Payout/Prize Fund Configuration and Calculations IGBO-TS 2.5 has the ability to let you set up several different payout or prize fund configurations for your tournament. The idea here is you can create different “schedules” for your tournament, look at them individually and then prior to running the payout report, and choose which fund you are going to use as your tournament’s prize fund schedule. When you have a prize fund or funds entered into IGBO-TS, they will appear in the data area when the View All option is selected in the Prize Fund(s) group area of the main menu: As is with all other data grids in IGBO-ITS, pressing the right mouse button either in an empty grid area or on a specific item shows a related menu of options:

Payout/Prize Fund Configuration and

Calculations

IGBO-TS 2.5 has the ability to let you set up several different payout or prize fund configurations for

your tournament. The idea here is you can create different “schedules” for your tournament, look at

them individually and then prior to running the payout report, and choose which fund you are going to

use as your tournament’s prize fund schedule.

When you have a prize fund or funds entered into IGBO-TS, they will appear in the data area when the

View All option is selected in the Prize Fund(s) group area of the main menu:

As is with all other data grids in IGBO-ITS, pressing the right mouse button either in an empty grid area

or on a specific item shows a related menu of options:

Add a Fund Selecting this menu option brings up the basic data entry window for managing your prize fund

schedule:

All of the events shown here will be available based on what you configured your tournament to have.

For example, when editing your tournament you can look at the EVENTS tab:

You can see here that DOUBLES ALL EVENTS and HIGH SCRATCH TOTAL PINS are the two main events

that are not selected. This means in the Add/Edit Payment Schedule window neither of the two tabs for

these events will allow adding/editing of values. For example, here is the DOUBLES ALL EVENTS tab

selected in the window:

Normal Adding Processes

Before getting into each of the tab events for your payment/prize fund schedule, there are a couple of

data entry points at the top of the window that we need to cover:

Name: Enter the name of the payment schedule you are creating. This is a required field.

Available General Prize Fund: You may or may not see a value here. If there is a value it is pulled from

the running balance of your General Ledger. This means that if you have not posted values to your

Ledger and begin to create a prize fund/payment schedule then the value for “available funds” may not

be accurate. Of course you can always override or ignore (especially if there is no value in this area)

with what you estimate the total prize fund to be for all of the combined categories listed in this screen.

For example, you can create several different prize fund schedules based on various estimations of prize

funds. The value you enter in this data entry spot will be evenly divided across each of the enabled

categories for your tournament. Don’t worry if the values are not supposed to be evenly divided; you

can override each of the Available Funds for each.

Main Fund for Tournament: This is a display-only control and will be checked if the fund be edited is the

selected “main fund” for your tournament. In add mode you cannot select this item: all funds need to

be added first and then toggled or selected as the “main fund” from the opening data grid for prize

fund(s) for your tournament (see first image).

Required Funds: This, too, is not an editable field; rather, it is used to show you the running required

funds you have scheduled across the various categories. For example, if even you allocated $ 1,000.00

for the SINGLES event, based on your payout schedule, the required funds for SINGLES could sum up to

$ 1,150.00. If this should happen the value in the Required Funds control area will show the $ 1,150.00.

This value will continue to increase as you put the specific payout schedules for each of your

tournament’s events/categories.

The purpose of this is for two reasons. First, the initial value of Available Funds come from the current

balance of your General Ledger at the team the prize fund schedule is created. And second, based on

your overrides or just your payout schedule, the amount of the Required Funds can differ and show you

straight away if you are over or under budget.

The Main Tabs

All of the tabs on this window look similar and behave in the same manner. We will only go through the

SINGLES tab here and any differences in any of the other tabs. You will repeat the process described

here in the SINGLES area for all of the other selected events for your tournament.

Available Funds: Enter in the available funds for this event/category. A suggested pre-populated value

will appear and may be overridden. The value you enter here, along with the Top Prize and/or Bottom

Prize value(s) will be used in calculating the suggested schedule.

Top Prize: Enter the top prize for this event/category if applicable.

Bottom Prize: Enter the bottom prize for this event/category if applicable.

Paying 1 in X: Enter the payout schedule as in 1 in X number of entries for this event. The value above

this data entry control is the total number of entries for this event. The value below this data entry

control is the number of places to be paid out based on the ratio value entered here. So, as an

example, in this case there are 204 entries for the Singles event. You can enter the 1-in value directly or

press the up/down arrows or press the UP or DOWN arrow keys to increment/decrement this value.

As you increment/decrement the value the CALCULATE process will take place automatically. If you

enter a value directly into this control, then when you press the TAB key or move OFF of this data entry

control, the CALCULATE process will take place. For example, if there is $ 5,000.00 available for this

event with a TOP prize of $ 500.00 and a BOTTOM prize of $ 100.00 and if you indicate that you are

paying 1 in 8, then the PAYING PLACES will show 26 and the payout schedule in the middle of the screen

will look like this:

You can scroll up and down within the payout schedule for this event to see what each position will pay.

At the bottom of this schedule will be the running total of payout funds for this schedule. Keep in mind

that IGBOTS makes an estimation based on a graduating percentage down each placement. If there is a

BOTTOM PRIZE then no position will go below that amount regardless if it is the very last paying place or

not. We will cover how to make adjustments to the schedule in a moment.

Calculate: This operation will automatically take place based on the value you enter into the Paying 1 in

X control. This button is made available should you want to re-calculate the schedule at any time.

Modifying the Estimated Schedule

There are several options on adjusting the payout schedule. Off to the right of the grid area are two

buttons that allow you to adjust UP or DOWN by 1% the values in the schedule. Keep in mind that if

you specify a TOP PRIZE, then that value WILL NOT adjust in either direction; all other values will adjust.

Another option you have is to specifically enter a value for the place/position in the grid. You do this by

selecting the actual value of the position you want to adjust. A single left mouse click in this cell should

do the trick. You will know you can edit the value when the value in the cell appears highlighted:

When the value in the cell is highlighted, simple enter the new value you want to pay out for the

associated position in the schedule. To make sure that the value is entered, simply hit the TAB key

when you are done entering a value.

Note that the value of the Running Total will automatically adjust for any/all adjustments made to any

value within the payout/payment schedule.

The final way you can adjust a value is by moving the mouse over to the position in question and

DOUBLE LEFT or DOUBLE RIGHT mouse click: doing this will cause the value in the associated position

cell to increase (left) or decrease (right) by $ 1.00.

You will repeat this process for all of the applicable events.

Exceptions

There are three events that have 1 extra button on them: Singles All Events, Doubles All Events, Team All

Events. The extra button will appear in the same location on all three tabs and will look something like

this:

The COPY FROM _____ EVENT allows you to copy over the enter schedule of a similar event to this

event. For example, let’s say you have the schedule for SINGLES just the way you want it and now you

have to do SINGLES ALL EVENTS and let’s also say that the payout schedule, top/bottom amount are the

same. The best thing to do is simply COPY the entire schedule from SINGLES to SINGLES ALL EVENTS.

Pressing this button will do that for you automatically.

As you modify and/or add values to any of the schedules, the Required Funds value will automatically

show you the running total at that point in time:

CANCEL: Pressing this will abort the data entry process and all data will be lost and return you to the

Prize Fund(s) grid area.

OK: Pressing this value will save the various schedules and return you to the Prize Fund(s) grid area.

The grid area will automatically refresh with current data.

Edit You can edit any fund within the grid area by either right mouse clicking a specific fund and then

selecting the EDIT menu option or double click the left mouse button to edit the selected/highlighted

prize fund schedule. When you do, the values for that fund will appear in the above documented

window with all of the appropriate values pre-populated ready for editing.

Delete You can delete any fund within the grid area by right mouse clicking a specific fund and then selecting

the DELETE menu option. You will be prompted with a confirmation window. Once a prize fund is

deleted, it is deleted.

Set Fund for Tournament Selecting this option will tell IGBO-TS which of the funds you want as your tournament’s payout

schedule for the listed events in that window. Keep in mind that even if you only enter 1 schedule you

will still need to select it as your tournament’s main fund; otherwise, no payout values will be assigned

to the winners in any of the corresponding reports.

View Details Selecting this special viewing option will populate another grid with the details of the selected prize

fund:

You can see here that we selected TEST 2’s details from the PRIZE FUND grid. The name of the selected

grid will appear in the tab area. Each category/event will be listed as group categories for the prize

fund. If there are additional details (e.g. places and amounts) for a particular event (as is the case here

with the SINGLES ALL EVENTS payout schedule) then each place and associated payout value will be

displayed.

You can print the contents of this grid area at any time by pressing the RIGHT MOUSE button on an item

in the grid and select the Print Grid option.

Print Grid Selecting this option will print the contents of the Prize Fund(s) grid which in essence is a listing of the

entered funds.
