Start the School Year off with Safety…

Every year Leander ISD has employees who suffer compensable injuries. Most of these injuries

could have been prevented. You play a major role in preventing injuries to yourself and to others

around you. Always pay attention to what you are doing. Avoid trying to save time by using the

"quick fixes" to get the job done; most of the time it’s the “quick fixes” that lead to accidents and

injuries.

Watch for unsafe conditions and unsafe procedures that need to be reported to your Supervisor or to Safety in Risk Management, Darla Humes at 512-570-0911.

If you should have an Accident….

Workers’ Compensation pays medical bills and lost wages for employees who a compensable injury or occupational disease. LISD has chosen to self-insure our Workers’ Compensation program. This simply means that the District, not an insurance company, is responsible for every dollar spent on work – related injuries. The money comes directly out of the District’s funds.

How to report an incident or Accident…

Tell your supervisor or nurse as soon as possible. All paperwork should be completed before seeking medical attention, unless it is an emergency. Late reporting could result in lost benefits. Report all incidents even if they cause only minor aches and pains because if the pain becomes worse and medical attention is needed later, your claim and your benefits will be protected.

Complete an “Employee’s First Notice of Injury or Occupational Disease” form, which you can get on the L-Net or from your campus Nurse or Admin Assistant.

If the accident results in Injury….

Obtain an “Authorization for Medical Attention” and an “Authorization for Prescriptions” forms from your campus Nurse or Admin Assistant. These forms are intended to expedite services and they contain all of the billing information that the doctor and pharmacist will need.

To ensure quick, quality medical services, LISD has arranged with WC Provider Network Alliance, to include US Healthworks, Care Now and Concentra Medical Centers to accept our Workers’ Compensation claims. Clinics have the facilities to handle occupational injuries. Do not file it with your group health insurance; this will cause a delay in handling your claim.

If the doctor gives you work restrictions, please contact your supervisor; you will receive additional information.

ReferenceRule110.101(a) In addition to the posted notice required by subsection (e) of this section, employers, as

defined by Labor Code Section 406.001, shall notify their employees of workers’ compensation insurance coverage status, in writing. This additional notice:

(1) shall be provided at the time an employee is hired, meaning when the employee is required by federal law to complete both a W-4 form and an I-9 form or when a break in service has occurred and the employee is required by federal law to complete a W-4 form on the first day the employee reports back to duty;

(2) shall be provided to each employee, by an employer whose workers’ compensation insurance coverage is terminated or cancelled, not later than the 15th day after the date on which the termination or cancellation of coverage takes effect;

(3) shall be provided to each employee, by an employer who obtains workers’ compensation insurance coverage, not later than the 15th day after the date on which coverage takes effect, as necessary to allow the employee to elect to retain common law rights under Labor Code Chapter 406;

(4) shall include the text required in the posted notice (see rule 110.101 (e)(1), (e)(2), (e)(3), (e)(4) for appropriate language); and

(5) if the employer is covered by workers’ compensation insurance (subscriber) or becomes covered, whether by commercial insurance or through self-insurance as provided by the Texas Workers’ Compensation Act (Act), shall include the following statement:

“You may elect to retain your common law right of action if, no later than five days after you begin employment or within five days after receiving written notice from the employer that the employer has obtained workers’ compensation insurance coverage, you notify your employer in writing that you wish to retain your common law right to recover damages for personal injury. If you elect to retain your common law right of action, you cannot obtain workers’ compensation income or medical benefits if you are injured.”

LISD Employee Badge Instructions

All employees must wear employee badge while on LISD property including when attending after-hour school activities as an employee. Badge must be visible at or above the waist with photo side showing. Do not stick anything on or in badge, they are for security and cannot be used as billboards for stickers or such. Badges can be damaged if punctured and you can be charged the replacement fee. To use the badge as a key: hold badge to the authorized card reader, red light means door is locked and green means access granted, or door is scheduled unlocked. Once badge is read, there should be a faint clicking sound and door will unlock for about 5 seconds. Please be sure exterior doors close and lock behind you. REMEMBER: Your badge is a key to your campus or department

• Do not loan it to anyone. • Do not provide access to anyone. Each employee must use his/her badge, no

piggybacking, so there is a record for each person. • Guard your badge from theft or loss. Anyone can use an activated badge if they get a

hold of it. • Immediately report lost badges so that we can deactivate it. We can always reactivate

the badge if found. • Replacement fee for lost badges: $20.00 fee is non-returnable once deposited • Badges are property of LISD. Upon termination of employment, badges are to be turned

in to your campus or department. • Badges are electronic – do not damage them by sticking any pins or other items through

them. You will have to pay for replacement if you do so. • Badges that break due to normal wear and tear will be replaced at no charge; excessive

requests for replacements will be charged the $20.00 fee. • Due to security concerns do not prop or block open an exterior door. • Report doors broken or not closing properly for work order to be submitted.

LISD Photo ID Badges should be shown to the person controlling the gate for admission into Varsity Football games. The pass is a general admission pass with noreserved seating privileges. If you desire reserved seating, it must be purchased at the regular rate without consideration or rebate for this pass. Your immediate family members will need to purchase their own tickets. This is due to certain UIL district restrictions.

For all athletic events, other than Varsity Football, the LISD badge will admit you andyour immediate family free of charge. The employee will receive free admission to all events including the Home Varsity Football games.

LISD NETWORK ACCOUNTS should be created within 24-48 hours of your new employee orientation during the school year and typically ready for you to setup on your first day of employment. For employees starting in August, accounts are created within 24-48 hours after attending orientation and available for setup after April 1st.

TYLER MUNIS TRAINING DOCUMENTATION Module Title: Employee Self Service (ESS)

Module Initials: ESS Overview: ESS is used by employees to view personal

information, pay and tax information, pay checks, and benefits.

Tyler Menu Path: How to Find the URL for Employee Self Service (ESS) 1. From www.leanderisd.org, select “I Am A…” link on the right, and select Staff Member from the drop-down. 2. Click on “Employee Self Service (ESS)” from the listing of Online Resources. It should take you to this link

3. Click on the Arrow button in the top right-hand corner of the screen that looks like this . 4. The Login screen should appear.

First Time Login Steps (Skip if Previously Done) 5. Your login is your legal First Name underscore ‘_’ your legal Last Name. Names should match

what is on your Social Security card. For example, jonathan_smith would be your login if your Legal Name on your Social Security card was Jonathan L Smith. This login may not be the same as your network login.

6. Tab to the password field. 7. Your initial password is the last four (4) digits of your Social Security number. For example, if your

Social Security Number is 123-45-6789, your initial login password would be 6789. 8. Create a new password for your account. 9. Log off of ESS. 10. Log back in with your new password. 11. You will be prompted to create responses to three (3) security questions. These questions can be

used should you forget your password. ESS Information 12. Important Messages and Announcements will appear under the ‘Welcome to Employee Self

Service’ banner if there are any posted. If no Important Messages or Announcements exist, the screen will start with Number 13, Personnel Information.

13. Personal Information includes your contact and demographic information. You can click on ‘More’ next to the Personal information or select the link on the left hand portion of the menu. Some sections such as Dependents or Skills may not be shown.

You can update your personal email under General and your address, phone, and emergency contact information Edit under those tabs found under Personal Information.

14. Paycheck Information shows the most recent pay periods in which you received pay. It also includes a detail copy of your pay checks. Once you have reviewed the information, you can click on the Employee Self Service link on the menu to return.

15. Pay / Tax Information provides current payroll and payroll history details. It also includes payroll calendars.

16. Year-To-Date Information page contains a cumulative view of payroll figures for a specific year.

Leander ISD's Absence ManagementSystem for Employees

The Frontline Absence Management solution will be available to you 24hours a day, 7 days a week and can be accessed via internet, mobile appand phone.

Within 2-3 business days upon completion of your new hire orientation,you will need to log into Absence Management using your networkcredentials (username and password that you use to access a LISDcomputer). 

Interacting with Frontline via the Website

Leander ISD utilizes a single sign-on (SSO) service which is a userauthentication service where a user can access multiple, organization-specific applications with one username/password.

Once you have logged into the Leander ISD network and changed yourpassword (please reference the Information Technology Resources Flyer youreceived at Orientation), you may access Frontline Absence Managementat  https://login.frontlineeducation.com/sso/leanderisd  or through theLeander ISD website under Staff: Online Resources: Aesop Absence System.

Here, you will be able to enter absences, check your absence schedule,update personal information, and exercise other features such as uploadingyour lesson plans for substitutes to view online.

Interacting with Frontline via Mobile App

Access the app store on your mobile device and enter "Frontline Education"in the search bar.  Click the Get or Install button to install the app.  Use code7354 to access the app.  There is no cost for the Frontline mobile appfor Leander ISD employees.

You can call Frontline  toll  free at  1-800-942-3767.  Simply follow the voicemenu to enter and manage absences and access other features. We  recommend that you call in to check the computer recording of yourname and title.  To do this, press Option 5 and follow the prompts.

Important reminders:

1. Leander ISD does not pay into Social Security; we pay into Teachers Retirement

instead. This could effect or eliminate your Social Security benefits in the future. For

more information call Social Security at 1-800-772-1213 or visit their website at

www.socialsecurity.gov. You will need to review information about the “Windfall

Elimination Provision” and the “Government Pension Offset Provision”.

2. The Catastrophic Event Benefit is a voluntary program offered by Leander ISD. You

have the opportunity to sign up or cancel your membership each year. Information

about this program is available in your employee handbook. Please remember that 1

local leave day will be deducted from your balance as payment for the membership each

school year.

3. Your leave days will be converted to hours in the Employee Access screen. Please keep

in mind that your Employee Access leave balance is updated every pay day, and so will

not reflect leave taken in the current pay period. If you are paid monthly, you can view

your most recent leave balances by logging into KRONOS with your LISD Novel User

ID/PW, or by using the soft keys on the KRONOS clocks. If you are paid bi-weekly, you

can view your most recent leave balances by using the soft keys on the KRONOS

clocks.

4. The Employee Handbook and Compliance videos are updated each year. Please make

sure to sign off on your acknowledgement each year.

5. It is the responsibility of the employee to turn in all previous experience/service record

forms. You will not be paid for any experience until these forms have been received

and verified by the Human Resources Office at Leander ISD.

6. Please visit Staff Perks on the LISD website to see companies offering discount to ouremployees.

The best thing to do is to ask if they give any discounts to public schoolemployees….you never know!

7. The Gold Card is free to Leander ISD residents who are 65 years of age or older.Membership benefits include the following:

Free admission to most Leander ISD cultural events such as plays, musicals andconcerts in all district schools with the exception of fund-raising events such asdinners.

Free admission to regular season Leander ISD athletic events (not playoffs).

Open Enrollment for the Catastrophic Event Benefit (CEB) occurs within the first two weeks of employment for new employees. Please carefully read the regulations and limitations of the CEB at: https://lnet2.leanderisd.org/departments/RiskManagement/SiteDirectory/CEB/

If you wish to enroll: Complete the enrollment portion of this memo. A day will be deducted from your leave balance to activate your membership. Your membership will be indicated on your pay stub, confirming your enrollment. Return this form to Kimberly Shafer at the LISD Leave Office.

If you do not wish to enroll: No action is required. You will be ineligible for the benefit. Open enrollment occurs each spring prior to the upcoming school year.

Enrollment: I hereby acknowledge that it is my responsibility to access and read the LISD Catastrophic Event Bank information and agree to abide by the regulations therein.
