DUE DATES If assigning a task, it must have a due date added.

The due date should not be set for “TODAY”If a task compleIon is truly required that very day, call or text the individual instead.

If you have been assigned a task and cannot hit the due date that is iniIally set, comment back to the individual asking if there is leeway in the due date and adjust accordingly.

Important: If you’re adjus.ng due dates on your list and someone else assigned it, communicate that you need to adjust it.

TASK DESCRIPTIONS Task descripIons should have all of the info for the assignee to answer and do their part.

Make it EASY for the individual to do what you’re asking (including links, screenshots, docs or resources where appropriate).

Be short yet specific in the task name.Something that has great search capabiliIes for others to find later is ideal.

Don’t hesitate to use video screen share recordings to make your descripIons more thorough and easy to understand.

TASK STRUCTURE Create a new task for each new “ask.”In other words, don’t ask someone to do an addiIonal task inside the comments. Take a moment to assign a new task so it does not slip through the comments cracks!

When possible, avoid changing task Itles for easier search abiliIes.

When there is a large task that will have mulIple steps involved…Create sub-tasks within that larger task.

That way everyone involved in the small steps can easily see the main larger task with addiBonal context and informaBon.

If you add updated info to the task descripBon anyBme aGer the iniBal creaBon and assignment of the task, write “see the update in the original descripBon” as a comment and tag those who need to be aware of the changes.

OTHER Final graphics or files should be saved in our Google Drive folders when complete. This ensures graphics files are not lost within the Asana task or comments.

AGer you save the finalized files, comment that you’ve done so to indicate to others the task is fully complete.

If someone asks you to do anything for them. On a call or in an email for example, you are welcomed and encouraged to ask the individual to send you the request through Asana instead.

If you are assigned a task and the descripBon is not clear, then it is your responsibility to clarify with the person assigning before starBng work on the task.

Use Tags and Task Types - ParBcularly for the TYPE of task it is (Design/Dev/Mapping/TesBng) so we can easily filter and organize tasks. PuZng these things in task Btles does NOT make them sortable. Please use tags to their fullest so we can self-organize as needed.

See the task or conversaBon update? Give it a thumbs up! For tasks, conversaBons, and comments, use the thumbs up feature to acknowledge you received a task or read the comment. Basically you’re saying “I got this,” or “Confirmed” or “Awesome!” without having to fully reply back. It tells your teammate you read what they posted.

Check your Asana inbox ~3 Bmes a day (ideally at the same Bme you block and chuck out email updates). Batching Asana is encouraged to avoid being reacBve.
