forums, videos, etc. The Campus Community will serve as the go-to for any user needing to gain skills to better perform his/her duties. There are several different content types available in Campus Community:

1. Curriculum: Step-by-step instructions to aid users in completing a specific task.

2. Documentation: Detailed articles that describe the technical aspects of Campus Tools.

3. Hands-On Virtual Lab: A role-based compilation of knowledge and skills needed to use Campus successfully.

4. Simulation: Users will complete a scenario that simulates Campus functionality. This is helpful for the user that prefers to learn by doing.

5. Video: Guided visual and audio tours that teach users to complete tasks in Campus.

Staff members wishing to use Campus Community resources must first create a CampusID.

Creating a CampusID1. Click the App Switcher (waffle icon)

in the Campus Toolbar and then click Campus Community.

2. First time users, click Continue.3. Read the Terms of Use, and check

the “I have read and agree to the Terms of Use” checkbox.4. Click Continue.5. Enter your account information. Remember to note this information.6. When all fields have been completed and verified, click Continue.7. Enter your profile information.8. Click Finish.9. Activate the account by following instructions in the email you receive from

Infinite Campus.

MeetingsPath: Index > Student Information > Counseling > Meetings

The Meetings tool allows counselors to schedule meetings for students, staff, and others. In addition, counselors can modify meetings, view their calendar, and send meeting notifications.

Meetings can be created as a recurring meeting weekly, monthly, or yearly. Other functions within this tool are:

1. Modify counseling meetings2. Send notifications3. Copy counseling meetings4. Delete a meeting5. View your meetings calendar6. Print meetings, calendar, and generate a meetings report.

Parent/Student Portal Parent/Student Portal is a confidential and secure website where users access current academic information. Parents and Students can view class schedules, assignments, attendance information, test scores and links to teacher email addresses. For information suitable for distribution to parents, students and teachers please visit the IC Support Site: Index >FCPS IC Support Site > Parent/Student Portal

At the beginning of a new school year, access to Parent Portal for new families to our district, WILL NOT HAPPEN IMMEDIATLY.  Due to the massive number of new household forms that are received at IAKSS during the months of August and September, it usually takes until the end of October or mid-November for our household staff to “catch up.”  Please inform new parents to the district that they will receive an email (if they include a legible email address on the household form) when their household has been created.  At that point they will have access to Parent Portal.  It is not necessary for parents to email the parent portal helpdesk to check on their individual access.  Answering emails about personal access actually takes time away from getting the household data entered more quickly.  NEW PARENTS SHOULD NOT BE LED TO BELIEVE THAT ACCESS TO PARENT PORTAL WILL HAPPEN IN A WEEK OR TWO!!!

Contact LogsPLEASE NOTE: STUDENT INFORMATION IS PROTECTED UNDER FERPA SO ONLY NON-CONFIDENTIAL INFORMATION SHOULD BE ENTERED IN THE COUNSELOR CONTACT LOG OR IN THE PLP CONTACT LOG

Counselor Contact Log Index > Student Information > Counseling > General > Contact Log1. The Counseling Contact Log records all instances of

communication by school personnel regarding a particular student. This communication can be with the student, their guardians, or others, and could include letters or email, phone calls, and face-to-face meetings. When using the Counseling Meetings tool, any notification sent for an upcoming meeting or if the counselor records a meeting, a contact log entry is recorded describing the meeting. Only those with counseling rights can see contact log. Caution: Even though this will limit who can see the records, it is still considered non-confidential so be sure to follow confidentiality regulations under FERPA.

Personal Learner Plan (PLP) Contact Log Index > Student Information > PLP > General > Contact Log2. The Personal Learner Plan PLP Contact Log allows users to

keep track of all learner plan-related communication by school staff regarding a specific student. Like the Counseling Contact Log, communication can be with the student, their guardians, or others, and could include letters or email, phone calls, face-to-face meetings, and home visits. Unlike the Counselor Contact Logs, information contained in the PLP Contact Log can be viewed by the student’s teachers, counselors, administrators, etc. Most of our schools are now requiring the use of the PLP so a suggestion would be to choose only one Contact Log in order to avoid duplicating your work. More information on the PLP in the next section.

Personal Learner Plan - PLPPath: Index > Student Information > PLP

The PLP provides users the necessary tools to manage student Personal Learner Plans.

1. Summary Tab – This tab includes the personal information for the student and is the same tab that is found under Student Information > General.

2. Team Members Tab – This tab lists the individuals who are vested in the student’s education. This would include teachers, counselors, social workers, parents etc. It is important to remember that ONLY those individuals who work as part of the student’s team should be added as a Team Member. Equally as important is to add an end date of the person added as a team member – most always this will be the last day of class for the student. Remember FERPA laws.

3. Documents Tab - Available documents are entered at the district level. These can include education plans, progress reports, forms, etc.

4. Contact Log Tab – This tab allows users to keep track of all learner plan-related communication by school staff regarding a specific student. All FCPS staff contacts should be documented here. More information in the previous section. This log can be printed for purpose of parent meetings, team meetings, etc.

5. Social Worker Contact Log – This is a specific tab for Social Workers to keep track of their communication regarding a specific student. This could include email, mail, in person, phone call, or home visits.

Personal Learner Plan - PLPThe PLP Contact Log has been designated to document contact with a student’s parent/guardian.

PLP Contact Log Data Entry1. Go to: Campus Tools2. Click the Search tab; search for the appropriate student3. Go to: Index > Student Information > PLP > General4. Click the Contact Log tab5. Click New6. Enter the following:

a. Date – Date of contactb. Time – Time of contactc. Contact Type – Telephone, Email, In Person, etc.d. Contacted – Who the staff member spoke withe. Text – Enter information about the contact. Do not enter any confidential

information on this screen. This screen is visible to all staff that has rights to search for the student.

7. Click Save

a. Go to the Search tab; search for the appropriate studentb. Go to: Index > Student Information > PLP > Generalc. Click the Contact Log tabd. Click Print

Note: All interventions must be end dated when the school year closes.1. Go to: Campus Tools2. Click the Search tab; search for the appropriate student 3. Go to: Index > Student Information > PLP > General4. Click the Intervention tab5. Click New Status6. Enter the following:

a. Status Date and Status Time – Leave at the default. If you receive the following error message: “A record already exists for this date and time”, click OK and reduce the Status Time by 1 minute.

To identify students who have an intervention record with no end date:1. Make sure the “Year” at the top of your screen says “17-18”2. Go to the Search tab3. Set the Search dropdown menu to “Student”4. Click Advanced Search5. Under “Saved Filter” click the plus sign beside any of the following groups of which you are a member: Administrator, Building Coach, Building Coach EL, Counselor, ESS, Intervention Tab, RTI, Social Worker or SpEd Staff.6. Double click the filter named “FCPS Intervention-No End Date”. Each name that appears in the search window has at least one intervention record that has not been end dated.

To fix the records without an end date:1. Follow the steps above to get the list of students2. Click the student’s name in the search window3. Go to: Index > Student Information > PLP > General4. Click the Intervention tab5. Open each 16-17 record that is missing an end date6. Enter the following, getting the information from the Progress Monitoring Logs:

a. End Date (If they were enrolled for the entire school year, this date will be 5/23/17)b. Student Service Results – Select the result of the intervention services.

Choices are:i. Successfully exited interventionii. Exited to another interventioniii. Continue in Intervention – The student did not successfully exit the Intervention Plan by the end of the academic year and will continue the Intervention Plan the following school year.iv. Moved from schoolv. Graduated – Did not meet goalsvi. Other – Select only if the above options do not describe the service results for this student. Then describe the results in “Student Service Results Other”

7. Click Save

Assessments There are two ways to view student assessments. The first one is a custom report designed by the FCPS Data Management personnel. The second one is the state published scores. Gives counts of students with a particular Start Status, End Status or both as of the specified date range. The data is automatically broken down by gender and race but can further be broken down by several other options. This report gives summary information and can also include detailed information if desired.

Guardian Mailing/Email List

Gives a list of guardian mailing addresses and email addresses.

No Pass, No Drive This report will produce whether or not a student has met all criteria needed to be eligible to register for a driving permit/license.

Out of Area Addresses

This report will produce a list of students who are out of area and will provide the address along with the districted school.

PLP Contact Log Displays the information for any contact a staff member has entered in the PLP module.

Posted Grades Homeroom

Gives all homeroom Course/Sections and displays chosen posted grade.

Roll Forward Placement

Find where your current students will attend school in the new school year, or which students you will receive for the new school year. This report can be used before AND after Roll Forward.

Student Labels This report will produce labels with multiple demographic options for students.

Displays student rosters for each section for each teacher or course selected. The Roster Effective Date is used to determine which students to include on each roster. The sections can be sorted by Course Name, Course Number or Period for each teacher selected.

KEES: Kentucky Educational Excellence ScholarshipThe Kentucky Educational Excellence Scholarship is a merit-based scholarship program that is administered by the Kentucky Higher Education Assistance Authority (KHEAA). Students in grades 9-12 may earn a yearly GPA award if they achieve a grade point average (GPA) of 2.5 or higher in any year of high school while meeting the KEES curriculum requirements.  In addition, students may earn a KEES bonus award after they have at least one qualifying GPA award if their highest ACT composite score is 15 or higher or a 710 or better on the SAT (critical reading and math) by the date of high school graduation.

To be considered eligible for KEES, a student must:

Be a United States citizen, national or permanent resident. Be a Kentucky resident. Be enrolled in a certified Kentucky high school for at least 140

days of the minimum school term. Take at least five courses during the academic year, unless the

student qualifies as an early graduate. Have a minimum yearly GPA of 2.50. Not be a convicted felon.

The most common disbursement problems are due to missing graduation confirmation, missing or incorrect social security number, and incorrect date of birth. It is so important to enter the social security numbers when presented by the parents. Especially in the elementary schools when a parent comes in to enroll their child. Usually, the parent will bring the social security card and because it is not a requirement to enroll their child, the office staff may not make a copy for the cumulative folder. Equally important is for the office staff to go ahead and enter the SSN once they are presented with it. So remind your registrars that entering the SSN is very important.

This report generates a list of student names, SSID, grade, total credits and eligibility.

2. Student Schedule Report:This report will produce the student’s schedule along with

total credits to assist the student and counselor in reworking the schedule to meet eligibility.

3. Student Letters Report:This report will generate a letter written by KDE to inform the

student and/or parent that the child’s schedule does not meet KEES requirements.

FAFSA Completion InitiativeThe Kentucky Higher Education Assistance Authority (KHEAA) has made it possible for districts to participate in the FAFSA (Free Application for Federal Student Aid) Completion Initiative. This lets KHEAA share data with schools regarding which of the school’s students have begun and completed the FAFSA. The initiative is aimed at getting more students to file the FAFSA. KHEAA will only share the student’s name, date of birth, zip code, whether the student has filed a FAFSA and the dates the FAFSA was submitted and processed. KHEAA will never share students’ Social Security numbers. Schools wanting to participate in the initiative will have to sign a data sharing agreement with KHEAA. The report will only pull students who use the “Search” function to find their school of enrollment. 1. If it prompts you to log in, use your Windows account information. The username is your email address and the password is your Windows password, or the same password used to access Webmail.2. Select the following:

a. Yearb. Schoolc. Effective Date – This is the date the data was uploaded to KHEAA. Each effective date contains all students who have submitted a FAFSA.

Recommendation: select the most recent “Effective Date” only, as this will include all students in your school who have filed a FAFSA.3. Click “View Report”4. Export the file to PDF or Excel by using the Disk button:
