4.2.2.2. Exercises andAssessments

Pay careful attention to the Exercise and/or Assessment slides within eachcourse.

You must answer each Exercise or Assessment within a course for thesystem to mark the course as complete on your transcript. If you miss anexercise, you can return to the course to take the exercise and complete thecourse.

5.0 For Local Administrators (Network Members Only)

5.1. What You Need to Know

As a designated local administrator, one of your most important functions is tocreate the organization structure for your food bank. To do this, you need to firstcreate teams that report to their respective managers. These teams are called“My Team” in our platform. You create a “My Team” by associating managers’names with their direct reports’ names. (Another way of looking at it is assigningemployees to managers).

You will need to have a complete list of all the managers and their direct reportsto do this.

If you’ve been tasked to administer all the employees at your food bank (and ineffect you are the training manager of all the employees), you can do this also. You will create one “My Team” organization structure for all employees at yourfood bank, and assign yourself as the manager.

5.2. Introduction

This chapter explains how to perform local administrator functions:

Review your food bank’s employee roster

Create “My Teams” for your food bank

Review the teams you created to confirm the correct organization structure

Assign training to employees (that are part of your “My Team”)

Generate reports for your food bank.

When you log in to FAU as a local administrator for the first time, the Welcomepage contains two additional tabs in the menu bar:

Admin, for viewing your employee roster and creating “My Teams” for yourfood bank.

Reports, for generating a variety of reports.

(If applicable) After assigning yourself as a manager to at least one employee andlogging back in to FAU, you will see one more tab added to your Welcome page:

My Team, for managers who want to view their “My Teams.”

5.3.1. Overview In this section, you will learn how to review your food bank’s roster ofemployees, and whom to contact to update/correct the roster.

An employee must have a HungerNet ID to access FAU and be displayed in thesystem.

Never add an employee to the system, since the data feed updates all employeeprofiles on a daily basis. Any employees that are manually added would becomeinactive on the next business day.

5.3.2. View and PrintRoster

Reviewing and maintaining the employee roster helps ensure that authorizedemployees have access to FAU (and unauthorized individuals or formeremployees do not have access).

Missing from the roster, but areactive employees

Added Add employees (to HungerNet, which in turnadds them to FAU)

Employee records will be deleted from or added to FAU after service deskcompletes the help ticket and the daily data feed updates the system.

5.4. Create “My Teams” for Your Food bank

5.4.1. Overview In this section, you will learn how to create a “My Team” at your food bank, byassociating managers with their respective employees. If you are administeringthe training for all employees at your food bank, then you will create a single“My Team” structure and assign yourself as the manager for all employees.

5.4.2. Understanding“My Team”OrganizationStructures

While there are any number of ways to set up your “My Team” structure withinthe system, it is helpful to keep the following in mind:

The creation of “My Teams” establishes an organization structure in whichmanagers can assign training to (and run reports on) all of their associatedemployees — their direct reports.

In addition, managers can also assign training to their indirect reports.

For a local administrator to assign training to all food bank employees (andrun “My Team” reports), often the simplest approach is to create anorganization structure in which you are both a manager as well as anadministrator.

The role of local administrator allows you to generate food bank-widereports containing the same information that displays in the managers’ “MyTeam” reports (although the information is formatted differently).

Let’s examine three sample organization structures that can be set up within thesystem, and look at the impact each structure has on the ability to assign trainingand generate “My Team” reports.

In the following examples, managers who assign training to all employees arehighlighted in yellow; managers who assign training to their staff (but not allemployees) are highlighted in green. Also, in each example, the executivedirector is Newt, and the local administrator is Delia.

Feeding America | Feeding America University (FAU) Reference Guide v2| Last updated 3/15/2011 95

5.4.2.1. TraditionalStructure

In a traditional “My Team” structure, the executive director can assign training toall staff. Managers in the next tier (including the local administrator) assigntraining to their employees and run “My Team” reports.

With this structure, the local administrator assigns training to the employee(s) onher team.

5.4.2.2. Flat Structure In a flat “My Team” structure, the executive director has decided to delegate alltraining and reporting responsibility to the local administrator, who assignstraining and runs reports on behalf of the management team at the food bank.

Feeding America | Feeding America University (FAU) Reference Guide v2| Last updated 3/15/2011 96

5.4.2.3. TraditionalStructure with LocalAdministrator Support

In a traditional “My Team” structure with local administrator support, theexecutive director can assign training to all staff. In addition, the localadministrator can also assign training to all staff, supporting the executivedirector in this function. Managers in the next tier assign training to theiremployees and run “My Team” reports.

5.4.3. Add a Managerto an Employee’sProfile

Create a “My Team” structure by associating a manager with his/her employeeprofile.

1 On the Welcome page, access the Configuration Tools by clicking the Admintab on the menu bar.

The Configuration Tools window displays.
