IntroductionIntroduction

Management Information systems are primarily meant for providing information from the data processing. The data are generated, recorded, stored, processed and retrieved after it has been generated by business operations in an organization. Management Information Systems (MIS), sometimes referred to as Information Management and Systems, is the discipline covering the application of people, technologies, and procedures collectively called information systems to solving business problems. Management Information Systems are distinct from regular information systems in that, they are used to analyze other information systems applied in operational activities in the organization. Academically, the term is commonly used to refer to the group of information management methods tied to the automation or support of human decision making, e.g. Decision Support Systems, Expert systems, and Human Resource Information Systems, etc.

In our project we have developed software that would evaluate the aptitude of the teacher. Evaluating the performance, would facilitate the company to provide remuneration as well as training facility if required by the teachers. Thus the system is advantageous to both the company and the employees.

Introduction of Human Resource Information System

Information system can simply be defined as set of interrelated components which is used to collect (retrieve), process, and disseminate the right information to the right departments of organization. Management Information System (MIS) is a subset of the overall internal controls of a business covering the application of people, documents, technologies, and procedures by management accountants for solving business problems such as costing a product, service or a business-wide strategy. 'MIS' is a planned system of the collecting, processing, storing and disseminating data in the form of information needed to carry out the functions of management. Management Information Systems are distinct from regular information systems in that they are used to analyze other information systems applied in operational activities in the organization. It helps the management to formulate plans, policies, take crucial decisions, analyze problems and operate business activities by providing up-to-date information at right time. E.g.: Decision support system, Executive Information System, Expert System etc.

HRM refers to set of programmes, functions and activities designed and carried out in order to maximize both the employees as well as organizational effectiveness. The focus of HR Management is to support organizational efforts focusing on productivity, service and quality. Human Resource Information System is composed of two words i.e. first, the human resource management function which is full-fledged management system with defined objectives and is composed of subsystems which are interdependent and continuously interact with each other. Second, information forms the core of HR strategy in conjunction with the overall corporate strategy. Thus HRIS is vital to the success of HR function.

The Human Resource Information System (HRIS) is a software or online solution for the data entry, data tracking, and data information needs of the Human Resources, payroll, management, and accounting functions within a business. Normally packaged as a data base, hundreds of companies sell some form of HRIS and every HRIS has different capabilities. Typically, the better Human Resource Information Systems (HRIS) provide overall:

Management of all employee information.

Reporting and analysis of employee information.

Company-related documents such as employee handbooks, emergency evacuation procedures, and safety guidelines.

Benefits administration including enrollment, status changes, and personal information updating.

Complete integration with payroll and other company financial software and accounting systems.

Applicant and resume management.

The HRIS that most effectively serves companies tracks:

attendance and PTO use,

pay raises and history,

pay grades and positions held,

performance development plans,

training received,

disciplinary action received,

personal employee information, and occasionally,

management and key employee succession plans,

high potential employee identification, and

Applicant tracking, interviewing, and selection.

An effective HRIS provides information on just about anything the company needs to track and analyze about employees, former employees, and applicants. Your company will need to select a Human Resources Information System and customize it to meet your needs.

Problem Analysis

Problems are any obstacle that creates hindrances in achieving the goal. Before our system had been introduced the companies were facing numerous problems which are as follows.

1. Difficulties in recording information: The Organization had been facing difficulties in recording the information of teachers. There used to be errors while entering the data.

2. Complex in rating performance: It was complex to rate the performance of the teachers based on certain criteria as there were no proper system. Since there were problems in recording and retrieving information PRIME could not get information in complete form. This lead to unfair performance rating.

3. Time consuming: Due to the deficiency in manual system it was time consuming to find the required information. The HR manager would have to search the whole records to find single information. It leads to delay in decision making.

4. Expensive: In the manual system the records have to be kept in separate file which required a lot of space and more human resource which lead to high cost in maintaining the information.

5. Inefficient Functioning: The organization may not be functioning efficiently. There may also be loss of data which brings inefficiency.

Plan for System Implementation

A system may be well designed and properly developed but it is very important to implement. Implementation means installation of the project that had been developed. The main purpose of the implementation phase is to put the new system into action. For the new system to be handled wisely trainings should be arranged for the potential staffs who are liable to operate it and make use of it for the betterment of the organization itself. The coordination and scheduling of a number of activities and tasks performed by the implementation team is obligatory.
