CRMR Regional Board Meeting June 19,2014 ~he meeting was called to order at 4:34pm MDT via conference call by Diane Ashton, Vice-Moderator. Cynthia McBride offered the opening prayer. Resignation of the Executive Regional Minister: A roll call was conducted to establish a quorum. This meeting has been called to accept the resignation of Jose Morales as the Executive Regional Minister of CRMR. Diane suggested that we not read the letter as it has been blasted out to all of us on several occasions in the last week. Cynthia moved that we accept the resignation and Vinnetta seconded the motion. The two boards, outgoing(term ends June 30, 2014) and incoming (term begins July 1,2014) were polled with the following results: Outgoing Board: Cynthia McBride, yes; Diane Ashton, yes; Karen Griffith, yes; Bard Barton, for; David Hartley, for; Sharon Adcock, absent; Pam Baumgartle, absent; Lenna Fajerman, accept; Camille Gary, absent; Vinnetta Golphin-Wilkerson, accept; Tracy Morgan, absent; Betsy Straka, absent; Dave, Killen, absent; Duncan Miller, proxy vote, accept; Selena Wright, proxy vote, accept; and Jean Robertson, accept. Incoming Board: Jennifer Force, accept; Georgenne Tomlinson, accept; Bob Vitt, accept; Mike Hatler, accept; Howard Grant, accept; Nicholas Grooms, proxy vote, yes; Ed Hawkins, yes; George Dockery, yes; and Linda Harding, proxy vote, yes. The motion passed. Diane accepted Jose's resignation letter with gratitude for his service and joy that our paths will cross in the future. We have planned a sending forth Celebration for July 26, 2014 from 1:30pm-4pm at First Christian Church Colorado Springs with a short worship. '- Next steps Diane has been in conversation with Jose and Sharon Watkins Exit interview will be done by personnel committee Georgenne Tomlinson will chair the search committee with other board members and persons of color Diane Ashton to be Ex-officio Brad asked if the exit interview results will come to the board - Diane answered yes, as Jose will have a lot of information/recommendation for us to complete interim and search Sharon Watkins thanked Jose for all his service to the CRMR. On behalf of the entire DOC she wanted to show appreciation for his service. o She is impressed with how organized our region is already for the organization of our region for the search process o First step: Search for an interim regional minister/ministery, who might serve for up to a year o Organize a search committee for search and call for the regional minister o Executive committee will work to search for a interim Job description In region/out of region Sharon Watkins will work with the executive committee to look for names especially from out of the region. This person needs to be able to keep the region at ease during the search o David Hartley asked if Search and Call system is used for Regional Minister Yes, this system is used to find the Regional Minster as well for the interim but there may be just a few names brought for the interim Jose will offer as much "generic" information for this process. o Karen asked what the qualifications are different between the interim and the settled regionalminister

• Interim is filling the day to day Regional Minister work to keep the region, this will bedetermined by the job description set by exe. Board. Sharon is looking for someone whohas regional experience. A person who has great skills but no experience might beconsidered as well.

• An idea of a coverage model: three of our strong pastors in the region to providecoverage I

o Vinnetta asked: Will the governance review task force help with search and call?• This might be a possibility, but this might disttact them from their work that they are

doing• Exe. Committee might be a bit quicker to get this process done.

o David Hartley asked: is the interim pastor excluded f~omapplying for the settled job?• We should follow the model as in the churches and exclude the interim from

consideration from the settled pastor.• The relationships from the interim vs. settled are different and shift quite a bit• Jose wanted to echo that sentiment

o Organize the search committee for settled regional m~'nister• This person is a leader for not only the region but for the whole church• Jose's counterpart, Rev. Sue Art from UCC, hould be part of the search team• This is a very spiritual process, who is God preparing to be our leader, including prayer

and worship I• There is a regional minister search manual anti has been passed along• Sharon will be with us every step of the way [• A regional minister mentor will be provided, sually another regional minister from a

different region. They will take delegation from Sharon to help in our search.• Best practices - to be a pro-reconciliation an~ anti-racism (pR!AR) church and this will

be included in the search. We need to be as fair and just as possible.• Search committee should be half people of cJlor. They should have PR!AR training and

they should use a screener to help compare tHeir profiles with our criteria. This will helpwith some guidance for the search committee.

• Cynthia asked- Will the region have to request our mentor or will Sharon appoint one?• Sharon will appoint a person, she has one in mind and has forwarded it to Diane

• Diane aked- Timing Clarification: Will Me~tor be appointed in conjunction with interimprocess?

• This will go out with the call for the ministero Steps involved in permanent search:

• Organize search team - 50% people of color• Train search team - PR!AR training• Have an organization meeting, try to have ~entor and Sharon attend this meeting, this

will have more detailed steps, worship and rpake some assignments• Board will have put together a budget for thf search, relocation, compensation package• Several tasks of search committee• Listen to the region at large for wants and needs

• Two brief documents: Regional Proyle, Candidate Profileo Demographic, what challengFs is region facing, what are the hopes and

wishes of the region• What kind of person are we looking for? What does it take to be regional minister

in the CRMR

• Ed asked: how do we listen to the region when is so spread out geographically?o We need to be sure to include one person from each state on the search

committee• Ed asked: do we search for the interim and the settled at the same time?

o They don't have to be at the same time, first priority is to get the interim inplace. Once that person is established then we can get on the search for thesettled pastor. Jose would like to have the interim's first week be his lastweek to help with the transition.

o At the time we are seeking the interim we can begin getting the searchcommittee together. Organize/train by Sept. and do listening in the fall ifpossible. This may help us get the settled in place in a year. Be sure tohave a 3 month extension on the interim contract.

• Open the search - 45 to 60 days to receive profiles. Get the word out in a broad area• Profiles will come in - search committee will give to screener. Committee will make the

first discernment of who will go forward to the next gathering of information. From thatsmaller group, interview will start

• Usually bring in 2-3 candidates for interview. Search committee will then make arecommendation to the board/exe. Committee

• Be sure to keep congregations apprised of all the work being done in the processo Be sure to communicate with Diane if you are interested in serving on the search committee or

know anyone else who might want to serve.o Vaneta asked: if we have questions in the future, can we get those answered by Sharon?

• Send any questions to Diane and she will be in communication with Sharon on anyquestions we have.

• Jose echoes this sentiment, if there is only one person in communication with Sharon, thiswill help the process.

o Jose wants to thank everyone for the support we have given him as a regional minister. He wantsto thank Sharon for all her support.
