A Passenger Name Record, or PNR, is the storage record for all passengers and their travel related information. Let’s talk about PNR display options. ÿ PowerPoint - 4

A PNR can be displayed by:

• Name • Record locator • Flight information • Car, hotel or travel segment

þ Instructors’ Notes

A Wildcard option is available to display PNR name lists when the exact spelling of a name is unknown. Dates and date ranges can be added to PNR display entries to help narrow a search.

For a complete reference page index related to PNR display, refer to HELP and INFO *PNR. For specific entries to display a PNR, see HELP *PNR*. : Application Sharing

1. Access HELP *PNR and tab to HELP *PNR*. Move down the page as you discuss sample entries.

The response includes all active PNRs for passengers with last names beginning with ROS. The wildcard entry is very helpful for difficult to spell names. At least two characters are needed for this entry. This is an example of a single column name list display. We’ll look at double column displays in a moment. PNRs from this list are selected by item number or by tabbing to the record locator. Use *L to go back to the list. {demonstrate if desired} Let’s touch briefly on ways to redisplay a PNR that is still active in your CRT work area. ÿ PowerPoint - 5

þ Instructors’ Notes

Worldspan recommends using the entry *R rather than *A when it is necessary to redisplay the face of the PNR. Suppressed items can be displayed using secondary entries. The most efficient entries in terms of displaying a PNR are to display only the part or parts you need. Let’s look at entries to display PNR parts. : Application Sharing

þ Instructors’ Notes

This display provides a quick check for confirmed flights and special service request confirmations. Another very useful entry for lengthy leisure itineraries is the entry to display only the hotel segments, *IH. Keep these shortcuts in mind, because the responses are faster and they help tremendously to reduce unnecessary traffic on the system. PNR display consumes more system resources than most other entries for any GDS. Our next subjects are similar name lists and the name list default record.

þ Instructors’ Notes

When requesting a PNR by name, the system may find multiple PNRs with the same name, or may find no exact match. The response is either NO NAMES, a list of names, or a list of similar names. PNRs in a name list appear in chronological order by travel date, based on the earliest non-canceled segment. Canceled and traveled PNRs that are not yet purged from the system will appear at the bottom of the name list, unless they contain retention segments that have not been canceled. Name lists can be displayed as either single column, such as the list for ROS we saw earlier, or they can be double columns. Worldspan defaults to a double column display. This chart shows how to display either single or double column displays using name entry and continuation options. Continue for practice with name lists.

þ Instructors’ Notes

The third name in this list has the letter N following the travel date. Both single and double column lists use codes following the travel dates to help distinguish certain types of PNRs.

Description Code Non-air PNR *

Name changed PNR N

Corporate PNR C

Canceled itinerary PNR X

Traveled (flown segment) PNR F The code N indicates the name field has been changed in the PNR. A PNR with name field changes may appear more than once on a name list, with the new and old spellings.

In this list, the indicator N follows the travel date for the PNR listing under the old name, Helen Rosenbach. The system “remembers” the old name field to assist with any search on that spelling. This listing does not represent a duplicate PNR, and will reflect the new name field when it is retrieved. The name list default record allows you to choose either single or double column format to view name list displays. Let’s take a look at entries to retrieve the name list default record. 5. TNZZMK1MIS10MAY/AN-RETENTION

1. Add retention travel segment 2. ER the PNR 3. Cancel the retention segment 4. ER the PNR

þ Instructors’ Notes

Retention segments are used to extend the length of time a PNR can be displayed in Worldspan. The system default for non-European agency PNR retention is 30 days after the most future segment date. At that time, the record is purged from the system and recorded on microfiche or CD. For countries following the European Union (EU) code of conduct, the default retention period is 72 hours. Both time periods are calculated from the most future segment date, which includes flown and canceled segments. To extend the retention period beyond the system default, travel segments are recommended. Pseudo air segments are not recommended. To create a travel segment for retention purposes, use the generic vendor code ZZ, and the associate code MIS. This segment will retain the PNR in the system for 30 days after May 10. Because PNRs with active segments appear near the top of name list displays, retention segments can cause canceled or flown PNRs to also appear near the top. To avoid this, the steps listed here are recommended. This places the travel segment in history and the PNR will appear near the bottom of the name list after it is flown, or if it is canceled. Prepaid PNRs follow different purge guidelines. For more information about purge dates and purge guidelines for prepaids, see INFO PURGE.

þ Instructors’ Notes

A bridge is a means of establishing an automated working relationship from, to, or between Worldspan agencies. When a relationship is established, it allows limited access and specified functions with another location’s database of PNRs. A branch is also an automated relationship between two Worldspan locations. All branch relationships must be ARC approved. One location must be designated as the Home Office and all other locations are designated as branch offices. It is necessary for branch offices to build bridge agreements in order to interact with each other. Bridges are not necessary between a branch office and the Home Office.

Let’s learn how to create a bridge agreement. ÿ PowerPoint - 8

One Way: One agency creates a bridge and allows another agency to do the various functions contained in the bridge table. Two Way: Both agencies create a bridge in which specific functions are allowed for both parties in the bridge agreement. þ Instructors’ Notes

There are two types of bridge agreements. A template is used to create or modify a bridge agreement. Options are selected in the template and marked Yes or No (Y or N). You must display the template from the location giving permission or access, and specify the SID of the agency receiving the permissions or access. ÿ PowerPoint - 9

þ Instructors’ Notes

To modify the template, use your tab key to access each field and set the option to (Y)es or (N)o. By setting any of the options to Yes, permission is given to A2Z to perform those functions on PNRs controlled by agency PQ2. So you are granting permission to A2Z or granting access for specific functions. This template gives A2Z: Access and update capability to PQ2 PNRs

Access only to World Files (profiles) Queue placement (QEP and QEM).

If A2Z displays the bridge agreement template for PQ2, and sets the same options to Yes, a two-way bridge is established. Both agencies would have the ability to retrieve and modify each other’s PNRs, access to their World Files, and queue placement functionality.

þ Instructors’ Notes

Once these agreements have been established, specialized entries are sometimes required to display the PNR or go into the bridge location’s queue. Usually the entry requires the SID or IATA, except for the two branch location entries shown here for PNR and World File access. For branch locations: 1. Level 2 and 3 World Files are owned by the Home Office and shared by all locations. 2. Queue sets are maintained by and unique to each office. For this reason, it is not necessary for branch offices to specify the SID of the Home Office when retrieving PNRs or World Files. It is necessary to specify the SID of another location to access their queues, or to queue a PNR to another location. We know now what the bridge template looks like and what it is used for, so what is a bridge table?

¥ Summary review

ÿ PowerPoint - 12

A PNR can be displayed by:

• Name • Record locator • Flight information • Car, hotel or travel segment

ÿ PowerPoint - 13

• The wildcard entry is used to display a name list when the spelling of the

name is unknown. *-SM* • The most efficient method to display a PNR is to request a specific part

of the PNR. Combinations of parts can be requested, such as itinerary, name and GFAX. *IA/G/N

ÿ PowerPoint - 14

• Name list displays can be single or double column. A name list default

record is used to select the preferred display for each agent or for the entire agency.

• Travel segments are used as retention segments to extend the length of

time a PNR is active and can be displayed.

• A bridge agreement can be established between two agencies and

between branch locations for shared access to PNRs, World Files, queues and more. Bridge agreements are created through a template.

• The bridge table lists an agency’s bridge and branch locations, and indicates the functionalities that are not available, or that are one-way or two-way.
