Years 7 and 12 new boarders and their parents are requested to arrive at MGGS Reception area at 5.00pm on Wednesday 26 January 2011. The Director of Students: Residential, Mrs Polly Winterton, together with Boarding House staff will greet you on your arrival.

Current Year 12 boarders must be settled into the Boarding House no later than 5.00pm on Wednesday 26 January 2011 for dinner at 5.45pm.

All new Years 8 - 11 boarders and their parents are requested to arrive at MGGS Reception between 2.30 – 3.30pm on Sunday 30 January. Afternoon tea will be served at 3.30pm and the families will be greeted by the Director of Students: Residential, Mrs Polly Winterton, together with Boarding House staff. All current Years 8 - 11 boarders must be settled into the Boarding House no later than 5.00pm when parents depart.

In Term 2, Term 3 and Term 4 all boarders return by 9.00pm. A buffet dinner is served from 5.30 to 7.30pm.

At the conclusion of term, the Boarding House closes at 5.00pm. At term’s end, boarders may make arrangements to travel home or be collected as soon as school is finished at 3.20pm. The Boarding House will re-open at 5.00pm the day before the commencement of the new term.

All boarders must complete a form stating the times for departure and return, as well as a contact number and address for the holiday period. Requests from parents for extraordinary leave are to be put in writing and directed to the appropriate Director of Students: Senior Years, [email protected] or Middle Years, [email protected] who will issue a signed consent form, if the leave is granted. Under no circumstance will a boarder be allowed to leave without the above permission.

Overseas Students

Passports and flight tickets must be handed to the Director of Students: Residential for safekeeping immediately on arrival. It is the responsibility of the parent/guardian to ensure the boarder holds a current passport. It is also the responsibility of the parent/guardian to ensure the boarder has a student visa prior to commencement at the School. Any queries regarding visas should be addressed to the Enrolments Office.

Travel arrangements for overseas boarders must be in accordance with term dates. Attendance at Speech Night and Carol Service is compulsory. If any overseas boarder is unable to adhere to these arrangements, permission must be requested from the appropriate Director of Students.

School Policies

Copies of key School polices can be found on the MGGS website on the eVI Parent Portal at http://evi.mggs.vic.edu.au. These include policies on Student Conduct, Communication Technologies, Anaphylaxis Management, Privacy, Anti-Harassment and Sun Protection. In addition, there is a copy of the Trinity Grammar Drug and Alcohol Resource booklet on this site.

Phone calls, email and surface mail

Boarders may be contacted on their emails or mobile phones. Residential staff collect mobile phones and laptops from boarders in Years 7 - 10 before bed time. These arrangements promote a boarder’s awareness of, and consideration for, her peers. A sound sleep routine is important for the wellbeing and development of all adolescents.

Please note that students cannot be contacted during study or meal times.

All students are given an email address and the use of email is recommended for easy and effective communication with students. Students have the ability to check their email accounts in the Boarding House.

The sending of letters and cards is encouraged. To assist with the handling of mail at the School, please address letters and parcels as follows:

BOARDING AT MELBOURNE GIRLS GRAMMAR

Melbourne Girls Grammar is located in South Yarra, opposite the Royal Botanic Gardens. It’s proximity to the heart of the City of Melbourne ensures that the boarding community is near the city’s famous cultural and sporting venues. There is easy access to Melbourne Airport, Southern Cross Station and metropolitan public transport.

Families visiting their daughters appreciate the accessibility of MGGS from Victoria and New South Wales and enjoy the myriad of small restaurants, shops and accommodation in surrounding streets in the popular Toorak Road precinct. Founded in 1893, Melbourne Girls Grammar is proud of its rich heritage yet is acutely aware of the need to move with the times.

For MGGS students, boarding means that a new awareness about differences between people will emerge. It will become clear to them that boarding life means being thoughtful and respectful. It is about living harmoniously with one another and that every effort needs to be made to create the conditions that are essential for successful community living.

Boarding House Structure

The Boarding House offers a relaxed, friendly atmosphere in which the students can grow in self esteem and reach their full potential in all areas of school life.

The younger boarders are accommodated in rooms of four which encourages them to live co-operatively with one another. Year 11 students are allocated double rooms. To further strengthen the bonds between boarders, the grouping of students in each room is changed periodically.

In their final year of school, the Year 12 boarders are assigned their own rooms. This allows each student to develop study patterns that work for them without disturbing other students.

Within the House there are several laundries, kitchens for casual snacks and common rooms where students are able to share experiences and relax. We have also recently accommodated for a small gym and art space for VCE art students. For senior students, prep is undertaken in their own rooms and at the younger year levels, students study in the Nina Crone Library.

Boarding Options

Melbourne Girls Grammar offers two boarding options to families of students from Years 7 to 12 - full time boarding, and for Day students, sessional boarding. Both options cater for the demands of hectic schedules and varying work and travel demands while giving the student the opportunity to experience boarding school life.

Full-time boarding

Full time boarding offers families the opportunity to board their daughters at MGGS for the duration of the school year which has four terms. There is one residence accommodating ninety students, comprising rural, expatriate and international students. Each term, there is a short mid-term exeat (period of absence) when students and staff vacate the Boarding House.

Sessional boarding

Day students are welcome to board for any duration during the term. This option is especially popular with parents who travel occasionally during the school term.

Time Activity

7:30am All boarders are woken by the Boarding House staff.

Breakfast is available from 7.00am – 8.10am in the Dining Hall.

All boarders are expected to attend breakfast. Newspapers are delivered at breakfast time and are also delivered to the common rooms.

Some mornings there is sport practice from 7.30am until 8.15am, after which there is time to change and be ready for school at 8.30am.

8.40am - 3.20pm Students do not have access to the Boarding House during school hours except for Year 12 boarders who are permitted to return for study purposes after 1.00pm.

The boarders are encouraged to take advantage of all the co-curricular activities such as drama, music and sport offered each day.

All levels may study in the Library or in their rooms.

Music Rooms are available until 5.45pm.

Years 7, 8 and 9 boarders may go to the shops at the corner of Domain Road and Park Street in pairs.

Years 10 and 11 boarders may travel to the City or Chapel Street in pairs.

Year 12 boarders may travel alone to the City or Chapel Street or to areas within the City limits.

All boarders must return to the Boarding House prior to dinner.

5:45 - 6:30pm Dinner in the Dining Hall

Once all students and staff have finished dinner everyone remains seated for roll call, messages and Grace before being dismissed.

7.00 - 8.30pm Supervised prep time

During this time students study in their room or the library.

Tutors and House Supervisors assist the boarders with homework.

8.30pm Free time – the senior girls will usually continue to work.

Pastoral Care The Boarding House pastoral care team is supervised by the Director of Students: Residential, who is supported by the two Co-ordinators of Student Services: Residential. They liaise closely with the School Counsellors, parents, staff and students to meet the needs of each individual boarder.

In addition, we have a team of Boarding House tutors who play a hands-on supportive role, steering the girls through the ups and downs of adolescence in a residential community. As they are all tertiary educated and are chosen for their particular skills and interests, these young women are also available for continuous, informal academic support.

Chapel

As an Anglican school, MGGS aims to foster the growth of healthy spiritual values.

On the first and last Friday of each term, the Chapel service is held at 4.00pm. Everyone is expected to attend. During Term 4, all students attend the Boarders’ Valedictory Service and farewell dinner. The times for these will be advised. Staff and students participate in the services. Boarders’ families, host families and friends

are welcome to attend chapel services at any time.

Boarders may be baptised and prepared for Confirmation and First Communion while at Melbourne Girls Grammar.

Homesickness

Understanding, patience and firmness are important qualities for a quick and relatively smooth adjustment to the new environment for boarders. Parents should not hesitate to contact the Director of Students: Residential if they wish to discuss any problems. The staff work closely with the School Counsellor to ensure the boarders have full and appropriate support throughout the school year.

It is important for parents to encourage their daughter to be fully involved in school life. Participating in sport, music and other activities can assist in adapting to boarding.

Some boarders experience difficulty in adapting to the new living situation, especially in relating to the number of other people continually surrounding them. This is quite normal. Lower than expected grades and difficulty with work can be closely related to homesickness in the early stages. Words of encouragement from parents or guardians will help.

Parents should encourage their daughter to see the Director of Students: Residential or the staff when feelings of homesickness escalate.

Health Officer

There are two Health Officers located in the Student Services area on the Merton Hall Campus. During the school day, boarders are able to access the Health Officers. Boarders who are unable to attend day school due to illness either remain in the Boarding House and are cared for by House staff or go to Student Services and are cared for by the Health Officers.

Every boarder is required to have an Emergency Care Plan, with a trusted Melbourne contact.

Medical matters

An MGGS Student Medical and Details Form will be mailed to you and this must be completed and returned before the school year commences. Unless parents state otherwise on the form, a doctor will be contacted in the case of an emergency. The Health Officers or House staff will accompany students to medical appointments when necessary.

Any prescribed drugs must be given to the Health Officers or the duty staff to administer. Parents are notified if there are any issues of concern relating to their daughter.

General medication for headaches, colds and injuries are available from the Health Centre. Boarders must not keep medication in their rooms.

ACADEMIC AND SOCIAL WELLBEING

ACADEMIC AND SOCIAL WELLBEING

Alcohol, Smoking and Drugs

Alcohol, smoking and prohibited drugs are not permitted. Students should be aware that non compliance with this rule is a serious matter. Please refer to the Student Code of Conduct on the MGGS website from the eVI portal http://evi.mggs.vic.edu.au.

Visitors

Families and friends are welcome to visit students in the communal living areas. Visitors are not permitted to wander through the Boarding Houses or enter a boarder’s bedroom.

House staff are prepared to be flexible with regard to visitors but request that they leave by 5.30pm each night before the evening routines commence.

Boarding Social Events

Throughout the school year, we organise a number of social events and activities for our boarders. These include attending concerts, theatre shows and films, AFL football matches and other sporting events, visiting local markets, going rock climbing and ice skating as well as participating in fundraising events.

As a member of the Australian Boarding Schools Association, MGGS joins other boarding schools in Melbourne to host social events for students and staff. These schools include Melbourne Grammar, Scotch College, Xavier College, St Catherine’s, PLC and Caulfield Grammar. Each school hosts one social event a year to which all boarding schools are invited.

Saturday Netball

MGGS boarders and daygirls are part of a suburban netball competition. Over half of MGGS boarders participate in this competition and it provides a good opportunity for boarders to get to know each other as well as girls in the day school. The competition runs on Saturdays for two seasons, Winter and Spring in Boorondara. The School provides transport to and from the competition.

General leave

The general philosophy regarding boarders’ leave is based upon what is appropriate for teenagers in the care of adults other than their parents and guardians. However, it is the primary responsibility of the Boarding House staff to know the whereabouts of each boarder at all times.

Leave with parents is approved of at all times, while overnight leave with host families is usually granted on request, subject to parental and boarding staff approval. There are ‘In-House Weekends’ on the first and last week of each term for the boarders in Years 7 – 10 when overnight leave is not normally granted. Families and friends are always welcome to visit MGGS boarders at appropriate times.

It is expected that people who act as host families will be sensitive to the responsibility they are assuming and will provide close supervision of the activities of the boarders in their care. The host family assumes responsibility for the boarder during the entire period of leave and the duty of care is fully transferred to the host parents. Contact between parents, guardians and host families is essential.

When on leave, boarders are required to carry their mobile phones at all times.

Overnight and weekend leave

Overnight leave is permitted for all boarders with parents on any night and with an approved host on Friday or Saturday night only. Full weekend or overnight leave from Friday until Sunday evening is permitted with parental consent, except during the In-House Weekends.

Weekend day leave

When girls take weekend day leave in pairs or small groups they are only permitted to ‘miss one meal’ and should not be away from the House for long periods of time during the day.

Please note: all students must return to the Boarding House by 6.00pm after day leave on a Sunday and 9.00pm if on weekend leave.

Leave during the school week

On weekdays, students with a host must return by 7.00pm and students with a parent or guardian must return by 9.00pm.

Each boarder must report out before leaving the Boarding House and report back in upon returning. No one else may do so on her behalf.

PREPARATION FOR BOARDING

Uniform and Clothing

For a complete list of uniform requirements, please refer to the related Year Handbook or the School website under Quick Links. When school uniform is worn, it must be correct in every detail.

One of the educational elements of boarding experience is for students to learn to dress appropriately for all occasions. When moving outside the House (to go shopping, etc.) students are expected to be sensibly attired.

While it is acknowledged that judgement on dress codes can be subjective on the part of the House staff, parental support of the staff in these matters is expected.

Additional requirements for full-time boarders include:

• doona, doona cover and pillow

• mobile phone

• laundry bag

• toiletries and a beach towel

• coat hangers

• mug

• power board and reading lamp for desk

• umbrella

Boarders are asked to be aware that bringing valuables into the Boarding House is their own responsibility. In each bedroom, there is lockable storage for personal items which need to be secured.

Parents are asked to make sure that their daughter has a sufficient supply of all necessary items, and that girls do not bring an excessive number of clothes. To enable easy travel and the storage of suitcases, suitcases should be no larger than standard airline size with a maximum packed weight of eighteen kilos.

All articles must be MARKED CLEARLY with name tags or permanent pen marker.

Bed Linen and Laundry Facilities

The School provides bed linen and bath towels and these are commercially laundered.

Boarders are required to do their own personal laundry. There are facilities for personal laundry and washing machines and tumble dryers are available for student use. The School provides washing powder.

A repair service for uniform and casual clothes is also available free of charge.

Kitchens

Milo, Tea, coffee, milk, sugar, bread, cheese, yoghurt and fruit are always available in the student kitchens. Boarders are rostered in each House to tidy the kitchens each evening.

Boarders’ Bank

Years 7, 8 and 9 have $100 added to the school account. Students will then be able to withdraw money through an internal banking system. Senior girls must organise their own key card to access funds at ATMs.

Music

Boarders may have radios, CD players and iPods but may not play them during study time or after bedtime. The volume must be regulated so as not to disturb others. When quiet time is required, boarders may use headphones.

Bicycles

With written permission, boarders may ride their bicycles. They must use a helmet and bicycle lock. All bicycles are stored in an enclosed bike shed next to the Boarding House.

Running the Tan

Boarders may run the Tan in pairs or alone if they have their parents’ permission.

PREPARATION FOR BOARDING

T - BAR CAFÉ

The dining hall & T - Bar Café are places where day girls, boarders and members of staff can enjoy the indoor cafeteria and outdoor deck to eat their meals. The dining hall and T - Bar Café are available for Years 7 - 12 students to use from 7:30am onwards during each school day.

All food served in the T - Bar Café meets the guidelines outlined in the MGGS Healthy Food Policy. Students can purchase food using cash or the MGGS Smart Card. Purchases made through the Smart Card can be monitored online by parents. Students are issued with their Smart Card at the beginning of the school year.

COMMUNITY OFFICE

All current parents and guardians of Melbourne Girls Grammar girls are members of the Parents’ Association and there are many ways you can become involved that, importantly, link in with your daughter’s areas of interest. The Community Office works with the Parents’ Association to provide opportunities to strengthen connections between parents and the School. Its main objectives are to:

• Promote and support Passion Groups (Arts, Boarding, Rowing, Snowsports and Navy Blue Lunch Committee)

• Promote and support Year Level Class Representatives

• Encourage participation in school events

• Encourage social interaction between parents

Passion Groups meet regularly and work with staff and students on fundraising and event organisation. These groups are an informal way to meet like-minded parents and enable parents to become involved proactively in the School.

Across all campuses, each year level has a Class Representative who is an excellent

point of contact for social events relating to your daughter’s year level. They can also help put you in touch with other members of your cohort and they work hard to ensure your connection to Melbourne Girls Grammar is inclusive and enjoyable. One of these reps will be in contact with you early on in the year.

Early in Term 1, the School hosts a Welcome Cocktail Party for all parents. This is a wonderful opportunity for you to meet new parents and chat with staff in a relaxed environment. Throughout the year, the Community Office and the Parents’ Association arrange a variety of activities including:

• The Navy Blue Lunch (an exciting ‘must’ event for our community)

• Father/Daughter breakfasts

• Year Level morning teas, lunches, dinners and cocktail parties

• Celebration of Sports Dinner

• Boarding Parents welcome barbeque and other events

• Information Evenings with guest speakers

In addition, the Parents’ Association meetings are open to any parent who wishes to attend. They provide an excellent overview of the PA activities and a way to connect with other parents on a regular basis. You are welcome and encouraged to participate in the 2011 meetings. Meeting dates are advised in the fortnightly newsletter, Messenger@MGGS.

Boarders’ Parent Group

All parents and guardians are encouraged to participate in the Boarders’ Parent Group. The Group enables the parents/guardians of boarders to be involved in the wider community of MGGS and to assist in improving communication between School and home. Meetings are held in the Boardroom in the Dining Room on the last day of every term. The Principal attends these meetings and provides up to date briefing on what is happening in the School.
