles. In this menu the card reader profiles can be administrated. A card reader profile includes the below settings: Skip front:

number of 'leading' bytes that shall be skipped (ignored) by the Pcounter embedded.

Data bytes:

number of Data bytes Pcounter embedded shall read.

Skip rear:

number of bytes that shall be cut off from the string´s end by the Pcounter embedded.

Reverse

Some readers submit the string backward-to-forward. This tag will convert it to forward-to-backward.

8.4 LDAP settings

Attention: These settings are only required in case - TeamPrinting (Print Job Release according Group Membership) is required - User authentication at MFP to additional directory servers is required - Mixed environment: e.g. Windows print server & Novell eDirectory or Novell NDS/NDPS printserver & Windows Active Directory - Any other LDAP compatible directory server is available

By default Pcounter integrates perfectly into a A.D. or eDirectory environment. So the default user authentication "via Pcounter" will be ok for the majority of installations.

In case one or more additional Authentication Servers is/are required you can enable them by checking the "activate" tag. Toshiba embedded does offer 3 LDAP settings templates. Cick to [Set default settings] and select the type of Directory Service. Enter the Hostname/IP address of your LDAP server and klick [detect Base DN]. This will auto-fill in the required fields. Just add the Password for Adminisrtator.

8.4.1 User import

Usually Users from additional LDAP Servers need to be added to the Pcounter Users database. This will ensure full support of all Pcounter features. (balance, client code association) A user can be added at the time he logs on to a MFP the first time or automatically by a service checking the LDAP server every X minutes for new users.

There are few cases where users must not be added to the Pcounter Users database. E.g. when pointing to the same Active Directory Server as Pcounter. In theses cases the additional LDAP Server is only used to retrieve data, Pcounter can´t provide. (e.g. GroupMembers)

Attention Make sure that users do not exist multiple times in different Directory Servers. This will cause trouble in retrieving the user´s data.

There are a couple of fields to be filled out. Therefore Attribute names and some values are required.

Hint In Active Directory "Users and Computers" right click to a user and select 'Properties'. The Tab "Attribute-Editor" shows all Attributes and contents required.

10 Example Configurations This chapter will show exemplified configurations according special requests. 10.1 "hide" the PullQueue Windows can not prevent users from seeing other user´s print jobs spooled in a shared pull queue. To prevent this, the Pcounter pull queue must not be shared and an additional "pre-pull-queue" (Helper Queue) needs to be installed. This pre-queue is shared, receives the jobs and immediately forwards the jobs to the original pull queue.

10.2 Working with remote PullQueues In case more than one Pcounter server is installed, they can be configured in such a way, that print jobs spooled on Server_1 may follow users to be released from a terminal linked to Server_2. Add to the field "Pcounter pull queues" the pull queue of the remote server. This needs to be done on all Devices that shall be allowed to pull print jobs from the remote server. Now the remote print server credentials need to be configured on all pcounter servers to allow the remote access. 10.3 PJL Alias - SAP Support Usually print jobs are assigned to a user according the user´s context (Windows-login data). In cases where this is not feasible or wanted (e.g. in a SAP environment) Pcounter may assign the print jobs to a user according the PJL-Header information. Additionally the "PJL-user" can be replaced by an Alias (e.g. the Windows-login name). This allows a "mapping" of e.g. SAP-users to the related Windows-user names. This feature can individually be enabled for specific Pcounter queues. This may allow the administrator to create a specific SAP-pull queue. Please follow the below steps to enable the PJL-Alias function:

Make sure to use Pcounter 2.53 or higher (in case of Version 2.52 the patch www.control-systems.de/downloads/prg/PJLAlias_patch[D].zip needs to be added).

User balances are not decreased There are two positions to setup the accounting mode: 1. in Pcontrol - Printer - Pcounter - Configuration the Accounting mode must be: None (Pcounter embedded will count jobs) 2. in Pcounter embedded Management select Printer Configuration profile (double click on MFP name) and select - Settings - Accounting mode: User account balances and Log File

The “pull print” feature doesn’t seem to be holding the print job at the server such that you can release it after logging in the MFP. Instead of this the job prints it out straight away.

The pull print queue must be associated with Pcounter, i.e there is an arrow next to the print queue. The pull queue must not be a "real" printer. It is just used to receive an spool the jobs. Anyway a Pcounter queue must be assigned and it´s recommended to assign a correct printer driver.

Print jobs are not displayed when user is logged in. 1. Only the jobs owned by the user are displayed! 2. Printer queue has to be linked with MFP in DAccS Management 3. the pull queue is not assigned to that printer 4.

Can users be prevented to print below their balance?

For Print: Yes – in case of price settings for the pull queues are properly set in Pcontrol, Pcounter embedded can predetermine the Job cost. In case the job cost is greater than the user´s balance, it won´t be released. For Copy: No – there is no common way to stop a running copier job or to set a limit to the MFP. In Pcounter Administrator a Low-Balance-limit can be defined to prevent users to logon to the MFP.

Some users from the domain doesn't work If Pcounter gets the user information from "Local domain or directory" there might be a problem if a domain user also exists as local user (same name). To solve this change setting to "Primary Domain Controller" or delete the local user.
