DocuPhase Platform Release Notes 6.0 iSynergy Product Name Change With the DocuPhase 6.0 Release, the product name for iSynergy is changed to “DocuPhase” and all iDatix product software, documentation and online help will begin a phased transition to the new DocuPhase Platform product designation. Until this transition is fully completed, the iDatix trademark “iSynergy” should be considered as a synonym for the DocuPhase host content- management UI product in the DocuPhase Document Management Core. DocuPhase Platform Release Notes 6.0

iSynergy Product Name ChangeWith the DocuPhase 6.0 Release, the product name for iSynergy is changed to “DocuPhase” and all iDatix product software, documentation and online help will begin a phased transition to the new DocuPhase Platform product designation. Enhancements

DocuPhase EnhancementsNew features in the DocuPhase 6.0 release include:

Improved appearance and organization of the Main Navigation Menu and its Submenus, Login Screens, opening Splash Screens with new logos and screen formats.

o The order and content of the main navigation menu tabs are changed from iSynergy 5.x to DocuPhase 6.0, as shown below:

o The submenu display appearance and organization is improved, plus a new ‘Capture’ main menu tab combines several of the former capture-related main menu items as submenu groups and menu items to simplify the main menu bar, as shown below:

o The enhanced Administration submenu display repeats some of the end-user Capture>Management submenu items which may also be used by administrators under the subheading Capture for efficiency in navigating the DocuPhase Main Menu bar and its submenus, as highlighted and shown below.

Note: Similar to the Capture Tab which provides direct access to its permitted Admin functions, the Forms Tab and the Analytics Tab provide the same direct access to their permitted Admin functions without having to navigate to the Administration Tab shown above.

The DocuPhase Workflow Tab provides the operational interface to Progression-based workflow which has been revised into a new and improved

functionality named Work Queues, Advanced Work Queues and Work Queue Management, as shown below.

These new workflow functions replace and combine the former features: Work Item Viewer, By Document, and Reassign features.

Some of the enhanced Workflow Tab benefits are: Provides the ability for Subscribing Supervisors or Managers to search for

work items and reassign them to their employees. Designated Subscribers for Wait Tasks may search for work items that

may need attention as well as dynamically override a Wait-Task Rule selecting the Exit-Path needed to expedite or resolve a problem.

Enhanced ability and convenience when searching for work items and improved visibility of your work as well as the work items for others, depending on your permissions.

The DocuPhase Search Tab expands to display a SEARCH group menu with links to permitted search functionality:

o Applications – A link to the DocuPhase Search Page for querying selected Application Cabinets or performing Global Searches.

o Workflow – A link to the Advanced Work Queue which can be used to search Process Workflow Automation (i.e., Progression-based workflow) for work items.

A FAVORITES group menu is also displayed with named links to your pre-defined or other shared Saved Queries, when Favorites exist for the current user, as shown below.

Having your Favorite predefined queries available in the DocuPhase Navigation Menu, Search Tab, for your frequently used and favorite searches with a single click is very convenient and efficient.

A new Pencil ( ) icon is added to the DocuPhase Result Page Actions, shown below, that will return to the Search Page with all of the previous search criteria available to edit before resubmitting a revised search request.

This is very convenient feature allowing you quickly correct or revise a search.

New Global Options are presented as five icons in the upper-right corner of the DocuPhase page with only tooltip captions, when hovering, allowing the user to easily select an option including viewing and selecting their DocuPhase Preferences, as illustrated below.

Note: This replaces the four 5.x icon options which were previously presented with labels, as shown below.

As of the 6.0 release, the DocuPhase Preferences icon appears as one of the revised Global Options instead of appearing at the right-end of the Main Navigation Menu bar.

The DocuPhase Preferences features for 6.0 are now enhanced and accessed from the new Preferences icon in the upper-right corner of each DocuPhase page instead of via the previous 5.x Preferences icon ( ) on right end of the Main Navigation Menu Bar, as illustrated below.

Also a new ‘View Event History’ action button which provides an enhanced Timeline History Visualization and Reporting feature for selected items on the DocuPhase Results page, as illustrated below.

DocuPhase windows-sizing adjustments are now retained and persist between DocuPhase logon sessions.

The DocuPhase Web Forms (i.e., iForms) operational capabilities have also been extended to allow Form submitted information and/or dynamic ‘handwritten’ electronic signatures to appear in iForms and official document image items captured in DocuPhase which are available for processing under Progression workflow, as described in the subsequent Web Forms Enhancements section.

DocuPhase Analytics now provides extensive and flexible analysis and reporting, the Legacy Reporting and Report Generation tools have been sunset and the ‘Reporting’ menu selection is no longer available via the ADMIN menu as of this 6.0 Release.

See the topic: Standard DocuPhase BI Analysis & Reports in either the DocuPhase or Analytics advanced user manual or help system which describe the Analytics replacements for the: Batch, Document Count, Page Count and Summary reports.

DocuPhase Tips:o Important Note: The current DocuPhase Platform is qualified and supported

for use with Microsoft Internet Explorer 8 (IE8).

o However, IE8 “Compatibility” mode should NOT be used since it limits IE8 functionality to the previous IE7 level and below – which will cause some of the DocuPhase features to not work properly.

Process Workflow Automation EnhancementsNew Progression features in Release 6.0 include: All Progression icons have been enhanced and replaced by a new and

improved set of Icon symbols for all Accelerators Tools – The old and new icons for Progression Task Types are shown in the table below:

The new and improved Wait Task has three different types of Rule specifications that display a different icon when the task contains an individual or combination of Task Rules, as follows:

- Only Timeout Rule(s)

- Only Conditional Rule(s) or also with Timeout Rule(s)

- Only a Document Exists Rule(s) or with any combination of the above two (2) types of Rules

These different icons make it easier, at a glance, to recognize the type of wait-rules involved when the task is viewed in the Progression workflow diagram. The new Wait Task features are all available under both the Progression Lite and the full Progression licenses.

The former ‘Document Wait Task’ functionality is extended to provide a more general rules-based Wait Task which applies a collection (i.e., the Aggregate Rule collection) of defined and named Rules based on: ‘The Existence of Document(s)’, Wait Time Limits, and sampled Data Conditions to decide ‘When to continue to wait or to exit the Wait Task by a specified named path’ as well as perform other necessary actions.

An Edit panel in the Rules Wizard’s window displays a translated summary description of the rule logic that results from the named component Rules with configured Rule conditions and actions for this Wait Task. A selected individual rule’s logic can be displayed and the combined logic for all of a Wait Task’s rules is displayed when the top-level ‘Aggregate Rule’ is selected, as illustrated below.

o The previous 5.x Wait-for-Document Events are still provided by automatic translation into new 6.0 Wait Rules after the upgrade.

o Each of the following types of Wait Rule Conditions are mutually exclusive selections in each component Rule: Wait for the Document(s) to Exist – Wait until the specified documents

arrive in DocuPhase. Wait for Timeout – Wait for a specified period of time to elapse before

forcing a timeout exit for this Wait Task. Wait for a Condition to be True – Wait for status indexes for the

current work item or its documents to attain a specified status condition.

o After selecting one of these three (3) mutually-exclusive types of Rule Conditions,

its unique set of Wait Actions are then listed in the panel below for single or multiple selection and specialization using the new “Rules Wizard” and, when needed, the familiar “Expression Builder” configuration tool.

o The new Wait Task Action(s) can be selected by a checkmark (as shown above) to cause each selected and configured action to be executed when its Rule Condition has been met as stated in the configured translation, shown below.

o The Rule Condition and the one or many Action selections are automatically translated into a readable logic specification with active links to initially configure the generic parameters (links shown in Red) and subsequently the configured parameters (links shown in Blue) are provided as links for convenient access to edit these parameters, as illustrated below.

Once the generic links (shown as Red links, above) are initially edited by clicking and configuring them with the appropriate dialog window, then the rule description displays their configured results (shown as Blue links, below).

Clicking a configured Blue link, allows you to edit its linked parameters.

o Each of these types of Wait Rule Conditions must be configured as a separate named Wait-Task Rule. However, multiple Rules of the same or different types can be named and combined into an evaluation sequence as well as a logical hierarchy with nested rules executed when their parent rule is evaluated and passes – A sequential evaluation order is shown below.

o These enhanced Wait Task logic rules are easily configured – Yet, they can provide simple to very sophisticated logical controls which benefit workflow designers and their workflow users by: Allowing designated DocuPhase Users and/or Groups as Subscribers that

are authorized to override Wait Rule(s) and dynamically select an alternate exit path routing for work items at a Wait Task.

Apply Rule(s) at specified interval(s) of time. Change binder and document status/index values. Exit the Wait Task as a specified exit-path name for this task that can be

used to designate the route to the next logical task in the workflow. Send a parameterized Email Notification to a destination address with

personalized text message content with DocuPhase and Progression parameters inserted as well as designated attachments.

o Maximum Wait Time can now be calculated based on different factors: Process Start time Work Item Arrival date and time A Document’s Date Field, including the use of specified custom calendars. An Expression (created using the Expression Builder tool)

The reliance on Microsoft Message Queuing (MSMQ) is eliminated. Previously, MSMQ usage was reduced in the 5.1 release, but now it is completely eliminated by the new and improved queue management enhancements for the Progression 6.0 Engine. These changes have resulted in improved Progression Engine server performance as well as easier maintenance and control over the runtime workflow environment.

A new Progression Engine Console tool is available for system administrators to dynamically control the Document Queue and Task Queue by selecting which Progression Server to manage from the one or many installed servers.

With this Console view for a selected Progressing Engine server, controls are provided for the Document and Task Queues to dynamically:o Stop and Run the queue operation.o Set the Maximum Number of Threads permitted to be allocated and used

concurrently.o View the Queue’s Operational Status: # Max Threads, # Active Threads,

# Queue Items, # Recovery Items as well as the current Status (Running or Stopped).

Web Forms EnhancementsThe Web Forms operational and design capabilities of iForms are tightly integrated within DocuPhase to allow you to create and store a library of electronic forms that can be used from within DocuPhase as well as externally from your websites and portals or by the public from their web-browser via global iForm URL Links generated by iForms.

New DocuPhase iForms features in Release 6.0 include:

o A new Wet Signature functionality is now available in iForms which allows the electronic capture of a user’s handcrafted signature image (e.g., by using a touch-screen such as with an iPhone, iPad, tablet or a cursor-control mouse appliance) by applying it to a wet-signature panel field in an iForm template design.

DocuPhase and Progression-based users of each iForm are able to selectively view the originating iForm’s image and/or the digital image information inside the “Official Generated Form” image which can appear as a digital-rendering identical to an actual paper or PDF form that is used by the organization.

The Benefits of the ability to enter information into an iForm and capture Both its iForm rendering as well an official-looking image rendering of the document are:1) The official-looking generated rendering allows digitally-captured

information to be stored and displayed in read-only formats consistent with traditional PDFs, scanned images and actual paper documents which may be desirable or mandatory due to local practices, policies, regulations or security.

2) The iForm form-renderings are easily designed for ease of use and optimal entry convenience for internal users or the public. The iForm provides the flexibility to dynamically adapt the

form’s presentation and entry to screens of different shapes and sizes which is essential today due to the broad differences in workstations and a wide range of mobile laptops, tablets and smartphones.

Automatic capture and indexing of iForm field content in DocuPhase allows it to trigger one or many workflow processes that may use the iForm and/or the official read-only document version.

3) Although the iForm rendering can be read-only when secured by permissions, it can also be further edited or its editing restricted to certain sections when designated users have permission. For Example, an input iForm might be designed with one or more input

sections of data for the originating user as well as one or more “For Office Use Only” sections for the DocuPhase and/or Progression-based workflow users to complete the form’s data entry after capture during its processing.

Should the originating user’s section be designed with a Signature and Lock feature, the internal processing users with edit permissions for this document would only be able to edit this iForm’s non-locked “For office Use Only” section data fields.

4) A New ‘Form Viewer’ Control allows a PDF Form Connect rendering to be displayed as the Form is being entered showing the mapped information, in progress, each time the form-viewer control’s link is clicked.

o Three (3) New Form Designer Palette controls for the iForm designer to use are now available: Signature control – Add the new Wet Signature capability to a Form as a

way to capture a signature image without involving any cryptographic security.

Page Break control – Explicitly control where page breaks should occur within a form.

Form Viewer control – This control may be added to an iForm to display a link to a specific PDF Form Connect Template for this host form in order to allow the form user to click the link and display the in-progress generated

“official” rendering as the iForm data fields are being entered.

o Enhancements to the Section Control, Security Tab properties allow the use of a Wet Signature to be included along with its cryptographically-secure digital signature properties that protects all of the information in the section.

Note: When the Wet Signature is applied as a Section property, a separate Signature control is not needed in the section.

o New Form Properties and Options for obtaining Geographic Location information: Geo Location property:

None – No Geographic Location capture is specified. On Load option – Upon form load, the Geographic Location information is captured

when it is available within the specified timeout time-limit. Custom option – Similar to the ‘On Load’ option, but more flexibility and options are

available to the designer.

Note: Currently when GIS signal and data is available and obtained by an iForm, the Geo Location data cannot be mapped into DocuPhase index fields for capture using the iForms ‘Form Field Mapper’ page, but it can be applied by an iForm Rule.

Timeout property: Provides a timeout time-limit for locating a GIS signal and capture of GIS coordinate information.

Detailed Location property: This option is provided for use when a suitable connection to Google.com is

configured and available to look up and use it to display and apply appropriate geographic location information with the form. This is an advanced feature that requires integration using iForm Rules and the Google Maps API, etc.

ADIS EnhancementsADIS allows the existing Active Directory (AD) network users’ registry to be synchronized with the DocuPhase solution users’.

The following are the 6.0 ADIS enhancements:

An improved Interactive tool to aid the administrator in mapping users and groups between the Active Directory (AD) and DocuPhase registries.

As Users registered in ADIS are ‘removed’, they are no longer deleted, but they are now marked as ‘Disabled’ to retain a history of current and previous users and groups whose prior activities may also be logged in the audit trails for DocuPhase and Progression. This allows prior logs and usage to remain complete with references to previously ‘Enabled’ users/groups even though they are now removed to a ‘Disabled’ state. User accounts may also be Re-Enabled.

LDAP: Prior to Release 6.0, ADIS was also able to integrate network users and groups defined within a LDAP (Lightweight Directory Access Protocol) domain such as a Novell Netware network’s E-Directory environment and the User and Group administration features in the DocuPhase solution.

However due to lack of demand for this LDAP-compatibility, it is time to ‘Sunset’ this capability – this ADIS feature is no longer supported by DocuPhase.

iRetention Manager EnhancementsSignificant improvements have been made to the iRetention Manager product for the 6.0 release including a redesigned user interface that is simpler to use and provides broader functionality.

The following are the 6.0 iRetention Manager Enhancement highlights for Records-Retention Administrators and/or DocuPhase Administrators: The Full-Power of DocuPhase Search features (except Global Search) is

available with the New Enhanced Query Profile definitions that are able to utilize previously named and defined DocuPhase Saved Queries stored by Query Manager.

Elapsed Time Searches based on a selected Trigger-Date index field can still be done using the New Standard Query Profile definitions that have an improved user interface.

The Overall iRetention User Interface (UI) has been simplified and improved. It is easy to select the iRetention Profiles you wish to activate/de-

activate and then apply a Search or Purge operation to multiple selected profiles in one simple step under the new iRetention Workarea design.

Purge Operations on one or many Profiles can be Launched, then Stopped and then Resumed conveniently with Progressive-Purge Status notices to indicate where you are in the purge process.

Maintenance is simplified with convenient New/Exit menus for each type of iRetention Profiles: ‘Standard Query’ and ‘Enhanced Query’ Profiles; Exiting the Session plus Edit/Delete pop-up menu to maintain Profile rows in the workarea.

DocuPhase Product Administration EnhancementsThe installation of DocuPhase Platform components has changed since some component modules have been repackaged and combined, plus new modules incorporated as well as installation scripts which have been restructured and organized to make installations even more convenient. Improvements and refinements have been made to the DocuPhase and

Progression solutions and related products as well as to the centralized Permission Administration in DocuPhase.

The following installation sequence sets have been added with the 6.0 Release: Configuration Service Progression Design Service Search Service Security Service

The following installation sets have been removed with the 6.0 Release: ADIS Service (However, the ADIS Manager still exists) OAuth Service Permission Service

The iForms Installation and Upgrade process is now documented in its own separate Guide instead on in the DocuPhase Installation and Upgrade Guide – iForms is still the Last installation/upgrade step to be performed.

As a result, the DocuPhase Installation process has been simplified for the installation administrators.

Administration of Users and Groups is enhanced by improvements to ADIS; see ADIS Enhancements for details.

The Microsoft Message Queue (MSMQ) configuration and administration duties for Progression installation have been fully eliminated in this release and replaced by the new Progression Engine Console interactive administration tool (see the topic: Progression Enhancements for more details).

The enhanced iRetention Manager product improves the administration and automated support for an organization’s retention policies and procedures.

Support for Microsoft Windows XP and Vista has been withdrawn by Microsoft, so DocuPhase products are no longer being qualified, tested and supported with these operating systems versions.

Release 6.0 Unresolved Technical IssuesTwo (2) minor ScanDox issues and their temporary workaround suggestions are listed below.

# Description of 6.0 ScanDox Unresolved Issue & Workaround SuggestionsScanDox Issue #1

ScanDox: Not all of the pages physically scanned can be accounted for in the thumbnail viewer, when scanning is Stopped by clicking the ScanDox toolbar 'Stop' button.

Summary: Not all of the pages physically scanned can be accounted for in the thumbnail viewer, when stopping scanning by clicking the ScanDox toolbar 'Stop' button.

Steps to reproduce:1) From a workstation connected to a scanner, launch ScanDox, select a profile setup for the scanner attached;2) Load 10 or more pages in the scanner feeder, then click the 'ScanNew' button;3) Wait for a few pages to be scanned, then click the ScanDox toolbar 'Stop' button;4) Compare the documents that were scanned and moved in the upper tray of the scanner, with what is displayed in the ScanDox thumbnail viewer: observe that not all the pages physically scanned can be accounted for in the thumbnail viewer( e.g. there are missing pages).

Expected results: all the pages physically scanned should be accounted for in the thumbnail viewer.

Issue #1Workaround

Workaround Suggestion: Temporarily with Release 6.0, after stopping an in-progress scan, some scanned pages may not be acquired by ScanDox. To prevent the loss of scanned pages, avoid: selecting the ‘Stop Button’ and continuing the scan after a stop.

Should this issue occur, rescan the affected document or batch.

ScanDox Issue #2

ScanDox: Not all the thumbnails of a document are being displayed in 'Aspect' view.

Summary: Not all of the thumbnails of a document are being displayed in 'Aspect' view.

Steps to reproduce:1) Drag and drop into ScanDox the document attached;2) Change the view to 'Aspect';3) Observe that not all the thumbnails are being displayed: while the document has 35 pages, the first 12 thumbnails are being correctly displayed, the next four are being displayed but cut off, and the remaining of them are not displayed at all.

Expected results: all the thumbnails should be displayed

QA Notes:- this is not an issue in 'Card' view;- no exceptions logged;

Issue #2Workaround

Workaround Suggestion: When this is a problem for you, utilize another thumbnail view such as ‘Card View’ to avoid the use of ‘Aspect View’ and this problem temporarily.
