The aim of The Holiday Club
School holidays should be memorable, safe and full of
activities. The Nottingham High School Holiday Clubs
enable children to have enthusiasm, purpose and
fulfilment and school holidays become exactly what they
should be - great fun!
At The Holiday Club your children will love
trying lots of different sports and
activities. Our aim is to give them
opportunities to try new things
and to motivate them so that
sport is enjoyable and
rewarding, whatever their
ability. Our staff teams
help develop personal
skill and awareness of
others, they are there to
support, encourage and
enthuse the children.
It is our priority to ensure
that every child is
encouraged to join in and
have fun. The Holiday Club is
about gaining self-confidence
and social skills through age specific
programmes that encourage and inspire
children to try new experiences.
Designed for busy parents
The Holiday Club makes childcare more fun, more
dynamic, more purposeful and more convenient for the
family. Our Breakfast & After Hours service enables busy

The Holiday Club Schedule
Listed below is a typical day at The Holiday Club. The children will
take part in over 30 different sporting and leisure activities, in
addition to arts, crafts, play and music.
All times are inclusive of the joining fee (no hidden costs)
8.30am - 9.30am: Breakfast club & morning registration
9.30am - 12.45pm: Morning activities and first break -
(activities are scheduled for 1 hour slots)
12.45pm - 1.45pm: Supervised lunch break (including tuck shop)
1.45pm - 5.00pm: Afternoon activities and third break
5.00pm - 5.30pm: After hours club and collection.
Special event and presentation afternoon
Nottingham High School Holiday Club invites friends and parents to
get involved and join in the fun.
On the final afternoon there is a special demonstration, followed by
awards, prizes, raffle and goody bags.
There is also a themed activity week for the early years group (5&6
yrs).
A special guest or sporting personality is invited
to present the awards.
Age groups & range ofactivities
Nottingham High School Holiday Club
ensures that all children are catered for in
age specific groups, without prejudice. The
range of activities on offer for each age
group is carefully structured to cater for the
child’s own personal development and pace.
Each group has its own unique identity, with coloured t-shirts,
individual group leaders and a name. Children are encouraged to use
the group’s identity throughout the week with various group
competitions.
5&6 Years (Early years group) - Ducklings
This age group is housed in our Junior school.
Activities include sports, art and crafts, story telling, model making,
soft play, movement to music, adventure playground and bouncy
castle.
A themed activity week is programmed for each holiday club where
children will learn about a specific topic. Play and games are
structured around this theme.
7 - 11 Years - Robins, Merles, Owls & Hawks
A more advanced programme of activities is introduced to these age
groups. Each activity is selected to offer a wide variety of enjoyment
and fun, in particular careful consideration is taken to develop their
skills and to realise their potential.
The more serious sporting individuals can work towards a national
award in a number of sports. Activities include 30 different sports,
climbing, canoeing, science and gymnastics.
11 - 13 Years - Eagles
This is the senior age group during the week. These children are
encouraged to work with the coaches in designing their own
activities and coming up with new ideas.
They will get the opportunity to develop leadership
skills and are encouraged to help out with the
younger members.
They will experience over 40 activities, some
exclusive to their age group.
Brothers, Sisters and Friends
Requests for friends and family members to be together
should be done in advance by including this information on the
booking form. We will endeavour to honour all requests as long as
the dynamics of the group and activities are not compromised. We
would ask you to avoid late requests when group lists have been
compiled.
Essential Information - what you need to know
Child information
There must be a completed child information form for every child on
The Holiday Club. These forms will be sent to you when you have
returned your completed application form, which comes as part of
the welcome information. These forms are essential as they carry
important information about your child. To comply with the Data
Protection Act, this information will only be accessible to the
management of the Holiday Club.
Procedure for registration
� Registration for the first morning is between the hours of 8.30am -
9.30am at the Dining Hall & 6th Form Centre.
Please allow 15 - 20 minutes for this first morning. There will be an
opportunity to meet staff and ask any questions. For all subsequent
days, registration is direct with the group coaches, in the Sports Hall
or Junior School for the early years group (5 & 6 Years)
� T - Shirt. Each child receives a complimentary T-shirt at
registration. These are great souvenirs but children are
encouraged to wear them throughout the week to give each
group a unique identity.
� At the end of the day or if you choose to collect early, you will be
asked to identify your child or the child you are collecting. They
must then be signed out by the relevant group coaches. Do not
leave the premises without carrying out this procedure.
� If your child is allowed to arrive or leave The Holiday Club by
themselves, then please provide a written letter of authorisation.
What you'll need for the Club
� Swimming kit and towel, including goggles and swim cap if
required. Swimming is each day.
� Packed Lunch and a snack. We provide drinking water.
� Small amount of spending money for the Tuck Shop
(not compulsory)
� Clothes suitable for the activities; please arrive in tracksuit. Also
an outdoor coat for some activities
� Sun cream and a sun hat for warm weather conditions
Personal and electrical items
Please avoid your child bringing with them expensive electrical
items, including:
� ipods, MP3 players, hand held games, cameras, etc
� Mobile phones are permitted, but to be kept in a safe place and
only used to contact parents. The school cannot be responsible for
lost items.

Quality & safety
The Holiday Club is safe, with 10 years of experience we have an
exemplary health and safety history and your children’s safety is our
priority. We are registered with ISIS and Care Standards Inspectorate.
Our staff teams are cleared using Disclosure through the Criminal
Records Bureau.
Our coaches attend a comprehensive staff training programme that
includes:
� Supervision of children � Child protection. � First aid
� Fire procedures � Equipment safety
The manager is a qualified and experienced teacher & coach and
attends regular training programmes. Staff qualifications are further
enhanced through our work with the national governing bodies.
Staff selection policy
All staff must:
� Be interviewed
� Provide personal references
� Be registered/cleared carrying out an ENHANCED DISCLOSURE
No person applying for the position available will be treated less
favourably than any other person on the grounds of their race, colour,
religion, language, culture, gender, appearance, disability, marital
status, class, personality or lifestyle. We will endeavour to employ
staff that represent in some way the different ethnic groupings of
children attending the Holiday Club.
Insurance
We have public liability and employer’s liability insurance cover.
Groups
� Children are coached in minimum ratios of 1:16.
� The ratio for under 8s is 1:8
� These ratios are increased further with the manager and helpers
Under 5s
For legal reasons we can only accept children in The Holiday Club
who are in compulsory full time education. This does not include
nursery, kindergarten or pre-prep school children.
Lost property
Due to the nature of the activities, we recommend that your children
do not wear their best or most expensive clothing in The Holiday
Club. We cannot guarantee the return of lost property, but we
endeavour to return items that are clearly labelled with your child’s
full name.
Packed lunch
Please Note: we are usually not able to provide refrigeration for
lunches. We advise that you use an insulated container with a frozen
pack or avoid high-risk foods such as meats, meat products, dairy
products, rice and pulses. Place the frozen pack on top of the food,
if possible.
Child security
At registration, Parent/Carers are asked to adhere to our registration
and collection policy.
Children must be signed out by their collecting adult, recording the
time of departure so that we are aware that the child has left and
who they have gone with.
Any child wishing to go home unaccompanied must have a signed
note from their parent/carer indicating this.

Child Protection Policy
Nottingham High School Holiday Club seeks to safeguard all children
against all forms of child abuse.
Since the Children Act legislation of 2004, promoting and
safeguarding the welfare of children has been a statutory as well as a
professional and personal responsibility of teachers, coaches and all
others who have dealings with children.
All adults who are employed by Nottingham High School must
therefore be familiar with the issues involved and the procedures to
be followed.
When any person has knowledge or suspicion that a child is either
being abused, or is at risk of abuse, or that a carer has seriously
neglected or failed to protect a child, he/she has a personal duty to
report this to:
1. The Manager of The Holiday Club or
2. The local Child Protection agency (details given in welcome
information)
Health & Safety
The Governors of Nottingham High School recognise and accept their
responsibility as an employer for providing a safe and healthy work
place and working environment for all their employees. The school
management take all steps within their power to meet this
responsibility, paying particular attention to the provision and
maintenance of:
� Plant, equipment and systems of work that are safe.
� Safe arrangements for the use, handling, storage and
transportation of articles and substances.
� Sufficient information, instruction, training and supervision to
enable all employees to recognise hazards and contribute
positively to their own safety and health at work and to the health
and safety of others.
� A safe place to work, and safe access to it.
� A healthy working environment.
� Adequate welfare facilities.
Illness and Infectious Children Policy
The objective of this policy is to ensure that the health of participants
is not compromised by other children who are ill or infectious. Where,
in the opinion of the Club Manager, a child is or becomes ill or
infectious, the Club Manager will contact the parents to discuss
appropriate action for the good of all. This may include excluding the
child from the Club.
Administration of Medication Policy
The objective of this policy is to ensure the effective administration of
any medication required by any child attending the Holiday Club. All
parents will be given a questionnaire relating to any existing medical
conditions and these must be returned before the child is admitted.
Where medication is required, full written instructions (signed) must
be handed to the Club Manager at the start of the week. The Club
Manager will take the appropriate steps to ensure that only the
specific instructions are implemented. All medication is to be kept in
a secure (locked) environment throughout. The Club Manager will
liaise with all staff to ensure that they are informed of medical needs.
A record must be made of any medicinal product administered to any
child on the premises, including the date and circumstances of its
administration, by whom it was administered, including medicinal
products which the child is permitted to administer to himself/herself,
together with a record of the parent’s consent.
Complaints Policy
Feedback forms are issued to all participants
on the final afternoon of the club week.
Parents/guardians wishing to make formal
feedback at other times may do so by
speaking to the Club Manager or by
completing the feedback form at other times.
Feedback will be treated in the strictest
confidence.
Photograph Policy
Photographs taken during the Holiday Club
will only be taken by registered staff. They
will only be used for internal publications but
will occasionally be used by outside agents.
If you do not wish your child to be
photographed please inform the manager.

Accident Reporting
It is essential that all incident report forms are signed by the
manager. Parents are informed so that they are immediately and fully
aware of anything that may have occurred to their child that day.
Evacuation Procedures
Evacuation procedures and protocols are explained in detail to all
children on the first morning of each holiday club.
Fire Evacuation, including alarms and assembly points are explained
and relate to all buildings. In the swimming pool, the drowning
alarm is sounded and the procedures for safe water evacuation are
explained.
Weather Conditions
Hot, Sunny weather
When the weather is particularly warm the following precautions
must be taken:
� If there is any possibility of sunburn or sunstroke please ensure
that the children wear adequate protection i.e. hat and sun cream
of the correct factor.
� Children must have enough to drink for the whole day. This
problem is made more acute as the children are participating in
sport. Drinking water will be available.
Cold, wet weather
When the weather is particularly cold or wet children will remain in
the indoor areas.
Swimming
We have a very comprehensive swimming policy. One of the main
priorities is to ensure that we assess the ability of the child, that
governs whether the child wears armbands and which zones the
child is allowed to swim in. To enable this process to work we test
each child and record the results. The estimate of parents is not
ignored but a test is carried out just to confirm the ability
Bullying
If a child feels that they are being bullied then they are encouraged
to report this to their Group Coach. Once a member of staff has been
informed they will report the incident to the manager immediately
who should then discuss the matter with the child and with their
Group Coach. If the manager feels that there is a legitimate complaint
they then need to discuss the matter with the person being accused
of bullying. It is worth bearing in mind that the bully may have
problems of their own which are resulting in this behaviour and need
to be dealt with sensitively and fairly. There may be reasons for their
bullying but there are no excuses for such behaviour. If we are
convinced that bullying has taken place then we will decide what
action is appropriate. In a serious case we may need to consider the
removal of the bully from the Holiday Club.
Behaviour Policy
Expected Behaviour From Children
Show respect for all children on Holiday Club treating them as they
would wish to be treated.
Swearing, abusive and hurtful language is not acceptable. Aggressive
behaviour or violence cannot be tolerated.
Show respect for all personal property and the facilities.
Show respect for all staff. Listen to and follow instructions of the staff
team.
One child’s behaviour will not be allowed to endanger the other
children in the group by absorbing or distracting the supervising staff.
Parent Responsibilities
We would expect you to inform us both verbally and via the Holiday
Club Attendance Form of any potential behaviour issues that would
help us deal with your child whilst on Holiday Club. We would expect
you to support action taken by staff to encourage good behaviour.
Staff Responsibilities
To treat all children fairly and recognise that each is an individual.
To protect children’s self-esteem and develop them.
To provide a challenging, relevant, appropriate and fun week.
To be clear about the rules and use sanctions consistently. No physical
punishment will ever be used.
To be a good role model.
Parents may be involved in a clear behaviour management
procedure:
Initially the Group Coach will try to deal with the situation.
If unsuccessful: Manager will try to deal with the situation, removing
the child from the group but having a witness.
If unsuccessful: Parent/carer will be involved. If the parent/carer
does not come to collect the child, a note will be given to them
requesting that the parent/carer sees the manager in the
morning.
If unsuccessful: The manager will consider
suspending the child after consultation with
Headmaster.
Sick Child Policy
If your child is ill and you are unsure
whether to send him/her to Holiday Club,
please contact us as we have clear
procedures in these circumstances.
Uncollected/Lost Child
There are a number of reasons why a child may remain uncollected
at the end of the day, perhaps if a parent is delayed or confused
about who is collecting or about the time of collection. Should this
occur then the following action will be taken:
We will attempt to contact you using the child details information.
At least two adults will remain with the child until collected.
We will not allow the child to return home alone or with an
unauthorised adult unless we have your permission.
Upon collection we will politely ensure that the parent understands
the procedures.
If this occurs more then once for the same child we will be obliged to
ask the child not to return.
If after two hours no one arrives to collect the child and we have
been unable to contact anyone by telephone, we will call the local
social services department who will make arrangements for a social
worker to collect the child.
We also have procedures if a child is lost on the Holiday Club so
please contact us should you require a copy.
