Create is the UK’s leading charity empowering lives through the creative arts. Our focus

is on engaging participants in inspiring, sustainable arts programmes in areas where

provision is poor and engagement in the arts is therefore low. We know that unleashing

creativity ignites imaginations, develops confidence and builds relationships. Like setting

off a firework, our professional artists light the touch paper and our participants discover

new found self-belief and a desire to try more, do more and be more.

Each year we design and deliver arts workshops to engage people who don’t normally get

the chance to be creative. We work with seven participant groups: young patients; disabled

children and adults; young and adult carers; schoolchildren (and their teachers) in areas of

deprivation; vulnerable older people; young and adult offenders (and their families); and

marginalised children and adults. Many projects culminate in a showcase of participants’

work.

WORKSHOPS WITH CREATE ALLOW HOMELESS PEOPLE WHO ARE TAKING PART IN PRET’S RISING STARS EMPLOYMENT PROGRAMME TO ENGAGE WITH CREATIVITY, ENRICHING THEIR EXPERIENCE WITH US AND HELPING THEM BUILD THE TEAMWORK SKILLS THAT ARE ESSENTIAL IN THE WORKPLACE.

Create’s Nurturing Talent programme gives emerging artists the opportunity to work as supporting artists on a range of Create projects, attend professional development training days and design and deliver their own Create workshop in a community setting. Each artist receives a bursary and commits to around 25 days across the year.

OUR ARTISTSOur programmes are delivered by exceptional artists who share our commitment to empowering lives. All are professionals in their specialist field (eg musicians, photographers, sculptors) who have outstanding communication skills and a wealth of experience in leading creative arts projects in community settings. They act as facilitators, encouraging and motivating our participants to explore their creativity, develop existing and new life skills, become more confident and have fun. All participants’ contributions are encouraged and valued: their ideas and the development of their creativity are at the heart of every project.

THE ROLECreate is seeking a highly experienced, senior candidate for the post of Executive Assistant to the Chief Executive

/ Office Manager. This is an exciting time to join Create, which has ambitious growth plans, won ten prestigious

awards in 2017 and was shortlisted for the Charity Times Charity of the Year Award in 2018. You will be highly

organised, self-motivated and have outstanding communication skills, meticulous attention to detail, the ability to

manage confidential and sensitive information and a warm, friendly personality. You will provide executive support

to the Chief Executive (CEO), manage the office and assist the Director of Finance & Operations (DFO) with HR

administration and office Health and Safety.

TERMS AND CONDITIONS• £28,000 -£30,000 per annum dependent on experience (plus annual 7.5% loyalty scheme (terms &

conditions apply)).

• 28 days holiday pa including eight Public Holidays.

• 3% contribution to your Workplace Pension (unless you opt-out).

• The position is based at Create’s offices in the City of London.

• Occasional travel to projects across London and the South.

• Office hours are 9.30am - 5.30pm, Monday to Friday with an hour for lunch.

• Time Off In Lieu may be offered for weekend work required.

• All staff are required to adhere to Create’s Dress Code. This post requires a smart appearance.

• All Create personnel are required to have a Disclosure and Barring Service (previously CRB) check,

which Create will carry out upon appointment.

KEY RESPONSIBILITIESVision and Strategy

• Demonstrating a passion and enthusiasm for the charity, its vision and strategy, and being an effective part of the team delivering and supporting that strategy.

EA to the CEO

• Providing executive support to the CEO including diary organisation, making appointments, responding to invitations, dealing with correspondence, liaising with clients and staff members, collating expense records and arranging travel and accommodation requirements.

• Maintaining high levels of confidentiality at all times.

• Conducting research, preparing papers and briefings, producing occasional PowerPoint presentations.

• Managing the overall systems and procedures to support Trustee and other council meetings, including preparing papers, minute taking and setting up/clearing down meetings.

Office Management

• Overseeing the smooth and efficient running of the office.

• Overseeing hot-desking and duties rotas and ensuring all office tasks are completed.

• Ordering stationery and equipment.

• Organising daily post and deliveries.

• Day to day responsibility for IT in consultation with the DFO and an outside provider.

• Managing service and supplier contracts/relationships (including IT, telephone, photocopier, stationery, cleaning, building and maintenance issues).

• Responsible for the procurement, maintenance and repair of any office equipment.

HR Administration

• Assisting with the recruitment process, including advertising posts, coordinating interviews and taking up references.

• Administration of the starters and leavers process including induction and exit interviews.

• Coordinating the annual appraisal process.

• Administration of the DBS process.

• Arranging events eg: Christmas and Create anniversary socials.

Financial Administration

• Managing petty cash funds and disbursements, reconciling monthly and ensuring all paperwork is correct and up to date.

• Banking cheques and cash.

• Holding and releasing the company debit card for payments and ensuring all relevant paperwork is correct and up to date.

• Tracking income to the bank for the Bookkeeper.

Other

• Undertaking any other reasonable duties as may be required by the CEO.

SKILLS AND EXPERIENCEEssential Qualifications and Experience

• Educated to degree level or equivalent (extensive executive level EA experience).

• Significant experience as a senior Executive Assistant at CEO level.

• Excellent knowledge of Microsoft Office applications, including Word, Power Point and Outlook.

• Significant office management experience.

• A commitment to the charity sector and the ethos/values of Create.

Desirable Experience

• Experience of HR administration.

• Experience of financial administration.

• Experience of the charity and/or arts sector.

• Experience using InDesign (training will be provided if necessary).

Skills and Abilities

• Target-focused and results-driven with highly effective time management, prioritisation and planning skills.

• Strong organisational, negotiation, administrative and interpersonal skills.

• Excellent written and verbal communication skills.

• Accuracy and attention to detail.

• Ability to work within a small, multi-disciplinary team.

• Ability to work to strict deadlines and remain calm under pressure.

• Self-motivation and ability to work on own initiative, independently, without direct supervision.

• Smart appearance and confident manner.

• A flexible attitude to work: evening and weekend work is required on occasions.

• Computer literacy including Microsoft Word, Excel, PowerPoint, InDesign and the Internet. If needed, training will be given in Act! (Create’s contact management system) and Breathe (HR management system).
