Thank you for considering the Canberra Southern Cross Club for your Christmas event. With venues conveniently located across Canberra, we have a range of versatile function rooms to select from. Whether you are planning a small intimate gathering or a large gala dinner, we have a great range of options.

At Woden, our Corinna Ballroom caters for 650 banquet style function, and 1,000 for a cocktail event, or choose our Private Dining Room for a more intimate gathering. The Formal Dining Room at our Tuggeranong venue caters for up to 100 guests with an outdoor balcony area, making it the perfect setting for your next celebration. At Jamison, our Catchpole Room is a lovely, intimate space with a split level design and full length windows.

You’ll be impressed with our highly qualified and dedicated team, with over 40 years’ experience in helping clients plan and deliver successful events.

Our award winning chefs have developed an extensive range of affordable function packages for you to choose from, or if you prefer, we can work with you to tailor a menu to reflect your personal taste and style – from ocean fresh seafood to decadent desserts – allowing of course for any special dietary requirements.

All our venues have free parking and are conveniently located close to public transport, which makes attending your event that little bit easier for your guests.

Dietary ChoicesWe suggest your invitation include a simple request that your invitees inform you of their particular dietary needs when they RSVP. Once we have this information we will endeavour to provide a suitable cuisine.

Gluten-Free:Many of our meals featured in this package are gluten-free or can easily be adapted. Please ensure you discuss this requirement with the events sales team.

Diabetic:The requirements of diabetics vary depending on the type and severity of the individual’s case. The most vital aspect of a diabetic diet is timing. A diabetic must carefully consider how much food is entering their system at what time. For this reason timing of the overall function can be critical for a diabetic. Additionally meals must feature a low level of sugar. Consider ordering a fruit platter for a diabetic dessert.

Nuts and Nut Oils:The Canberra Southern Cross Club Woden does not use peanut oil as an ingredient in any of our meals. Some products we use may contain nut oils and it is vital that any guest allergic to nuts and nut products bring this to our attention as early as possible.

Religious and Lifestyle Choices:Our Chefs have many years experience at catering to a large number of varied dietary styles. We are confident that we can provide special meals given sufficient notice.

A comprehensive range of audio-visual equipment is available in all rooms at the Canberra Southern Cross Events Centre. Quality installed equipment includes PA systems, large drop down motorised screens, video and data projection, stage lighting, and floor and stage boxes with data, video and audio inputs for various room set up configurations.

Our in-house technical partner, Elite Event Technology is one of Canberra’s leading audio-visual production suppliers. Elite prides itself on high level customer service, attention to detail and above all their friendly, professional and highly skilled staff

All prices are quoted based on a minimum of 30 adults (a surcharge will apply for groups with less than 30 adults attending). Due to the Canberra Southern Cross Club’s responsible service of alcohol guidelines, these packages are only available with appropriate catering selections. All prices quoted are per person.

On Consumption: You can choose a beverage selection and advise us of your budget. Our function supervisor will consult with you when the service is nearing the allocated amount. Please note, to have access to this On Consumption option, we require a completed credit card authorisation form no later than 5 working days prior to your event.Alternatively, you can select a beverage package (above) to add to your food package selection. Responsible service of alcohol policies are adhered to at all times. Management of the Club reserves the right to refuse service of liquor.

For all event bookings, the organiser must be a member of the Canberra Southern Cross Club. If you are not currently a

member you will need to join or have a member attending your function be responsible for signing in guests.

TERMS AND Conditions

TENTATIVE BOOKINGSThe Club will hold your tentative booking for a period of 7 days. If your booking is not confi rmed within this time frame your booking will be relinquished. To secure your booking a non-refundable deposit of $300.00 is required. If your booking is within 7 days of the event full payment is required at time of booking. We require the signed Terms and Conditions to be returned at time of deposit or it will be assumed that the Terms and Conditions have been accepted and that you will abide by the Terms and Conditions.CANCELLATION OF BOOKINGIf the function is cancelled 60 days or more prior to the function, we will provide you with a voucher to the amount of the deposit, redeemable for food, beverages, boat hire charges or room hire charges at the Canberra Southern Cross Club (not redeemable for cash). The voucher will be valid for 12 months from the date of cancellation. If the function is cancelled 59-15 days prior to function being held, your deposit will not be refunded and 50% of estimated total cost will be charged. If the function is cancelled 14 days or less prior to the function, your deposit will not be refunded and a 100% of estimated total cost will be charged.DATE CHANGEA date change will be treated as a cancellation according to the terms and conditions above, unless the Club is able to resell the room.GUARANTEED NUMBERSWe require a realistic indication of numbers 2 weeks prior to the function; we will not accept any reduction in numbers after this date. We ask for fi nal numbers and dietary requirements to be confi rmed 5 working days prior to the event taking place. Charges will be based upon this number. If the client fails to advise fi nal numbers 5 days prior to the event, the client will be required to pay for the numbers indicated 2 weeks prior to the function, or the number in attendance, whichever is the greater. We ask that you abide to the maximum number capacity applicable to the room you have booked; we cannot accept numbers greater than the room capacity. If you do not reach the required minimum number of guests for an event (50 in the Lakeside Marquee, 40 on the MV Southern Cross, 30 at all other venues) you will be charged for the required minimum number at a fee of the selected menu costs per person for the difference.ROOM ALLOCATIONThe Canberra Southern Cross Club reserves the right to assign an alter-native function room in the event that the room originally assigned is unavailable or inappropriate.SURCHARGESA labour charge of $500.00 per hour will be incurred for any event exceeding the booked time. Access prior to 9am will incur a $50 per hour surcharge or part thereof. A 7.5% surcharge of the total event cost is applied on Sundays and public holidays.SECURITYThe Canberra Southern Cross Club Limited reserves the right to hire secu-rity staff at the client’s expense if deemed necessary, subject to providing written notice to the client.MINIMUM SPENDThere is a minimum spend requirement for hire of the Lakeside Marquee at the Yacht Club on a Friday and Saturday of $3500. This minimum spend includes room hire, food and beverages only.PRICE VARIATIONWe guarantee a function quotation for a period of one month. While we endeavour to maintain all prices printed, to meet rising costs we may have to make changes at our discretion. The Club will advise you beforehand.

SETTLEMENT OF ACCOUNTUpon confi rmation of your fi nal numbers 5 working days prior to your event, you will be issued with a tax invoice. Full settlement of the account, excluding on consumption bar tabs, is required 3 working days prior to the event. A receipt must be provided to [email protected]. Failure to settle the account 3 working days prior to the event will result in the event being cancelled.If the event is cancelled, full payment is still required. All other charges must be settled on the day at the completion of the function with the pre-authorised credit card provided.ON CONSUMPTION BAR TABIf you wish to set up an on consumption bar tab for your event, we will require completion of our credit card pre-authorisation form no later than 5 working days prior to your event. Upon completion of your event the club will charge the outstanding beverage amount to your credit card. Alternatively, upon approval a cash deposit payment of $500 must be made 5 working days prior, with the outstanding amount payable on the day upon conclusion of your event.CATERING DETAILSCatering must be included when a private function room is booked. To achieve the highest possible standards of service we ask for confi rmation in writing of all relevant details of the function at least 21 days prior to the function. To make your event a success, we need information such as function room set-up, menu and beverage selection and entertainment requirements along with an estimated number of guests. We cater for special dietary requirements, so please let us have the necessary informa-tion by this time.FOODNo food is to be brought into the Club with the exception of celebration cakes. A minimum charge per person will apply. The Club will provide catering for no less than the number of guests attending.CONDUCTResponsible Service of Alcohol policies are adhered to at all times. The management of the Club reserves the right to refuse service of liquor to any person as they see fi t and terminate a function due to inappropriate behaviour. Due to adjoining function facilities and for the comfort of other patrons, the Club management may ask function organisers to reduce/lower any amplifi ed music or sound to an acceptable level. Inappropriate behavior and failure to comply with the directions of staff, may result in the closure of some areas of the MV Southern Cross or other vessel, including disembarking passengers displaying inappropriate behavior ashore at the nearest available jetty. Management reserves the right to early termination of the cruise with no refund, in the event of antisocial behavior.DAMAGESThe client and guests will be fi nancially responsible for any damages or loss sustained. The Canberra Southern Cross Club Limited does not accept any responsibility for damages or loss of property and equipment during or after the event. The Canberra Southern Cross Club Limited does not permit items or decorations to be attached to walls, ceilings, glass or any club furniture without prior approval.SETUP, BREAKDOWN AND DELIVERIESClients are responsible for all costs associated with the setup and breakdown of external equipment. The Canberra Southern Cross Club must be advised of all deliveries and pick-ups prior to their arrival and collection. Collection times must be within the Clubs operating hours or by prior arrangement.
