Championship Policies

Awards The Conference office will provide the following awards and present them during the meet and at the awards ceremony

following the meet. Recipients should wear full team sweats during awards presentations.

Championship Individual/Relay Medals Event Award winners and finalists (Top 8) will be recognized. First, second and third place finishers will receive event

medals.

All-MAC Team The 30-member All-MAC team shall consist of the 15 individual event winners at the MAC Championship, with the 15 remaining honorees selected from the remaining swimmers and divers based on total points (individual events only). The first team shall be limited to 15 members (plus ties), with the remaining being named to the second team. Freshman of the Year Swimmer and Diver Freshman of the Year Swimmer and Diver is awarded to the Freshman at the MAC Championships based upon point totals, with bonus points awarded for a new MAC Championship record and NCAA qualifying standards achieved. Most Outstanding Swimmer and Diver Most Outstanding Swimmer and Diver is awarded at the MAC Championships based upon point totals, with bonus points awarded for a new MAC Championship record and NCAA qualifying standards achieved. Swimming and Diving Coach of the Year Swimming and Diving Coach of the Year shall be voted upon by the head swimming and diving coaches at the conference championship. All coaches are eligible for these awards. Coaches may not vote for themselves and must list a first and second choice. The presentation of these awards shall occur at the conclusion of the meet. Most Outstanding Senior Swimmer Award Selected by the seniors participating in the championship. All graduating seniors are eligible for this award. Honoree must be in attendance in last year of eligibility. No one may vote for a teammate or member of one’s own team. All seniors shall be introduced on Saturday evening during the opening ceremonies and the name of the winner is announced at that time. Award provided by Miami University Alumni Association. Championship Team Championship trophy will be given to the first place men’s championship team. Travel squad members of the men’s champion team will also receive individual team champion medallions and team champion tee shirts. Traveling Relay Award The traveling relay awards are presented at the same time as the relay awards are determined. These awards are provided by the head coach of the institution which won the event the previous year.

Banners and Posters Team signage and posters will be placed in designated areas within the Aquatics Center by event staff. Team signage may

not obscure Conference and Sponsorship placements and must be approved by the Conference Liaison and Meet Director.

Banners deemed objectionable by the Conference Liaison and Meet Director will not be placed. Teams will be limited to

two signs per school.

All banners must be delivered to the Aquatics Center Scorer’s Table by 12:00 noon on Wednesday, February 28th. All

Team signage shall be placed by event staff only. Other than approved team or Conference signage and banners, no

permanent signage or banners are permitted within the Aquatics Center.

Championship Officials and Meet Committee The Meet Committee shall be comprised of the Head Referee, Bill Houk and the Head Coach of each school represented

at the Meet. The Championship Administrator shall act as an ex-officio member and have no vote. Committee decisions

will be considered final.

Coaches Meeting A meeting of the head coaches will be held on Wednesday, February 28th at 12:00 p.m. EST., to discuss pertinent

championship information. The meeting will be hosted in the Goggin Ice Center. Coaches will receive a meet packet that

will contain scratch cards, relay cards, bio forms, credentials, and other necessary materials or information. Lunch will be

served.

Cold Tubs Cold tubs will be provided for all athletes in a room located directly off of the South pool deck. This location can be

found on them pool layout diagram on page 15. Teams will not be permitted to provide their own cold tubs.

Deck Passes Deck passes are limited to actual participants, coaches, managers, sport information, trainers, and institutional

administrators. In order to receive a deck pass, all participants’ names must be listed on the entry file. All staff and/or

institutional administrators needing a deck pass must be listed on the Institutional Credential Request form on page 23.

Access to the deck will be monitored and no one will be permitted on the deck without a pass.

Diving Panel

The Diving Panel shall consist of each team’s head diving coach and the head diving referee. Additional details on the

Diving Panel can be found in the MAC Swimming & Diving Sport Operating Code.

Entries

The 2018 MAC Diving Championships will utilize cleanentries.com. To submit entries, teams should follow instructions on

page 21.

Eligibility The 2018 Mid-American Conference Swimming and Diving Championships will follow the NCAA Championship meet format. All

athletes must meet Mid-American Conference and NCAA eligibility standards in order to participate in the Championship.

Entry Procedures Entries must be submitted on the HyTek electronic file. Entries are due by 5:00 p.m. EST, Wednesday, February 21st.

Please email your completed entry file to Terri Shannon at [email protected]. A Psych Sheet will be sent to all

coaches once all entries are received.

Heat Sheets Four (4) heat and final sheets will be available to each institution. Heat sheets are not included in the admission price and may

be purchased for $2.00 at the ticket table.

Hospitality Area This room is located off of the East pool deck opposite the diving well end of the facility. Please follow signage. Access

shall be monitored and restricted to participating teams’ staff (e.g., coaches trainers, SIDs), work press, VIP’s, meet officials,

and event staff. The Hospitality Room will feature beverages and snacks throughout the Championship, as well as

breakfast, Lunch and Dinner.

Locker Rooms The general locker rooms located off the pool deck are available to all participants; however, towels and lockers will not

be provided. Participants can choose to lock lockers throughout the day. Overnight storage is not permitted.

Media Interviews The Mid-American Conference will conduct video interviews with student-athletes and coaches throughout the Championships. Teams are asked to designate a staff member to act as point person for coordination of these interviews. Notably, requests will be made for select coaches and student-athletes at the conclusion of Preliminaries each day. At the conclusion of each Award Ceremony, the student-athlete finishing 1st will be requested for a short video interview as well.

Media Credentials Media outlets planning to cover the MAC Swimming and Diving Championships must apply for credentials no later than Monday, February 26th, by contacting Maria Slovikovski at MIAMI at 513.529.0901 / [email protected]. Credentials will be assigned to accredited media in accordance with the following guidelines:

• Media outlets which have been credentialed during the regular season by participating teams.

• Media outlets which have regularly covered MAC Swimming and Diving on a local, regional or national basis during the season.

Media Parking Media parking is available in lots adjacent to Rec Center.

Media Room A working media room is located at the East end of the pool in the Hospitality Room. Please follow signage. Media members are advised to use the media area for filming stories after each session. Formal postgame interviews, postgame statistics and quotes will also be available in the media area upon request.

Medical Training facilities will be located on the North side of the pool deck near the scoreboard end of the pool (behind awards

area). The following staff will be available to assist you with your training needs:

A certified athletic trainer will be present at all times during the competition and a medical doctor will be on call during

those same times as well.

Merchandise Championship merchandise will be available for purchase on-site near the ticket table throughout the Championship and

will consist of a selection of short sleeve and long sleeve Championship Tee-Shirts.

Judging Panel The judging panel for diving will be determined according to the following guidelines: if nine coaches are present, the panel will consist of nine coaches and no official, with the three high and three low scores thrown out; if eight coaches are present, the panel will consist of eight coaches and one official, with the three high and three low scores thrown out; if seven coaches are present, the panel will consist of the seven coaches and no official, with the two high and two low scores thrown out; if six coaches are present, the panel will consist of the six coaches and one official, with the two high and two low scores thrown out; if five coaches are present, the panel will consist of the five coaches and no officials, with the single highest and lowest scores thrown out; if four coaches are present, the panel will consist of the four coaches and one official, with the single highest and lowest scores thrown out. Two official’s tables with a scorekeeper shall be utilized to score diving. Each table would score separately. Note: In the event there is an even number of coaches present, rather than adding an official, a coach may be removed. This decision is within the Head Diving Referee’s discretion only.

Parade of Finalists There will be a parade of Championship Finalists prior to the contesting of all events (individual, relay, and timed finals) as

well as the consolation final of three meter diving. All finalists are asked to report to the designated area five minutes

before the event or pursuant to the Schedule of Events and Public Address requests. This area is located on the West side

of the diving well.

Parking Participant drop-off will be off Oak St., East of the Rec Center. Team buses will be directed to park at Chestnut Fields

parking lot southwest of the Rec Center. Team vans will be directed to park in the Rec Sports lot on Campus Ave. A parking

pass will be e-mailed to each head coach prior to arrival. Each institution may make no more than (3) passes to be placed

on the dashboard of vehicles. Passes are only valid in the Campus Avenue surface lot.

Fan Parking is available in Campus Avenue Garage, directly northwest of the Rec Center.

Programs Meet programs will be available for purchase at the merchandise stand for $5.00, along with event merchandise.

Registration & Official Meet Packets Registration and meet packets will be distributed at the coaches meeting and will contain psyche sheet, relay cards, scratch

cards, diving sheets, awards procedure and presenters, warm-up procedure, deck passes, entry summary, team seating

diagram, and locker room information.

Relay Entries Entries for Relay Events scheduled for the beginning of a session are due one (1) hour prior to the beginning of the Relay

Event. Entries for the Relay Events scheduled for the end of a session are due by the completion of the last individual

event for the corresponding session.

Restaurants A listing of area restaurants can be found by following the link on Page 13.

Results & Meet Mobile Results will be posted on the pool deck as well as in the spectator seating area. Coaches’ copies will be placed in the

mailboxes at the hospitality room. Results will also be available on-line at www.getsomemaction.com.

Additionally, Meet Mobile will be available to participants and fans and can be downloaded for $0.99. Results will be

provided via the same and posted in the spectator area. However, heat sheets must be purchased at the Merchandise

Stand.

Scratch Box A scratch box will be located at the operations table. All scratches are due by 6:30 p.m. on the day prior to the contested

events. Scratches shall be verified by on-site staff.

Seeding All seeding procedures will follow NCAA Rules.

Spectator and Team Seating Spectator seating will be assigned to each university in a rotation fashion by the session, and will be randomly drawn by

the Conference Liaison at the pre-championship coaches meeting. Seating sections will be rotated clockwise prior to each

session.

Diving preliminary seating will not be assigned and will follow a general seating format, however any seating. All doors

will open 1 hour prior to commencement of competition.

Team seating will be assigned at the coaches meeting and preference will follow the 2017 Championship meet finish.

Squad Size The travel squads shall be limited to 24 participants, 18 scorers (swimmers count as one entry, divers count as 1/3 an

entry) and six non-scorers. The six non-scorers will only be permitted to compete in the preliminary sessions and time

trials. Please complete the Official Travel Party form on page 22 and email to Korinth Patterson by Wednesday, February

Tickets/Pass Lists Based on Conference policy, only the official traveling party will be allowed complimentary admission into the

Championship. There will be no complimentary admission for student-athletes’ guests. Institutions may choose to provide

a pass list by purchasing the necessary allotment of tickets. Please complete the pass list on page 24.

Will Call Pre-purchased tickets will be left at the Will-Call on the day of the event. Individuals picking up tickets at Will Call must supply photo ID. Will Call will be located at the ticket table in the main entry to the Rec Center / Aquatic Center.

Gates

Public gates will open one (1) hour prior to the start of each session.

Time Trials Time trials will be offered to all 2018 Men’s Mid-American Conference Championship participants. The trials will occur at

the conclusion of the preliminary and finals sessions daily, and follow the NCAA Division I order of events. NCAA and USA

Swimming participation limits will be observed. Participants must enter the trials by the completion of the last individual

event for the corresponding session. The six non-scoring student-athletes will be permitted to compete in the preliminary

session and time trials.

Timers Two Lane Timers will be provided for each lane during all Preliminary and Finals Sessions.

Diving Entries – Instructions Diving Entry Instructions: 1. Go to www.cleanentries.com If coach and team are already registered on the clean entries site, skip to #3 below. Periodically please review your profile in order to make sure it is still accurate. 2. Coach a. If first time user, click on Create Account on top right of main screen b. Fill in the six fields: (Use the "Tab" key to move between fields, NOT the "Enter" key.) c. Click "Register me as a Coach" d. Click "Create User" e. If all is completed correctly, you will receive a "Complete" message on your screen. You must verify your account before proceeding. You will have two options to verify your account: Option #1 Write down or copy with your mouse the activation code you see on your screen. In the upper right hand corner of the window, there is a "Verify Account" link. Click that link and either enter or paste the activation code in the space provided. Option #2 An email will be sent to the email address you just registered. You will need to click on the link contained in the email in order to verify your account or copy/paste it into your web browser address bar and press "ENTER". Click the "Save my changes" box. 3. Register Diver into Database and Enter Diver into Meet (The coach may do all this at one time!) a. If you (coach) have not already logged in, do so. b. Click on the "Dashboard" box at the top of the page. c. Click on "Manage Entries" link located next to "Your Teams Upcoming Meets" d. Select the meet from the dropdown box labeled #1 by clicking the down arrow key located at the right side of the green highlighted box. All your entries for that meet will appear for all your schools by school (if you coach at more than one school). e. Select the team from the dropdown box labeled #2 by clicking the down arrow key located at the right side of the green highlighted box. All the members of that team will appear in the box labeled #3. f. At this point you will have two options. Option #1 Select a diver from the list by clicking on the diver's name. Option #2 Click on "<Register a new diver> Even if the diver has not registered on the clean entries site and set up a profile, as the coach may add them to the database at this time. You will need the diver's correct birth date! g. Click on "Register Selected Athlete for Meet" box labeled #4. h. If you selected a diver already in the list, then skip to "j." below. If you opted to "Register a new diver", then the "Adding a New Athlete" window will open. Fill in the four fields: (Use the "Tab" key to move between fields, NOT the "Enter" key.) i. If all is completed correctly, a "no reply" message will be sent to the coach's email address. It will contain a Username, temporary password, and security question and answer for the diver just added. Very often, these " no reply" emails end up in your "spam" or "junk" folder. Please search for them there. If you are using a "school" email address and do not receive the email, try a non-school email address. Please give a copy of the email to the diver, as at some point the diver will need to login and fill out their profile information. j. The "Event Selection" window will open only if there is more than one event in the selected meet that the diver is eligible to enter. If there is only one event available for the diver, skip to "4." below. Click on the appropriate event in box #1. Click "Continue with Registration" in box #2. 4. Event Registration a. The "Event Registration" window will open. b. Make sure Meet name, Diver name, and your team name is correctly displayed. c. Enter dive number and position. Indicate Vol/Opt. Note: The rules for the event are to the right of the entry box. d. After entering all dives, click "Check My Dive Sheet". The system will validate the sheet. If there are errors, it will inform you of the problem. You will not be allowed to proceed until the sheet is valid. e. After the sheet is validated, click "Save My Dive Sheet". The diver is not entered in the meet until the sheet is validated and you click "Save My Dive Sheet"! You will be taken back to the "Manage Entries" screen so that you may register/enter the next diver. f. On the "Manage Entries" screen, after you select the meet in which you entered your diver, the diver's name will appear below Box #1. There are three icons next to the diver's name. By clicking on the respective icon, you may: Scratch the diver (Red "x"),: Edit the dive sheet (pencil) or Print the dive sheet. Options #1 & #2 are only available while entries are still open! 5. Dive Changes: a. You may make changes to the sheet online until the registrations close (You may still make changes thereafter on deck up until 1 hour (or the posted deadline for on deck changes) prior to the beginning of the meet.) b. Login as the coach c. Click "Dashboard" at the top of the screen d. Click on the pencil next to the diver's name under the correct meet in order to make changes to the diver's sheet. e. Make dive changes by following instructions a-g under "Event Registration" above.
