WELCOME TO HAZELMERELocated in South Surrey’s scenic Hazelmere Valley, for over 50 years Hazelmere Country Club has been proudly serving the residents of White Rock, Surrey and the greater Vancouver area.

Hazelmere’s story began in 1962 with the design and construction of the golf course and pro shop. The original clubhouse was built several years later and not long after was doubled in size. In 1977 the tennis complex was constructed; it houses four championship indoor courts and the club’s administrative offices. The 1990s saw the addition of a new pro shop, and the expansion of the clubhouse to its current layout. A decade later, the golf course underwent a major reconstruct ion, and development of the Hazelmere Village town homes took place.

SHOTGUN TOURNAMENT INFORMATION At Hazelmere Country Club we take pride in paying attention to every detail and making your event special.

GOLF SHOP DISCOUNT ON MERCHANDISE Hazelmere boasts a well stocked Golf Shop with premium golf equipment from Cleveland, Srixon, Titleist, Footjoy, Cutter & Buck and more. This provides the Tournament Organizer with an opportunity to purchase prizes for your event at a discount. All events are entitled to a 10% discount on purchases less than $500.00, 15% for purchases of $500.00 to $999.99 and a 20% discount on purchases over $1000.00 (excluding golf clubs, balls and tees). Just ask and we can help customize an event that will work for you.

“BEAT A PRO” on course event On Course Event that allows players in the tournament to both donate to a great cause and try their luck at beating a golf professional on a specified tournament hole. Any player “beating a pro” receives an entry into a draw for a prize allocated by the tournament organizing committee.

“USE A PRO’S DRIVE” on course event On Course Event that allows players in the tournament to both donate to a great cause and enhance their team’s score. Players have the option of paying a suggested amount such as $20.00 to use a professional’s drive on the hole. They can then finish the hole with a professional’s drive if they choose and use towards their team’s score.


“QUICK TIP” CLINIC (prior to Shotgun starts) The Golf Professional will be available to all players in the tournament on the driving range from 11:30 to 12:30 on the day of the event, to give any golfer a “quick tip”.

BAR SERVICES & PRICING The Panorama Room features a full-service bar with draft beer on tap. The Garden Room is served by a versatile portable bar that can be positioned to best suit your event’s layout.

Bar Services Hazelmere is happy to offer customized bar services, including hosted, ticketed, toonie and cash payment.

Hosted Event host agrees to pay for approved beverages according to their individual prices, based on consumption. An itemized bill is provided.

Ticketed Event host provides guests with drink tickets. The host agrees to pay for any tickets redeemed at the bar for approved beverages, according to their individual prices. Any drinks ordered without a drink ticket will be charged individually to the guest, as per a cash bar. An itemized bill is provided.

Toonie Guests contribute toward the price of approved beverages ordered at the bar, event host agrees to pay remaining purchase cost according to individual prices, based on consumption. An itemized bill is provided.

TERMS & CONDITIONSSHOTGUN TOURNAMENT PAYMENT POLICIES • A $2,000.00 non-refundable deposit is due immediately to confirm the shotgun tournament date.

• Confirmation of number of golfers is required 7 days out, at which time final payment is due.

• Payment for a minimum of 144 green fees is required for a shotgun event. The number of guaranteed dinners must be equal or greater than the number of guaranteed golfers.

• There is a monetary penalty for switching from a shotgun tournament to a tee-time event within 30 days of the tournament date. The penalty will be equal to the difference between $8,500.00 and the gross green fee total of the new tee-time event.

• Payments may be made by Visa, Mastercard, debit, cash or cheque.

• All multi-player events in excess of 16 participants will be required to pay with one transaction. Multiple transactions with events with 16 or more players will be subject to a $5.00 surcharge per green fee.

OTHER POLICIES In order to provide the best possible service it is necessary that we receive a pairing sheet with names of players and assigned tee times or starting holes at least 48 hours prior to the event start time. Any scorecard, pairing or cart sign changes after this cutoff will be accommodated on a best-efforts basis but cannot be guaranteed.

Scoring: Hazelmere provides complimentary scorecards, cart signs, and scoring services for events of 40 or more participants. Tournament scoring format must be confirmed in advance.

Dress code: no jeans, sweat pants, untailored shorts, shirts without collars, tank tops, or halter tops are permitted.

The Hazelmere Player Assistants' instructions shall be strictly adhered to. Player Assistants have the authority to ask players to pick up their ball and advance to the next hole or remove players who do not comply with the Pace of Play (4.5 hour for 18 holes) or other Policies.

Each player must play with their own set of clubs. Power carts, pull carts and golf bags must be kept clear of greens. Carts must be kept clear of tee boxes. A maximum of two riders are permitted per power cart. Players must play in foursomes except with prior approval.

SIGNS, DISPLAYS, ETCETERA Hazelmere Golf Course will assist in the setup of any signs, displays, and etc. It is mandatory that such signs or displays be delivered the day prior to the event with written instructions for installation. It is recommended that such signs be free standing (excluding banners). The tournament convener is responsible for ensuring that any signs or displays, etc. are removed from Hazelmere the day of the event.

Hazelmere is unable to provide storage or security and cannot be held responsible for any loss or damage to signs or displays left on the premises. The use of nails, staples, glue or any like materials is not permitted on any walls, doors or ceilings of any room. Hazelmere Golf Course is not responsible for anything left at the facility at the conclusion of a tournament.

RENTALS Hazelmere has a 32-power-cart rental fleet. Power cart rentals in excess of this number are ordered from third-party vendors in 10-cart lots. Tournaments are responsible for payment for all third-party rentals regardless of if each 10-cart lot is fully used by the tournament.

Tournaments are responsible for rental fees for all contracted carts, including both player and volunteer/sponsor carts. Cart rental orders in excess of 32 carts must be finalized at least a month prior to the event date. Hazelmere does not provide utility cart (Gator/Kubota etc.) rentals; any equipment of this type must be arranged independently by the tournament.

The tournament convener promises to hold Hazelmere free from any claims of any nature whatsoever that may arise through their own or other event participants’ use of golf power carts. It is also understood that everyone participating in the tournament is familiar with the use of a golf cart and can operate and control it. Power carts must be operated in a safe and courteous manner at all times. It is the tournament convener’s responsibility to ensure that all participants are aware of these conditions.

FOOD & ALCOHOL In accordance with provincial liquor legislation, all alcoholic beverages, wine, beer, and spirits must be supplied by Hazelmere Golf & Tennis Club. Outside alcohol is not permitted on the property and will be confiscated. Personal coolers are not permitted on golf carts.

Hazelmere must provide all food and beverages for your event under a separate food and beverage contract. Please contact the Banquet Department for any food and beverage requirements. Any on-course food or alcohol tastings or sponsorship must be arranged in advance with the Hazelmere Banquet Department; please contact the banquet office for detailed information.

Hazelmere staff are licensed under the Province of British Columbia's "Serving It Right" program. Staff and management reserve the right to refuse service to any individual(s) who, in the opinion of the Hazelmere employees have been served a sufficient number of drinks.

INCLEMENT WEATHER Tournaments will play as scheduled unless the General Manager or Superintendent deems the course unplayable.

TERMS & CONDITIONS

DAMAGES The tournament convener and/or the organization whom they represent shall be held liable for all damages not associated with normal wear and tear that may arise as a result of the actions of the tournament guests, employees or sponsors. Replacement values shall be used as the amount payable for damages, including lost revenue resulting from such damage and labour required to repair such damage. The function convener and/or the organization whom they represent assumes responsibility for the repair and/or replacement of power carts and rental clubs in the event that these items are damaged, lost or stolen.

The tournament convener hereby releases, indemnifies, and saves harmless Hazelmere, their officers, servants, agents, employees and others from and against all costs, losses, damages, compensation, claims, demands, actions, judgments and expenses, including actual legal expenses of every kind, description and nature whatsoever, in any way connected with or arising from the tournament, in whole or in part, including but not limited to, any death or injury to persons or property loss or damage resulting from any acts or omissions of the tournament convener, its directors, officers, employees, agents, contractors, subcontractors and others, or that would not have occurred but for the use or occupation of the course and clubhouse by the tournament convener.

CANCELLATION POLICY In the event of a cancellation, any deposits made prior to the notice of cancellation are non-refundable. Cancellations must be made in writing to the attention of the Hazelmere Banquet Manager.

Hazelmere Golf Course is responsible for delivering the event as specified on the Golf Event Order. Performance of this agreement is contingent upon Hazelmere being able to complete the contract without interference beyond control of management such as accidents, acts of God, government requisitions, restrictions upon transportation of food, beverages and supplies, and other causes whether enumerated herein or not. Any additions and/or changes to the contract or event orders must be approved by the Tournament Coordinator and Tournament Convener.

Hazelmere shall use all reasonable efforts to fulfill the requests of the tournament convener to the best of its ability and to reach agreement with the tournament convener on any dispute that may arise between the parties.

IT IS THE EVENT HOST'S RESPONSIBILITY TO ENSURE THEIR GUESTS ARE MADE AWARE OF THESE TERMS AND CONDITIONS.
