Edmond North PomWELCOME LETTER

Dear Pom Candidate & Parent/Guardian,

Thank you for your interest in trying out for the 2017-2018 Pom Squad at Edmond North High School.   We appreciate your enthusiasm and interest in our program and are so excited to see what the new school year holds.  Included in this packet you will find information that will explain the tryout process, membership guidelines, and general information that all members (and parents) will need to be aware of before trying out.  We take pride in our program and want the very best for all members of each squad.

The purpose of the Pom Squads at Edmond North High School is to promote school spirit, support various organized activities, represent the school, and provide positive leadership in all aspects of school life.  These squads will promote and encourage student body involvement and will exemplify loyalty, cooperation, and positive attitudes.   This can be a truly rewarding experience for each of you, but it also requires a tremendous time commitment.  Pom truly is a year round sport!!!  A squad member must be willing to practice on his/her own time to perfect skills.  Additionally, a squad member must be able to work well with others, as Pom is a team sport!  Please be aware of this as you prepare to take on the challenges and responsibilities of becoming a member of one of the Edmond North High School Pom Squads.

Parents, please also understand that when your child makes a squad there are some responsibilities on your part as well.  Not only do the members have to work together as a team, so do the parents. This is an all-around team sport and it takes the trust, commitment, and communication of all members, coaches, parents, and administrators to be successful.  Once selected for a squad, you will be financially obligated to pay for all expenses that come your way.  It’s definitely not an inexpensive sport, but as parents, you have to make the commitment to either pay for the items or be willing to organize and participate in fundraisers to offset costs.

Candidates wishing to tryout for a position on any Pom Squad, and his/her parent(s), must read through the Edmond North Pom Handbook, as well as the EPS District Contract (that all three

4

Edmond High Schools follow) prior to trying out.  After reading and being in full agreement, both student and parent signatures are required indicating that, if selected, both agree to abide by the rules and regulations governing the extracurricular activities of Pom at Edmond North High School.

All colored pages in this packet, as well as the $35 tryout fee, MUST be turned into the finance office at Edmond North High School no later than Thursday, March 9 th at 3:15pm .  There will be no exceptions on this deadline and time, so please make sure to have all items in on time!

We are so excited for the year ahead and look forward to meeting you!  Thank you so much for considering trying out for Edmond North Pom, and GOOD LUCK to each of you!!!!

Sincerely, Kelsey Richard and Rachel Tilley Edmond North Pom Sponsors/Coaches

Edmond North PomGENERAL INFORMATION

**All rules & regulations are in addition to the Edmond Public Schools Cheer & Pom District Contract**SQUAD MEMBER EXPECTATIONS The primary objectives of an Edmond North Pom squad member are:

1. Be a Leader .  A member’s main job as an Edmond North Pom squad is to promote school spirit and unity, support and encourage student body involvement at sporting events and various school activities, and to provide half time entertainment at sporting events. Members are expected to set an example for the rest of the student body by exemplifying loyalty, cooperation, and positive attitudes, as well as represent Edmond North by acting as positive role models and demonstrating good leadership qualities at all times.

2. Be Dignified and Responsible .  All athletes are expected to conduct themselves with class and dignity, in and out of uniform.  A member must practice good sportsmanship and be in compliance with all rules and regulations.  Members’ behavior is not only a reflection of their values, but also of their family, their school, and this program.  Members must act responsibly for both their sake and for the dignity of Edmond North.

3. Be Respectful .  Edmond North Pom is a family. Important to any family is mutual respect. Members will respect all other members of the spirit squad community, including their teammates, coaches, and other spirit squad members.  In return, they will receive the respect that they deserve. Additionally, members must respect the authority of all teachers, administrators, and other authority figures.

4. Be Committed .  Athletes should take their place in the Edmond North Pom program seriously. When a member joins Edmond North Pom, he/she commits to making himself/herself better every day, and he/she commits to being there for the school and his/her teammates.  Commitment is about being prepared and present, giving every practice one’s full effort, and motivating one’s teammates to do the same.  It is also about making the right decisions in the classroom, in the halls, at events, and off of school grounds. *Please see Appendix

PARENT EXPECTATIONS 1. In order for the Pom squads to be successful, it takes the cooperation of the parents, participants,

coaches, and administrators.

8

2. Parents are responsible for all financial obligations for camps, clinics, and other expenses involved in this activity during the school year.  These expenses can be offset by fundraisers, but it will be the responsibility of the parents to organize and run the fundraisers, not the sponsors.

3. Parents need to be aware of the time commitment involved in Pom and need to support their child and sponsor in these activities to see that he/she fulfills all responsibilities.

4. Understand by the very nature of the activity, dancing and cheering at games carry a risk of physical injury. The risk cannot be eliminated no matter how careful the sponsor and athletes are. The risk of injury includes minor injuries such as muscle pulls, dislocation, and broken bones. The risk also includes catastrophic injuries such as permanent paralysis or even death from landing or falls on the back, neck, or head. Parents must understand these risks and will not hold Edmond North High School or any of its personnel responsible in the case of accident or injury at any time.  Parents must also understand that Edmond North will always do everything possible to prevent these risks.

5. Parents and participants must trust and support the decisions and appreciate the time made by the sponsors, coaches, and administrators to always do what’s best for the team. Please keep in mind that sponsors have other responsibilities and commitments outside of Pom, and it is asked that parents and participants respect their personal and professional time. Any questions or problems concerning the squad should be directed to the sponsors via email. Issues should not be addressed during practices, games, or other school events. Sponsors will make every effort to respond to parent questions, concerns, and inquiries during school hours.

6. Parent Meeting Ground Rules: Take turns speaking, all are welcome to speak, minimize sidebar conversations, take care of your needs, and be efficient with time.

7. There is a proper chain of command, starting with the sponsor, assistant principal, head principal, and finally the school board.  In fairness to all parties involved, please follow the chain of command with any issues.

SPONSOR/COACH 1. The sponsors will work with the squads in the best interest of the team.  All sponsors want the best

for the program and each individual Pom member.2. Sponsors make all final decisions.  Discipline, demerits, grades, choreography, music choices, practice

times, events, etc. are the discretion of the sponsors alone.3. Members experiencing problems should talk with their sponsor first and foremost to find suitable

solutions.4. Members should treat the sponsors with respect. Both the Varsity and Freshman sponsors work

diligently for the betterment of the squad, giving up valuable personal and professional time.5. Teaching duties of the sponsor take precedence over Pom responsibilities.

CAMP 1. The sponsor will determine the camp site and dates. Summer camp dates will be announced at the

mandatory parent meeting.  Families are expected to work around camp when planning summer activities.

2. A squad member can be removed from candidacy if he/she cannot attend summer camp.  3. If a squad attends a summer camp, squad members are expected to pay their own camp costs, as well

as the sponsor’s camp cost. 4. Squad members must have all required forms filled out on Rank One prior to the first day of camp in

order to participate.

PRACTICE/CLASS RULES 1. Attendance is required at all scheduled practices. 2. Practices are considered before school, after school, and during the designated class hour for Pom.3. Practices will not be planned around those who have jobs, outside activities, or appointments (i.e.,

gymnastics, dance, competitive team activities/practices, and doctor appointments).  Members will be expected to schedule around Pom. Pom events take priority.

4. All members should be dressed out daily unless specified otherwise by the sponsor.5. All required attire should be brought to class daily.  Required attire is defined as modest shorts or

leggings, t-shirt, Pom shoes and jazz shoes.  Hair and bangs must be secured away from the face, and no jewelry is to be worn.

9

6. Gum chewing will not be allowed. 7. Be kind.  There is no room for personal conflicts.  Do not bring them to practice.8. Stretching and warming up is not optional.  Squad members are responsible for their own stretching

and warming up.  Members must participate in stretches in order to dance and perform.9. A squad member should never perform elite skills (lifts, flips, stunts, aerials, etc.) without a sponsor

present.10. In order to receive all points for practice, squad members must participate in all facets of practice

(i.e. dressing out, stretching, dancing, working out, chanting, making signs, hanging signs, listening, cooperating, etc.)

11. Squad members must ask permission and have a hall pass to leave practice (the Pom room) for any reason (i.e. restroom, drink of water, etc.).

12. Phones are NOT allowed to be out and in use during Pom unless specifically allowed by the sponsor. Phones should be placed in the “phone cubbies” upon entering the Pom Room to be counted present and must remain there the duration of the time unless specified otherwise by the sponsor.

13. If a squad member will miss a practice, arrive late to practice, or leave early from practice, a practice miss form must be filled out online (please refer to Game, Event, and Practice Misses for more information).

14. If a squad member is sick or leaves school early before her designated hour for Pom, the student or a parent/guardian must contact the attendance office and submit a miss form to notify the sponsor prior to the class hour.

15. In order to leave Pom class early, a member must be checked out by a parent and receive a pass from the front office in order to be dismissed.

16. When a squad member is absent from practice, it is his/her responsibility to learn what was missed on her own time.

ATTENDANCE POLICY 1. Edmond Public Schools attendance policy will be followed at all practices.2. Please refer to Attendance Policy #4215 in the Student/Parent Handbook-

a. On the tenth (10th) absence a student will receive a “No Credit” on his/her transcript for the semester.

b. An absence is defined as missing more than fifteen (15) minutes of any part of class time.c. Three (3) tardies equal one (1) absence.

3. Squad members are required to complete the entire season for which they are chosen.  4. Each member is expected to cover all games and tournaments for which their squad is responsible. 5. Some practices or games may be scheduled over school holidays and weekends.6. If an athletic event is cancelled or postponed, the Pom members are to attend the rescheduled event.7. Any practice or choreography dates scheduled after August 1st are required for all members.

TRAVELING AND AWAY GAMES __ 1. For all out-of-town games, squad members must ride the designated and approved bus or school

vehicle and must stay for the entirety of the game.2. After away games/events, squad members may be released to their parent/guardian only, at the

discretion of the coach. If the coach approves a squad member riding home with their parent/guardian, the child can leave ONLY after their parent/guardian has signed the proper release form held by the coach.

GAME, EVENT, AND PRACTICE MISSES 1. If a squad member has to miss, leave early, or arrive late to a game, event, or practice they must fill

out a miss/late form.  This includes the “practice” that is the Pom class each day.  All forms must be filled out and submitted online 24 hours prior to the practice or event. Forms may be found on the Pom website at www.edmondnorthpom.com.

2. Although participation on competitive dance squads is beneficial for maintaining and developing skills, squad members must give their school squads the highest priority.  Competitive dance obligations are not counted as excused absences.

10

3. If a squad member is sick during school hours (i.e. Pom class hour), a student or parent should submit a miss form online as soon as possible prior to the class hour the student has Pom in order to notify the sponsor.

4. If a squad member is sick on the day of the event, a parent needs to notify the coach as soon as possible so the absence can be excused. In order for an absence to count as excused, the coach must be notified of the illness at least one hour prior to the start of the event.

5. Each participant will receive 2 “free miss” passes per school year (these can be used in either football or basketball season) to be used for doctor’s appointments or vacation (not illness).  A maximum of 4 “free miss” passes per team (Varsity) and 2 “free miss passes” per team (Freshman) will be accepted by the coach for a single event.  This will be granted on a first-come-first-serve basis.

6. Even if the student is excused from school, a miss/late form must be submitted online 24 hours prior to be excused from an event.  If the form is received after the absence, it will remain unexcused.

7. All unexcused absences, including not submitting game miss forms 24 hours prior, will result in that member being benched for the next full game.

8. Practice Miss/Late Form -  a. If a squad member needs to miss practice, arrive late, or leave early for any reason (doctor’s

appointment, school activity, vacation, etc.), a miss/late form must be filled out and submitted online to their sponsor 24 hours prior to the practice. The sponsor/coach will determine whether an absence is excused or unexcused.  If a miss/late form is not submitted online 24 hours prior to the practice then it will automatically be considered unexcused.

9. Game/Event Miss/Late Form - a. If a squad member needs to miss a game/event, arrive late, or leave early for any reason,

a miss/late form must be filled out and submitted online to the sponsor 24 hours prior to the game/event.  If a miss/late form is not submitted online 24 hours prior to the event then it will automatically be considered unexcused.

b. If a squad member is using their “free miss” pass for the season, a miss/late form must be filled out and submitted online to the sponsor 24 hours prior to the game/event for it to be excused.

10. Split Squad Events -a. For all split-squad events, no game misses will be accepted.  If a squad member needs to

miss a split event, they are required to trade an event with another squad member who is not scheduled to go that night in order to ensure a minimum number of squad members at the event.  A game trade form must be filled out and submitted online to the sponsor 24 hours prior to the event for it to be accepted.

GAME CONDUCT 1. The way that the Pom squad is perceived by students, parents, and patrons is largely decided at

games. Therefore, while performing at games, Pom members are to stay in formation at all times and pay attention to the direction of the squad captains and the sponsor.

2. Gum chewing, slouchy appearance, jewelry, incorrect uniform pieces or inappropriate dancing, gestures, and language will not be allowed and may result in an immediate benching.

3. If a Pom member is out of uniform or in a wrong uniform, they will not be allowed to perform/cheer. They will then sit with the sponsor.

4. An injured or ineligible Pom member will be required to attend her scheduled Pom events/games in uniform and must sit with the sponsor.

ACTIONS AND CONSEQUENCES_ _________ 1. At school events, including Pom class, practices, and Pom related school activities, all school

policies will be followed regarding student behavior and attendance.2. Any violation to the Edmond Public Schools District Cheer & Pom Contract or the Edmond North Pom

Athlete/Parent Handbook may be handled with any combination of the following:a. Benching or suspension for a period of time to be determined by the coach.b. Loss of points on the academic grade for the physical education credit squad members

receive for being on a Pom squad.

11

c. Demerits.  A squad member who accumulates twelve (12) demerits will result in suspension from the squad for the remainder of the year.  Please note that the members facing suspension from the squad have had adequate opportunities to earn merits that would offset demerits.

3. Refer to Page 13-14 for how actions and consequences affect the grading policy and merit/demerits.

STAYING CONNECTED THROUGH TECHNOLOGY __________________   _ 1. In order to stay connected with our athletes and parent/guardians, we will use the following forms of

communication. The sponsors place a high priority on Pom members’ personal responsibility for their Pom obligations. During the school year, Pom members who need to communicate with their sponsor should utilize time during the school day (class time, tutorial, before or after school) to speak with their sponsor in person. When school is not in session, Pom members should contact their sponsor via email.

a. Email-  Please check your email daily. The majority of Pom information is sent to athletes and parents/guardians through email. Sponsor email addresses can be found on the front of this handbook.

b. Pom Website-  www.edmondnorthpom.com  The Pom website contains an up-to-date calendar for each squad, practice and event miss forms, uniform pictures, music, and videos of chants and drumlines.

c. Remind 101-  Remind101 is a text reminder application that will allow the coach to periodically send out Pom reminders via text message.  At the first parent meeting and the first Pom practice, parents/guardians and Pom members will be given the sign up information for Remind101.

d. Live School-  Live School is an app, and website, that is used to keep track of all merits and demerits throughout the year. It’s a real time app that squad members and parent/guardians can use to stay up to date on each squad members total merits/demerits. Once a participant makes a squad, each squad member will be given an access sheet to assist in setting this up.  Squad members and their parent/guardian can access their own child’s merit/demerit points only.

e. Group Me- Group Me is an app that allows for communication within the team. The sponsor and team will use this app for reminders and updates throughout the season. This app will only be used for team communication.

MERITS                   _ Merits will be given for the Fall Semester GPA as follows:

3.5 and above = 2 merits 3.0-3.4 = 1 merit

Squad members can receive a maximum of six (6) merits per year, plus an additional 1-2 merit(s) given for GPA at the end of the Fall Semester. Squad members will be given opportunities to earn these merits throughout the year. The second semester’s opportunity must be afforded prior to the next year’s try-outs. Merit opportunities must be school or community service related and approved by the sponsor. Each merit opportunity is worth 1 merit per hour worked. **Example merit opportunities include: Working the Summer Youth Pom Camp (June), Various elementary school Family Fun Nights (Sep.-Nov.), Breast Cancer Walk (Oct.), and BALTO decorating days (Feb.)**

Edmond North PomGRADING POLICY

GRADE BREAKDOWN                   _ The Pom grading policy will reflect the level of a squad member’s participation during the semester.  Any infraction to the rules may result in loss of points on a member’s grade, demerits, and/or benching/suspension given by the coach.  Grades will be based on the following breakdown:

GAME/EVENT–  60%DAILY –  40%

DAILY GRADE                   _

Every practice is worth 20 pts. Points are based on being on time, dressing out (see below), participation during class time, attitude, cooperation, work ethic, etc. Absences that are unexcused will result in the loss of 20 points for that day. In order for an absence to be excused, a squad member must be checked out through the front office, have filled out a practice miss form online 24 hours ahead of time, and have notified the sponsor prior to the absence. Excused/Unexcused absences are up to the discretion of the sponsor. The sponsor will determine whether an absence is excused or unexcused. Examples include, but are not limited to:o Excused Absence –Sick, family emergency, etc.o Unexcused Absence– studio dance, doctor appointment, hair appointment, out of town, etc.

Required attire for Pom class should be brought to class every day (modest shorts or leggings, t-shirt, and jazz and Pom/tennis shoes ). Hair and bangs must be secured away from the face, and no jewelry is to be worn.  Gum chewing will not be allowed. All members should be dressed out daily unless specified otherwise by the sponsor. Phones should be placed in the “cubbies” in the Pom room each day upon arriving to class and should not be out or in use during class unless otherwise specified by the sponsor.

Any other obligations that might come up during the year and specified by the sponsor will be counted for a grade.

GAME/EVENT GRADE                   _ ________ Every game or event will be worth 100 pts. For an unexcused absence, a squad member will receive a

zero (0).  An absence is considered excused if either a game “free miss pass” has been accepted by the coach and turned in 24 hours in advance or if a parent/guardian has contacted the coach at least one hour prior to leaving for the event in cases of illness.

Any tardy to a practice, game, event, or leaving early from a practice, game, or event may result in a deduction of up to 15 points for the first 15 minutes. At 15 minutes late a member will receive a 75. At 30 minutes a 50 will be received and more than 30 minutes will result in a zero for that practice, game, or event. Since a student is not allowed to drive to any away event, if a squad member misses

17

the bus, she will receive an automatic zero and/or benching for a period of time to be set by the coach.

Any uniform violations may result in a deduction of up to 20 points from the event grade. Participants must wear all sponsor and/or captain-specified uniform pieces. Points could be deducted for, but not limited to, wrong uniform, wrong shoes, hair not up, wrong bow, lack of uniform pieces, wearing jewelry, or arriving without poms to games, as well as not following appearance code according to the Pom Handbook both during the school day and at games/events.  If a squad member does not bring all required items, not only will the member lose up to the 20 points from his/her grade, but he/she will be benched for the game and must sit with the sponsor/coach.

Any inappropriate behavior may result in a deduction of up to 20 points from an event grade. Points could be deducted for, but are not limited to, chewing gum, talking during games, getting out of formation, public displays of affection, etc.

Squad members are required to dress up on weeks that there are “Spirit Days” or “Dress-Up Days” at school to help promote school spirit. School dress-up days will be a separate event grade in the gradebook.  Each day is worth 20 points.
