DATES AND VENUE

Ceramic Art York 2016 will be held in an exhibition pavilion in the grounds of the Yorkshire Museum adjacent to the York Art Gallery and the recently opened Centre of Ceramic Art www.yorkartgallery.org.uk/centre-of-ceramic-art-coca/

Access to the site for exhibitors will be via Margate in the gate directly opposite - 20-22 Marygate York YO30 7BH. You are best to approach York along the ring road (A1237) around to the junction with the Shipton Road (A19) which leads directly to the turn off for Marygate and access to the site.

Access to the site for visitors and public will be through the Museum Gardens via the public entrances on Marygate or on Lendal. The general area map below gives a few pointers to help you orientate yourselves.

EXHIBITION HOURS

Open to the general public

Friday 9 September 2016 10.00am – 6.00pm Saturday 10 September 2016 10.00am – 6.00pm Sunday 11 September 2016 10.00am – 5.00pm PRIVATE VIEW

A VIP viewing evening will be hosted for the evening of Thursday 8 September 6.00-8.00pm. Set up of stands must therefore be completed by 5.30pm.

DELIVERY OF WORK AND SETTING-UP

The venue will be accessible for exhibitors from 1PM on Wednesday 7th September through until 5:30PM on Thursday 8th September for arrival and setting up.

The venue will stay open to exhibitors until 10PM each evening during the set up period.

Due to limited space on site we’re requesting that exhibitors indicate a time slot for unloading. It is not obligatory to book a time, nor is there a penalty for missing your slot - it is simply to help us manage the available space on site a little better Please sign up on www.bit.ly/CAYunloading

Once you have unloaded you’ll be asked to move all vehicles from site to make room for other exhibitors. We have no parking available on site and it is restricted in the vicinity.

There is a public carpark just around the corner on Marygate (details below)- though it is expensive and not suitable for all vans. (the height restriction is 6’6” so smaller vans will fit)

The nearest free on-street parking is 10mins walk on Burton Stone Lane.

Helpers will be on hand to assist Exhibitors unload as they arrive and take work and equipment directly to your stand.

I’ve attaches an Exhibitor Contact List if you should wish to try and arrange to share the delivery of your work to CAY2016 with another Exhibitor living close to you.

It is essential that you do not arrange for work to be delivered to either the Yorkshire Museum or the York Art Gallery - whilst these buildings share the wider site they utilise different access routes and entrances.

We highly recommend the services of Duncan Coales for delivery of work www.duncancoalesfreight.co.uk to site.

AFTER THE EXHIBITION

CAY2016 closes at 5.00pm on Sunday 11 September. Exhibitors must not dismantle their displays before that time but should clear their Stands as quickly as possible after closing

Please ensure that you leave your Stand clean and tidy with any unwanted rubbish placed in the waste sacks that will be provided. The organisers are required to clear the venue of all rubbish at the end of the event so your help will be much appreciated.

Helpers will again be available to assist Exhibitors remove exhibits and load their vehicles.

In order to take some pressure off the vehicle access to site - exhibitors are welcome to access until 11PM on sunday evening and between 7AM and 10AM on Monday 12th in the morning.

All work must be packed up by the end of Sunday evening and removed by 10AM on Monday morning.

THE VENUE

CAY16 is taking place in a temporary demountable structure built specifically for this event. The ground will be levelled with a ‘staging floor’ providing a stable and robust interior floor feel. (ie no bounce … no wobble … and no grass poking through!) The floor will be covered with a dark grey exhibition cord carpet. The marquee being used is a 20M by 20M solid walled structure with glass doors. This will be fully lit throughout.

THE STANDS

The display scheme at CAY 2016 is based on a professionally built system of interlocking stands / shell scheme. The shell scheme is being provided by Harrogate Exhibition Services - http://www.harrogatexhibitions.co.uk

Basic stand details:

• Stand height 2.44 metres; interconnecting panels, 5mm thick, finished in white hard-surface Foamex board within an aluminium frame.

• Fascia board at front of Stand with Potter’s Name and Stand Number • each stand will have 2 spot lights (4 on the 5m stands) and one power point • No ceiling to Stand • The stand floor will be the Dark grey ‘exhibition cord’ carpet.

Exhibitors requiring panels to screw onto should contact Harrogate Exhibition Services and using the forms included make the arrangements. (this will be an additional cost paid directly to Harrogate Exhibition Services)

No furniture, fittings or display equipment are supplied by the Organisers.

ELECTRICAL SERVICES

At least two spotlights and a power point are provided for each Stand. However, Exhibitors can hire extra spotlights, fans, 5 amp sockets etc from our appointed electrical contractor - Please contact Chris Melrose to discuss your requirements - [email protected] and utilise the included booking forms. If you are bringing any of your own electrical equipment / lighting etc please ensure that it is fit for purpose and has a recent PAT certificate.

STORAGE

There is a small storage space at CAY 2016, for you to keep spare stock, wrapping materials etc. Where possible please remove cases etc from the site and store in vans etc.

GENERAL SAFETY

We will need to ensure the venue and the exhibits are safe and risk assessed before opening the venue to the public - please help us in this by thinking in advance about your layout / materials and approach to managing your space. If you have any concerns please do get in touch.

NO SMOKING

It is No Smoking throughout the venue, this includes the use of so called ‘e-cigarettes’ and other such paraphernalia.

EMERGENCY PROCEDURES

You will be briefed on emergency procedures on arrival.

SECURITY

Do NOT leave handbags, cash boxes, money or valuable personal possessions out in the open on your Stand at any time under any circumstances. Please note that the organisers of CAY2016 are not responsible for loss or theft of stock or takings in any way.

We will have security on site during the build period and for the event (including overnight) Exhibitor Passes will be issued - Exhibitors are asked to co-operate with security staff by wearing their Exhibitors' badge at all times and reporting anything that they think is suspicious. Exhibitors must make arrangements to keep their cash and takings from sales secure.

INSURANCE

Insurance cover for exhibits, displays and stock at CAY2016 is the responsibility of individual Exhibitors.

CAY2016 has public liability insurance to cover the event. However, you are reminded of the provisions in your contract with CAY2016 concerning the need for you to have adequate insurance cover, both for breakage/theft etc and public liability as it relates to your own Stand.

FIRST AID

The Organisers ensure that qualified first aid assistance is available during the whole period of CAY 2015, including set-up and taking down.

CREDIT CARD SALES

The CPA will be providing credit card facilities for Exhibitors at CAY2016. A small admin charge will be added to sales to cover bank changes etc - this will be kept to a minimum and should not exceed 10%. Full details available from [email protected]

CATALOGUE

Two free Catalogues will be available to each Exhibitor. Visitors will also receive a copy with their entry ticket. Additional copies can also be bought by Exhibitors for £3 each. The Catalogue is priced at £5 when bought separately by non-Exhibitors

COMPLIMENTARY TICKETS

Each Exhibitor will be sent four free complimentary tickets (Each admits two people) for single daily entry or Private View.

ACCOMMODATION OPTIONS

York is awash with accommodation options - simple web search will bring up hundreds of options suitable for every pocket.

http://www.yha.org.uk/hostel/york is a short walk from the exhibition and has been recently renovated and offers a range of very reasonable rates and options.
