The Government of Alberta Health and Wellness Food Retail and Food Service Code does not permit any outside food or beverage items to be brought on the property for consumption in any public banquet or meeting space.

Please discuss wedding cakes with Catering Manager.

The hotel does not allow food or beverage to be removed from the premises, with the exception of boxed lunches purchased for off-property consumption.

ALLERGIES AND DIETARY RESTRICTIONSIn the event that any guest in your group has food allergies or dietary restrictions, the client shall provide the Hilton Garden Inn team, in writing, the details including names and nature of their restrictions. We undertake to provide, upon request, full information on the ingredients of any items served to your group. Diabetic food selections are also available upon request.

FUNCTION GUARANTEESThe hotel requires an approximate guest count 30 days prior to the event date. A final guarantee is required one (1) week prior to event. If the guarantee is not received on time, the hotel reserves the right to prepare and charge for the original number contracted, or the actual number of guests, whichever is greater. Should the number of guests attending the function differ greatly from the original booking estimate, the hotelreserves the right to provide an alternate function space.

PAYMENT, ATTRITION, AND CANCELLATION POLICYA 50% non-refundable and non-transferable deposit is required to confirm date and space held with the full balance payable by certified cheque, cash or completed credit card authorization form two weeks prior to the event, unless other credit arrangements have been made. An estimated number of attendees must be provided to the hotel 30 days prior to each function, after which time the hotel will allow a maximum attrition of 20%. Should the number decline by more than 20%, a rental and/or labour charge will apply. Cancellations must be received in writing. Cancellation charges: 0-14 days: 100% estimated charges; 15-30 days: 50% estimated charges; 31-90 days: 25% estimated charges; 91+ days: deposit only.

SECURITYHilton Garden Inn Calgary Downtown - East Village will not be responsible for damage or loss of any articles left in the hotel prior to, during, or following any functions. All articles left behind will be subject to the hotel’s Lost and Found Policy. Security arrangements must be contracted by the hotel and invoiced accordingly. Any events for persons under the age of 18 years must have one security officer per 50 guests for the entire duration of the event.

SIGNAGEApproved signage may only be displayed directly outside designated meeting room(s) or in pre¬arranged locations. The hotel reserves the right to remove signage that is not prepared in a professional manner. Defacing, stapling and/or taping of materials in the hotel is prohibited. Charges will apply for damages to the hotel.

SOCAN AND RE:SOUNDEntertainment (including DJ services) is subject to a music tariff fee which includes SOCAN (Society of Composers, Authors, and Music Publishers of Canada) and Re:Sound fees. The music tariff fee is based on room capacity and not number of people in attendance.

SERVICE CHARGE AND TAXESService charges and taxes are subject to change without notice.Food and beverage, room rental, audio visual, ancillary and all other charges are subject to service charges and taxes.

DAMAGESThe Convenor is responsible for any damage to the premises by their guests or independent contractors working on their behalf during the time the premises are under their control.

Use of the hotel’s name or logo in advertising is prohibited without prior approval of the hotel.

Ticket selling at the door is prohibited.

SMOKINGAll function rooms and foyers are designated non-smoking.

DELIVERY AND STORAGEAll deliveries must be labelled properly including: name of the event, contact, dates, number of boxes and attention. The hotel will not accept deliveries made at the Front Door and will not accept C.O.D. shipments. Receiving area will be available for deliveries from 8am - 5pm. The hotel must be advised in advance of all deliveries expected. Items requiring refrigeration must be delivered the day of the event Catering Department.

All wedding cakes must be set up and decorated by the bakery and or designate. Hotel staff will not take responsibility for moving or setting up wedding cakes. Due to limited storage space shipments can only be accepted two (2) days prior to the event and items must be picked up immediately following the event. Convenors must securely pack and make arrangements for prompt pickup of at the conclusion of an event.

Hilton Garden Inn Calgary Downtown - East Village accepts no responsibility for damage or loss of any articles left on the premises.

Hilton Garden Inn Calgary Downtown - East Village does not have and cannot provide labour or equipment for moving large items in or out of the premises. Smaller items may be moved upon pre-arrangement with the Banquet Manager. Labour charges will apply.

ALCOHOL SERVICEFor banquets requiring bar service, there will be a labour charge of $75/hour. If bar sales meet or exceed $500 over 4 hours, the labour charge will be waived.

ADDITIONAL LABOURIf additional labour is required for a reception or private function, a flat labour charge of $75/hour will be billed.
