Running an ART 640 Data Quality Framework Report and looking for errors
You will first want to go to Connect to ART
Click on the Public Folder

Click on ART Report Index
Then click on the 600 folder to find the 640 Data Quality Framework Report

Click on the 640 Report Magnified Glass icon

Once that opens up click Schedule Report

Select Provider

Enter you effective date (end date and effective date are going to be the same date) Enter Start date

Select the Entry Exit Type, click SELECT and a new window pops open.

If HUD is not already selected, click the GREEN plus sign and it will select the value, then click submit.

Once all of the prompts are selected click NEXT to move on to the scheduling screen. You can re-name your report if choose to, and select whether or not you want your report to run in a PDF or Excel format. (KHC prefers the PDF for the purposes of submitting the 640 Data Quality Reports).
Once you click send your report will show up under your Scheduled Reports at the bottom of the screen.
Identifying and reviewing errors, Q1-Q5 are what you need to look at in terms of identifying your errors.

For Q1 make sure to look at your data and ensure it looks accurate, no one knows your data like you do. Pay close attention to the field Number of Child and unknown-Age Heads of Household this should always be 0.

For Q2 pay close attention to the Client Doesn’t Know/Refused, Missing Information, or Data Issues columns as those will tell you if you have errors. If you see there are errors there, than that means there are clients with missing information etc. Example: It shows that you have 4 clients that are missing the Date of Birth, Race, Ethnicity, and Gender. So you would select Tab C on your report to find which clients have the errors. The Tab C shows you the detailed view of your errors, and gives you the client ID number as well. (See below).
If you have errors on any of these fields you will have to select the appropriate TAB for a detailed view of the errors and the client ID number as well. Q3 can be found on TAB D
Q4 Can be found on TAB E, TAB F and TAB G and Q5 can be found on TAB H.

Keep in mind that if you have errors and do not know how to fix them, we encourage you to submit a Help Desk ticket and our team can assist you. If there are errors on your report that you know cannot be fixed you will need to provide us with an explanation EACH month you run the report that it is showing on. Please do this even if you have already provided an explanation in previous submissions, as we have multiple staff working on these.
