Navigating and Understanding The Degree

Audit Report

The purpose of this document is to provide guidelines for Understanding how to run and read academic requirements (degree audit) report through:

Step 2 Click the Student Advisement Services Ctr (Student) link.

Step 3 Type in Students NSHE ID. Click search. Step 4 In drop down box that says Other Academic Click the link that says Academic Requirement.

This will then take you to the students Academic Requirements Degree Audit Report. Read area below on how to Understanding the Degree Audit Report. II. Degree Audit Report Results: ADV Navigating to the Academic Requirement (Degree Audit) Report for Students through Advising Link Please have the student’s ID number available or perform a Search/Match to locate the person ID.

Step 1 From the main PeopleSoft menu, click the Academic Advising link on the left hand navigation bar.

Step 2 Click the Student Advisement Link then Request Advisement Report link.

Step 3 Click on Add a New Value

Step 4 Type in the persons ID; Institution should be UNLV1, and report type should be ADV for degree audit. Click Add. Note: If you do not have to go to another area that will allow you to find the students ID number by searching using the Last Name, First Name field. Both fields have to be populated for the search to work. You can not search on the find existing value page unless the student has had a degree audit run before in the past 7-10 days.

Step 5 Make sure students name is correct on the page and hit Process Request

Once it’s done processing, the degree audit should come up. This is the interactive degree audit report. If you would like a PDF report (which looks slightly different than the interactive report) you must go to the bottom of the screen and hit the link that says Return to Report Request

Once back to report request screen click on View Report as PDF. To get back to the Interactive Degree Audit Report just click View Report link in the middle.

To view a student’s degree audits that has already been run, On the Request Advisement Report Page, Find and Existing Value Link, put in the student’s ID, in Academic Institution put UNLV1 and hit SEARCH.

This will bring up all the reports that have been ran recently for that student.

III. Degree Audit Report Results: What-If There are two types of What-If Reports that can be run on a student. These What-If reports are the Career Simulation What-If and the What-If Course. This section will outline how to run both types of What-If reports. Degree Audit Report Results: What-If (Career Simulation)

The What-If Career Simulation allows an end-user to run a major change what-if, a minor change what-if, a concentration what-if or a term change what-if report to see how it would impact the student if they were to make an official change. Steps:

1. Sign in to the Student Administration system (Oracle/PeopleSoft Enterprise). 2. Navigate to Report Request:

Home > Academic Advisement > Student Advisement > Request Advisement Report

3. Click on the link.

If you have run a what-if degree audit report for the student previously, you can search by the student’s ID to pull up an existing request and just re-run this request to bring in updated information in to the report results versus building a whole new request.

4. Click on the button or type in the student’s ID in the ID field.

5. Click on the button or type in your institution’s unique academic institution code in the Academic Institution field.

6. Click on the button or type in the What-If report type code in the Report Type field.

8. Activate the Use Career Simulation check-box.

9. Click on the link.

10. The Create What-If Scenario page allows you to copy the student’s existing program/plan record from the Student Program/Plan where you can then override those field values you will need to change to make this a What-If. For example, you might only be running a what-if for a major change you would only override the Academic Plan field with the what-if plan code. If you want to copy, click on the button.

15. The report results identifies that this degree audit is a What-If Report by pulling

in the What-If Report description at the top of the report. See the screen shot above.

16. If you would like to re-run the what-if degree audit report for this student, scroll to the bottom of the page and click on the link and the system will take you back to the Report Request page.

Degree Audit Report Results: What-If (Course)

The What-If Course allows an end-user to run a what-if report using courses that the student has not yet registered to find out where that course would be used in their degree audit requirements. Steps:

25. Click on the button or type in the career for which the student plans to take the course in the Career field.

26. Click on the button or type in the term for which the student plans to take the course in the Term field.

27. Click on the button or type in the school subject for the course the student is planning to enroll in, in the Subject field.

28. Click on the button.

29. Click on the button next to the course the student is interested in registering for (if the course does not appear, look to see if it has been wrapped to a second

page by looking at bar).

30. Click on the button or type in the grade the student would like to receive in

the Grade field. 31. Type in the units the student may take this course for in the Units field.

32. If you have added more than one what-if course and you decide you need to remove one, click on the button to the right of the course you would like to delete.

33. Click on the button.

34. In the screen shot above, you will see that the report results displays the What-If

report description at the beginning of the report, includes the icon in the legend and when looking at the course used in the what-if scenario, it will show the icon to the right of the what-if course.

35. If you would like to re-run the course what-if degree audit report for this student, scroll to the bottom of the page and click on the link and the system will take you back to the Report Request page.

IV. Understanding the Degree Audit Report The degree audit report shows the following information:

• Current Academic Objective: The Career, Program, and Majors, Minors, and Concentrations the students have. Plan houses the majors and minors; Subplans show the concentrations, emphasis, etc… This area also shows if a student has applied for graduation or not and what term they are expected to graduate

• Current Academic Summary: Date the report was first ran, The Last Term a Student Registered for; Academic Standing (if available) and overall UNLV gpa.

• The actual report shows the University Graduation Requirements, General Education Requirements, The major (plan) requirements, Minor (if applicable) requirements, Concentrations(sub-plans), general electives, and honors requirements (if applicable) General electives are any courses that are not used in the program but are used to count toward the total hours needed to graduate.

The audit is broken down into Requirement Groups (blue bars), Requirements, and Line Requirements. A requirement might have more than one line requirement to complete that area as well as a requirement group has more than one requirement to complete that area.

Upon entry into the degree audit, if an item is collapsed ( ) this means a student has met all requirements for that area with courses taken by transfer, UNLV, or In Progress (IP). If students have IP grades satisfying a requirement they must fulfill the necessary grade for that requirement to stay completed. (Audit will display if a certain grade or GPA is needed) If the item is expanded ( ) this means a student still needs to fulfill something in that area. Once you are navigating through the audit, you do have the option to collapse and expand all requirements so the Not Satisfied and Satisfied notices will help you to know what areas are still needed for completion of degree requirements. If a course or courses are needed, the audit will show a list of courses acceptable for that area. If more than 10 courses are available there will be an arrow and View

option at the bottom of the course list to expand the list to show all courses that can be used in that area:

If a course completes an area it will show the course, descriptions, units, when the student took the course, the grade received and status Status include: Taken In Progress Planned

If there are Substitutions for a student, this is noted with a number next to the course that is being approved for substitution in a field called Notes. You can click on that number to read any notes associated with that exception or substitution. Note that these are for student only and does not guarantee that all students will get this waiver and/or exception.
