Human Recources areas of responsibility

Employment as PhD

• Employment as PhD-student is fulltime. • If the student him/her self want to have a lower extent, it

is OK – but not lower than 50%. • If you work more than 50%, can the Department ask you

to do teaching, administration or any other tasks – at most 20% of fulltime.

• The employment can not be longer than 4 years fulltime-studies. That means 8 years if you are employed 50% and 5 years if you have other tasks in 20%.

• It is very important that you don’t use more time than 20% for this other tasks, because we can not compensate you for that – not in more time for your PhD-studies and not in money.

• The employment is one year and then evaluation of ISP.• Gunn/Gisela and Anders checks the ISP and PA looks at the number

of years/months you have been employed. PA register your new contract of employment. Signed by the Dean Staffan Carius.

• There are some reasons that gives us the possibility to prolong your employment;- illness- commission of trust, for example for the union or a student organisation- parental leave

Working hours and vacation – 1980 hours/year

Up to 29 years 1756 hours and 28 days vacation30 - 39 years 1732 hours and 31 days vacation40 years and older 1700 hours and 35 days vacation

• Research is not regulated, this is for the other tasks. • PhD-students can not have compensation for overtime.

Vacation

• For all teachers and PhD the vacation is registered in the summer or Christmastime, depending on when you start. You can apply yourself but then you must do that 2 month in advance.

• If you don´t have vacation exactly those days we register you talk to your head of department and let then know, if you plan to take vacation in the fall for example

• If you don't use all your vacation you have to make an agreement with your supervisor and head of Department – and inform me. It will also affect the amount of hours you have to work, and performance in your research studies

Salary

• Primula, the personnel system -your own Primula account

-salary specifications -apply for leave of absence-require reimbursement for expenses-change your home address

Complete basis must be submitted to the administrators by the 10th of every month.

Salary

• The salary is paid on the 25 th of every month.• Nordea- you must submit a transfer agreement

via your own bank or directly to Nordea if an account in another bank.

• Nordea pays on your “personnummer”, therefore it is important to tell them and us when you get the permanent one. First salary can come to the address we have registered.

Salary

• Tax depends on where you live. • PhD-students salary is decided by a tariff. The

2015: tariff starts at 24 600 skr/month. 26 600 when reach 50%, 28 300 when reach 80%. The tariff is to be adjusted every year.2016: 25 200, 27 300, 29 000

• If you don´t come from EU/ESS or Schweitz you must send me a copy of residence permit every time it is prolonged. We write document for you when you need to prolong this and visa.

Sick leave

• Report to workplace (and to the office of Human Resources if it is for a longer time).

• Report in the Primula system. It is extremely important to report all sick-leave, it is on the base of this we can prolong your contract.

• Doctor’s certificate from 8th sickday• Employment gives you right to sickpay – from us the

first 14 days and from Swedish Social Insurance Agency (Försäkringskassan) after that.

• Report to FK that you are here in Sweden working.

Sick leave

Pay and other benefits during sick leave- day 1 no compensation paid - day 2 - 14 sick pay, ~80 % of your salary paid

by the empolyer- from day 15- sickness benefit, ~75 % from

the Swedish Social Insurance Agency (Försäkringskassan), if entitled to their benefits

Care of sick child – temporary parental benefit

• Report to employer and the Swedish Social Insurance Agency

• Sick child benefit from the Swedish Social Insurance Agency

• For children up to 12 years old

Compensation in conjunction with illness

• Compensation for doctor’s visits, oral surgery, psychologist’s visit, max 95 SEK

• Compensation for physiotherapy, max 55 SEK• Compensation for hospital stays, max 70 SEK/day

hospitalized• Compensation for medication covered by high-cost

protection.Receipts in original and a copy of the high-cost protection card are required. Send to the office of Human Resources. Do not register in Primula.

• Avonova, Linnaeus University’s occupational health care after contact with office of Human Resources

• Government employees have additional possibilities for leave such as visiting a doctor and emergency dental care during paid working hours.

• It is also possible to be granted paid leave for the funeral of immediate family members, one day for moving, for example.

• Parental leave• Leave may also be granted for other reasons, but in such

cases without pay• Unemployment insurance you must get yourself if you

want that.

Pension and Insurances

• Employment makes you gathering a ground for general pension from Swedish Pensions Agency and premium pension from the Government SPV from 28 years.

• If you leave Sweden you need to contact SPV and Swedish Pensions Agency when you want to get your pension.

• Business Travel Insurance, Kammarkollegiet, when travelling abroad. Contact Office of Human Resources

• As governmental employee, you are included in the Service Group Life Insurance. (TGL-S). If an employee dies, the immediate family may receive financial support. The insurance also applies during vacation or illness.

• Government employees are also entitled to supplementary compensation through the Personal Injury Agreement (PSA). This can entail everything from lost income, pain and suffering, healthcare costs and invalidity to death.

• Travel pass for train journeys between Kalmar and Växjö

• Ticket Biz, Travel agency

• Eurocard payment card, apply to the Financial department

• Travel expenses, Primula’s travel module

• Business Travel Insurance, Kammarkollegiet, when travelling abroad. Contact Office of Human Resources
